A “clause,” for software purposes, is defined as a sentence or a paragraph that appears in the body of a document by way of the

“DisplayWord” word processor. The verbiage may be typed into the document directly without saving to a “list.” Clauses are keyed inside

the “Edit” button. Text in the workspace becomes part of the form in the active settlement case file. Saving clauses to a list for future use

in other settlement case files is optional. Words outside the edit button on certain documents may not be available in word processing

format when the form is under copyright protection as these title forms are. Saving certain repetitive verbiage onto a retrievable list saves

time because the clause list that contains the verbiage is available in each settlement case file.

The following instructions for adding a clause to a list uses “merge codes” to substitute for a buyer, seller, and lender name. When the

clause is retrieved into a certain document of a certain case file, the merge code will populate with the actual buyer, seller and lender

name. A list of available codes and their source of information will follow these instructions. The legal description, “Exhibit A,” has a

clause list and uses the same clause features even though the property description is not referred to as a “clause” nor is it a numbered

paragraph. Verbiage may be saved to a list anywhere the “DisplayWord” word processor feature appears.

Click the “Edit” button to begin. Type in sentences and

paragraphs in this workspace and workspaces similar to

"instruments.“ Letters or numbers are generated

automatically and indented, or not, depending on the nature of

the document, i.e., the legal description does not

automatically gain a paragraph number. Verbiage that does not

fit in the space provided by the document will carry over to a

continuation page. The fonts may be changed to allow more

words to fit in the space provided. Clauses are not required to

be saved to a list. Words appearing in this area will appear in

the document, in the area denoted by the "Edit" button. Some

forms have more than one “Edit” button. Simply type

anything appropriate to the workspace. Use the "clause list"

at the appropriate time, if desired.

Save verbiage to the list on the left side, if desired. Block one

or more paragraphs before saving to the list, else the entirety

will be saved together under one reference.

Use this feature at your own discretion.

Insert a Clause

Put your cursor into position first by

clicking the mouse in the workspace

where a clause will appear.

Double click a clause name from the

list to insert the clause at the cursor

position.

Merge codes will be replaced by the

actual name (data) upon exit.

Click the “Edit” button to return to

this workspace and make changes at

your discretion.

Insert Multiple Clauses

Click the (1) Edit button to open the

workspace.

Put your cursor into (2) position first by

clicking the mouse in the workspace

where a clause is desired.

Select certain clauses from the list by

clicking the (3) check box to the left of

the clause name.

Click the (4) “Insert Selection” button

and the selected clauses will appear in

the workspace. To order the selected

clauses, click individual clauses or

multiple at your discretion.

Fill in the “____” blanks that are not

merged. The “merge codes” will fill in

upon exit.

Click the “Edit” button to return to the

workspace to add, remove or otherwise

make changes at your discretion.

Fill-in features

Field Codes

“Use Stop Codes” to locate “_____” blank lines.

NEXT

The “Field Code” feature contains the “Next” button that

locates “_____” blanks quickly. Click “Next” then fill in

the blank. Click “Next” to locate and fill in each

subsequent blanks, or simply click anywhere in the

workspace and type in the appropriate information.

Choose View (View Code Data)

“View Code **Data**”

Click the “View Code **Data**” to reveal information

represented by a merge code. Merged codes are

automatically replaced by actual information upon exit.

Click the “Edit” button to return to the

workspace to add, remove, or otherwise

A file must be open to gain access to any form in

the software. Click the EDIT button on the form to

open “DisplayWord,” the word processor used for

the Legal Description, Schedule B Clauses, and the

Mortgage Description, et al., and then type a clause

or clauses inside “DisplayWord:”

Save Clause(s) to the Clause List

(1) Click “Clause List” from the menu.

(2) Drag the mouse across the text to be saved,

else all the words will be saved together. Click

“Save to Master Clause List.”

(3) Type a name or reference for the clause title

(without the .rtf extension). In this example,

“Sample” will be the reference name for

multiple clauses under one clause title.

(4) Click the OK button to save to the clause list.

Repeat the steps above to revise the clause and save

the revised version. A saved clause revision would

be necessary each year when saving a tax clause

that contains the tax year.

The clause “Sample” now appears on the clause

list.

Clicking on the name from the list allows the

clause to be “Previewed.” Use the saved clause

in any real estate case file.

Due to the fact that a file must be open to access

the clauses, remove any text from the work

space that does not belong to the active file.

Use merge codes in a clause to save time. A

repetitive clause containing a name and other

file-specific information is a good reason to use

a merge code in a clause and save the clause to

the list. The clause with the merge code may be

used in other settlement case files by retrieving

the clause from the clause list instead of typing

the same phrase in every settlement case file.

Insert Merge Code

Type a clause using spaces and punctuation as

you normally would.

(1) Click “Field Codes” from the menu.

(2) Click “Get Code List” from the menu.

(3) Double click the “Field Code” name from

the merge code list. The merge code will be

placed at the cursor’s position.

Click “Clause List” from the menu to save the

clause to the clause list for use in other files.

Use stop codes in a clause when the clause on the list

contains information not available through a merge

code and as a reminder. A repetitive clause containing

a recording date, book, page and other file-specific

information is a good reason to use a stop code in a

clause and save the clause to the list. The clause with

the merge code may be used in other settlement case

files by retrieving the clause from the clause list

instead of typing the same phrase in every settlement

case file.

Type a clause using spaces and punctuation as you

normally would.

(1) Click “Field Codes” from the menu.

(2) Click “Insert” to add a blank line “Stop Code at the

cursor’s position.

Click “Clause List” from the menu to save the clause

to the clause list for use in other files.
