ACCREDITATIONSAll our operational UK and Ireland sites are certified to international management systems standards ISO14001, ISO 9001, ISO 45001 for environment, quality assurance and health and safety as part of our integrated management system. This is supported by a programme of targeted and monitored initiatives and a culture of continuous improvement.
As part of our commitment to independent verification of our performance, as well as the combined management system audits carried out by LRQA, we are also assessed by Achilles UVBD which reviews the management of risks in our supply chain. We are proud to have achieved a score of 100% in our 2018 Achilles UVBD audit.
Successful completion of a Furniture Industry Sustainability Programme audit confirms an organisations commitment to achieving FIRA’s (Furniture Industry Research Association) principles of sustainable development.
Integral to our commitment to independent assessment and the provision of transparent information to our stakeholders is the production of our greenhouse gas footprint, assessed annually by SGS to ISO 14064. The report details our scope 1-3 emissions by source per calendar year.
The verification of our emission associated with deliveries has meant that we have been able to work with ClimatePartner to purchase carbon offsets, thereby providing our customers with carbon neutral deliveries.
In addition to our external verification audits Office Depot has been granted “into the place and quality of Supplier of Stationery, Furniture and Printed Stationery” to both Her Majesty the Queen and His Royal Highness the Prince of Wales. By achieving Warrant status this puts Office Depot in a very select group with other Warrant holding companies such as Bentley Motors, Bollinger, Burberry, Fortnum and Mason, John Lewis, Land Rover, Spode, Twinings and Waitrose.

We have a specialist team in place to assess and advise our colleagues on how to minimise any risks to themselves and the company.
Our Safety Management System is certified and complies with ISO 45001. This system is tailored to the employees within the business.
The Behavioural Safety Program re-enforces our safety culture, which we see working in action through our decreasing accident rate and reportable incidents. This system is operated through the concept of continuous improvement via ongoing consultations with all affected stakeholders.
Our compliance representatives have the responsibility to make sure that work areas
are maintained in a safe condition. They are trained to advise and guide their colleagues.
We have an ongoing programme of training for all colleagues to ensure they are aware of the potential risks they are exposed to. In summary, this training falls into three categories - initial training, assessment of competency and refresher training.
Our contractors are also vetted on their safety and competence in working practices before approval to come on site. Insurances and a RAMS (Risk Assessment and Method Statement) must be signed off and approved before any work commences on site.

COMMUNITY& CHARITYWe are passionate about community and charity work and support both national and local projects every year.
We have a dedicated Community & Charity Committee across the UK and Ireland. Each year employees vote in a national “chosen charity” to support over the 12 months. We also offer the Payroll Giving scheme, enabling colleagues to donate a percentage of their salary to their preferred charity.
In 2019 the chosen charity is The Alzheimer’s Society. Not only are we taking part in fundraising activities, from cake sales to marathons, but colleagues across our sites are now trained “Dementia Friends” – here’s what one of our Dementia Friends had to say:

“We are part of Leicestershire Cares and work closely with Action Together. Some of the initiatives that our employees support with are the Go for Reading scheme, practice interview sessions and work experience with local schools, and community work such as room painting or gardening.
Employees volunteer to take part in these activities, and are allocated time away from their work to be involved. Not only does this benefit the charities and local causes, it’s also great for the individuals, often learning new skills, growing in confidence, and getting the feel-good-factor for giving something back!

Time To Talk Day 2019
Mental health problems affect one in four people, so colleagues across all sites wanted to show their support and raise awareness by taking part in the Time to Talk Day 2019. Information was available and colleagues were encouraged to make a pledge as to how they would promote positive mental health in and outside of the workplace. Following on from this, we are now training employees to become Mental Health First Aiders.
Cancer Research Race for life
Office depot colleagues have taken part in Race for Life events raising money for Cancer Research UK. Always a popular one, ladies from across sites put on their pink and took park in Race for Life events. Office Depot’s charity committee added to their sponsorship too!
Ready, Steady, Glow
A number of colleagues took to the streets for the sponsored walk for The Alzheimer’s Society. As our chosen charity this was the first of many events that our colleague took part in. It was a night time walk at Manchester’s Media City - one participant was Michael from our Customer Services team, who raised money with his Guide Dog Tommy.

CASE STUDYPhoenix Resource Centre
Phoenix Resource Centre is an award-winning UK charity, with a sister non-governmental organisation (NGO in Ghana). They are an environmental charity collecting resources from industry and redistributing to schools, hospitals and other charities. They are rapidly expanding into other fields including disability support, employability and upskilling.
We have been working together for over 5 years, redistributing the company’s surplus, returns and end of line products to our partner projects in the UK and abroad. Recently we have sent over £40,000 worth of new surplus furniture, ¾ of a 40-foot container, to one of our educational projects in Djibouti, East Africa.
Over the past few years we have redistributed furniture, stationery, medical and other items, with a value in excess of £500,000 across numerous countries including Ghana, Sierra Leone, Romania, Uganda and Syria.

GREENHOUSE GAS MANAGEMENTGREENHOUSE GASES
SGS is a world leading inspection, verification, testing and certification company who we work with to assess our greenhouse gas footprint to ISO14064 on an annual basis. Our report outlines our scope 1-3 emissions and this allows us to understand where reductions can be made (and to measure how well we are doing with said reductions).
CARBON NEUTRAL DELIVERIES
ClimatePartner offer several climate protection solutions. We work with them to invest in carbon offset projects to offset our delivery carbon emissions and also contribute to the United Nation’s Sustainable Development Goals.
Through offsets purchased in two projects run by ClimatePartner we can now provide carbon neutral deliveries to our customers.
The first is a Gold Standard VER project distributing clean and safe cookstoves to local communities in Tanzania. The population of Tanzania’s depends on dangerous methods of cooking and purifying their water with the use of firewood resulting in deforestation. Furthermore, consumption of biomass for cooking results in indoor air pollution, public health and environmental implications.
The second project is the VCS Kaladonger wind power project in Rajasthan, consisting of 36 wind turbines with a combined capacity of 75.6 MW. This project contributes to the sustainable economic and environmental development of the country and reduces the supply demand gap for power. The project lessens poverty through direct and indirect benefits via employment generation and the improvement of the local infrastructure.
CUSTOMER CARBON REPORTING
Through our standard management reporting we provide customers with a Carbon Footprint Report. This report measures, based on averages, the greenhouse gas impact in the packing and delivery processes associated with the customers trading relationship with us.
CONSOLIDATING SUPPLY
We work with our customers to identify opportunities to consolidate orders which
leads to fewer deliveries and lower CO2 emissions. This consolidation can take a number of shapes and can be as simple as bundling existing orders into fewer, larger deliveries or putting in a minimum order threshold to prevent lots of small orders.
Through the breadth of our business offering, we can also become a ‘one-stop-shop solution’ allowing customers to consolidate the supply of office products, IT consumables, furniture, print, janitorial supplies and thousands of other business products. This brings with it benefits beyond a reduced carbon footprint through fewer deliveries, it also reduces administration time and costs (fewer suppliers to deal with) and can also reduce product costs through bulk order discounts.

PACKAGING REDUCTIONFILLING BOXES
We have introduced several initiatives to help the environment. Filling boxes is a very simple one that allows us to use less packaging and customers to use less space. It allows more space onto our vehicles, reduces the number of journeys and vehicle emissions.
To maximise box fill we have:
• Developed a wider range of carton sizes, increasing the box fill rate.
• Increased the products allocated to post bags therefore using fewer cartons each day.
• Adapted supply chain systems to consolidate customer orders automatically for picking and delivery and reducing on-road mileage.
• Full case reduction which consolidates two streams of pick pack into a single carton.
RECYCLED POST BAGS
We use post bags that are made with at least 92% recycled plastic and ‘peelable’ labels to improve levels of re-use and recycling when products are too small for cardboard boxes.
TRANSIT PACKAGING
All our products come in different sizes, therefore so do all our boxes - which are either Forest Stewardship Council (FSC) certified fibre or recycled cardboard. Our Leicester warehouse uses the highly sophisticated Savoye Jivaro lidding machines to ensure each box is cut down to the correct size suitable for the products packed inside it; eliminating the additional use of material to ensure the carton is more robust.

Working together with a leading UK University to achieve our environmental goals
CASE STUDYOriginally, The University of Bristol were ordering through Office Depot via a third party hosted catalogue which did not make order consolidation an easy process. As such, we saw an extremely high numbers of low value orders being processed which meant the estate was receiving hundreds of small deliveries per week.
This was highlighted through our account reviews and the customer was keen to positively influence their impact on the environment but also make the ordering process easier for end users. We worked together and developed a plan, and in January 2018, they moved to a punchout account with low value orders clearly discouraged through messaging on their bulletin boards and pop up banners.
The consolidation of product categories was encouraged by having a wide range of products available. We also activated the ‘switch and save’ option with a green emphasis, again driving customers towards the best sustainable products.
We agreed to a focus period of six months where we discussed non-essential low value orders in every conversation with the end users. We also updated the messaging on the punchout bulletin board regularly, and had great control on the products that we made available. If there was a green option, we promoted it, only Fairtrade catering products were available, we blocked bleach, and looked to drive consumers to larger pack sizes and recycled options for their general office products.
Towards the end of 2018, we pushed out this celebration of our achievements. Not only did this make The University of Bristol a greener place to work and study, it reduced the amount of traffic on site making it a safer place to be.
This work is of course an ongoing initiative. We have the support of a great procurement team who continually strive to make improvements, recognising that no matter how small the change is, it will always make a positive contribution to the overall achievement.

Environmental Innovations for Virgin Money
We have a long-standing relationship with Virgin Money to supply their general office supplies and banking consumables. They have an aggressive Greenhouse Gas (GHG) reduction initiative within their business, looking to remove GHGs by 2030. As one of their strategic partner we have used our environmental experience to improve the sustainability of their procurement.
ENGAGEMENT WITH SENIOR TEAM
We work closely with the senior team at Virgin Money to continually review and discuss key initiatives within their business. Part of this collaboration includes visits at our Ashton Distribution Centre, with a tour focused on areas of sustainability within the warehouse and the actions we are taking to realise more sustainable work practices.
MONTHLY REVIEWS
Through regular meetings we discuss the sustainability of the products within the range. Using our bespoke Management Information Pack, we look for a mixture of alternative ‘green’ products and competitive Own Brand products to drive sustainability without increasing costs.
CASE STUDY
ENVIRONMENTAL WORKBOOK
Our quarterly Environmental Workbook enables our Virgin Money’ counterparts to work with their teams to assess carbon footprint and analyse potential progress that can be made in this area. A good example of the changes that this book has generated is the move to reduce deliveries to fortnightly to the Head Office and branch network. If an emergency delivery is required we are able to action this but it does incur a charge, which has been agreed as a way to encourage users to procure wisely.
AWARENESS AND TRANSPARENCY
We ensure that all users are fully aware of the initiatives we implement, with Account Managers promoting our sustainable products and services. Where possible we like to engage directly with end users, such as the 10-day roadshow before Earth Day in April 2017. Alongside roadshows, we will distribute information and goody bags to try and ensure we reach the widest audience possible.
RECYCLING INK AND TONERS
We actively promote the recycling of toner boxes that are present in Head Office, and every branch along with literature explaining the initiative. We report quarterly on the number of toners that are recycled via data gathered from our toner partners.
ADDITIONAL PRODUCTS
We work with Virgin Money to look to extend the core list of products in their assortment to ensure we have the widest range of Fairtrade and ethical products possible, encouraging users to purchase from these products. We are also working together on a furniture project where our brief is to provide environmental accreditations for everything we supply.

8 MILLION TONNES of plastic ends up in our oceans each year
MORE THAN 400 MILLION empty ink and toner cartridges are thrown away every year - that’s one million cartridges per day or 11 cartridges per second. The majority of these end up in landfills, which are the biggest contributor to soil pollution. A cartridge that ends up in landfill can take up to 1000 years to decompose.
ALL PLASTIC IS MADE FROM OIL. Oil is a non renewable resource. Recycling your printer cartridges will save 42 million litres of oil in just seven months
REUSING CARTRIDGES saves an average of over 0.9kg of metal and plastic waste from being deposited in landfills.
• Office Depot toner cartridges are remanufactured. This means that they have been given a second life. As a result, the use of natural resources (such as oil) and new materials has been minimised. In addition, waste production has been limited and recycling increased.

PILOT is a pioneer in writing instruments, being among the first to offer a full environmentally friendly range.
Launched in 2006, Begreen is a range of pens manufactured from recycled plastic which matches the varied needs of consumers. Since 2006 the sales of Begreen is equivalent to the annual petrol consumption for 1700 cars.
It is one of the largest ranges in the market with 23 different models in different colours and sizes: by recycling plastic, we give a second life to waste and preserve our natural resources.

In hotels, restaurants and cafés for example, hygiene plays a key role for reputation, not only preventing spread of illness from the kitchen to customers, but also in keeping all areas fresh and presentable at all times. In hospitals, up to 70% of healthcare-associated infections can be prevented with improved hygiene practices, and improved hygiene standards in preschools and schools can reduce absence rates with up to 54%.

When you choose Original HP cartridges, you’re taking part in a circular economy.
HP’s groundbreaking closed-loop recycling program uses plastic from recycled Original HP cartridges (plus recycled bottles and hangers for ink cartridges) to create new Original HP cartridges.
Through 2018, driven by our Planet Partners recycling program, HP has manufactured over 4.2 billion HP ink and toner cartridges using more than a cumulative 107,000 tonnes of recycled plastic.
Today more than 80% of HP ink cartridges and 100% of HP toner cartridges are made with recycled material.

HP uses recycled plastic bottles collected in Haiti and from other sources in the manufacturing of Original HP ink cartridges. This effort helps to create sustainable jobs, brings opportunity to the people in Haiti, and helps prevent plastics from reaching the Caribbean Sea.
Through March 2019, we have collected more than 25 million plastic bottles to be upcycled into HP print cartridges and hardware products—that’s approximately 325 tonnes of plastic material that might otherwise have washed into the Caribbean Sea.
