1. What is 'Virtual Office' ?

The easiest way to imagine the virtual office without diminishing its actual meaning is to

imagine a conventional company. A conventional company is a place, be it a building or

home-shop or home-office or a store's office where there are people in and out there as

employees and customers. Just as normally a company has a product, service, post-sales

service, customer service etc...

At companies that use virtual office as their business engine, it's the  physical  'office

building' which eliminated and replaced with a virtual office with no physical form anymore

but instead replaced with electronic means. How can it be possible..... Well, of course it's

possible, it even provides many advantages. Just keep reading the explanation.

2. Benefits of Virtual Office

Because of the omission (or not using) the building, then practically we do not maintain a

building. 'Cost cut-off' , is one of the benefit derived from it.

In terms of time savings, business activities can be done from anywhere or everywhere

 wherever the business person are; not necessarily has to be done from the office building.This benefit is especially very meaningful to city that often occurs traffic congestion, such

as Jakarta, as this indirectly will boost company productivity due to increased business

activity that could be done rather than get stucked on jammed road wasting time cannot do

anything (more income).

3. How Business Activities Carried Out with Virtual Office Concept

So where lies the office of business entities that implemented virtual office concept? The

answer is both simple and "as if" less plausible but is actually very simple and very logical,

namely: "Email, telephone, fax, website etc". Please keep reading on this information inorder to avoid misinformation due to incomplete information received.

Roughly what activities are conducted by a business entity to drive the wheels of their

business, the following are the description:

3.1. Mailing

OpenTEK calls it mail-forwarding. A company would receive letters or goods every

day. For this function businessman / entrepreneurs use the address supplied by the

provider of virtual office. Next, provider of virtual office will deposit and notify the

receipt of the letter / package which then be picked up or delivered to respective

businessman / entrepreneurs desired address. Usually it will be delivered to their

residence.

By default , OpenTEK virtual office would inform them via e-mail.

3.2. Fax

Telephone number used as the recipient and the sender of fax is determined by the

provider of virtual office. Next, the fax would be received by the business entity in the

form of emails and can be accessed from anywhere that connected to the internet.

OpenTEK virtual office provides fixed network  (Fest-Netz) telephone number from

Telkom company for fax number.

3.3. Telephone

OpenTEK virtual office provides fixed network  (Fest-Netz) telephone number from

Telkom company for telephone number complete with extension. The caller will be

attended by OpenTEK's PABX voice prompt guiding the caller pressing the extension

number of the intended business entities. Next, the call could be received from

anywhere and from any telephone network, including VoIP and wireless (HP).

3.4. Collaboration

Collaboration does not always have to meet and work at the same place because today's

technology already made it happen, work together without gathering in one place together.

Going to customer's place does not have to from the office, isn't it... It could be from the

technician's place or the employee directly go to customer's. And still many more

examples. Keep reading the following elaboration.

Each task is break-down according to specialty / function and job load by a manager of the

business entity. Then it will be distributed to its employees and be executed at each

employee preferred location. They could work at cafe, stall or even at their home.

To held discussion or meeting to brief or discuss solution of problems arising between

superiors and subordinates or equivalent can be done by utilizing the following media:

• Telephone; be it fixed line or cellular;

• E-mail;

• Mailing-list

•Forum;

• Instant chatting and conference-media like: Skype, Yahoo Messenger, Googletalketc;

• ERP;

• etc.

The point is concerned with the performance appraisal for each employee or it could be

called by monitoring the employee's job.

3.5. Performance Appraisal

Of course, process and outcome of each work mentioned in the previous point should also

be monitored or supervised in terms of both quantity and quality.

If you have employees, after we gave the order (work order) does not mean we have to

hang out constantly in the table only to supervise the employee. There are better ways to

provide comfort condition while a manager can oversee and conducts its own portion of

 work. Output, yes...output. Simply look at the work of each employee of each stage. The

results of the work can be delivered through the medium of the Internet to be viewed and

examined, such as: via e-mail, upload-download, groupware application, etc. So once

again: "No need to get together or face to face....."

From the outputs of each stage that's appraised . When 'OK', proceed or congratulate. But

if 'not OK' and before the end work result of the employee in question was bad beyond

hope, issue warning letter (SP; Surat Peneguran) huehehehheh.... or axe the worker

(favorite move of mean boss).

To help work break-down process according to the stage and major can be

accomplished with ERP and Gantt chart tools. But not all work is complicated enough

to warrant the usage of ERP or Gantt chart tools. Depending on manager's perception

in regulating its business activities.

You've probably heard of the successes of OSS developers (OpenSource Softwares)

such as when making Linux Operating System,  Apache Foundation, etc. They are a

community or non-commercial entities who are very successfully applied the concept

of virtual office. Thousands of software developers involved in the development of

popular software collaborated without coming to 'face-to-face' , while many othersoftware vendors work 'face-to-face' in fancy offices that is expensive the maintenance

costs. A reality that testifies that the concept of virtual office realistically is affordable

and applicable.

Worth to try on your business if you can get several benefits, cut-cost in everything

either financial or time-cost.
