1.3. Rules, procedures and general policy

1.3.1. Participation regulations Agribex You can consult the participation regulation of Agribex 2019 by clicking here

1.3.2. Stand allotment procedure

1. FEDAGRIM shall decide how much floor space is allotted to exhibitors. All decisions are final. 2. FEDAGRIM shall prioritise stand allotment for those candidate exhibitors who filled out and

returned their participation request forms and their down payment no later than 15 April 2019.

3. FEDAGRIM reserves the right to later modify, if necessary, the structure and floor space allotment of stands. Exhibitors will be notified of this immediately.

4. Measurements mentioned on the plans handed out to exhibitors are as accurate as possible. However, FEDAGRIM cannot be held responsible for minor discrepancies that might occur between measurements mentioned in the plans and the actual size of floor surface.

5. It is the responsibility of the exhibitor to ensure that the actual size of the floor space matches the description on the allocation plan. Any mistake relating to the position of the exhibiting space must be reported to Fedagrim before build the stand in question. Any complaint filed after build up of the exhibiting stand will be deemed unreceivable. Allotted stands must be effectively attended by the exhibitor no later than 4 days prior to the opening date. Effective attendance refers beginning of assembly work.

6. FEDAGRIM reserves the right to take free possession of any floor surface not occupied within the deadlines set by these regulations, and may rent out or offer occupation of said floor surface according to the terms it will decide on. The defaulting exhibitor shall not be entitled to any compensation or reimbursement.

7. Should an exhibitor occupy only part of the stand that was allotted to him/her on his/her request, FEDAGRIM may reclaim unoccupied area and decide how it will be allotted taking into account the other provisions of these regulations, including 6 here above. All decisions shall be final.

8. Within 8 workdays after receiving the lay-out plans, candidate exhibitors may submit any duly justified objections they might have by registered mail to FEDAGRIM. FEDAGRIM shall unanimously decide whether or not the objections of the candidate exhibitor should be taken into account. If the admissibility of objections is established and provided availabilities FEDAGRIM will submit a new proposal to the candidate exhibitor. Should the new proposal be turned down the candidate exhibitor will be considered as a withdrawing exhibitor, automatically resulting in the enforcement of the effects of withdrawal as stipulated in chapter IV.D of the Participation Regulations. No objections to, or modifications of, the lay-out plans will be accepted after this 8-workday period.

1.3.3 Trade practices

1. Personnel registry

We remind the exhibitors that according to Belgian social legislature, the employer is obliged to be in the possession of a personnel registry at each work location, thus also at the stand.

2. Price tags and advertisements

The Law of 14 July 1991 on Trade Practices, particularly on the issue of price tags and advertisements, applies to fairs and exhibitions. Exhibitors are therefore required to comply with the above legislation.

3. Hawking and auctions

a. Hawking is strictly prohibited within the exhibition area, including in parking areas. b. Auctions of any kind or the distribution of samples against payment are strictly forbidden.

4. Inscriptions and information

a. It is forbidden to display commercial advertising that is contrary to articles 22 and the

following ones of the law of 14 July 1991, specifically advertisements which include:

✓ information that may mislead the public as to the identity, nature, composition, origin, quantities or characteristics of a product;

✓ deceptive or disparaging comparisons; ✓ information that may cause confusion with the products, activity or reputation of

any other trader, craftsman or industrialist.

b. All products must be exhibited under the brand name for which the application form was submitted, and which appears in the Fair's official catalogue.

c. Any mention of sales figures or buyers’ identities on, or pertaining to, the goods, shall be

prohibited. The term "SOLD" or any similar indication may not be affixed on equipment or machinery.

d. Advertising material may not be distributed outside the stand. Distribution is allowed only

on the visitors’ request. e. Using a loud voice to advertise and attract passers-by, as well as any form of soliciting, is

strictly forbidden. The holder or employees of a stand are not allowed to walk around or stop in passageways in order to advertise or sell a product on exhibition or not, or to address the visitors in such a way as to cause a crowd of people to form in passageways.

f. Any sign saying “NEW” on equipment or products must not cause any confusion

whatsoever with indications referring to the “Selection of Novelties” of the Fair.

5. Raffle and advertising balloons

a. No one is allowed to organise a raffle without the prior written consent of FEDAGRIM and the

relevant authorities of the City of Brussels. The request has to be entered at least one month before the opening of the fair so that the Board of Burgomaster and Deputies has time enough to deliver his authorization. b. Advertising balloons are allowed only if inflated with helium or air, to the exclusion of any other gas.

c. All costs for removing the balloons will be billed to the exhibitor concerned

6. Royalties Sabam : Exhibitors playing music by means of devices such as radios, records, audio tapes and/or television sets or video recorders are solely responsible for the royalties owed to SABAM (Société des Auteurs Belges/Belgische Auteurs Maatschappij). For any further information exhibitors may contact the Brussels’ Tax Collection Office, Rue d’Arlon, 75-77 Box 2, 1040 Brussels tel: +32.2.286.82.11., fax : +32.2.230.05.89, [email protected], www.sabam.be Fair remuneration : Near royalties which have to be paid to Sabam, fair remuneration has also to be paid in Belgium since October 1999. This remuneration has to be paid for public use of the musical repertory of composers and performers. Composers and performers can not prohibit the public broadcasting of their repertory. In exchange, the law has given them the right to perceive remuneration from people broadcasting publically their repertory. This remuneration has been called "fair" particularly because it's not imposed by the eligible party but has longly been negotiated with the users. Exhibitors who want to broadcast music on their stand have to complete and to send a form of declaration for temporary activities to Outsourcing Partners N.V. either by post to: Martelaarslaan 53-55, 9000 Gent or by fax to 02/710.51.10. The form of declaration for temporary activities can be obtained by sending an e-mail to [email protected]. 1.3.4. General policy

1. Driving and parking vehicles on the exhibition grounds during the event a. It is strictly forbidden to stop and park vehicles in areas not intended for parking, especially between the halls of exhibition centre (firebreak lanes) and in front of the fire hydrants. b. Before 09:30 a.m. and after 6:00 p.m. vehicles with a valid pass, issued by the Secretariat, will be allowed to enter grounds of the Brussels’ Parc des Expositions. Vehicles will be allowed to stop in the firebreak lanes for the loading unloading of goods only. Vehicles will be parked so as to avoid hindering any safety service activity. Drivers should remain in the immediate vicinity of their vehicle in order to move their vehicle when prompted. Passes must be clearly displayed behind the vehicle's front windshield c. Vehicles in violation will be automatically towed away by the police force, at the risk and expense of their owner. 2. Private security services During the Fair's opening hours, exhibitors may request private security services for their own needs, with the prior written consent of the Secretariat. 3. Noise, operation of engine and machinery, fuel oils a. Machines and engines may only be run using electrical power, without causing any noise. b. During the Fair's opening hours, it is forbidden to operate dangerous, noisy or hindering devices. No materials may moved off the stand during these hours. c. Likewise, it is strictly forbidden to operate engines during the Fair's opening hours. Fuel tanks shall only contain enough fuel to remove machinery and materials. No quantity of gasoline or other fuel may be stored inside the Halls. d. Exhibitors will make sure the public is protected from any sharp or pointed object, especially near the walkways, and prevent visitors (especially children) from climbing or getting inside equipment. e. Any exposed product / material should be placed firmly and steadily on the floor so that there is no risk of overbalance f. Any moving device or mechanism will be shielded by a casing or a wire meshed crate so as to protect the public any danger whatsoever. g. Stands operating electric engines or those displaying fuel tank engines will also carry a dry powder fire extinguisher powerful enough to smother any starting fire. The fire extinguisher will be clearly visible and easily accessible.

h. Batteries and accumulators of any machinery and vehicles must be switched off as soon as they enter the Halls. may only be switched on again after the event has ended, in order to be removed. i. The use of a sound system is allowed only if it does not disturb other exhibitors. The speakers can be placed at edge of the stand but must be directed towards the inside of the stand (in the stand). 4. Audio-visual projections a. Screening of flammable films is strictly prohibited. No audio-visual screenings in a closed stand may be performed without the prior written consent of the General Secretary and the Brussels’ Fire Brigade. b. Parties concerned commit to rigorously comply with the guidelines and safety measures they will be required to follow, especially with regard to fire hazards and the prevention of obstructing other exhibitors and visitors. c. Video screens installed by the exhibitor for the attention of visitors walking down the passageways must be set least 2 metres away from each passageway. 5. Shows and lighting effects a. Performances pertaining to the presentation of products on exhibition must be subjected to prior authorisation FEDAGRIM. b. Are prohibited: · ·shows not directly related to products exhibited; · ·shows that are likely to disturb neighbouring stands; · shows that obstruct the flow of visitors in the hallways, e.g. robots; · shows and activities that might constitute a danger for the Fair and/or the visitors; · the transmission of noisy and audible speech or music that can be heard beyond the immediate surroundings the stand. It is also forbidden to use loudspeakers, horns or similar devices to repeatedly produce a sequence of or notes forming some sort of tune, considering the disturbance this would cause to fellow exhibitors. · the use of flashing lights, light signals, or spotlights that are likely to blind visitors or the other exhibitors, as the use of horns and the production of sparks and bangs, is strictly prohibited; · any light projection exceeding the limits of the stand; · the distribution among visitors of badges, self-adhesive or not, if these are likely to be confused with official badges. 6. Dogs and other animals Dogs and all other animals not taking part in contests or the event itself are strictly forbidden. All wandering animals will be impounded and rendered harmless, at the risk and expense of the owner.

3. COMMUNICATION

3.1. ENTRANCE TICKETS

Several types of entrance tickets can be ordered via the links below :

Supplementary season tickets : Additional season tickets can be ordered via the link below. Season tickets are for exhibitors and their staff. They provide access to AGRIBEX 2019 from Tuesday, 3 (Professional Day) until Sunday, 8 December 2019. from 07.30 am till 07.00 pm. ( If you want to offer a multiple entrance ticket to your best clients, do not give a season ticket but use the multiple entrance tickets). Each exhibitor is entitled to a certain number of free season tickets depending on his rented surface: stands occupying : Stands up to 50 m² : 4 season tickets Stands from 51 m² to 100 m² : 8 season tickets Stands from 101 m² to 200 m² : 10 season tickets Stands from 201 m² to 300 m² : 12 season tickets Stands from 301 m² to 400 m² : 14 season tickets Stands from 401 m² to 500 m² : 16 season tickets and so on... Any ordered season ticket won’t be taken back or reimbursed. How does it work? For reasons of safety the organizing committee wants a better identification of everybody present on the venue. Therefore, you won't get printed badges upon your ordering but electronic codes. Please sent these codes to the persons you want to have a season ticket. They will have to register with the code on the Agribex site and will then get an entrance ticket by mail. With this ticket they have to present them: during the fair at the exhibitor desks (Astridhall and hall 1) during the mounting period at the secretariat (in hall 5) where a nominative permanent badge will be handed over. Multiple access ticket : Multiple access tickets can be ordered via the link below. We insistently ask not to offer season tickets to clients or dealers, because season tickets grant access outside the official visiting hours. Season tickets are reserved for exhibitors and their staff. Instead we offer multiple access tickets for your best clients or dealers. These tickets provide the bearer access to AGRIBEX 2019 during 3 days from Tuesday, 3 (Professional Day) until Sunday, 8 December 2019. from 10.00 am till 18.00 pm. Any ordered multiple access ticket won’t be taken back nor reimbursed. How does it work? You will get printed badges on a A4 sheet. One sheet per ticket. The bearer of this card will have to register with the code on the Agribex website and will then get an entrance ticket by mail. With this ticket he/she has to go to the desks for multiple access badges (Astridhall and hall 1), where a nominative badge will be handed over. Invitation tickets: invitation tickets can be ordered via the link below. Invitation tickets are sold per page containing 5 tickets. Exhibitors may order an unlimited number of invitation cards. These cards are reserved for visitors. The invitation card gives free access to the fair from Wednesday the 4th till Sunday the 8th of December 2019. Only the registered invitation cards will be invoiced. A count will be made for each exhibitor after the fair. A credit note will be established for the unused invitation cards. Reduction tickets : reduction tickets can be ordered via the link below. Reduction tickets are free and available per page of 5 tickets. Exhibitors have the possibility to order as many reduced fare cards as they want. These cards are reserved for visitors. A reduced fare card grants the visitor a reduction of 5,00€ of the normal ticket price of 17,00 € if he registers his ticket on-line. Passes during the event : During the event, eventual supplying has to take place between 8.00 am and 9.30 am or between 6.00 pm and 8.00 pm. It's strictly prohibited to let the vehicles in or between the hall between 9.30 am and 6.00 pm. Persons who do not respect the schedules will have their passes withdrawn by the security company "Group 4 Securicor". These passes are valid from Tuesday 3 to Saturday 7 December 2019. Deliveries of goods on Sunday morning will be using a special pass for which a deposit of 250 € will be required. 3.3. SELECTION OF NOVELTIES

The Selection of Novelties regulations can be consulted on the Agribex website: https://www.agribex.be/en/exhibitors-zone Just like in 2017, dossiers must be submitted online through : https://www.agribex.be/en/exhibitors-zone Log into the Novelties Module to put together a complete dossier including text, videos, photos and other necessary materials. You can submit a maximum of 3 applications per brand. Dossiers must be introduced before Septembre, 20, 2019. After this date, the website will be closed and no more dossiers will be accepted. The proclamation of the Selection of Novelties will take place during the press conference preceding Fedagrim's General Assembly that will be held on Thursday 17 October 2019.

3.4. EXHIBITOR AWARDS

As exhibitor you have the opportunity to participate in an original competition, the “Exhibitor Awards”. The Exhibitor Award “Coup de Cœur” rewards the best on-site reception and the best product presentation. The Exhibitor Awards « Coup de Cœur » will be awarded to exhibitors whose booth is the most welcoming, whether in terms of aesthetics or atmosphere. Only AGRIBEX 2019 exhibitors can participate to the Exhibitor Award. The prices are presented by a jury consisting of professionals from the events sector and communication sector. Five categories :

• Stands between 150m² and 300m²

• Stands bigger than 300m²

On Thursday, December 5, Agribex will organize a “Ladies Day”. During this day, Fedagrim will pamper women. Many women are active in our sector and their role is often underestimated. All these women, farmers, farmers’ wives, traders, are an important link in our sector. They are often the driving force of the business, the support of their spouse, the administrative force that usually goes unnoticed. We want to counter this tendency by organizing the “Ladies Day”. We ask all exhibitors to give this particular Thursday a touch of "femininity". Everything is possible. AGRIBEX will also contribute to this particular day, but most importantly, we rely on our exhibitors. We would like to invite them to put the women in the spotlight on December 5th. The Ladies Day Award will be awarded to the exhibitor who will do everything possible to put the woman in the spotlight.

The press will be present during the presentation, which will be held on Thursday 5 December during the Exhibitor drink from 06:00 PM.

3.5. PROMOTIONAL MATERIAL

Just like previous editions, we offer exhibitors free promotional material such as flyers for the Garden and Green Areas sector, stickers with the logo of Agribex 2019 to affix all your correspondence, stickers for cars and vans and posters for all sectors.

3.6. ON-SITE VISIBILITY

Reinforce your presence at AGRIBEX 2019 inside and outside of Brussels Expo! Create Brand Awareness while advertising on the most strategically positionned media supports inside Brussels Expo: at the entrances and exits (f.e. going from parking C to the Astrid Hall, at the entrances coming from the Metro Station), in the toilets, in the corridors in between the different halls. 4. STAND : PLAN – GENERAL LAYOUT OF THE STAND - DIRECTIVES

4.1. DIRECTIVES REGARDING STANDS

1. General aspects

Exhibitors and their stand builders are required to strictly comply with the following provisions. Exhibitors must inform their stand builders of these arrangements.

2. Construction, maximum height and partitions

a. For aesthetic reasons and to ensure a consistent overall lay-out of the event, exhibitors who find it necessary to mark out their stands are recommended to use, whenever possible, posts with a maximum height of 0.90 m connected to each other using either chains or cords.

b. Stand constructions shall be no higher than 2.50 m. c. Exhibitors intending to exceed this maximum height must submit a request in writing to

FEDAGRIM. FEDAGRIM may grant special dispensations on the proviso that the overall aesthetic aspects and good neighbouring terms are maintained.

d. An area of 15m wide on either side of the central aisle will be reserved for those booths that do not exceed 3,50m in height, so that the booths located in the central aisle do not hide those located behind them. The adjacent 15m zone will be reserved for booths with a height that does not exceed 4,50m. The exhibited products or material may not, in any event, exceed the above-mentioned height restrictions. Any stands and infrastructure for lighting purposes may exceed the 3.50m height restriction but cannot, under any circumstances, be used to hang banners or any other elements that could alter the overall height of the booth. An empty space must, imperatively, be left between the booth and any elements that are hanging over it. Trussing and infrastructure of the booth will be used exclusively for lighting purposes. A horizontal “ceiling” may be placed over this lighting infrastructure.

e. By October 1, 2019 at the latest all exhibitors must submit a measurement plan to FEDAGRIM. FEDAGRIM only approves the stand in terms of attractiveness and respect of the neighbouring exhibitors but not what in terms of stability, rigidity, construction materials and security.

f. FEDAGRIM reserves the right to disassemble any construction erected without proper authorisation as well as any construction erected against authorised provisions. The costs of disassembling the stand will be borne by the exhibitor. The exhibitor shall not take any course of appeal whatsoever against FEDAGRIM regarding the enforcement of these provisions.

g. It is forbidden to stock-pile several devices, vehicles or trailers within a stand if this exceeds a height of 2.5 m. FEDAGRIM may grant special dispensations following a written request and provided the piled up objects do not obstruct the reading of signs. Special dispensations will not be granted if the overall presentation or aesthetic aspects of the event or safety measures are likely to be put at risk.

h. It is forbidden to attach stand partitions or exhibited material to the walls and pillars of the Hall by means of nails, screws, etc.

i. Suspended material may only be taken care of by the supplier of the Brussels' Parc des

Expositions. Exhibitors who wish to hang advertising panels or any other material must submit a request to the Brussels “Parc des Expositions”. This can be done via the form Rigging and suspension services under the folder “The Technical layout of stand”. If no authorisation was issued to suspend advertising panels or any other material from the ceiling, roof or pillars of the Halls, FEDAGRIM and the Brussels’ Parc des Expositions will immediately remove all contentious objects at the exhibitor's expense. In case of any resulting damage, the costs of repairing such damages plus any interests that might apply will be borne by the exhibitor.

j. Those responsible for placing partitions between two stands will also have to arrange for these partitions to be coated on the outside with a white or neutral substance.

Partitions higher than 2.50m must also be coated on the outside with a white or neutral substance. This rule will also be applicable for curtains or banners which will be used for separate two stands. Curtains and banners may be personalized on condition that they will be placed inside the stand at least 1.50m from the edge.

k. Stands with upper stage 1 Stands with an upper stage will be permitted by FEDAGRIM's formal authorisation only if

there is a lack of available space. A plan for the stand must be submitted no later than October 1, 2019 and must include a ground plan as well as a front view. When

preparing the plan please bear in mind that the height of the edge of the stand, seen from an angle of 45° from any point of the stage, may not exceed 2.50 m.

2. A written permission, issued by FEDAGRIM, is necessary for the construction of a stand with an upper stage.

3 The stage surface will be billed at 50% of the price per m² of the ground floor surface. 4. The stability of the staged stand will need to be approved by an authorised institution. A

copy of this report must be sent to FEDAGRIM. 5. The width of the stairs, exits, and of the ways to the stairs has to be equal or larger than

0.80m. Dimension of the riser: between 14 and 20 cm, ideally 17 cm. Dimension of the shelf: between 25 and 31 cm, ideally 29 cm.

For stairs 0,80 m large, maximum 64 persons are authorized on the floor. For more than 100 persons on the floor, obligatory to have two exits.

l. Corner stand, heading stand or island stand The exhibitor who has been attributed a corner stand, a heading stand or an island stand

commits to not cover the open sides of his stand along the gangway on a width superior to 5 meters maximum.

m. Exhibitors with stands located on two sides of a walkway may request permission to lay carpets on this walkway. However, exhibitors are not allowed to change the path of the walkways or to obstruct them with obstacles. Exhibitors are responsible for the maintenance of carpets they have laid out and for the security of visitors at these locations.

n. The exhibitors are obliged to cover the floor of their stand with a carpet and have to keep the side-walls of their stand clean, both on the inside and the outside. Upon written request and provided there is a legitimate reason, FEDAGRIM may agree to another kind of floor covering, or even to a bare floor.

3. Fire precautions

a. The stand's lay-out and building will be carried out under the exhibitor's full responsibility. Stands must not be made of any highly flammable material or materials which produce toxic

gases when heated. All decorations will be made of barely flammable or carefully fire-proofed materials (category

A2). The fire-proofing attestation of these materials must be presented upon request to FEDAGRIM or its representatives, to the representatives of the Brussels’ Parc des Expositions, to the authorised monitoring organisation in charge of checking facilities, or to the local jurisdiction Fire Department. All loose decorations must be kept away from heat sources such as spot lights, any kind of lighting, neon signs, machinery in operation, etc.

b. The back of stands as well as the partitions between two different stands must be made of Class 2 materials according to industry standard NBN S 21-203 (how materials react to fire). Failing this, they will need to meet the following requirements:

• panels used for the construction of stands should be solid and entirely smooth;

• these panels may be coated with melamine, laminated plastics, paint, fabric or fully glued papering.

c. Adjustable partitions are authorised under the following conditions:

• minimum thickness of panels is 5mm;

• panels fit into metal or wooden sections over the full height. d. Hollow partitions (wood or metal frame + panels) are authorised under the following

conditions:

• total thickness of each panel amounts to a minimum of 6mm (2 x 3 mm).

• panels must be assembled in such a way that air cannot get inside partitions. Height clearance in walkways, evacuation routes, doors and inclines must be at least 2 meters.

e. Fire hydrants, fire detectors, fire extinguishers, booths and electric switchboxes must be kept clear and should be easily accessible at all times.

f. During the opening hours of the event all doors and emergency exits must be kept entirely clear and unlocked at all times. A single push or any other simple movement should be enough to open them. Those responsible for crowd control within the surrounding premises and halls will be required to report anyone who is caught preventing an exit from being used, one way or another.

g. At all times, FEDAGRIM may remove or order the removal of any materials, goods or products which present a dangerous level of flammability, fire, explosion or intoxication, or which do not meet the requirements of the fire protection services of the outer Brussels city, the City of Brussels, or the Brussels’ Parc des Expositions.

h. It is strictly prohibited to smoke, strike matches or use lighters, etc. in those parts of the halls where stables are built, on grounds that are covered with hay, fodder or wood shavings, as well as in all areas open to the public (according to the terms of the Royal Decree dated 15 May 1990).

i. It is prohibited to put plants or any other object on stairs. It is further prohibited to suspend fabrics, carpets or any other flammable object along staircase walls.

j. Hazard detection - emergency tips Exhibitors are required to inspect their stand both regularly and discretely. Any incident or

suspicious object or package should be immediately notified - without creating a panic - to the nearest security guard, to the Secretariat +32.2.658.40.61 and/or to the on-duty services +32.2.658.42.21.

k. It is strictly forbidden: 1. to show any explosive or flammable materials and products inside the stands; 2. to show any toxic products inside the stands; 3. to use any gas or spirit stoves; 4. to use or show any burners, fireboxes or industrial boilers, or any domestic fireboxes,

ovens, heating devices, stoves, etc. operating on natural or liquid gas, without prior written authorization, and provided the specific conditions stated by the Brussels’ Parc des Expositions are complied with;

5. to give demonstrations that require the use of oxyacetylene torches; 6. to show or use any infra-red equipment; 7. to organise film projections with flammable film; 8. to place or leave any objects, goods, waste, packaging, crates, paper, straw, wood

shavings, leftovers or any other flammable object in the firebreak lanes. l. The stands that have a floor surface area greater than 72 m² are required to have appropriate

extinguishers in place at all times. Exhibitors can rent extinguishers through their suppliers, provided the appliances supplied have been inspected in observance of applicable legal requirements, or from the on-site shop of De Roeve (phone: +32 2 474 85 85).

Extinguishers are to be placed or hung up in a duly visible place and must remain fully accessible at all times. Extinguishers are inspected every year.

4. Operating the stands

a. Supplies During the event, provisioning will only take place between 8:00 and 9:30 a.m and between 6:00

and 8:00 p.m. It is strictly forbidden to let vehicles in or between the halls. Persons not respecting this rule will have their passes withdrawn by the security “GROUP 4 Securicor”. This arrangement also applies to the regular dealers of the Brussels’ Parc des Expositions.

The passes can be ordered by the appropriate form “Passes” under the folder Additional Services before the 18 of November 2019. These will be sent by post. Passes ordered after this date will be available at the secretariat of the fair in the front of Hall 5.

b. Maintenance The stands must be maintained in perfect condition. Maintenance should be carried out each

day between 6:00 p.m. and 8:00 p.m. Stands that are not perfectly clean by 9:00 a.m. may be cleaned by the cleaning service appointed by FEDAGRIM, on the latter's request and at the expense of the exhibitor.

Non removed waste material, refuse, packaging, etc. will be disposed of by FEDAGRIM at the exhibitor's expense.

Put your waste in thrash bags and put them in the aisles along your stand. They will be collected during the night.

c. Canvas covers At least half an hour before the general public is allowed to enter the event all canvas covers

should be removed from exhibited materials and products.

d. Alcoholic beverages

Each exhibitor is allowed to serve free drinks and snacks to his visitors. It is strongly recommended to serve only drinks with a low alcohol content (3 ° to 5 ° of alcohol) to visitors of the fair. It is strictly forbidden to serve spirits. All beverage services must be finished at 18:00 at the latest.

5. No removal of exhibited objects during the event

a. IT IS STRICTLY FORBIDDEN TO REMOVE EXHIBITED MATERIALS, MACHINES OR PRODUCTS

FROM THE STANDS DURING THE EVENT.

b. Even if flowers and other decorative elements belong to the exhibitor - and therefore were not rented from a florist or a decorator – the exhibitor is not allowed to distribute these objects to visitors or to his/her employees during the Fair's opening period. This is to prevent the inevitable theft of flowers and decorative elements during an unverifiable removal.

4.3. PLAN OF YOUR STAND

Each exhibitor is required to send us the plan of his stand including the length, width and height of it before 01/10/2019. FEDAGRIM gives its approval in terms of aesthetics and good neighborhood but in no case in terms of stability, rigidity, construction materials and safety of the stand.

4.4. ZIEGLER : HANDLING – EQUIPMENT RENTAL - STORAGE

Ziegler Expo, the official appointed Fair Forwarder and on-site handling agent will supply several logistics teams specialized in transport, storage & on-site handlings of exhibition equipment. For security and efficiency reasons, all handlings in halls with powered engines (cranes, forklifts, scissor/telescopic lifts…) will be exclusively performed and supplied by Ziegler Expo Logistics. Ziegler offers also services for the pick-up, warehousing and re-delivery of empty packaging and/or equipment. The empties are brought back on the booths as soon as possible, in accordance with the timing of Fedagrim. In order to reduce the waiting time to a minimum on the fairground, it is important to order the handlings in advance and by completing the “Handling request” form, with your full address and payment confirmation for invoicing purposes. Priority will be given to handlings which have been ordered in advance. These will be planned in function of the date of receipt of the order and duly completed payment forms. 5. ASSEMBLY & DISASSEMBLY

5.1. DATES AND TIMES

ASSEMBLY : The stands can be set up from Wednesday, November 27, 2019 till Monday, December 2, 2019. The assembly can be done every day from 7:00 AM till 7:00 PM (until 6:00 PM on December 2) DISASSEMBLY : Disassembly of stands may begins on Sunday 08 December 2019 as early as 6:00 PM. From 6:00PM to 8:00 PM no vehicle will be allowed to enter the Brussels-Expo site. This will allow exhibitors with rolling material to take it out of the hall and move it to parking C in the vehicles line up organized by Fedagrim and the Police. Vehicles less than 3.5 tons (vans and cars) will be able to enter the halls from 8:00 pm. From 10 :00 pm trucks can enter the hall’s premises (but not in the halls themselves) and can park in the firebreak lanes. Exhibitors who wants to work later on 08 December 2019 have to ask it to the organisation, at the secretariat in front of hall 5, latest on Friday 6 December 2019. The dismantling will continue from Monday, December 9, 2019 from 06:00 AM to Tuesday, December 10 6:00 PM at the latest. The disassembly can be done during the whole night from Monday to Tuesday without any request for authorization. Any goods, materials, products, wooden floors and fittings not removed before the agreed deadlines may be removed and stored by FEDAGRIM at the risk and expense of the exhibitor concerned. In addition, the exhibitor will be required to compensate for any expenses paid by FEDAGRIM due to the presence of these objects after the disassembly deadline. More information and details on the assembly and disassembly procedure will be sent to you later by separate mail.

5.2. INSTRUCTIONS

1. General aspects

Exhibition floor space is provided as such (bare ground). FEDAGRIM does not provide any

fitting-out elements or sheds. Any lay-out work must be carried out in compliance with the terms and conditions of these

regulations, and in accordance with the provisions in use at Brussels Expo. Should assembly operations need to be continued on Monday 2 December 2019 after 6:00

p.m., prior authorisation FEDAGRIM is required; any resulting extra costs (lighting, surveillance, heating, etc.) will be charged to the exhibitor concerned.

Any plastic or canvas covers covering carpets, furniture, machinery, etc. must be removed by Monday 2 December in the evening at the latest.

2. Assembly of stands

a. Inventory of area Available stand spaces are supposed to be in perfect condition at the time they are put at the disposal of exhibitors returned in clean condition after dismantling

b. Transportation of material, machinery and products 1. To ensure stands are erected as swiftly and efficiently as possible, exhibitors and their

representatives are required to follow the FEDAGRIM's instructions and to use access routes leading directly to their stand.

2. Exhibitors and / or stand builders must be in possession of an assembly / disassembly pass for each vehicle (see 5.3.) entering or leaving the site. Vehicles must be unloaded as soon as possible and leave the site as soon as they are unloaded. It is strictly forbidden to leave vehicles / trucks on the site with no activity around. G4S will pay attention to compliance with these instructions.

3. Exhibitors who, due to the location of their stand and/or the size of their material, are forced to through the stand of a fellow exhibitor, will be required to get in touch with the other exhibitor in order agree on the necessary steps to take to prevent any damage..

c. Packing crates 1. Packing crates will carry the name and address of the consignor, both on the inside

and the outside of the crates must be placed in such a way as to maintain the free flow of people and objects inside the halls. They must be removed the very same day they were delivered.

2. A payable warehouse service can be asked by Ziegler Expo Logistics (see 4.4.) 3. Crates not removed on time shall be removed by FEDAGRIM at the owner's risk and

expense. d. Gravel

It is strictly forbidden to use gravel or any similar product for decorative purposes, considering the problems involved eliminating the gravel and restoring stands to their original state after the event.

e. Maximum floor load The maximum floor load (mentioned in kg/m² on the lay-out plan) must not be exceeded. This also applies to all access used for vehicles and machinery during assembly and evacuation. In addition to the costs for repairing all damages (plus interests that may be applied) the offender will be fined 1,239.50 EUR per offence.

f. Companies specialised in stand assembly These companies and other suppliers are required to ask about current regulations on the premises, both in terms maximum floor load and rules pertaining to the proper use of halls. Exhibitors are responsible for any work or services carried out by their suppliers and companies specialising in assembly.

3. Disassembly of stands

a. The exhibitor or his/her representative must be present at the stand on the first day of

stand disassembly and as soon as the halls are open. The organiser can assume no responsibility for stands that were left unattended, particularly with respect to damages, theft, etc.

b. Waste removal Exhibitors are responsible for the evacuation of all their waste (carpets and cumbersome objects). They can either take them back or rent containers via GOM. The order form can be found on the Brussels Expo webshop in the product catalog - Cleaning. You can also contact Patty De Lelie at +32 478.47.08.59 or Patricia Hoebeke at +32.2.478.80.96. If some waste is not evacuated in due time the costs of their evacuation will be charged to the exhibitor.

c. Adhesive tapes, stickers, …. Adhesive tapes used for fixing the flooring must be removed from the care of the exhibitor. Otherwise, the cleaning fee will be charged to the exhibitor agrees to settle upon receipt of the invoice.

d. Each exhibitor or agent is required to go to the secretariat located in hall 5 when its dismantling is completed to perform the inventory of its stand place.

5.3. PASSES

Each vehicle must be permanently equipped with a duly completed pass placed visibly behind the windshield during the assembly and dismantling period. More information and details on the assembly and disassembly procedure will be sent to you later by separate mail.
