User Permissions options provide the ability to restrict user access and functionality

User Roles: What, Why, and How


User Roles

A User Role is comprised of a group of

permissions

Each permission defines what type of

access (view/create/modify/delete) is

given to each feature

Every user must be assigned a User

Role


Standard User Roles


Administrator

Full view and write access to all

menus, features, and functions.


Bill Entry & Account Setup

Full view and write access to all

menus, features, and functions with the

exception of User Role

creation/modification

Ideal for a Data Entry Specialist


Building Administrator

View access for all

menus, features, and functions

Write access is limited to building and

meter Setup data


Bill Entry Only

Ideal for distance users who receive

bills and need to enter them into the

system

Cannot create or modify other data in

the system but have full viewing access

to all parts of the application


Building Manager-View Only

Intended for a department/building

manager or a consultant

Has View access only

Limited to six menus:

Home, Buildings & Meters, Groups &

Benchmarking, Accounts, Vendors &

Rates, and Reports.


Public-View Only

Grants view only access to four

menus: Home, Buildings &

Meters, Groups & Benchmarking, and

Shared Reports

Similar to Building Manager View

Only, but does not allow view of

Vendors & Rates and Accounts.


Public-Reports Only

View access to Shared Reports in the

application

Ideal for users that need to actually run

reports on a periodic basis but would

otherwise find the other data viewing

options overwhelming and not useful


Creating Custom User Roles

Only created and assigned using the installed client User Manager

Clearly define the access or restriction of the new role

Create a matrix utilizing the User Permission Checklist

Create the new role via the User Manager

Topmost Place and/or Cost Center

Meters and Accounts are viewed in hierarchical tree structures

Meters > Buildings (Place) > Sites (Parent Place) > Regions (Parent Parent Place) > Root Node

Accounts > Cost Centers > Departments (Parent Cost Centers) > Regions (Parent Parent Cost Center)> Root Node


Topmost Place and/or Cost Center


Module/Manager Restrictions


View Only Access

Allows many users to view and report on data

Maintains database integrity

Can be restricted to show only Building level data

Utilized by State of Maryland to share data with the Public
