Dear Chapter Basilei, As active, financial members of Alpha Kappa Alpha Sorority, Inc., we are also active members of the Alpha Kappa Alpha Educational Advancement Foundation, Inc. The Educational Advancement Foundation (“EAF” or “The Foundation”) is the official philanthropic arm of the sorority. EAF is focused on providing financial assistance to students pursuing their higher educational goals. Through EAF, we provide scholarships to undergraduate and graduate students and also offer financial grants to community organizations whose missions support one of the target areas of our Exemplifying Excellence Through Sustainable Service® Program.

As you prepare for your chapter’s year end reporting and submissions, we want to provide you with additional clarification and information about your EAF chapter donation. As you review your 2018 EAF Fall Mailing, please make sure to provide your appointed EAF Chapter Captain, Treasurer and Financial Secretary with copies of the materials so we properly account for donations from your chapter and members.

Under the Excellence administration, EAF has partnered with Alpha Kappa Alpha to establish and fund our AKA HBCU Endowment. With this fund we will show our financial commitment to the sustainability of HBCUs by establishing a names endowment on the campus of every four-year accredited HBCU. We got off to an impactful and fantastic start with our HBCU week and HBCU Impact Day on September 17, 2018. With your support, we raised an unprecedented $1.2 Million in just one day toward this effort. The first distributions are planned for early 2019.

Our EAF theme for this fall is “Like & Invite: Increase Your EAF IQ.” We want to help increase EAF visibility among our members and the philanthropic communities and need you all to like our social media pages and share them with your network of family, friends, co-workers, colleagues, etc. Thus far in 2018 we have achieved our mission by awarding over $550,000 in scholarships, fellowships, grants, and endowments to over 300 students and community organizations worldwide. Scholarship award amounts ranged from $500 - $10,000 each with over 10% of our scholarship recipients attending Historically Black Colleges & Universities. Congratulations to all of our 2018 scholarship winners!

Hopefully you are familiar with the way EAF thanks and recognizes chapters who participate in our Silver, Gold & Platinum chapter recognition program. Along with award certificates and name recognition at your regional conferences, we are sure you have heard of our Platinum Parade which is now in its 5th year where the Basileus of each chapter that reached the Platinum level proudly represents her chapter’s commitment to scholarship and service by marching in our Platinum Parade during our annual Scholarship & Awards event at Boule and Leadership.

Each chapter is encouraged to annually give at least at the minimum silver level (which is based on your chapter size). Gold Level donations are $500 in addition to the Silver Level amount and Platinum Level donations are $1,500 in addition to the Silver level amount (undergraduate amounts are lower to achieve these levels). Enclosed with this packet is a snapshot of how your chapter can support EAF above and beyond the $10 membership dues each of are required to pay. These additional funds go directly towards helping EAF continue to award scholarships to worthy students in our communities.

Executive Director's MessageWelcome to the 2018 Educational Advancement Foundation fall mailing packet. You may recall from last year, our electronic newsletter replaced the packet of information that was historically included in Alpha Kappa Alpha Sorority’s annual fall mailing box to chapters. With the start of a new administration as of July 2018, EAF information is being presented in a booklet that we ask you to share with your chapter’s EAF Captain, so that she may knowledgably and effectively communicate the information to your members. All information and materials contained within this packet can also be found on our website at www.akaeaf.org. The Alpha Kappa Alpha Educational Advancement Foundation, Inc. (AKA EAF) exists to support the Alpha Kappa Alpha Sorority, Inc., members, chapters and donors with an established administrative structure to collect, manage and disburse scholarships. Using contributions from these varying groups, it is our primary mission is to promote lifelong learning by financially supporting students pursuing their higher educational goals.

Students can apply for our scholarships as an undergraduate or graduate and based on merit (academic success) or financial need. We are able to achieve our mission and meet the needs of hundreds of students and community organizations each year with the ongoing financial support of donors like you, either individually, through your chapter, or through your employers via workplace giving.

Please be encouraged to share this packet of useful information with your chapter officers, committee chairman and of course, chapter members so they are aware of all of EAF fundraising initiatives and goals which help us continue to help students pursuing higher learning.

Thank you to all who have supported EAFs partnership with Alpha Kappa Alpha on its new Program Target 1 Initiative “HBCU for Life: A Call to Action.” With your support, on the inaugural HBCU Impact Day, September 17, 2018, we raised $1.3 Million in support of Historically Black Colleges and Universities. Disbursements to the schools will begin in early 2019.

As we close 2018, it is my hope that in our current political and social environment, you stay focused on who and what are truly meaningful to you. Take time to give thanks, enjoy family and friends, and possibly give your time and talents to bettering our local communities.

November is EAF Awareness Month and our theme for this year’s fall mailing is “Like & Invite: Increase your EAF IQ.” Take some time to become familiar with the Educational Advancement Foundation as it is truly our own. Visit our website, peruse our brochures and other informational material, and learn how easy it is to leave a lasting legacy for lifelong learning.

Like and Follow EAF on all of our social media platforms –Facebook, Twitter and Instagram – show us some love by liking and sharing our messages and links. Invite others to like EAF as well. This fall we will be sharing stories of some of our deserving scholarship recipients and community organizations. Level Up your chapter’s awareness of EAF programs and initiatives by sharing little tidbits about our mission and who we serve in your chapter newsletter, during chapter or foundation meetings, etc. Encourage college students in your area to visit our website at www.akaeaf.org and apply to our scholarships or one of our many endowments. Better still, tag them in one of our social media posts. Help EAF participate in the International Day of Giving, #GivingTuesday. Membership In EAF – Every financial member of Alpha Kappa Alpha Sorority, Inc. is to be a member of EAF by paying the $10 annual dues when the members’ per capita is paid to Alpha Kappa Alpha Sorority, Inc.

Fall Mailing – A packet is sent in the fourth quarter to all Chapter Basilei from the EAF office containing forms for Individual Contributions, Chapter Contributions, scholarships and community assistance awards along with other EAF promotional materials. Make sure your chapter has appointed an EAF Captain (required), who will be responsible for communicating information regarding EAF to chapter members.

EAF Awareness Month – November (Use fact sheets, EAF I.Q. tests, membership rally, etc. to generate awareness and build interest by hosting an EAF activity to be held during EAF month.

Exemplifying Excellence Through EAF is our 2018-2022 theme under the new administration of President Glenda Glover. With a renewed commitment to providing excellence through philanthropy, we are delighted to present you with the 2018 EAF Fall Mailing booklet. As you prepare for 2018 year end activities and Corporate Office reporting, please be reminded to use the feature which allows chapters to pay EAF dues for regular members with their AKA Per Capita payments. Please note that this must include payment of the $10 EAF dues for your chapter life members. Your chapter should continue to submit the contributions to meet the various chapter levels for recognition directly to EAF with the Chapter Contribution Form contained in this packet. Writeable electronic versions all EAF forms can be found in the forms section of our website at www.akaeaf.org.

As always, your Fall Mailing provides you with refreshed documents and materials to facilitate effective chapter and member participation with EAF. You will find your Chapter Contributions form for Silver, Gold & Platinum donations (Please pay attention to this one as the Deadline for Chapter Recognition has CHANGED) and other Contribution forms. This year we have included a form to capture your chapter HBCU donations collected from your chapter members.

In continuing to “Go Green” all items, documents, and forms are available on our website at www.akaeaf.org. Please encourage your chapter’s financial officers and your appointed EAF Chapter Captain to go onto our website to download and complete all forms. This will assist your Chapter Captain with the communication of deadlines and other valuable information with your chapter members. We also ask that you consider adding EAF to your chapter meeting agenda at least quarterly for a brief report from your EAF Chapter Captain on important EAF matters.

Partnership with Alpha Kappa Alpha Sorority, Inc. HBCU for Life: A Call to Action –This is the Excellence Program Target I Initiative and continues Alpha Kappa Alpha’s focus on education with an emphasis on Historically Black Colleges and Universities. Under this target’s focus, Alpha Kappa Alpha has partnered with EAF to implement an AKA HBCU Endowment Initiative in which an endowed scholarship will be established at each accredited four-year HBCU. The goal is to stamp the Alpha Kappa Alpha brand of financial support on each HBCU campus to help students remain in school, complete their course of study and receive their college degrees. EAF is proud to partner with the chapters and members of Alpha Kappa Alpha to raise the $10 Million to meet these goals. Please watch your inbox, social media accounts and mail as we share information to assist in this effort.

The following are the Roles and Responsibilities of the EAF Chapter Captain:

• Encourage members to contribute to the Foundation. There are many ways an

individual can give to the Foundation.

• Encourage the chapter to contribute to the Foundation above the membership level. Ask that

additional chapter contributions to EAF be included in the chapter’s annual budget.

• Be prepared to answer questions about the Foundation.

• Acquaint herself with all of the methods of giving to EAF.

• Ask to be included in the chapter’s meeting agenda on a regular basis (quarterly) to share information

and to include articles in the chapter newsletter.

• Plan and implement a chapter fundraiser for the Foundation.

• Attend annual membership meetings held by the Foundation at Boule and Leadership Seminars.

• Attend the EAF workshops and committee meetings designed for Chapter Captains at Regional

Conferences.

• Be a resource for community based organizations regarding the benefits of giving to the EAF.

• Make every effort to support the Foundation and its mission.

• Have access to a computer, Internet capability and the skills needed to manage on-line

communications (ex. is familiar with email and how to download email attachments).

• Must be willing to attend Regional Conferences.

• Must be willing to participate in telephone conference call meetings as requested by the EAF

Regional Coordinator and/or the EAF office.

• Must be willing to make a contribution to the Foundation.

Greetings EAF Members!

Welcome to your 2018 Scholarship Fall Mailing packet. Enclosed you will find information relative to our scholarship offerings and ask that you share this information with the college students in your various circles. In line with the mission of EAF, we are focused on promoting lifelong learning by creating a mechanism for students to receive financial assistance as they pursue their college education. Please encourage college students of all backgrounds, undergraduate and graduate, to take note of our scholarship application deadlines and apply during our open application periods.

The Educational Advancement Foundation, Inc. (“EAF”) utilizes an advanced paperless scholarship system (“PSS”). Students and community organizations have been able to easily access and electronically process undergraduate, graduate, Youth PAC scholarship applications, as well as Community Assistance Award grant applications. Did you know that endowment and fellowship applications are processed via PSS as well? Did you also know that endowments applications can be submitted anytime during the fiscal year?

2018 has been an exemplary year for accomplishing our mission. The PSS portal continues to help grow our application pool. This year we received over 1,400 scholarship application via our paperless application portal. Further, individual scholarship awards range from $500 - $10,000! Community Assistance grant applications have also increased by 50% past years. We receive applications from across all regions and most of the countries in which we serve.

If you and your chapter members, parents, friends, would like to participate and assist us with our scholarship selection process, please know that we host sessions on 2 separate days to accommodate our judging process, which is done in person at our Corporate Office in Chicago. Contact me if you would like more information on how to become a scholarship judge. As our pool of applications increase, so does our need for volunteers to help select our scholarship winners.

How do I apply for scholarships, fellowships, and grants?

The process to apply is simple:

1. Go to the EAF website at www.akaeaf.org,2. Click on the Scholarship, Endowments or Fellowships Tab,3. Click on the link to access the scholarship portal to establish your scholarship profile,4. Complete your online application including all required attachments.

Eligibility information can be found on our website at www.akaeaf.org. Deadline for applications are: Undergraduate students – April 15th Graduate students – August 15th Community Assistance grants – August 15th Endowment scholarships – no deadline

Please note that EAF’s scholarships are open to all, including international students, members of Alpha Kappa Alpha, and their dependents. Youth P.A.C. awards are open to undergraduate members of Alpha Kappa Alpha Sorority who are at least a sophomore, have a 3.0 GPA or better, and exemplify leadership and volunteer service. Applications for Youth P.A.C. scholarships are due April 15th.

We look forward to adding new ways to promote our scholarship efforts; including increased presence on social media platforms, developing an EAF app, and partnering with and targeting university/college financial aid offices to showcase our information on their websites.

Introduction The Alpha Kappa Alpha Educational Advancement Foundation Youth P.A.C. Program began as a vision in 1997 to involve young people in the philanthropic process. The Foundation’s leadership knew that creating a program to channel youth philanthropic commitment to mankind would pay large dividends in the future, in the form of trained,capableleadership.

Currently, the program is structured for undergraduate Sorors led by a committee of undergraduates headed by the Foundation’s 2nd Vice President (2nd Supreme Anti-Basileus).

MissionThe mission of the Alpha Kappa Alpha Educational Advancement Foundation Youth P.A.C. Program is to promote healing, nurturing, learning and uplifting of youth by assisting in developing lifelong learning skills. This will be accomplished by providing awards and scholarships that support these issues.

Service AwardsService Awards are one-time/one-year awards to Sorors and undergraduate chapters implementing platforms of Alpha Kappa Alpha Sorority, Inc.:

Objective1. To develop leadership among undergraduates in the areas of criteria development, evaluation, and fund management.2. To establish a specific relationship between undergraduates and the Educational Advancement Foundation (EAF).

EligibilityActive Undergraduate Sorors, sophomores or above, holding a 3.0 GPA and demonstrating leadership, volunteer, and civic services.

The Community Assistance Award may be awarded to non-profit organizations for the following purposes:

A. Attendance at seminars, leadership development workshops and conferences.B. Professional development in education and leadership affairsC. Seed money to develop a project to address a specific thrust of the Alpha Kappa Alpha Sorority, Inc. International Programs.

InstructionsThe awards will be announced in November of 2019. Award amounts may vary.

All applications must be typewritten and double-spaced.The applicant must submit two letters of support and other supporting documents, budget, and narrative, not to exceed five (5) typewritten pages, double-spaced. Additionally, provide a copy of your IRS 990 or audit.

Non-Profit Chapter Assistance Program (N.C.A.P.) Fact Sheet


Alpha Kappa Alpha Sorority, Inc. and Alpha Kappa Alpha Educational Advancement Foundation, Inc. are committed to ensuring that chapters and members have maximum opportunities to raise money for scholarships and community projects while operating within the regulations governing the respective organization’s IRS classification.

Chapters raise money for scholarships and forward the funds to EAF for their Non-Profit Chapter Assistance Program. Donations may also be sent directly to the Foundation, designating the contribution in the chapter’s name. When a Non-Profit Chapter Assistance Program reaches $20,000, it is capitalized, and the chapter can award scholarships from interest and dividends accrued net the investment administrative fee. The chapter sets the eligibility criteria, determines the selection process and committee, and selects the recipient(s) of its scholarship. The Chapter will request checks by submitting the selected recipients to EAF by the established deadline.

Non-Profit Chapter Assistance Programs are only available to those chapters that have attained Silver level status or higher. [Requirement: ALL chapter members must be EAF members and the chapter must have contributed at least $150-$500 (based on chapter size) in addition to EAF membership dues].

Non-Profit Chapter Assistance Programs will be regulated by a Non-Profit Chapter Assistance Program Memorandum of Understanding (MOU) entered into between the Sorority, EAF and the participating chapter, and a Non-Profit Chapter Assistance Program Agreement (Agreement) entered into between EAF and the participating chapter.

Chapters are encouraged to partner with EAF by establishing Scholarship Endowments in the chapter’s name.

EAF makes it easier for small to medium-sized Chapters with NO 501(c)(3) foundation of its own, to manage scholarship awards!

If your Chapter has not already established a foundation to award scholarships in your local area, you can easily do this through EAF by participating in our Non-Profit Chapter Assistance Program (“NCAP”). This program is a partnership between EAF, Alpha Kappa Sorority, Inc. and your chapter that allows your chapter supporters to donate to your local fundraising initiatives and receive charitable contribution tax treatment for those donations.

Once your Chapter decides to invest its fundraising dollars in an NCAP Endowment fund, EAF will help your Chapter grow its funds to new heights. By investing its scholarship funds through EAF, the Chapter can increase the funds through the many sophisticated investment vehicles EAF uses. As soon as the NCAP fund is capitalized, the Chapter will be able to grant scholarships and other awards from the endowment. Your Chapter will still manage the scholarship process by:

• Deciding who receives the scholarship from the Endowment fund.

• Soliciting funds from corporations and having them sent to your EAF designated and managed endowment fund.

EAF can take care of the scholarship administrative work for you:

• Your Chapter can set the criteria for its scholarship awards, and EAF will analyze all scholarship applications and advise the Chapter of the best candidates.

• Your scholarship committee can make the final selection of who receives funding from your Endowment fund.

• EAF can take care of all of the details for notifying the applicants and scholarship recipients, and can send the scholarship checks directly to recipients or send the checks to your Chapter for presentation to the recipients.

Program Description and Details:

Given the Internal Revenue Service’s increasing oversight of 501(c)(3) and 501(c)(7) organizations relative to fundraising and accounting practices of such organizations, Alpha Kappa Alpha Sorority, Incorporation (Sorority) and Alpha Kappa Alpha Educational Advancement Foundation, Inc. (EAF) are committed to ensuring that chapters and members have maximum opportunities to raise money for scholarships while operating within the regulations governing the respective organization’s IRS classification.

To assist chapters in maximizing their fundraising opportunities, ensure that such fundraising activities are properly conducted so that the Sorority and chapters do not violate the regulations governing 501(c)(7) organizations, and avoid any possibility that donors are mislead as to whether donations to chapters are tax deductible, the Sorority and EAF propose to encourage chapters to take advantage of the opportunity to establish an NCAP Scholarship Fund. The opportunity to establish an NCAP Scholarship Fund will only be available to chapters that have a 100% membership in EAF (at the Silver Level) and agree to governed by (i) an NCAP Endowment Memorandum of Understanding (MOU) between EAF, the Chapter and the Sorority, and (ii) an NCAP Scholarship Fund Agreement (Agreement).

An NCAP Endowment will increase fundraising opportunities and resources available to participating chapters because such chapters will have access to the favorable tax treatment that is provided to 501(c)(3) organizations without the expense and recording keeping associated with forming a foundation. The benefits to EAF of facilitating NCAPs include potential increase in membership and revenue, as well as increased visibility and awareness of EAF throughout the Sorority and the communities served, thus addressing targets number two (2) on Public Awareness Goal- to increase the Presence of the Educational Advancement Foundation, Inc. and four (4) Membership Goal-to Enhance members understanding and support of the goals and activities of the Educational Advancement Foundation, Inc. of EAF’s strategic plan (Rev. 2018).

Eligibility:

This Program will only be available to chapters of the Sorority that have attained the Silver level or higher, i.e., the chapter must have contributed at least $100-$500 (Based on chapter size) in addition to EAF membership dues.

Governance: NCAP is regulated by an NCAP Memorandum of Understanding (MOU) entered into between the Sorority, EAF, and the participating chapter, and an NCAP Scholarship Fund Agreement (Agreement) entered into between EAF and the participating chapter.

NCAP Endowment Memorandum of Understanding

This Chapter Endowment Memorandum of Understanding (MOU) is entered into this _____________day of_________, 20____ by and between Alpha Kappa Alpha Educational Advancement Foundation, Inc (EAF). Alpha Kappa Alpha Sorority, Inc. (Sorority), and ________________________________ Chapter of Alpha Kappa Alpha Sorority, Inc. (Chapter) to govern the Chapter and EAF regarding the endowment hereby established by the Chapter (Chapter NCAP Endowment) for the purpose of awarding scholarships to recipients indentified by the Chapter.

Parties to the MOU agree to be bound by the following terms:

Background:1. In the order for the Chapter to be eligible to enter into this MOU, 100% of the Chapter’s members must also be members of EAF and the Chapter must have attained the Silver level or higher, i.e., made an annual contribution to EAF at least $100-$500 (Based on the Chapter’s size) in addition to membership dues.

Chapter’s Responsibilities:2. The Chapter must maintain 100% membership participation in EAF and annually contribute to EAF at the Silver level or higher (i.e., $100-$500, depending based on the Chapter’s size, in addition to membership dues) from the date the NCAP is established until the NCAP is terminated. The Chapter shall report its membership participation level and contributions to EAF annually on the appropriate forms provided to the Chapter by EAF. EAF will monitor the Chapter’s membership regularly to regularly ensure the Chapter is in compliance.

3. The Chapter must make an initial minimum contribution to its NCAP endowment of at least one thousand dollars ($1,000.00).

4. The Chapter will not be allowed to make any scholarships from the NCAP fund until the contributions from the Chapter to the NCAP funds total twenty thousand dollars ($20,000.00) at which point the endowment will be considered capitalized. The Chapter must achieve capitalization (i.e., principal balance of $20,000.00) within ten (10) years of the date of this MOU. This MOU shall automatically terminate in the event the Chapter fails to capitalize the NCAP within ten years of the date of this MOU and the funds will revert to the EAF General Fund.

5. Once the NCAP scholarship fund is capitalized, scholarship awards may be made from the actual interest and dividends accrued on the principal in the NCAP fund net of investment expenses, provided that, the Chapter shall not be allowed to make any scholarship awards that deplete the NCAP fund to a total of less than twenty thousand dollars ($20,000.00).

6. If the Chapter engages in fund raising activities that mention EAF or the NCAP, the Chapter must submit at least fifty percent (50%) of the net proceeds raised to EAF as contributions to the principal of the NCAP The Chapter must use EAF’s designated receipt for all funds received from individuals, corporations, and other organizations pursuant to any solicitation that mentions EAF or the NCAP One copy of each receipt must be

submitted to EAF along with the Chapter’s check(s) or the donor’s check(s). The Chapter must submit documentation to EAF accounting for any funds retained by the chapter that were used for charitable purposes (i.e. local scholarship awards or awards to 501(c)(3) organizations) or reasonable fundraising expenses. As examples, the chapter can use the remaining fifty percent (50%) of said net proceeds to award local scholarships to students or community organizations or as seed money for the next fundraiser.

7. The Chapter shall retain control and authority for selecting and designating scholarship award recipients from the NCAP fund account. The Chapter shall forward the names of such recipients and the corresponding dollar amount of the award to EAF, which shall be responsible for sending the appropriate checks to the recipient or the Chapter, at the Chapter’s option, under the terms and conditions of this Agreement.

8. To facilitate donor recordkeeping in accordance with the IRS regulations, the Chapter shall issue a receipt to each individual or corporation making a contribution. The Chapter will be required to use EAF’s Charitable Contribution Receipt for all funds received through any fundraising activities that mention EAF or the NCAP. The special Charitable Contribution Receipt will be provided to the Chapter by EAF as needed upon request.

9. If the Chapter chooses to have EAF administer the Chapter’s scholarship application and selection process, the Chapter will make such arrangements with EAF staff.

10. The Chapter shall develop objective, non discriminatory criteria regarding scholarship awards the Chapter designates under the NCAP.

EAF’s Responsibilities:

11. EAF shall retain one percent (1%) of the proceeds contributed by the Chapter to the NCAP to cover the management and administrative costs associated with maintaining and administering the NCAP fund.

12. EAF shall provide the Chapter with annual statements showing the balance in the NCAP account, including all contributions received, interest and dividends accrued, and awards paid out.

Termination of the MOU:

13. This MOU shall continue in existence until modified or terminated by either party. Any modification shall be approved by both parties.

14. This MOU shall automatically terminate in the event that the Chapter fails to capitalize the NCAP within ten years of the date of this MOU, and the funds on deposit in the NCAP will revert to EAF’s General Fund for the purpose of awarding scholarships because the funds were solicited under EAF’s 501(c)(3) designation.

15. EAF may terminate this MOU in the event the Chapter does not adhere to the responsibilities listed in this MOU, and the funds on deposit in the NCAP will revert to EAF’s General Fund for the purpose of awarding scholarships because the funds were solicited under EAF’s 501(c)(3) designation.

16. If the Chapter desires to terminate this MOU and NCAP the funds on deposit in the NCAP will revert to EAF’s General Fund for the purpose of awarding scholarships because the funds were solicited under EAF’s 501(c)(3) designation.

This MOU represents the full understandings of the parties and cannot be modified or amended without the express written approval of both parties. Nothing in this provision will prohibit EAF from exercising the authority governing NCAPs under this MOU or other agreements as it related to the overall administration of endowments accounts.
