Structure

• A structure is a pre defined way of alligning different positions of the team.

• Each position should have at most one supervisiong position.• Any supervising positiong should have at least one supervisee

position

• it has the aim to explain what are different responsibilities and tasks of specific position.

2 - How to act within Team

« Any Team that is organized under specific structure should have clear expectations of : Supervisor and Supervisee, and some times it can be translated by internal policies of the structure »

Be a member • Any person that belongs to the team is

considered first as « member of the team » regardless his/her position or status.

• Each member should be aware of his JD.• All Members should have clear expectation

about the team.• Once the work started, all members should

focus on their own tasks/JD’s and not looking to take other tasks/JD’s.

Be a Leader• Any one who is in a leading position is

responsible not only for his work but for the work of his/her members

• Leading by example is what maintains the leadership synergy of the Team.

• Leaders of the Team should be able to keep the Team focused on Goals/Objectives and ensure their achievements.

3 - Communication in a team« Communication (from Latin "communis", meaning to share) is

the activity of conveying information through the exchange of thoughts, messages, or information, as by speech, visuals, signals, writing, or behavior. It is the meaningful exchange of information between two or a group of person »[Wikipedia]

• Communication is useful to:• Gather information• Understand situations• Be updated • Avoid misunderstanding

Meetings• Meetings are the first tool used to start having

communication within a Team.• Meetings require a place and date to run them.• Meetings are conducted in informal and formal way.• Meetings are composed of: an Agenda, Objective of

the meeting, chair of the meeting.• At the end of any meeting it is necessary to have clear

outputs and schedule the next meeting.• Participation of EACH member of the Team is very

crucial for effective communication.

Reporting• It helps to have a better understanding of

situations.• Reporting can be: Activity reports, Meetings

Reports (mandatory after the end of each meetings)

• It keeps the entity updated and enhance effective communication inside the Team.

• Gain time and efforts.

Conflicts Resolution• Avoid entering endless loops of talks and

debates.• Resolve the Problem at the moment and don’t

let the time pass• Solve your conflict because it won’t get solved

by its self• Gain big amount of time and don’t get

distracted from Goals/Objectives• Most of Conflicts are fake problems.

4 - Delegate More

« Delegating is very crucial to small business or teams. No one is capable of doing everything, and it is very easy to get lost while tasks are adding. It is then preferable to think about delegating some tasks to different members who would be able to do the job, and by doing so, it is clear that it will make us gain time, effort, and have many ways of creation»

• Know exactly what you want.• Set clear expectation.• Never delegate things that you are not sure.

about them.• Let members do tasks on their own way.• Always communicate and do follow ups.

Sharing is Caring

• Helps transfer of knowledge and information.• Give more precise and clear vision of what

needs to be done.• Strengthen the relation with members and rise

up the productivity.• We learn by sharing.

Sustainability

• Members are more likely to ensure sustainability of the project.

• It permits to members to ensure sustainability for the entity by creating more projects.
