AIPG MN 2015 Annual Meeting – 12/22/15 Attending: Kelton Barr, Paula Berger, Jake Dalbec, Gil Gabanski, Nathan Gruman, Marcella Hartman, Trey Howard, Curt Hudak, Bruce Johnson, Adam Krieger, Jeri Massengill, Susan Mickus, Sara Nelson, Paul Putzier, Peter Putzier, Keith Rapp, Laura Scheid, Shanna Schmitt, Hong Spores, Stephanie Theriault, Jane Willard, Greg Beckstrom, Louis Rudnicki, Matt Heglund, Ryan Matheiu and Nicolas Bolden.

Joint AIPG-MN and SME-Twin Cities Joint Conference in 2016: - Louis Rudnicki attended the Annual Meeting on behalf of SME to help advocate for the upcoming conference in October. - AIPG is moving forward with the next steps to be a partner with SME to hold a joint conference. - They are looking for potential ideas on a field trip; maybe something with silica, clay, peat or asphalt? - The primary conference committee for AIPG will be Jake, Marcella, Shanna and Adam; others interested will be called upon later. Call to Order of the MN Section of AIPG Annual Meeting: - 21 Voting members were in attendance, so there was a quorum for the first time in many years. - The 2015 Annual Meeting was officially called to order.

Review and Approval of 2014 December Executive Committee Meeting Minutes: - Meeting Minutes from the 2014 December Executive Committee Meeting were approved.

Election Results: - 44 votes were cast; 38 were eligible votes. - President Elect – Marcella Hartman. - Vice President – Hong Spores. - Thank you to Stephanie Theriault for running for VP.

Office and Committee Reports: - See Attachment for complete Reports. - Reports were generated by: President, Vice President, Secretary/Treasurer, President-Elect/Webmaster, Membership/Screening Committee Chair, Education Chair, University of St. Thomas Student Chapter Sponsor, Student Grant Chair, Sponsorship Committee Chair, Student Resume Review Chair, Communications Chair, Editor of the Section Newsletter, and Fundraising Committee Chair.

General Orders and Section Business: - 2017 AIPG MN Section Dues Motion Passed to keep the section dues at $35.00 for 2017. - Retroactive approval of the $1000.00 Student Grant to Sayge Woolridge Motion passed to allow the $1000.00 grant to go to Ms. Woolridge. - Annual Donation to MCME/MMEW for K-12 Mineral Kits Discussion was tabled and this will be further discussed at the January 2016 ExComm Meeting. $1635.80 was spent in 2015, and the kits are ~$18.00; the idea of donating $2000.00 was brought up. Target market for the kits is 5th-8th grade

teachers focusing on Earth Sciences. Workshop meeting is in June. Jim Miller coordinated workshop and is retiring from the role. Distribution of kits occurs through Mike Hultgren. - Section Proposal of AIPG MN to use $250.00 towards the Happy Hour after the meeting; this was amended to only include food and no alcohol the amended motion was passed. - The AIPG MN and SME joint conference was discussed earlier in the meeting - Professional Certification Sponsorship Grant used for potential HAZWOPER or MSHA training for university students to be more marketable out of school. An idea was having companies donate money to allow a student to attend or bring that price down for all students; also organizing a larger class to have the cost go down. There were feelings that this could drive the expectations from companies that students should pay for this out of pocket and not the hiring companies. This discussion was tabled and will commence in 2016. Observations and New Business: - Field trip suggestions: 10 hour limit, no overnights. - Explore annual pre-pay option for all Section luncheons. - Schedule ethics luncheon. - 40 student members this past year on roster. - University of St. Thomas AIPG Members = 16, but there are more non-members. - The MN Section of AIPG’s Resume Review Service is a positive according to University of St. Thomas

students. - Explore Joint Practice Committee which is currently defined by Bruce Johnson. - PG Renewals are due by June 30th and 2 PDHs of ethics training are required for every renewal cycle.

- Sponsorship: explore pro-rated fees, coupon on website or email treasurer for request for sponsor coupons-better communication is needed.

- Resume Committee: explore cover letter review, provide weaknesses and strengths from employers’ perspectives, explore AIPG National Resume Template.

- Newsletters: 2015 was not the first year of a MN Section of AIPG Newsletter, strive for regularly occurring Newsletter distribution, explore regular columns by officers, potential topics include benefits received from sponsorship and fundraiser end streams.

- Fundraising: explore brainstorm sessions at luncheons for fundraiser ideas, measuring future fundraiser events will be key.

Responded to website issues and inquiries when the Webmaster was unavailable. 12. Staffed the registration table at luncheons when the Treasurer was unavailable. 13. Track number of free student lunches. 14. Participating in preliminary talks with AIPG Wisconsin Section and AIPG National for a workshop in May.

Part of AIPG Nationals efforts to have small, topic-specific workshops. 15. Talked with several students from the University of Minnesota-TC, University of St. Thomas, and the

University of Minnesota-Duluth about professional geology. 16. Posted luncheon notices on LinkedIn page and Facebook page. 17. Occasional posted/updates on LinkedIn page and Facebook page. 18. Pickup/Dropoff University of Minnesota-TC students for luncheons. 19. Nominating….talking to people and asking them to run for a position. This took a lot of time.

Berger, Jake Dalbec, and Marcella Hartman. Thank you! 7. SME/AIPG MN Conference on 10/04/2016 & 10/05/2016 Net = $2,811.26. Great joint effort by Louis

Rudnicki, Jake Dalbec, Bethany Kelly, Adam Krieger, Marcella Hartman, and Greg Beckstrom. Problems/Issues:

1. I’ve continued Jake’s work of keeping a list of all the Executive Committee member and Committee Chairs and Appointed Positions & Representatives. I put the list/table on every agenda. Continuity and succession planning need to be continually addressed.

2. Nominating people for positions…we need more volunteers! Thank you to those who responded!!! Suggestions for Improvement:

1. We need an Assistant Webmaster so that Matt Hegland has a backup. a. They could also do all the LinkedIn and Facebook updates.

2. We need to finish our Bylaws revision so that we can separate the Secretary/Treasurer duties. 3. We need to plan our Spring Social more in advance. 4. We need to publish a Newsletter 4 times per year because we’ve promised our Section Sponsors that

their logos would be included in our quarterly newsletter. 5. We need to send periodic updates to the AIPG National Editor so they appear in The Professional

Geologist. We do a great work and we need to let everyone know.

I believe we made money each month. Problems/Issues: Some issues with late sign ups and email notices going out for luncheons. Some issues with the special vegan/vegetarian meals- timeliness by event staff and unsuitable meals (Kelton) Suggestions for Improvement: I suggest changing the day of the luncheon in the months of January and September since New Year’s Day and Labor Day typically fall close to these “extended vacation” holidays and would influence attendance.

· Continued editing/updating the MN Section of AIPG Bylaws (work in progress and not yet finished-behind schedule).

· Participated as a member of the Nominations Committee. Summary of Significant Expenses/Income

· No significant expenses were accrued. · In addition to the success of the MN Section of AIPG Golf Tournament, almost $3,000 was raised for

the MN Section of AIPG through the Mining and Industrial Site Life Cycles conference. Problems/Issues:

· The MN Section of AIPG Bylaws restructuring endeavor continues to be a work in progress and is not yet finished. Progress is behind the suggested schedule proposed last winter (i.e. intended to have the MN Section of AIPG review and vote to distribute the updated Bylaws in Dec. 2016 to entire MN Section membership for vote in 2017. May have to post pone this next step until the first Executive Committee meeting of 2017.

Suggestions for Improvement:

· Establish reasonable timeline for Bylaws update milestones in 2017. · Recruit the efforts of the new Executive Committee in 2017 to hold the Bylaws Restructure Committee

accountable to the to-be-established milestones.

Suggestions for Improvement: Continue working on creating U of M student chapter. Since Josh Feinberg has taken an active interest in helping students develop skills and knowledge base relevant to industry, we may finally have the support we need to get this chapter rolling. We may be able to find students willing to take the lead if we sell the idea as a better resume builder—they can state that they ‘created’ a student chapter, instead of just participating as a member or officer. Offer some sort of donation to the new geology class to help cover fees associated with PG exam and HAZWOPER training. This will help establish our presence at the U of M, and help the students understand AIPG efforts—why we exist, all the good we accomplish. DRAFT

2016 Accomplishments/Activities/Duties: · Implemented new sponsorship program with annual sponsorships rather than individual meeting

sponsors, and eliminated meeting sponsor “commercials”. · Solicited 8 corporate sponsors for the September 2015 – June 2016 meeting calendar. · Modified annual sponsorships to run for a calendar year (i.e. January to December) for 2017. Based on

feedback from 2015-2016, the option to give a short corporate presentation “commercial” at the beginning of one meeting (per sponsor) will be returned for 2017.

· Solicited 6 corporate sponsors and one individual (anonymous) sponsor for 2017 to date. Sponsorship solicitation for 2017 is still in progress.

Summary of Significant Expenses/Income

· No expenses. · Income of $250/sponsor.

Problems/Issues:

· The number of sponsorships did not increase as much as expected. By eliminating the individual meeting sponsorship, we could increase the total number, but it remained the same as before the sponsorship structure was revised.

Suggestions for Improvement:

· Increase sponsor solicitation during the first 2 months of 2017. · Direct mail solicitations of possible vendors rather than blanket emails to mailing list. DRAFT

Position: Executive Committee Director – Student Resume Review Committee Chair

2016 Accomplishments/Activities/Duties: Committee reviewed 8 resumes in 2016, an additional 3 resumes were submitted directly to me for review, for a total of 11 resumes. Committee members include Shanna Schmitt, Jane Willard, Tonia O’Brien, Nathan Gruman, and Dan Hunter. Three career panel presentations were made in 2016:

· April 7th & Nov. 17th at the University of St. Thomas (UST) - thank you Sara Nelson for coordinating the presentations.

· April 22nd at the University of Minnesota TC Campus, thank you to Shanna for coordinating the presentation.

The UST panel presentations are a lot of fun and very well received by the students. Presenters at UST included Kelton Barr, Shanna, Jake Dalbec, Adam Krieger, Jane, and Gil. Presenters at the U of Mn panel included Nathan, Cathy Stott, and Shanna; and a non-AIPG panelist Chuck Mosher from ConocoPhillips. My apology if I omitted someone. Preliminary discussions with Dr. Joshua Feinberg, U of MN Earth Science Department, regarding a proposed class, “Practical Skills for Geoscience Professionals,” for upper level undergraduates; and, participation from AIPG members and possible financial assistance with HAZWOPER training and ASBOG fees. Gil also discussed the resume review service with a number of students attending the recent Minnesota Ground Water Association November conference. Summary of Significant Expenses/Income No expenses were incurred and no income was generated. Problems/Issues: None Suggestions for Improvement: None, but open to suggestions

2016 Accomplishments/Activities/Duties: Our primary fundraiser of the year is the Golf Fundraiser, which was held for the second year in a row at the Prestwick Golf Course in Woodbury, MN. The most significant change over the past two years has been the increase in number of volunteer helpers, several of which did not golf, but instead set up the auction tables; and, also helped in planning and securing donations. We registered 44 golfers (one no-show) from 11 companies (compared to 43 registered and one no-show in 2015). The total number of companies was closer to 18 or 19 if you include the guests brought by our paying participants, and closer to 22 or 23 companies if we also include the 4 sponsorship only companies. Bringing guests helps to spread the word on our tournament, and emphasizes the importance of playing at some of our more attractive local golf courses (of which we have many). We had 17 individual and corporate donors of material goods and/or in-kind time and expenses. We also attracted 5 individual diners. All in all, I believe that this last golf outing was the most well attended for combined golfers and volunteer help. This was noticed widely by the committee chair because he still had both energy and a sense of humor at the end of the day. ;-) Committee members, whether they knew it or not, included Bruce Johnson, Jake Dalbec, Shanna Schmitt, Hong Spores, Paula Berger, Marcella Hartman, and others off and on. Forgive me if I left your name off. We have already scheduled our next outing back at Prestwick Golf Course, and it will be on Tuesday August 1, 2017 with a 9:30AM shotgun. We reserved 48 tee times at $57 per golfer for green fees, cart, and range balls. Summary of Significant Expenses/Income This year’s event had income of $8,198.00 and expenses of $5,181.70 for a net income of $3,016.30*. Compare that to income of $7,890.00 and expenses of $3,959.31 for a net income of $3,930.69 in 2015. We only recorded 33 Eagle Cards this year compared to 43 last year, for a net reduction year over year of $200. We need to push those cards better next year. Problems/Issues and Suggested Improvements: The most noticeable issues are that we did not have many/any live auction items. These live auction items typically bring in $200 or more per item. Three live auction items would have brought in the difference in net profits between last year and this year. We have several companies that paid very late. I know that some companies need to go through a rigorous sponsorship and permission checklist, but we should be urging these companies to start their payment process well in advance of the event. AIPG-MN Section should not act a bank. Lastly, we have lost money or barely broke even on the purchased auction items (i.e., items that require reimbursement to the purchaser), such as rocks/minerals and baseballs. I suggest that the purchased amount be set as the minimum bids going forward. Donated items may continue to be set at lower opening bid prices. 2016 Minnesota State Summary Report - AELSLAGID Examinations: March 18, 2016 examinations: The Board proctored 27 FG and 8 PG exams.

September 30, 2016 examinations: The Board proctored 24 FG and 4 PG exams.

Current Licensing Numbers: The Board currently has 517 PGs and 102 GITs; between 10/1/15 and 9/22/16 we have issued 12 PG licenses and 29 GIT certificates.

Board news:

Minnesota is sharing the services of Kay Weiss, Board Communications Specialist with the Minnesota Board of Accountancy. Kay has enhanced our communications efforts. Following in the progressive footsteps of ASBOG, the Minnesota Board now has a social media presence on LinkedIn, Facebook, and Twitter. We are following ASBOG and will look for content to forward to our own followers.

Minnesota has finished its Strategic Planning. The Mission/Values/Board Member Responsibilities document is available at the Board’s website (http://mn.gov/aelslagid/Mission-Values-BoardMemberResponsibilities.pdf).
