Pre-Populated Data

• Data tables have been provided so LEAs and schools may view relevant data for the needs assessment. When the needs assessment screens are opened, some of the data elements will be visible. Other data elements for the most recent school year will be loaded once they become available.

• LEAs and schools will not enter most data. For pre-populated data, cells will be locked from user entry. – Exception: “Staff Characteristics” and “School Data” in the

“Additional Areas” section can be entered by the user.

• LEAs should analyze the data and provide a summary of progress and challenges, identifying underlying reasons for each. Cite specific examples where possible.

• Other items are optional but are still key data points in a comprehensive needs assessment.

• LEAs will not be required to provide a narrative for optional items; however, LEAs may elect to address these.

Text Entry Boxes

• The enhanced needs assessment screens provide guiding questions to facilitate in the completion of a comprehensive needs assessment allowing the LEA to summarize its analysis of the data.

• Each of the guiding questions provides a text box with functions where the content may be copied and pasted from another document or typed directly into the text box.

• The functions available allow text to be formatted to allow bolding, underlining, bullets, etc.

Planning Due Dates

• August 3 – September 15, 2015: – LEAs begin updating plans with August 3 release of district-

level accountability data– LEAs must update ePlan with 2015-16 school year district

plans and finalize for approval by September 15

• October 15 – November 15, 2015: – All schools must finalize plans by November 15– Title I schools are required to enter 2015-16 school year plans

in ePlan

• December 15, 2015: – LEAs will have reviewed all school plans and completed the

LEA School Plan Assurances page. – The LEA must complete the assurance page for school

plans even if the school plans were not entered in ePlan.

LEA Plan Approval / School Plans

• In order to be considered fully approved, the status of the LEA Plan must be “TDOE Plan Reviewer Approved”.

• Ideally the LEA plan would have a status of “TDOE Plan Reviewer Approved” before schools begin editing inherited goals and strategies. This will ensure the school is seeing the LEAs final version of goals.

• The LEA must have an approved LEA Plan before a school can click on DRAFT COMPLETED on any school plan within the LEA (schools inherit LEA goals/strategies).

LEA Plan Approval / School Plans

• To expedite the process for entering school plans in ePlan, schools may work on their needs assessment entries in ePlan, even though they may not have a fully approved LEA plan.

• LEAs are responsible for approving and monitoring school plans for required components (i.e. 10 school-wide components, targeted assistance components, etc.)

LEA School Plan Assurances

• LEAs must Update School Plan Assurances page.– The Local Education Agency (LEA) hereby assures the State

Education Agency (SEA) that the LEA has worked in consultation with schools in developing and implementing their school plans and activities and has approved the following school plans. These plans meet requirements of ESEA SEC. 1114 or 1115, or T.C.A. 49-1-613, where applicable.

Adding School-level Users to ePlan

• The TDOE ePlan System Administrator is responsible for LEA-level users.

• LEAs will be responsible for adding and deleting school-level users into ePlan. Contact [email protected] with questions.

• Each LEA will designate an LEA user for the role of “User Access Administrator” to maintain school-level ePlan users.

Adding School-level Users to ePlan

• The LEA User Access Administrator will have the ability to add/delete School Plan users, and re-set passwords for School Plan users.

• Instructions for adding School Plan users are located in TDOE Resources under “District and School Planning Tool (ePlan).”

• NOTE: CORE office are not be responsible for reviewing school plans

LEA• Be granted access to more than one school if he/she

works in more than one school
