Z Double click the Word icon on the desktop

What all the different parts mean

Title Bar Shows the name of your document, followed by Microsoft Word. If you have not given it a name, Document1 will appear as the document name

Main menu bar

This has options for you to choose from. Click on File and the file menu will drop down

Standard toolbar

Has a number of icons which can be clicked to give access to frequently used commands

Formatting toolbar

Has icons which let you change the way text looks, for example bold, centre, underline etc

Main window Is the area of the screen in which you type

Status bar Shows what page you are on and how many pages are in the document

Task Pane This opens and closes depending on what you are doing. Click on the close icon (X) in top right hand corner to close the Task Pane

The Keyboard

What the keys do

The Shift key. If you hold this down all letters you type will appear in capitals. Used also to type the top character on a key (Shift + 3 = £)

Caps Lock – if you want to type a heading in capitals, press this key once, type in your text and press is again to go back to normal.

Backspace key – this deletes the letter to the left of the cursor. Very useful if you type the wrong letter – you can delete it and type in the correct one!

Delete key – this deletes the letter to the right of the cursor

Tab key – this is used to advance the cursor to the next tab stop on the ruler

Enter key – use this when you want to go to the next line. Pressing it twice will leave a clear line space between paragraphs

Creating a new document

Z When you start Word, a blank document automatically appears on screen

Z You can start typing straight away!

Z Handy hint: if you’ve just saved and closed a document, click on the Blank document icon to start a new one!

Pointer, cursor and insertion pointZ The pointer will change

according to what you are doing, Move it up to an icon, it

looks like a white arrow, Move it into the document

area and it looks like an I Beam

, Move it to the left of your text and it looks like a white arrow facing to the right

, If you save or print, it may change to an hourglass

, The flashing insertion point marks where the next character typed will go

The Golden Rules of Word Processing

Z Do not press Enter at the end of a line – Word will automatically move it to the next line

Z Press the Enter key twice after a heading or at the end of a paragraph to create an empty line space

Z Press the spacebar once after punctuation – no space before as a general rule

Z Use the shift key to create one capital letter or to type the upper character on a key

Editing text

Z To insert a word, click once to move the cursor before you start typing – any text after the new text will move over

Z To delete a word, click next to the word you want to delete – Backspace will delete to the left of the cursor, Delete will delete to the right

Saving your work

Z If you have created a new document, click on File, Save – the Save As window appears

Z Click inside the File name box and type in a suitable file name

Z To save to a folder inside My Documents, double-click on the folder

Z Click on the Save button

Saving as a different file type

Z Click inside the Save As Type box if you want to save a Word document as a different file type, Web Page – saves in a format

suitable for web pages , Rich Text Format files can be

opened in other word processors

, Plain text files can be read in another type of package

, Templates can be used time and time again

, You can save as a previous version of Word – scroll down for more options

Opening an existing document

Z Click on File – you will see the names of the last 4 files opened

Z To see more Files, click OpenZ The Open window appearsZ Word will normally show the last

location you saved a file toZ To open a file, double-click on

the file name

Changing defaults and preferences

Z Click Tools, OptionsZ The Options window appears

, To choose Save options, click on the Save tab – make sure Save AutoRecover info is ticked

, To choose a different location for saving files, click on the File Locations tab

, Changes made here will affect all new documents

Inserting a paragraph

Z Move the cursor to the required position

Z Press the Enter key twiceZ Move the cursor back up 2

Previewing and printing

Z Check your work on-screen before you print out – you may spot something that needs changing!

Z Click the Print Preview iconZ A miniature of your document

will appear on-screen – click anywhere in the document to make it bigger

Z Click on the Close button to exit the preview window

Printing a document

Z Click on the print icon – a copy of your document will be sent to the default printer

Z Click on File, PrintZ The Print window will appear

, You can choose which printer to use

, You can choose which pages to print

, You can choose how many copies you want

, Make your selections then click OK

Closing Word

Z To close a document, click File, Close

Z To exit Word, click File, Exit

ORZ Click on the red close icon in

the top right-hand corner

ORZ Click on the Word icon in the

top left-hand corner and select Close
