1 Domestic Outbound Transportation: Test Case

This business scenario can be used by a shipper that wants to manage domestic outbound freight. The shipper is a manufacturer and distributes products through its network of plants, distribution centers, and third party warehouse operations. The shipper has a logistics organization that is responsible for the timely, cost effective, and efficient transportation of products between and from the shipper’s facilities and to the end customer. The shipper receives the order electronically or manually through ERP Sales and Distribution, performs availability checks in either ATP or GATP, plans and executes the transportation in SAP Transportation Management (SAP TM), and calculates freight costs in SAP TM before sending them to SAP ERP for payment.

The main features of the Domestic Outbound Transportation scenario are described as follows:

● By seamlessly integrating SAP ERP orders and SAP TM planning processes, once a sales order or delivery is created in SAP ERP, it can be automatically transferred to SAP TM and saved as a transportation requirement. SAP TM provides the necessary transparency to determine the order requirements such as times and shipping conditions, as well as product, geographical, and customer requirements.

● In the planning center of SAP TM, the transport planner can plan loads across orders based on specific user filters. This process can be either interactive or automatic. Various transportation methods can be evaluated to determine the most effective options based on cost and service.

● The carrier is determined during the load planning step or in a separate step based on costs. Several carriers may be available and SAP TM chooses one based on previously defined criteria before tendering the freight order (FOR) to the carrier.

● The tendering process is based on a cascading peer-to-peer option. This means that if a carrier rejects a tender, it is automatically tendered to the next carrier. Allocations are updated based on the assignment to the transportation order (TOR) once a carrier accepts the TOR.

● SAP Event Management is used to track and trace the transport.

The following optional features are not included in the scenario or this test case description:

● There are two other strategies available for carrier selection – priority and business share. These can work in conjunction with or independently of costs (business share).

● Broadcast tendering is not included in this scenario.● With the integration of SAP TM and SAP Environment, Health, and Safety (EH&S), dangerous goods

information can be accessed directly in transportation documents. Dangerous goods checks (such as mixed loading checks and maximal quantity checks) can be performed during freight unit building and load consolidation, as well as when checking consistency between different transportation documents. Transport-relevant dangerous goods information can be printed along with shipping instructions.

SAP Transportation Charge Management (TCM) calculates the transportation charges and transfers them to SAP ERP using the Supplier Freight Invoice Request processing component to create the purchase order (PO) and associated service entry sheet (SES). The PO is used to establish the accruals against which the carrier is paid.

Variant 1

The Domestic Outbound Transportation scenario description contains a variant of the standard procedure known as Domestic Outbound Transportation with Cost Distribution. If you use this variant, the procedures differ to the standard procedures and are described separately in the relevant sections.

2 Prerequisites

Before you start to conduct this test case, you must complete the following tasks:

● Configure your user data (see User-Specific Customizing [page 7])● Set up your master data and organizational data (see Master Data and Organizational Data [page 7])● Configure your roles (see Roles [page 8])

2.1 User-Specific Customizing

SAP Event Management Setup

Ensure that you setup your user according to the Assigning User to Web Transactions details in the Integration of SAP Event Management guide. You can access the guide in SAP Solution Manager by choosing Solutions/Applications SAP Transportation Management Configuration Structures Basic Settings for SAP TM <release>

Integration of SAP Event Management .

Invoice Integration

Ensure that your user profile contains the parameter TM_INVOICE_CLERK (with an initial value).

2.2 Master Data and Organizational Data

Master and organizational data is created in your SAP ERP system during the implementation phase. This data reflects the organizational structure of your company; master data focuses on operations, for example, master data for materials, vendors, and customers. The business process is enabled with this organization-specific master data.

Note● If you use strategic freight procurement, the tendering process is not required. Since the best carrier is

identified in strategic freight procurement, no tendering activity is necessary. You must assign the carrier that was used to create the agreement in strategic freight procurement to the freight order manually.

● If the tendering process is required, it is not necessary to carry out the strategic freight procurement process.

4.1 Sales Order Processing

Context

In this procedure, you create a sales order and a corresponding delivery document.

The SAP ERP order process is tightly integrated with the SAP TM planning process. Once a sales order or delivery is created in the SAP ERP system, it can be automatically transferred to the SAP TM system and saved as a transportation requirement. SAP TM provides the necessary transparency to determine the order requirements such as times, products, and geographical and customer requirements.

A customer service agent creates sales orders automatically or manually in the SAP ERP system. When the sales orders are saved and if they are relevant for transfer, they are transferred to the SAP TM system automatically and saved as order-based transportation requirements (OTRs).

1. As the customer service agent, choose the following path on the SAP Easy Access screen of your SAP ERP system: Logistics Sales and Distribution Sales Order Create . Alternatively, call transaction VA01.

2. Enter order type ODOT (standard order) and press ENTER .

3. Enter the following data:

Results

Sales orders and delivery documents are created. Order-based transportation requirements (OTRs) and delivery-based transportation requirements (DTRs) are also created.

NoteOTRs and DTRs can be transferred automatically to SAP TM only if the output type is TRSO in the sales order and the delivery document. Check the output type in the sales order by choosing Extras Output HeaderEdit . Check the output type in the delivery document by choosing Extras Delivery Output Header .

Variant 1

If you are using the cost distribution variant, sales orders with PO numbers ODOT-CD-01 and ODOT-CD-02 are created. In the following steps, use the sales orders only.

4.2 Manage Transportation Requirements

This activity enables companies to tightly integrate their SAP ERP system and their transportation planning and execution system. The activity supports shippers by transferring order information from SAP ERP to SAP Transportation Management (SAP TM), thus providing the planning system with transportation requirements at a very early stage. This enables transportation planning to take advantage of longer planning horizons, which leads to better results in the optimization process and greater flexibility in the decisions that need to be taken during transportation planning.

4.2.1 Creating or Updating Order-Based Transportation Requirements

Use

In this procedure, you create and check an order-based transportation requirement (OTR).

Procedure

1. In SAP NetWeaver Business Client (SAP NWBC), choose ERP Logistics Integration Transportation Requirement Display Order-Based Transportation Requirement .

2. Search for the OTR number using the document number of the original sales order created in the Sales Order Processing [page 12] procedure.

3. Select the OTR link.4. Check that the following OTR data matches the data in SAP ERP.

Variant 1

For the cost distribution scenario, repeat the above steps for the sales order numbers assigned to ODOT-CD-001 and ODOT-CD-002. In addition, select both OTRs and choose the Start Transportation Cockpit pushbutton on the Display Order-Based Transportation Requirements screen.

4.4 Tender Freight

You use this business activity to send freight requests for quotation (freight RFQs) to carriers. Carriers can accept or decline these freight RFQs and change data, such as the price, when returning the freight quotations. You can then automatically accept the tender and send the freight order back to the awarded carrier. A tendering process starts if you or the system determines more than one possible carrier. The tendering process results in one carrier being selected to execute the freight order.

NoteIf you use the “Strategic Freight Procurement” process, the tendering process is not required. For more information, see Strategic Freight Procurement [page 36].

4.4.1 Create RFQ (Request for Quotation)

You perform this procedure to select carriers by direct peer-to-peer tendering process.

In this scenario, the tendering process is automatic and peer-to-peer.

4.4.2 Reject RFQ (Request for Quotation)

The carrier enters Collaboration Portal to review his open RFQs. As he has not enough capacity to do the required transport, he rejects the RFQ received.

Procedure

1. As a carrier, log on to the SAP TM Collaboration Portal with known credentials.

This activity covers the actual execution of the transportation process.

The transportation planner checks whether freight orders are ready for execution, the customs declaration is complete, and the relevant documents have been printed. If a customs process is involved, freight orders are blocked. After the GTS system has returned a positive result, actual execution can start.

In this activity, the freight orders are loaded and deliveries are carried out. The activity also handles the various exceptions that may occur during transportation. At the end of the process, you receive the corresponding execution information.

In this procedure, you review the distribution of freight costs to material accounts in SAP ERP.

If you are using the cost distribution variant, this procedure is mandatory.

Procedure

1. As the customer settlement specialist, call transaction WLFLTM and choose Dynamic Selections.

2. Open Item Data of the Agency Documents and double-click the second occurrence of the Reference Document attribute.

3. Enter the document number of your freight settlement document and choose Execute.4. Open the payment document and check the invoice items on the Basic Data tab page.

The gross amount of the line items should be the same as the distribution amount on the Distribution tab page of the FSD.

5. Select the item and choose Goto Item Item Details .6. Choose the Basic Data B tab page.

5 Strategic Freight Procurement

To fully support the freight procurement process, companies must meet requirements for contract management, bid preparation, bid proposals, bid responses, contract awarding, and contract creation. The ability to meet these requirements forms the basis of the relationship between the shipper and the LSP or carrier by streamlining the contract negotiation process.

One of the core benefits of procuring freight with SAP Transportation Management is that you can set the expected channel and lane and, therefore, manage the cost of transportation. Shippers and LSPs are constantly competing for freight and it can be difficult to manage their expectations and volume while also trying to provide the best service at the lowest cost. SAP Transportation Management allows you to achieve this by providing you with a centralized tool.

As a company’s supply chain evolves, so do relationships with partners such as LSPs. A company may want to renegotiate existing contracts to include new business while changing the way shipment volumes are divided among LSPs and carriers. The request for quotation (RFQ) contains rates, terms of agreement, and other freight-related charges such as accessory charges, detention and minimum charges as well as capacity-related details. These RFQ response charges provide information for the optimizer to make logistics decisions based on costs, including decisions about equipment allocations and spend simulation. The optimizer can then award an LSP or carrier with the respective business share in freight agreements.

You can inform the carrier that he is awarded a contract either by getting in touch with him personally, for example via telephone, or by using B2B services.

Note● If you use strategic freight procurement, the tendering process is not required. Since the best carrier is

identified in strategic freight procurement, no tendering activity is necessary. You must assign the carrier that was used to create the agreement in strategic freight procurement to the freight order manually.

● If the tendering process is required, it is not necessary to carry out the strategic freight procurement process. For more information, see Tender Freight [page 21].

5.1 Analyzing Historical Data for Carriers

Procedure

1. Load that is transported by the carrier along transportation lanes

To analyze the amount of goods that a given carrier has transported along a specific lane during a given period of time.

2. No issues while performing settlement

To analyze the frequency of settlement-related issues or payment-related issues for the carrier under consideration.

3. Check how many stops on the transportation lane

To analyze the total number of stops for the carrier over a given period of time and ensure correct charges for each stop.

5.2 Creating Master Requests for Quotations

Context

In this procedure, you create or change master requests for quotations (RFQs).

In the master RFQ, you define the carriers and charges with which negotiations are to be held.

Procedure

1. In SAP NetWeaver Business Client, choose Freight Agreement Management Freight Agreement RFQ Masters Create Freight Agreement RFQ Master .

2. Enter the RFQ type RFQ1 and choose the Continue pushbutton.

3. On the New Freight Agreement RFQ Master screen, enter the following data in the Details area:

10. Select your RFQ item and choose the Calculation Sheet Overview tab page.11. For all of the charge types, enter the rate table type 1000 (this is the default type).

12. Select each charge type in turn and choose the Rate Table Details pushbutton.13. On the Validity and Dates tab page, enter the following data for the relevant charge type:

5.3 Approving Master Requests for Quotations

Procedure

1. In SAP NetWeaver Business Client (SAP NWBC), choose Freight Agreement Management Freight Agreement RFQ Masters Edit Freight Agreement RFQ Master .

2. Open your RFQ master in edit mode. (This is the RFQ master that you created earlier. See Creating Master Requests for Quotations [page 38]).

3. Choose Follow Up Request Approval .4. On the General Data tab page, check that the status of the RFQ has changed to Awaiting Approval.5. Choose the Save pushbutton.

The RFQ is sent to the head of the organization for approval.6. In the back-end system, call transaction SBWP.

7. Choose Inbox Workflow .8. Double-click the RFQ master to open the decision step and approve it by choosing the Approve pushbutton.9. Go back to your RFQ master and check that the status of the RFQ has changed to Approved.

5.4 Creating Individual Carrier Requests for Quotation

Procedure

1. In SAP NetWeaver Business Client, choose Freight Agreement Management Freight Agreement RFQ Masters Edit Freight Agreement RFQ Master .

2. Open your RFQ master in edit mode. (This is the RFQ master that you created earlier. See Creating Master Requests for Quotations [page 38]).

3. Choose Follow Up Create Individual RFQs .4. Choose the Save pushbutton.5. On the General Data tab page, check that the status of the RFQ has changed to Freight Agreement RFQs

Created.6. Choose the Document Flow tab page.

A carrier freight agreement RFQ is create for each carrier specified in the RFQ master.7. Check that all of the carrier freight agreement RFQs have the same dates, charge types, calculation sheets,

rate tables, and so on, as the RFQ master.

5.5 Sending Requests for Quotation to Carriers

Procedure

1. In SAP NetWeaver Business Client, choose Freight Agreement Management Freight Agreement RFQ Masters Edit Freight Agreement RFQ Master .

2. Open your RFQ master in edit mode. (This is the RFQ master that you created earlier. See Creating Master Requests for Quotations [page 38]).

3. Choose Follow Up Publish RFQ .4. Choose the Save pushbutton.5. On the General Data tab page, check that the status of the RFQ has changed to Published.

Results

The request for quotation has been sent to the carrier.

5.6 Receiving Responses

Procedure

1. In SAP NetWeaver Business Client, choose Master Data Charge Management and Service Product Catalogs Overview Charge Management and Service Product Catalogs .

2. Choose the Carrier POWL query.The system displays all of the carrier freight RFQs.

3. Go to the carrier RFQ for carrier DOT-CR-01 that you created earlier (in the step Creating Master Requests for Quotations [page 38]).

4. Navigate to the Items area and select the response item.5. Enter the charges in USD for all charge types.

6. To respond to charge type amounts with rate tables, follow one of the options below:○ Option 1

1. Select the charge line item in the rate table and choose the Rate Table Details pushbutton.2. Choose the Validity and Dates tab page

Repeat these steps for all of the other carriers.

Result

The status of the RFQ has changed to Submitted for each of the carrier freight RFQs and the RFQ response has been retrieved by the shipper.

5.7 Evaluating Responses

Procedure

1. In SAP NetWeaver Business Client, choose Freight Agreement Management Freight Agreement RFQ Masters Edit Freight Agreement RFQ Master .

2. Open your RFQ master in edit mode. (This is the RFQ master that you created earlier. See Creating Master Requests for Quotations [page 38]).

3. Select the RFQ item in the Items area and choose the Open Comparison Cockpit. pushbutton.4. To compare the cost of different charge types, select the Select for Comparison checkbox for the charge types

FB00, FUEL, and STOP for the carrier.

5. Choose the Select/Unselect Multiple Select Similar Items as Selected option to select similar charge types for comparison.

6. Choose Compare Responses to manually compare the costs and view the best carrier and lowest amounts charged by each carrier. (The comparision response works only for manual rates.)

7. If the rates are taken from a rate table, choose Download Rates into Excel. (All of the rate values for the selected charge types are displayed in the Excel.)

8. In the Optimization and Estimated Spend Simulation area, insert an optimizer strategy by choosing InsertStrategy .

9. In the Strategy field, enter RFQ_STR.

10. Select the strategy and choose Select Conditions.11. On the Strategy Conditions screen, choose Add Conditions and enter the following values:

12. Once you have finished adding the strategy conditions, choose OK.13. On the Edit Freight Agreement RFQ Master screen, select the row containing the Strategy RFQ_STR and choose

Run Optimizer.

NoteCheck that all the carriers are allocated with a business share.

14. Choose Strategy Spend to calculate the amount in USD that the shipper will incur for the specified period if these business shares are allocated to carriers.

NoteMore than one strategy can be manipulated to calculate the best business share for the carrier and expenses for the shipper for the specified transportation lane or zone.

15. Select a strategy as the preferred strategy.16. Choose the Back pushbutton.17. Select the RFQ item and choose the Accept Preferred Strategy pushbutton.

NoteIf you have not selected a preferred strategy, the Accept Preferred Strategy pushbutton is not enabled on the RFQ screen.

18. Save your entries.

5.8 Creating Freight Agreements

Context

Once you have evaluated the responses from the carriers, you must create freight agreements for the carriers.

Procedure

1. In SAP NetWeaver Business Client (SAP NWBC), choose Freight Agreement Management Freight Agreement RFQ Masters Edit Freight Agreement RFQ Master .

2. Open your RFQ master in edit mode. (This is the RFQ master that you created earlier. See Creating Master Requests for Quotations [page 38]).

3. Choose Follow Up Request Agreement Creation Approval .4. As the head of the organizational unit, call transaction SBWP in the back-end system.

5. Choose Inbox Workflow .6. Double-click the RFQ master to open the decision step and approve or reject it by choosing the corresponding

pushbutton.7. Once the head of the organizational unit has approved the request, choose Create/Update Agreement.
