management of Health Commodities (Medicines, Consumables) and Equipment's.

Objectives Describe the operation of the Integrated Health Commodities

Logistics System in Sierra Leone. Introduction to the various LMIS forms and SOP Manual Identify and analyze the essential data to be collected and

reported in the Integrated Health Commodities LMIS. Explain the importance of identifying key personnel to fill each of

the LMIS forms.

THE LOGISTICS CYCLE

LMIS: Definition and Purpose

DefinitionIt is a collection of manual and/or electronic forms and procedures that is used to gather and organize logistics data, and used to procure the right quantities of goods, track the distribution of goods throughout the system, and controls the inventory of stocks.

LMIS: Definition and Purpose

Purpose

The purpose of an LMIS is to improve management decisions that govern the logistics system.

Essential Data in Logistics Management

Three Minimum and Essential Data:

– STOCK ON HAND

– RATE OF CONSUMPTION

– LOSSES/ADJUSTMENTS

STOCK ON HAND

The quantities of usable health commodities available at all levels of the system at a point in time.

RATE OF CONSUMPTION

The average quantity of health commodities dispensed to clients during a particular time period.

LOSSES / ADJUSTMENTS The quantity of health commodities removed

from the distribution system for any reason other than consumption by clients (e.g. losses, expiry, damage).

Adjustments may include receipt or issue of supplies to/from one facility to another at the same level (e.g., a transfer) or a correction for an error in counting.

Losses/adjustments may therefore be a negative or positive number.

Inventory Control System

Purpose of an Inventory Control System

1. To determine when stock should be ordered/issued

2. To determine how much stock should be ordered/issued

3. To maintain an appropriate stock level of all products, avoiding shortages and oversupply

Reporting mechanism and use of the data collected At the end of each month ( latest by the 5th

day of preceding month) each facility prepares and sends RRIV reports and collects medicines from the next level (PHUs send to DMS.

DMS and Hosp. send to CMS - 10th Day of the preceding month

Based on reports next levels issue medicines and supplies accordingly.

Issues of stock status assessments are addressed accordingly
