Centralized document storage and retrieval

The central server-based approach ensures that any document created in the organization will be stored in one single location. These documents are classified project-wise and within projects under user friendly names. This makes sure that any given point of time the document status of a project can be retrieved at the click of a button.

Totally secure document management

Since there will be no shared folders on the server, documents are accessible only to authorized users. Even within DocuMan, only users that have rights to the relevant documents will be given access. This ensures that unauthorized and uncontrolled editing of documents will not take place, leading to assured document validity.

Team-based rights management

Each project will consist of team members who can then be assigned rights to individual documents based on their department or need-to-edit basis. Team members can be assigned read-only rights to documents orcan be given full rights, on a per-documents basis.

Access documents anytime anywhere

Documents can be remotely accessed from outside the internal LAN. Any user with the proper rights can check-out or check-in a document from anywhere in the world without the need for any additional software. All security parameters applicable within the LAN will also be applicable during remote access. This means that the latest versions of documents are available anytime, anywhere.

Drastically reduced network bandwidth usage

Since all documents are downloaded to the users local computer for editing or viewing purposes, the load on the server and consequently the network is drastically reduced. This will ensure a vastly longer MTBF (mean time between failures) for the server as well as the network components.

Supports Windows and Linux based servers

The server can run on both the Windows Server and the Linux Server family of operating systems.

Install, configure and forget

Once DocuMan is installed and configured properly on the server there is generally no further maintenance or other activity required on the server itself. This will mean that a dedicated System Administrator for document management purposes will not be necessary- as DocuMan itself handles all the storage, retrieval and indexing activities.
