Overview DataScanner is the plain paper scanning module for DataDirector that scans answer sheets created for

DataDirector assessments and transfers student results to DataDirector.

You must install the DataScanner software on a windows-based computer and use a TWAIN compliant

scanning device. DataScanner uses an internet connection to access answer sheets and create templates

to capture and score student assessment responses.

You will log in to DataScanner using your DataDirector username and password. Once you are logged in,

you have access to the same assessment as in DataDirector. An assessment must have an answer sheet

in DataDirector before it can be used with DataScanner.

Each student that will take the assessment must have an answer sheet printed from DataDirector. After

testing is complete, load the marked answer documents into the document feeder of your scanning

device and start scanning. Once DataScanner finishes processing the answer sheets, review and approve

the scanned sheets, then commit the approved results to DataDirector for analysis and reporting.

Important Notes

You must be running a 64-bit version of Windows to run the 64-bit version of DataScanner and a 32-bit version of Windows to run the 32-bit version of DataScanner. To determine which version of Windows you have installed, see this Microsoft Support Article.

DataScanner does not work on Mac OS, Windows NT, Windows 98 or earlier versions of Windows operating systems.

If you are not sure which service pack or version operating system you are using, simply right-click your My Computer icon, then select Properties.

Your computer and scanning device must be directly connected via a USB cable.

Preparing to Install DataScanner Software

Uninstalling DataScanner - Windows XP Follow these steps to remove existing DataScanner software from a computer running Windows XP.

Step Action

1 Click Start, click Control Panel, then double-click Add or Remove Programs.

Find DataScanner in the Currently installed programs box. Click it to highlight it, then click Remove.

If you are prompted to confirm the removal of DataScanner, click Yes.

Important Notes

• You must have administrative rights to the computer to uninstall and install the software.

• Prior to installing the latest version of DataScanner, the previous version must be uninstalled.

• If you are administrator installing DataScanner software for all users, it is recommended that

full privileges be granted to the DataScanner folder for all Groups and users to ensure that all

users will be able to download and install updates.

Recommended Best Practice: It is recommended that you update Windows and .NET software

to the latest Service Pack. Also, ensure that you have the latest drivers installed for your

scanning device prior to installing the DataScanner software.




Uninstalling DataScanner - Windows 7

Step Action

1 Click Start, click Control Panel, then click Programs and Features.

2 Find DataScanner in the list of programs. Click it to highlight it, then click Uninstall.

If you are prompted to confirm the removal of DataScanner, click Yes.

How Do I Know if I have Administrative Rights? Right-click on the Start button. If the Open All

Users and Explore All Users options are available, you have administrative rights. If not, an

Administrator will need to uninstall/install DataScanner or change permissions to the

DataScanner folder on your system.




Download and Install the DataScanner Software

Step Action

1 Navigate to your DataDirector website (e.g. https://www.datadirector.com/yourdistrictname) and login with your username and password as usual. Choose the school / site where you wish to log in.

Once your dashboard or welcome page loads, change the URL in the address bar from https://www.datadirector.com/yourdistrictname/?News to https://www.datadirector.com/yourdistrictname/datascanner. This will send you to the DataScanner download page.

Download DataScanner by clicking Download DataScanner Version 1.4.X Now and choosing where you would like the file to be saved.

Please note there is a 64-bit version of DataScanner available. You must be running a 64-bit version of Windows to run the 64-bit version of DataScanner. To determine which version of Windows you have installed, see this Microsoft Support Article.

Remember: If you have DataScanner version 1.2.2 or earlier installed, you must uninstall the

previous version prior to installing the latest version.

Before You Begin: You must have Microsoft .Net Framework Version 3.5 (or later) installed.

Microsoft .Net Framework is available free for download from the Microsoft website. Go to

www.microsoft.com/downloads and search for .NET to download and install the latest version.

You must be logged in as an Administrator or have administrative rights to the machine to

download and install applications.





Step Action

4 In the Attributes field, uncheck the Read-only option.

5 Click Next.

6 Select I Agree and click Next.

9 DataScanner will be installed. Once installation is complete, click Close.




Updating DataScanner Automatically

DataScanner now includes an automatic update feature. Automatic updates keep your DataScanner

software up-to-date by checking for and downloading updates every time you log in to DataScanner.

You also have the option to manually scan for and download updates. As a user, you must have

administrative rights for the computer DataScanner is installed on or the permission to install software

on the computer to install updates.

The automatic updates setting can be enabled or

disabled in the “Others” settings tab by clicking

the checkbox next to the Check for version

update during program startup option. You also

have the option to manually scan for and

download updates.

Updating DataScanner Manually Whether or not automatic updates are enabled, you may

check for DataScanner updates manually at any time.

Click Help, then click the Check for Updates… option.

If updates are available, a dialogue box will appear

prompting you to install the updates. Follow the steps in

Installing Updates to continue.

Checking Your Current DataScanner Version

The version number appears in the

DataScanner header when you login

to DataScanner. You can also view the version

number by opening the Help menu, then clicking About.




Installing Updates If automatic updates are enabled, DataScanner will scan for updates every time you login.

If updates are available, you will receive a notification upon logging in. You have the option to click Yes and install the updates or No and proceed with installing updates. If you do not choose to install now, you will have the opportunity to install the next time you sign in or if

you initiate a manual scan from the Help menu.

DataScanner must close to install updates. If there are other programs running that must be closed, they will be listed. Click Close Process or Close All Processes. You have the option to Cancel Update and return to DataScanner without installing updates.

You will receive a notification that DataScanner has been successfully updated. Click Finish to exit. Launch DataScanner to begin using the updated version.

Granting Folder Permissions

Different files and folders have permissions to specify who can read, write, modify and have access to

them. Windows allows you to customize access permissions. Different user accounts created on a

computer can be given Full Control, Modify, or Execute permissions on folders. Groups or users granted

full control for a folder can delete files and subfolders within that folder regardless of the permissions

protecting the files and subfolders.

Folder permissions are shared over networks, so the user or group has the same access on all computers

on the network.

You can only set file and folder permissions on drives formatted to use Windows New Technology File System (NTFS).

Recommended Best Practice: It is recommended that all groups and users be given full

privileges to the DataScanner folder so that automatic updates can be installed by any user

without the assistance of an Administrator.




How to Grant Access to the DataScanner Folder in Windows XP

Step Action

Access the My Computer icon either through the Windows Start menu or from your desktop.

2 Click the Tools menu, then click Folder Options.

3 In the following menu, click the View tab, then click Advanced Settings.

In Advanced settings, find the hidden files and folders option. Enable the radio button next to Show hidden files and folders, then click OK.

Double-click the Local Disk drive (C:) and locate the Documents and Settings folder. Double-click to open the folder.

Remember: For most Windows computer configurations, Program Files is located on the C:

drive. Depending on your configuration, Program Files may be located on a different drive.

In the Documents and Settings folder, open the All Users folder. Find and open the Application Data folder, then open the DataDirector folder.

7 Right-click the DataScanner folder and select Properties from the menu.


9 Click the Security tab.

Click the name of a group or user in the top portion of the window to highlight them. Then, check the Allow box for all of the permissions under Permissions for Administrators.

How to Grant Access to the DataScanner Folder in Windows Vista / Windows 7

2 Double-click the Local Disk drive (C:) and locate the Program Files folder.

3 Right-click the DataScanner folder and select Properties from the menu.

Remember: If you are using a 64-bit system, DataScanner will be installed in a folder named

Program Files (x86) by default. Otherwise, configuration settings will be identical.

Configuring DataScanner

Server Connection Settings

DataScanner requires a connection to DataDirector to operate. To connect to DataDirector, your Server

Connections settings must be configured. The first time you log on you will be prompted to configure

the internet settings. Set the Address and Site Name on the Server Connections tab.

Address: www.datadirector.com Enter the

web address used to connect to the

DataDirector web site. The default setting is

www.datadirector.com.

Site Name The name of the web site that

you are logging into. The same name as

appears in the address bar that you would

enter when connecting to the DataDirector

web site.

The site name is case sensitive and you

should enter the site name in lower cases.

Use the district/consortium name that

DataDirector uses--this is what is typed in

the address bar when logging into

DataDirector. For example, the

my-site-name portion of

http://www.datadirector.com/my-site-

name.

You may click Save to save these settings now and proceed to select your scanning source. If you have

already configured this setting, you can choose an assessment to score, or click the Scanning

Preferences or Others tabs to configure additional settings.

Notes

The Port setting defaults to 443, so this field is not enabled for editing.

The Protocol setting identifies the network communication protocol being used between

DataScanner and DataDirector over the Internet. For security reasons, the only choice is the Hyper

Text Transfer Protocol under Secured Socket Layer (HTTPS), so this field is not enabled.




Select the Scanning Source Once DataScanner is installed, you must select your scanning source before configuring additional settings.

If DataScanner is not already open, double-click the shortcut icon on your desktop or select DataScanner from the Start menu. Enter your DataDirector username and password, then click Login.

If your username is affiliated with more than one site or group, you will need to select the appropriate site or group to log in under.

4 Select the appropriate scanner from the list that appears, then click Select.

Scanning Preferences The Scanning Preferences tab contains settings to adjust the sensitivity of your scanner. All scanners

produce different quality images, even when they are the same model from the same manufacturer. For

consistent results, each scanner used with DataScanner must be calibrated to produce ideal results. The

calibration process consists of adjusting the marked and unmarked bubble sensitivity as well as the

registration mark margins of DataScanner.

Click the File menu, then Configuration, followed by Preferences. Then, click Calibrate.

To configure your calibration setting, click Calibrate in the Registration Mark Margins section, then select your paper size (letter or legal).

You will be prompted to load an answer document into the automatic document feeder of your scanner. Allow the document to feed into the scanner, then click OK.

4 You will now configure the registration mark calibration settings.

Option 1 - Always Calibrate Before Scanning Documents: When checked, this calibration screen will always pop up before a user can scan a new batch of answer documents.

Remember: Do NOT write anything on the marks or close to the registration marks of your

document, as inaccurate results may be produced.

Option 2 - Paper Size: Use this to select the paper size that corresponds to the document you wish to scan.

Option 3 - Re-scan Document: Place an answer sheet onto the automatic document feeder of your scanner and click this button to rescan your calibration page.

Option 4 - Registration Mark Margins: Registration mark margins tell DataScanner where the registration marks are. Adjust the top, bottom, left and right margins appropriately so that the dotted red lines on the preview image are just outside of the registration marks (the small black sideways T’s). If the marks fall outside the dotted red lines, inaccurate results may be produced during scanning.

Option 5 - Save Settings: Save the margins you’ve set to a configuration file, making the settings available for application to subsequent scans. Clicking this option will close the window and return you to the Scanning Preferences page of the Configuration window.

Option 6 - Close Without Saving: Clicking this button will close the window and return you to the Scanning Preferences page of the Configuration window without saving your settings.

The Scanned Image Preview is displayed to the right of the control panel. This image shows exactly what was received by your scanner from your calibration sheet. Different scanners will produce a slightly different image, and it is possible that the margins will not look the same in the preview window as they do in the actual document. Ensure the margins have been adjusted so that the registration marks (the small black sideways T’s) are tightly bound by the red lines.

After saving your calibration settings and returning to the Configuration window, set your margins so that the registration marks (the small black sideways T’s) are tightly bound by the red lines. The default value is 0.25 for all four margins. Click Save once your margins have been set. You can also adjust the Marked and Unmarked Bubble Sensitivity here.

Marked Bubble Sensitivity is used to control at what density a bubble is considered as a marked bubble. The default value is 60%.

Unmarked Bubble Sensitivity is used to identify and include or exclude marginally marked bubbles. The default value is 20%.

Others Preferences The Others tab contains optional settings to better customize default DataScanner preferences. These

settings and preferences may be changed back for troubleshooting purposes, but generally will not need

to be changed once set.

Area / Purpose Appearance

Default Download Directory is the default directory in which all downloaded files are saved.

Log Files Directory is the default directory in which all log files are saved.





Server Connection Timeout sets how long (in seconds) DataScanner will try to re-establish a lost connection with the server before an error message is generated. If you are receiving time out errors when attempting to start DataScanner, adjust this setting from 60 (default) to 120.

Check for version update during program startup will make DataScanner check for updates whenever the program is started. This option is enabled by default. See Updating DataScanner Automatically for more information.

Hide scanner program menu lets DataScanner automatically set scanning parameters. Unchecking this option displays the manufacturer's user interface and allows you to set these parameters manually. Please note that some scanners may not support this feature.

The following parameters must be set for DataScanner to work properly:

Resolution: 300 x 300 dpi

Scan Type: Black and White (1 bit per pixel)





Approve blank answers allows DataScanner to approve answer sheets with blank answers.

The Use a different exam template option is disabled by default.

Enable error log allows users to log software-generated error messages to a text file. This option cannot be disabled. To clear the log entries, click the Clear Log button.

Enable logs for committing results logs scanning results to a text file. All information captured is cumulative. To clear the summary log, click the Clear Log button.

Always calibrate before scanning documents automatically calibrates before scanning documents. All information captured is cumulative. To clear the summary log, click the Clear Log button.

Approve multiple answers allows DataScanner to accept documents with multiple answers darkened for a single question.




Using DataScanner

Starting DataScanner

3 Proceed by following the steps in Scanning Answer Documents.




Scanning Answer Documents Before scanning answer sheets, a template that corresponds to the answer sheets need to be selected.

The template provides information about the answer sheets, so that DataScanner knows exactly where

to find the data on the sheet.

Step Action

1 Login to DataScanner as instructed in Starting DataScanner.

Select an assessment to scan answers for using the filters provided (see 2a) or by searching for a specific assessment ID (see 2b).

Use the Subject, Academic Year, Grade and Scope filter options to narrow the list of available assessments in the bottom portion of the screen. Ensure you are choosing the filter settings used to find the same assessment in DataDirector.

Click your desired assessment in the list. DataScanner will retrieve the assessment template displayed it in the image viewer.

Verify that the image on the screen is the same as the answer document you are about to scan. Choose Yes in the confirmation pop-up box that appears if so.




Step Action

Load your students’ answer documents according to your scanner’s specifications, then click Scan Now.

You will receive a pop-up message indicating the number of documents processed when all the documents you loaded have been scanned.

7a Click Finish to close scanning for this test.

Click Continue to scan more documents for the same test. Do not attempt to scan documents for a different test at this time.

Error Log Errors may occur when committing results to DataDirector due to incorrect site ID, assessment ID,

student ID, teacher ID, or network connection issues. A log is created to capture these errors and allow

the DataScanner session to continue without interruption.

These errors are displayed in a pop-up log browser after all the results are committed to DataDirector.

This log may be saved as a tab-delimited text file on your computer.




Reviewing the Scanning Summary The scanning summary indicates the number of documents scanned, processed, and approved for a

particular assessment. Reviewing the scanning summary provides users an opportunity to spot and fix

errors, if necessary.


Scanned: The number of sheets identified by the scanner. Processed: The actual number of DataDirector answer documents recognized. Approved: The number of answer documents ready to commit to DataDirector.

The summary will also indicates if there were any scanning errors or documents which did not process.

Click the Why? button for an explanation of why the document did not process, or click the How Do I

Fix? button for tips on fixing the error.

Click Ok after reviewing the summary and addressing any errors.




Reviewing, Approving, and Committing Results

Reviewing Results

DataScanner automatically displays unapproved answer documents. After reviewing these documents,

you can check the Approve this document option to include it for scoring.

You can use the Document Filter to view the other categories of documents:

All Documents: This option displays all scanned documents regardless of their status.

Approved Documents: This option displays only documents that have scanned correctly and are

ready to commit to DataDirector.

Disapproved Documents: This option displays only documents recognized as DataDirector

answer sheets, but which contain errors.

Unprocessed Documents: This option displays only documents not recognized as DataDirector

answer sheets.

Approving Results

Click the checkbox next to Approve this document to mark an answer sheet as approved for

commitment to DataDirector.

See Troubleshooting Disapproved or Unprocessed Documents for steps on fixing documents that didn’t

process.

Committing Results

Verify in the Summary that all answer

documents have been processed and

approved. The Total column should

reflect all documents scanned. If all

documents have been accounted for,

click Commit Results. Results are sent to

directly to DataDirector after commitment and quickly become available for viewing and reporting.




Clearing Results

If the acquired images or the data appear incorrect, you can clear the results instead of committing the

results and process the answer sheets again. You can also clear the data after the results have been

approved and committed, then start scanning another set of documents for the same test without

repeating the search and re-selecting it in the list.

There are several ways to clear DataScanner results:

Option Appearance

Click Action, then Clear Data, then Keep Scanning. Alternatively, press Ctrl-X.

Click the Clear Data and Start Over button above the Summary window.

Accessing the Results of Scanned Tests Login to DataDirector to view the data from

your scanned answer documents.

Locate the assessment and open the

Assessment Overview page. Scores from the

scanned answer documents will be reflected

here.

Click on any of the Assessment Reports to

generate the report as usual, using the data

from the scanned results.




Unapproved Answer Documents

In nearly all scanning scenarios, DataScanner expects exactly one marked bubble for each row or column

of bubbles. Answer sheets with more than one bubble marked for a question, such as "A" and "B"

instead of just "A", will not be approved.

This is to alert you that marginally marked bubbles may exist and provide an opportunity to decide

whether these should be treated as marked or unmarked.

Documents that are unapproved are displayed with the student responses that were not approved

flagged in yellow. Some reasons a document may not process include:

Missing identification information (student ID, teacher ID)

Incomplete bubbles

Multiple responses to a question

A sheet was skewed or twisted during scanning

DataScanner did not recognize the scan sheet because it could not locate the registration marks

DataScanner will check question types on an assessment against the DataDirector answer sheet. If

Multiple Response questions are detected, DataScanner will automatically accept and grade scanned

documents without flagging double bubbles as an error. No additional action is required by the user.

How to Resolve Issues with Unapproved Answer Documents

You have several options to resolve errors caused by improperly completed answer sheets.

You may ignore all highlighted (yellow) responses in the Document Detail window and score them as incorrect by leaving them blank and selecting the yellow Approve this document box.

Click the yellow text and make manual corrections, then click the yellow Approve this document box.

Adjust the Bubble Sensitivity. Click the Down arrow to decrease the sensitivity if bubbles are dark, or click the Up arrow to increase the sensitivity for light bubbles. Click Recapture Current or Recapture All to instantly recapture answers using the new sensitivity settings for either the current sheet or all sheets, respectively.

You may set DataScanner to automatically approve documents with blank responses by going to File, then Configuration, then Others. Click the checkbox next to Approve Blank Answers. Use this option with caution. This is not recommended for general use, as faintly bubbled responses may not be detected and may incorrectly display as blanks.

Troubleshooting

Answer documents may be marked as Unapproved if student responses are not detected. If responses appear bubbled in on the left side of the screen, but appear as yellow blanks on the right side of the screen, DataScanner may not have recognized all six registration or “T” marks.

Check your printer settings to ensure it is set to Fit or Scaled to printer margins before printing answer sheets from DataDirector.

Attempt to rescan. Click the red Clear Data and Start Over button, then start your scan over.

Remove the documents from the automatic document feeder, adjust the sheet feed guides, replace the documents, then rescan.

Clean your scanner. Scanners collect dust, pencil residue, and other particles as part of routine use. These elements may eventually cause documents to twist, crumple, or clump during scanning. Periodically clean the scanner glass and rollers according to the manufacturer’s instructions.

Be sure you are using the most recent version of DataScanner. If there is a newer version available, check for automatic updates. If you are using version 1.2.2 or earlier, you will need to uninstall the old version before upgrading.

Close and restart DataScanner.




Printing Tips and Recommendations It is recommended that a small test

Using a laser printer for answer sheet printing is recommended. Ink or bubblejet printers should be

avoided if possible.

Download Adobe Acrobat Reader version 7.0 or higher. Use this program to open and print your

PDF. This will allow you to select Acrobat Reader in your printing preferences.

Ensure that the Page Scaling option is set to Fit/Reduce to Printer Margins/Printable Area (verbiage

may vary slightly depending on your printer).

Ensure that the three sideways “T” registration marks that appear along the top and bottom of the

sheets in Print Preview are printed on the actual answer sheets before administering an assessment.




FAQ

Why do I need to calibrate my scanner?

Calibrating allows accurate answers to be picked up by DataScanner by finely adjusting the scanner so

that it correctly renders the registration (”T”) marks on your answer sheet. This is especially important if

answer sheets from different print sources are being used in the same scanner.

Why are there commas in my Student ID?

This happens when the scanner does not read the student ID bubbles correctly - most often, this

is due to answer sheets that were not calibrated before scanning.

The bubble sensitivity may not be adjusted appropriately.

Check to ensure that the scanner did not “dog-ear” your answer sheets. If the upper left or right

corners were folded over and covering the registration marks, this will affect the readability of

your answer sheets.

Can I edit student responses after scanning?

Yes. Once you have scanned the answer sheets, you may make answer adjustments in the

Document Detail window on the right side of the screen.

You may also make corrections to student responses within DataDirector. After scanning,

proceed to DataDirector and locate your assessment. Open the Overview page. From there,

click on the Data Entry link to manually edit student responses.

If you would like to re-scan a sheet for a student whose responses have already been committed

to DataDirector, you must delete their responses from DataDirector first.

What does the bubble sensitivity setting do?

Bubble sensitivity allows you to adjust for students that did not mark heavily (dark) enough. Simply raise

or lower the sensitivity levels to adjust for this - lighter bubbles require higher sensitivity, and darker

bubbles require less sensitivity. Having your bubble sensitivity too low or too high may also cause

commas to appear in your student or teacher IDs.

How do I scan more answer sheets once I have committed results to DataDirector?

If you have more answer sheets to scan after committing a batch, click the Clear Data and Start Over

button.




What does the error message “An unhandled exception error has occurred” mean?

If you receive an Unhandled Exception Error stating, "The specified module could not be found

(Exception from HPRESULT...," you must install the HP scanner driver even though you may not be using

an HP scanner.

Why is the image on my screen blank when I am scanning?

Ensure that you have not placed any of your answer sheets into the document feeder upside

down.

One or more of your “T” marks may have been covered or obscured.

How can I best maintain my scanner? How should I clean it? (Multi-Function Brother Scanners)

Periodically clean the scanner glass and rollers according to the manufacturer’s instructions. It is also

recommended that you have your scanners either professionally maintained or purchase scanner

cleaner kits.

I get the error message “The scanner is offline.” What should I do?

a) Verify that the USB connection between your scanner and the computer has not been undone.

b) Verify that the correct scanner is selected as the scanning source. See Select the Scanning

Source.

c) Go to File, then Configurations, then click Connections. Make sure the address has

www.datadirector.com and the site name matches the URL in the address bar used when logged

into DataDirector. See Server Connection Settings.

My device is no longer listed in the Approved Scanners list. Will it still work with DataScanner?

Certain devices have been discontinued by the manufacturer and therefore were not available for

testing with the latest release of DataScanner. The following list of dedicated scanners, multi-function

devices, and business copiers are currently discontinued and could not be acquired from the

manufacturer for testing.
