    Setting up messaging services To set up messaging services for EAM Mobile, first install and configure messaging services on the application servers, and then configure the server messaging services capacity as necessary.

    Installing and configuring messaging services

    You must install and configure messaging services on the EAM application servers for which the data synchronization between EAM Mobile and EAM occurs. Installing messaging services is part of the EAM server installation process.

    Refer to "Installing Messaging Services" in Chapter 2: Infor EAM Installation (Oracle) and Chapter 4: Infor EAM Installation (SQL Server) of the Infor EAM Enterprise Edition and Asset Sustainability Edition Installation Guide for more information about messaging services.

    Configuring the server messaging services capacity

    The EAM installation sets the messaging service capability with a default setting. This setting may not be optimal depending on the balance between the number of users and the available bandwidth for each user. Change the default setting depending on your companys specific situation.

    When downloading data to EAM Mobile, the load on the Infor EAM server can be significant, especially for initial downloads, where all data is extracted, formatted, and downloaded through EAM Mobile data downloading web services. If multiple EAM Mobile users will perform frequent, large downloads, configure the messaging services capacity on the EAM server to balance the need to quickly download data and continue serving other users, including non-Infor EAM Mobile users.

    Follow these steps to configure the server messaging services capacity.

    Step 1: Change parameters in the databridge_properties_advanced.xml configuration file. This file can be found in the depconfig subfolder of the InforEAM home folder.

    You do not need to have a Databridge license to perform this task.

    Step 2: Run the deployment process. Refer to the Infor EAM Enterprise Edition and Asset Sustainability Edition Installation Guide for more information.

    Specifying setup options

    The Mobile Setup form is only available in Infor EAM Business Edition. If are using a version other than Business Edition, enable the audit trail and timeout features using the Install Parameters form.

    Follow these steps to specify setup options.

    Step Action

    1 Start EAM.

    2 Open the Mobile Setup form. The system displays the Options page.

    3 Enter the EAM Mobile CD key. The corresponding installation parameter is 7IMCDKEY.

    4 Choose one of the following options for the user-defined organization download: Yes Select to only download records associated with organizations selected by

    the Mobile user on the Mobile organization configuration screen. No Select to only download records associated with the currently logged in

    organization and all common organizations for which the user has access. The corresponding installation parameter is MOBORG.

    5 Enable Audit Trails in Mobile. Select to enable audit trail on the mobile device. The system enables auditing for Mobile fields on which audits have been configured for the corresponding EAM field. The corresponding installation parameter is MOBAUDIT. When MOBAUDIT is enabled (and the Sync Profile used to download data to the mobile device has the new option to download audit trail triggers checked) insert, update, and/or delete audit records will be captured as defined in EAM. When viewing audit records in EAM, the system displays Recorded in Mobile if the displayed audit record was originally created in Infor EAM Mobile. The date/time displayed is the date/time from EAM Mobile.

    6 Choose one of the following options for Equipment Safety Warning: Yes Select to have the system display a warning when safety equipment is added

    to a work order. No Select to not have the system display a warning when safety equipment is

    added to a work order. The corresponding installation parameter is SAFEWARN.

    7 Choose one of the following options for Show Phy. Inventory Expected Qty: Yes Select to have the system display the expected quantity when a physical

    inventory is performed. The corresponding installation parameter is SHOWQTY.

    8 Enter the number of minutes in the Mobile User Timeout field that allow user inactivity before the system logs out the current user. Leave this field blank to disable. The corresponding installation parameter is MOBTMOUT.

    9 Click the Save button to save the record.

    Setting up security Before installing EAM Mobile, specify installation parameters, grant interface permissions to user groups, and grant work order authorization permissions to user groups.

    Setting installation parameters

    Before installing EAM Mobile, specify these installation parameters as necessary.

    Parameter Description

    ALDLOCAL Number of allowed local login attempts in Infor EAM Mobile

    ALDNTWRK Number of allowed network login attempts in Infor EAM Mobile

    TIMEINT Time (in minutes) for how long the user will be locked out of Infor EAM Mobile

    Follow these steps to set installation parameters.

    Step Action

    1 Start Infor EAM.

    2 Open the Install Parameters form. The system displays the List View page.

    3 Select the installation parameter to set for EAM Mobile, and then click the Record View tab. The system displays the Record View page.

    4 Enter the desired installation parameter details.

    Granting interface permissions to user groups

    Functions are defined in EAM and are used to control the group security of EAM Mobile. These functions need to be linked with user groups so that the functions will be downloaded to handheld devices. Enable or disable Infor EAM Mobile functions by setting the related Infor EAM function privileges in Infor EAM.

    These functions are set up for the R5 group. If you need these functions for other groups, you must manually add the functions to the groups.

    Before installing EAM Mobile, specify the EAM Mobile functions to which user groups have access and specify the permission levels for each function.

    Follow these steps to grant interface permissions to user groups:

    Step Action

    1 Start EAM.

    2 Open the User Groups form. The system displays the List View page.

    3 Select the user group for which to grant interface permissions, and then click the Interface Permissions tab. The system displays the Interface Permissions page.

    4 Select the function for which to grant permissions. The system displays the Function Permissions details.

    5 Select one or more of the following options to determine the level of interface permissions for the user group: Query Select to allow users to retrieve records Update Select to allow users to update records. Users must have query

    permission to update records If you do not select Update, users can still click on list screens to view

    information on the detail screens. The system displays the detail screen with all fields as read-only.

    Insert Select to allow users to insert new records. Delete Select to allow users to delete records. Users must have query

    permission to delete records.

    6 Click Submit. The system saves the record and updates the Interface Permissions list.

    When you unselect Query, the system automatically unselects Update and Delete. When you select either Update or Delete, the system automatically selects Query.

    Granting work order authorization permissions to user groups

    Specify the web services to which user groups have access and specify the permission levels for each web service.

    You only need to grant work order authorization permission to user groups if the JTAUTH installation parameter is set to YES.

    Follow these steps to grant work order authorization permissions to user groups.

    Step Action

    1 Start EAM.

    2 Select Administration > Security. Open the User Groups form. The system displays the List View page.

    3 Select the user group for which to grant work order permissions, and then click the WO Authorizations tab. The system displays the WO Authorizations page.

    4 Click Add Authorization. The system inserts a new Authorization Details record.

    5 Select the work order type (WO Type) for which to grant permissions.

    6 Select the work order status (WO Status) for which to grant permissions.

    7 Select one or more of the following options to determine the level of work order permissions for the user group: Insert Select to allow users to insert new work order records of this type. Update Select to allow users to update work order records of this type. Users

    must have query permission to update records. Delete Select to allow users to delete work order records of this type. Users

    must have query permission to delete records.

    8 Click Submit. The system saves the record and updates the WO Authorizations list.

    To delete an authorization, select the authorization to delete, and then click Delete Authorization. The system deletes the record and updates the WO Authorizations list.

    Setting up mobile devices Device licensing will now be based on the device licensing model. Both "named" and "concurrent" licensing will no longer be used. A record identifying each device must exist in the Mobile Devices table or a connection will not be allowed.

    Create mobile devices within EAM using the Mobile Devices form. Enter a number of devices up to the amount of licenses purchased.

    EAM Mobile creates mobile device records automatically when an attempt is made by the mobile device to connect to the EAM server and the corresponding device does not already exist in the Mobile Devices table. The device will be marked as "out of service" if the number of "in service" devices exceeds the licenses available.

    The current EAM Mobile logged in user needs to have the interface permission for the BEDEVS function to grant the access for the web service. The BEDEVS function permission is not required for a user to use EAM Mobile. When all of the mobile devices are already set up by an administrator on the EAM server, any future Infor EAM Mobile users utilizing the device do not need to have that permission.

    Follow these steps to set up mobile devices.

    Step Action

    1 Start EAM.

    2 Select Administration > Setup. Open the Mobile Devices form. The system displays the List View page.

    3 Click the New Record button. The system inserts a new record and displays the Record View page.

    4 Enter a description of the mobile device in the adjacent field next to Mobile Device.

    5 Select the Out of Service option to indicate the mobile device is out of service.

    6 Enter the unique key code identifying the device in the Device Key field. When manually creating Mobile Device records, this information can be found by clicking Device Key on the EAM Mobile login screen.

    7 Select the device type from the Type option.

    8 Click the Save button. The system saves the record.

    To obtain the Device Key, click Device Key on the EAM Mobile login screen. The system displays the device key.

    Setting up data collection menus Before installing EAM Mobile, set up data collection functions and user groups to display the data collection menu prompts in EAM Mobile. Set up data collection either in EAM or in EAM (Oracle Forms) depending on which version of Infor EAM you use.

    Setting up Mobile menus in EAM

    EAM Mobile menus can be configured in EAM based on user group. The following Mobile screens can be configured:

    Regular Mobile screen Data Collection Prompt screen Web Service Prompt screen User Defined Mobile Grid screen

    Follow these steps to set up Mobile Menus in EAM.

    Step Action

    1 Start EAM.

    2 Select Administration > Security. Open the User Groups form. The system displays the List View page.

    3 Select the user group for which to set up Mobile Menus, and then click the Mobile Menus tab. The system displays the Mobile Menus page.

    4 Click Add Main Menu Folder. The system checks to determine if a main menu-level menu structure is selected on the tree structure and displays the Add Main Menu Folder popup.

    5 Type in the Label for Main Menu Folder.

If the MOBORG installation parameter is set to YES, the initial data synchronization should be performed by the Infor EAM Mobile Administrator. If the MOBORG installation parameter is set to NO, any user can sync data.

    Only a certain number of users can be active for each product. This number is determined by the CDKEY installation parameter (Infor EAM) and/or the 7IMCDKEY installation parameter (Infor EAM Mobile).

    Department security

    Department security not only controls records you can see and update but also which values inside certain lookups you can see. These lookups may be on the main screen for equipment, work orders, and issues/returns but also on detail tabs.

    The system enforces department security on mobile devices when DEPTSEC is enabled.

    These basic rules describe the general implementation of department security on mobile devices:

    Records related to a department not in your list cannot be viewed. Records related to a department your list and marked as read-only can be viewed but not

    updated. Lookups only display records for which you have full rights to the associated department. For

    example, lookups controlled in this way include Department, Employee, Equipment, Work Order, and Person Responsible.

    You cannot insert or update detail records related to header records for which you do not have full rights.

    Department security privileges will further limit your capabilities specified elsewhere in the system.

    The following provides examples of department security changes (this is not a complete list):

    Any downloadable items listed on the Sync Config form that are related to departments will be impacted by department security. Department security will further constrict records affected by the settings on this page i.e. if you select to download equipment in a department that is not in your department list, you will not have access to this equipment.

    If your department is not in your department list, you will not see work orders assigned to you. The same is true of work order activities when activity level distribution is being used.

    You will not be able to create work orders based on equipment, related to department, for which you do not have full rights.

    The equipment available for entering inspection results will only contain equipment whose department is in your department list with full rights.

    You can still view attachments on records related to a department for which you have read-only access.

    You cannot book labor on work orders for which you do not have full rights to the work order department. In addition, the Employee and Department lookups on booked labor records will only contain records for which you have full rights.

    Since work order Location is retrieved from the equipment, it is possible to have access to a work order based on work order department rights but not have rights to the locations department. This is done so that you will always have the correct location of the work. The Location lookup enforces department security rules if you try to change the default location.

    The Department Security functionality is not available in Infor EAM Mobile Business Edition.

    Using fields and lists in Mobile A field is a single topic of information in a record. Required fields (noted by an asterisk) must be completed for a record to be valid.

    The system often displays information in a list view format. Select a row in a list to view record details or select data from a list view. You can also quickly sort, filter, re-arrange or resize fields if the system defaults do not suit your needs.

    Entering information into fields

    There are many types of fields. Refer to the following table when entering information into fields:

    Entering dates and times with the calendar

    Follow these steps to enter dates and times with the calendar:

    Step Action

    1 Click the down arrow next to the date/time field. The system displays the date/time calendar popup. Click the arrow next to the month to select the month previous to, or after, the

    displayed value. Click the bold X to clear the current date selection and close the calendar. Click the non-bolded X to close the calendar without saving the date.

    2 Click the desired date.

    3 Modify the time by selecting the value to modify and then using the up and down arrows to select the desired time.

    4 Click the check mark. The system closes the popup and displays the selected date and time in the field.

    Entering data with the prompt form

    You can enter data collection and web service information using the Prompt form in Infor EAM Mobile.

    Entering data collection information

    Enter data into the data collection module with the Prompt form as necessary. Prompts are defined in EAM. Refer to the EAM Users Guide or the EAM System Administrators Guide for more information on prompts.

    If the NEXTPMPT install parameter = NO, you must click the Save button to save the record. If the NEXTPMTP install parameter = YES, the system automatically saves the record.

    If the PRMDSPLY install parameter = SINGLE, the system only displays one prompt field at a time on a screen. If the PRMDSPLY install parameter = MULTIPLE, the system displays multiple prompt fields on a screen.

    If the Return Prompt and LOV are defined in EAM or EAM (Oracle Forms), and there is a real-time network connection with EAM Mobile, the system displays those settings in EAM Mobile.

    Entering web service information

    Enter web service information with the Prompt form in EAM Mobile to submit one or more transactions through EAM Mobile into EAM.

    The system uses web services to instantly post transactions to EAM. When Real-time Upload is enabled on the Sync Configuration form and the mobile device is cradled using a wired network connection or a wireless network connection exists, the system attempts to upload the data to the EAM server at the time the transaction is saved.

    You can view and modify transaction records submitted using web service prompt screens if the transactions have not been uploaded to the server.

    Web services are defined in EAM. Refer to the EAM User's Guide and the EAM System Administrator's Guide for more information.

    Lists

    The system often displays information in a list view format. Select a row in a list to view record details or select data from a list view. You can also quickly sort, filter, re-arrange or resize fields if the system defaults do not suit your needs.

    Selecting rows in a list

    Select rows in a list to view the record associated with the row, to copy the row data from a lookup to fields on a page, or to specify records on which to perform an action.

    Defining filter and sort criteria

    Filter a list of records on forms to display only those records that meet your specified criteria. Specify sort criteria to select the order in which to sort a list of records.

    Follow these steps to define filter and sort criteria:

    1 Open any form containing a list of records, and then click the Filter button. The system displays the Filter/Sort popup.

    2 Select the field on which to filter from the first Select drop-down list. The operator field is available for filtering numeric and date fields only.

    3 Select an operator from the second drop-down list. Refer to the following information for operator options:

    Operator Definition

    = (equal to) Search for items with a value equal to the entered value.

    > (greater than) Search for items with a value greater than the entered value.

    < (less than) Search for items with a value less than the entered value.

    4 Enter the value with which to filter in the third field.

    5 Select one of the following join operators: Select And to include records that contain all joined conditions. Select Or to include records that contain one or the other condition.

    6 Enter additional conditions by which to filter as necessary.

    7 Select the first field by which to sort the records in the Sort area of the popup box.

    8 Click the correct Sort button to sort records in either an ascending or descending manner.

    9 Enter additional fields by which to sort as necessary. To remove sort criteria, choose Select from the Sort drop-down lists.

    10 Click Apply. The system displays the records matching the filter and sort criteria. The system automatically saves the filter on the form.

    Sort a list of records by any column in the list in ascending or descending order.

    Follow these steps to sort lists:

    2 Choose one of the following options: Sort the records in descending (Z-A) order. Click the column header of the column

    Configuring the list view layout

    Modify the page layout of list view pages. You can specify whether to make fields visible and change the order of the fields on the page.

    Follow these steps to configure the list view layout:

    Creating electronic records and signatures The system creates electronic records, or "snapshots," of create and cancel events that occur in the database. A snapshot preserves the entire record, including information related to other database tables, to provide historical information related to the progress of your operation. For example, a snapshot of a work order header will include all information on the header as well as the associated activities.

    In addition to creating electronic records of information in the database, the system requires an electronic signature to authorize status changes to specific records. The electronic signature is attached to an entity, and when a system user changes the status of a record based on specific criteria, the system prompts the user for an ID, password, and a reason for the signature (e.g., review, approval, responsibility, etc.).

    Entities for electronic records and signatures

    The EVNT (event) entity can be set up to take a snapshot of the record or require an electronic signature when you change the status of the record attached to the entity. For example, if your organization requires electronic signatures of status changes to work orders, you can define the electronic signature for the EVNT entity. The system takes the snapshot of the record and/or prompts the user for an ID, password, and reason when saving the change to the database. The information recorded includes the work order, activities, repairable parts, and permits.

    Signing records

    Upon changing the status of a record that has been defined as requiring an electronic signature, the system prompts you to enter a user ID, password, and reason for the signature. The user ID and password are the same ID and password used to enter the system, and the user ID and password must match the user logged in to the mobile device. After verification of the user information, the system takes a snapshot of the record and stores it in the R5ELECARCHIVE table. If you update multiple records at one time, the system prompts you for a signature for every record.

    Follow these steps to sign records:

    Step Action

    1 Open any form requiring electronic signatures for status changes.

    2 Query for the record that needs to change the status. Status changes can include record insertions, deletions, etc.

    3 Change the status of the selected record, and then click the Save button. The system displays the eSignature popup.

    4 Enter the User ID. The User ID must be the current logged in users User ID.

    5 Enter the password associated with the User ID.

    6 Enter the reason for the electronic signature in Sign Type (e.g. review, approval, etc.).

    7 Click OK. The system saves the record.

    If you click Cancel, the system closes the form and does not record changes. The system does not allow changes to the record without entering an electronic signature. Further, if you enter an invalid or expired ID and password, or if you do not enter a valid certification number and type if applicable, or if you do not have status change authorization, the system records an access violation and the electronic signature will not be recorded.
