Tip Sheet #7 Creating an Electronic Book in Microsoft PowerPoint 2010

Getting Started

This activity will guide the user through the creation of a simple book in Microsoft PowerPoint 2007. The completed book will allow users to advance through the book with a left mouse click. A headset microphone is required to complete this activity. Text and pictures required for this activity are posted at http://assistivetechaiu.wikispaces.com/Tip+Sheets.

Downloading Pictures

Several images have been uploaded to the wiki for use with this project. The images were taken by Scott A. Dougherty and may be used for educational, non-profit purposes. Use of images from other sources require users to be aware of copyright limitations that may be associated with them. Links relating to copyright issues are provided at the end of this document.

1. In instances where an image is displayed on a web-page, right-click on the picture and choose the option to Save Picture As… and choose a location where the file will be saved. If the image requires a citation, note the URL of the file and the date that it was accessed in your notes.

Creating the Slides

1. Launch Microsoft PowerPoint 2010 – slide thumbnails are arranged along the left-hand side, the slide workspace is on the right, and an area for notes spans the bottom.

2. Click on the placeholder labeled as “Click to add title” and type “San Diego, California”. Type the writer’s name where the placeholder says “Click to add subtitle”.

3. Click on the Design tab in the Office ribbon and locate the grouping for Themes. Expand the choices using the expand arrow on the scrollbar and select the theme named Paper to apply it to the slide presentation.

4. Press CTRL+M on the keyboard to create a new slide. A new slide appears with placeholders labeled “Click to add title” and “Click to add text”. A new thumbnail is also added to the panel along the left side of the screen. Alter the way the slide is structured by navigating to the Home tab and clicking the Layout icon (in the Slides grouping). Choose the option for Picture with Caption to apply the change to the selected slide.

5. The thumbnails on the screen will change to reflect the chosen layout.

a. Add “San Diego, California” to the placeholder labeled “Click to add title”. b. Click in the narrow, long box labeled with “Click to add text” to enter text for the story. This can be typed

or pasted from the San Diego Text.txt file located on the wiki.

6. Click on the small, mountain icon in the center of the placeholder labeled Click icon to add picture. Locate the photo named San_Diego_Skyline.jpg and click Insert.

7. Press CTRL+M to create a new slide in the presentation. The new slide will use the same layout as the slide

that is currently displayed.

a. Add text and the image for USS_Midway.jpg to the slide. Add San Diego, California to the title section and type or paste text for the second slide from the San Diego Text.txt file located on the wiki.

b. Click on the Insert tab, choose Picture, and locate the file named USS_Midway_2.jpg. Click Insert to add the picture as a second image.

c. Once the image is inserted, click on the picture to display the image handles. Resize the image proportionally (i.e., to resize it without making it look stretched) by holding down the Shift key as the handle is dragged.

d. To match the appearance of the image border, click on the new Picture Tools tab that appeared on the ribbon, and choose Soft Edge Rectangle from the Picture Styles grouping.

8. Continue inserting new slides with text and images as noted in the San Diego Text.txt file located on the wiki.

9. Save the file as a PowerPoint Presentation named My San Diego Storybook.

Managing Transitions

1. Once all slides have been created, click on any slide in the thumbnails that appear on the left-hand side of PowerPoint’s workspace. Press CTRL+A on the keyboard to Select All thumbnails. A highlighted border will appear around each thumbnail in the panel.

2. Click on the Transitions tab of the Office ribbon and locate the Transition to This Slide grouping. Click on a transition to select it. It will also preview the transition in the slide workspace window.

Note: To select contiguous slides, click the first desired slide to select it. Once highlighted, hold down the Shift key and click the last slide that is desired. All slides between the first and last ones that were clicked will also be selected. If non-contiguous slides need to be selected, hold the CTRL key down and click on each individual slide to add to the selection; CTRL+Click on a selected slide in order to deselect it.

Adding Audio

PowerPoint offers several options for including audio in the presentations that users create. One option is to add narration. While this is a useful and quick means for adding audio, the drawback is that audio cannot be disabled in the presentation (it may be muted, though). Another option is to add individual recordings that a user can opt to play, if desired. A small icon on the screen can be presented to serve as the means for playback.

Adding Narration

1. Connect a headset microphone to the computer. Once it is installed, adjust the microphone and ensure that any mute buttons are not enabled. Click on the first slide in the presentation.

2. Click on the Slide Show tab of the Office ribbon and select the icon to Record Slide Show by clicking on the clock icon.

a. A dialog box appears. Keep both options checked. b. Click Start Recording. The presentation will switch to Slide Show mode.

3. A timer will appear in the upper left-hand corner of the screen. Begin speaking once the counter starts advancing. Click the mouse to advance to the next screen. Continue speaking and advancing until the last slide is displayed and narrated.

4. After the final click, PowerPoint will sync the audio files and display a screen showing thumbnails of the presentation that include timestamps for the recordings on each slide.

5. Save the PowerPoint to retain the changes.

Adding Sound Files

1. Connect a headset microphone to the computer. Once it is installed, adjust the microphone and ensure that any mute buttons are not enabled.

2. On the computer desktop, click on the Start Button and click All Programs. Select Accessories and launch the application named Sound Recorder.

3. Click the Start Recording button to begin. Pause briefly after clicking Start Recording and before Stop Recording to ensure that the audio is not clipped. Once the first slide’s content has been recorded, click Stop Recording. ALT+S can also be used on the keyboard to start and stop recordings.

4. A Save As… dialog box automatically appears. Save the file with a recognizable name, such as the topic and slide number. In this case recordings are sequenced from San Diego Recording 01.wma through San Diego Recording 07.wma.

5. Select Slide 1 in the presentation. On the Office ribbon, navigate to the Insert tab and locate the Media grouping. Click the Audio icon and choose Audio from File… if prompted.

6. Select the recording named San Diego Recording 01.wma. Click Insert. 7. Click-drag the Play icon that appears. Position it in a corner of the slide. Repeat the steps for each remaining

slide and recording. Save the PowerPoint once all recordings have been inserted.

Running the Presentation

1. If necessary, save the file to maintain all changes made to this point by pressing CTRL+S on the keyboard. 2. Navigate to the Slide Show tab in the Office ribbon. The first grouping holds controls to Start Slide Show.

Click From Beginning to launch the slide show. 3. Alternatively, a small group of icons is clustered along the bottom of the PowerPoint window. The fourth

icon (just to the left of the zoom slide bar) launches the show. 4. Press Escape on the keyboard to return to Normal view.

SLIDE 02 San Diego is a large metropolitan area in Southern California. It is situated near the border with Mexico. A major border gate is located near the Mexican city of Tijuana.

SLIDE 03 Today San Diego is the site of a major United States Naval Base and Air Station. Historic ships such as the Star of India and the USS Midway can be toured in the harbor.
