DIGITAL DATA SUBMISSION SYSTEM
The DDS system is used to submit information to the
Energy Resources Conservation Board (ERCB) via
the Web.
Authorized Business Associates are emailed a Login
ID and Password to access the DDS system.
Industry submits such things as
- well test data,
- well packer test results,
- well drilling completion data, and
- FIS notification data.

ACCOUNT SETUP To obtain a DDS account follow the guidelines
• Submit on company letterhead your request for a DDS Login ID and
Password.
• Include the name, phone number, fax number, and email address of
the person who will be your company’s System Administrator.
• Include your ERCB Business Associate (BA) Code.
• Ensure your letter is signed by someone with signing authority (e.g.,
Manager or President).
• Fax your letter to 403-297-7303 Attention: Production and Well Data
Services, or email a scanned copy to the

The Field Surveillance Operations Branch (FSOB)
utilizes the DDS system as a method for industry to
interact with our Field Surveillance Inspection
System (FIS) by allowing them to
• submit notifications,
• view and submit follow-up inspection information,
• view submitted notifications and release incidents,
• view compliance status and provincial enforcement history,
and
• view surveillance drilling activity data.
The FSOB does not utilize DDS. FSOB runs the
FIS program directly.

FIS electronically records and monitors upstream oil and gas
activities and installations. The ERCB FSOB staff use FIS to
track notifications, incidents, and inspections, as well as monitor
Compliance provincially.
The following components of FIS are available on the DDS
System.
- Notifications - Submit notifications about upstream oil and gas
activities for pipeline, facility, and well installations.
- Inspections - Search and view ERCB inspections, submit follow
up notifications for inspection, and view compliance status and
provincial enforcement history.
- Incidents - Search for past release incidents and print, save, or
export the search results to view incident details.
DDS NOTIFICATIONS Notifications can be entered onto DDS by the licensee or an
authorized representative. There are two categories of
notifications: mandatory and non-mandatory.
Mandatory
• Drilling Activities – within 12 hrs of commencement
• Planned Flaring and Venting – at least 24 hrs in advance (Directive 060)
• Unplanned Flaring and Venting – after 4 hours or 30 10³m³ volume
• Pipeline Liner Installation – at least 24 hrs in advance
• Pipeline Construction – at least 24 hrs in advance
• Pipeline Testing – at least 48 hrs in advance
Non-mandatory notifications are filed on a discretional basis for
a wide variety of oil and gas activities and usually only require
contact information, start and end dates, and comments.

NOTIFICATIONS
Once the details of a notification have been entered
by the licensee on DDS, the entry can be submitted
or saved as a draft to be submitted at a later date.
Draft notifications are saved on the Web server for a
period of 30 days.
Once submitted
• the notification information is error checked and any errors that are
found are highlighted for correction before being stored on the
Corporate Database.
• A Submission Acknowledgement is displayed on the screen and
emailed to the licensee contact.

MANDATORY NOTIFICATION INFORMATION
INSPECTIONS
When inspections are entered into the FIS system
by ERCB inspectors, an e-mail is generated to the
licensee contact indicating that an inspection has
been conducted on one of their licenses. The email
identifies the specific licence number and indicates
that it can be viewed on the DDS system.
In DDS, the licensee can
• view all inspections,
• view Provincial Enforcement History and Licensee Compliance
Report Card, and
• follow-up on Unsatisfactory Inspections, submitting comments
as required.

RELEASE INCIDENTS
When reportable releases/incidents are phoned into
the ERCB, they are entered into the FIS system. All
reportable releases/incidents entered by the ERCB
can be viewed on the DDS system.
In DDS, the licensee can
- search the database for past company Release Incidents and
print, save, or export the search results;
- view detailed Release Incident Reports; and
- include or exclude previously owned licenses.
