Column C indicates the way the VLOOKUP function is used most often. The value in column B is compared to the left column of the lookup table to find the first entry less than or equal to the column B value. Then the corresponding percent is recorded in column C. There are four points to note:

1. If the value in column B is exactly equal to a value in column G (as for the 10th transaction), that percent is returned. (In this case, 3% is returned.) But most cases are approximate matches. For example, the second transaction is between $4,000 and $8,000, so the percent corresponding to $4,000 is returned.

2. The fact that we are willing to accept an approximate match is signalled by the last argument TRUE in the VLOOKUP function. In this case, the last argument can be omitted. (It is TRUE by default.) If we want to use approximate matches, the lookup table must be sorted in ascending order on the left column.

3. The comparison in a lookup is always between the first argument and the left column of the lookup table. But the value returned is determined by the third argument. In this case it is 2, meaning the second column of the table.

4. We often want to copy down, as we have here. In this case, the reference to the lookup table should be absolute. For this reason, we often range-name the lookup table. (Range name references are always absolute.)

Here is another typical use of VLOOKUP. The lookup table in columns G and H is the "straight scale." For example, if a student's score is at least 73 but less than 77, that student gets a C. We use a VLOOKUP function in column C, with last argument TRUE (approximate match) to get the grade. Once we have the grade in column C, we can use another VLOOKUP function in column D to get the corresponding gradepoint from the second lookup table in columns J and K.

There are two things to note about this second VLOOKUP function.

1. It has last argument FALSE, meaning that we want an exact match, such as a C- to a C-.

2. Because we are looking for an exact match, the lookup table does not need to be sorted in ascending order on the left column. If you sort on column J, the lookup table will change, but the values in column D won't change; they will still be correct. In contrast, if you change the sort order in column G (Z-A, say), the values in column C will no longer be correct. Try it out.

The Excel Find function enables us to find the first space. The syntax of the FIND function is FIND(text to find, cell to find text, starting character). The text to find must be enclosed in " " if it is not a number. Enter in cell F3 the formula =FIND(" ",E3,1) finds the 1st space (starting with character 1) in E3. This function returns a value 4, because the first space in cell E3 is the 4th character. Copying this formula down to the cell range F4:F16 finds the first space in column E corresponding to each type of cake.

Entering the formula =LEFT(E3,F3-1) into cell G3 extracts the left hand most characters (4 - 1 = 3) to cell G3. Copying this formula down to the cell range G4:G16 extracts the number sold of each type of cake to column G.

Entering in cell H3 the formula =VALUE(G3) will convert the text in cell G3 into a number. Copying this formula down to H4:H16 ensures that each product's sales are now entered in column H as a number, not text.

Entering the formula =FIND(" ",D7,1) finds the location of the space (7th character) in Tricia Lopez. Copying this formula down to E8:E14 locates the space between each person's first and last name.

Entering the formula =LEN(D7) in cell F7 computes the number of characters (12) in the name Tricia Lopez. Copying this formula down to F8:F14 computes the number of characters in each person's name.

Entering the formula =RIGHT(D7,F7-E7) in cell G7 enters the employee's last name (Lopez) in cell G7. Note that F7-E7 computes the number of characters in the cell less the location of the space. This yields the number of characters in the person's last name. Copying this formula down to G8:G14 enters each person's last name in column G.

Entering the formula =FIND(" ",D7,1) in cell E7 finds the position of the first space in Tricia Ann Lopez's name. Then entering the formula =FIND(" ",D7,E7+1) in cell F7 will locate the 2nd space in her name. Note this works because we start one position (E7+1) after the first space. Now select the cell range E7:F7 and position your cursor over the lower right-hand portion of cell F7. Double-clicking the left mouse now painlessly copies our formulas in E7:F7 down to E8:F14!

Enter the formula =MID(D7,E7+1,F7-E7-1) in cell G7 to start one character after the first space in cell E7 and extract all characters between the first and second space in cell D7 to cell G7. Then copy this formula down to the cell range G8:G14. We now have extracted each person's middle name to Column G.
