COPIER fEatuREs

Start-upPress the button situated under MAIN POWER/ON, on the right side of the operation panel. If the unit is in energy saving mode, press the ENERGY SAVER button, touch the screen, or lift the document feeder.

paper SupplyThe trays located in front of the unit hold 500 sheets each. In general, these trays are adjustable to diff erent paper sizes. It is important to adjust all guides and lock the side ones in.

The two side-by-side trays in the front of the unit hold 2x1000 or 2x1550 sheets of the same 8.5x11. Ensure the guides are kept free when loading paper. The left drawer can be loaded while the right drawer is engaged during long copy/print runs.

The large capacity tray (LCT), located on the right side, holds 1500 sheets (25 to 45 CPM models), and 4000 sheets (50 to 75 CPM models). This tray is for 8.5x11, side-feed or portrait only. The by-pass (manual feed), located on the right side, is for special paper (thicker, diff erent or non-standard size, transparencies, labels, coloured paper for cover/slipsheet).

IMPORtaNt: If using transparencies, use only brands recommended for photocopiers. For labels the same rule applies, and never re-insert the same label sheet twice.

It is important to fan the paper, place it correctly in the tray, and to follow the indications for the proper copy side, on the manufacturer’s label.

automatic document FeederPlace originals, face up.

Capacity:

> 50 originals for 25 to 30 CPM models

> 80 originals for 35 to 45 CPM models

> 100 originals for 50 to 75 CPM models.

Do not feed torn, stapled, or paper clipped documents.

If the document exceeds the feeder capacity, select SPECIAL ORIGINAL, and SADF or BATCH. Feed the fi rst 50, 80 or 100 originals. Once scanned, feed in the remaining pages and press the # key.

documentS With mixed SizeS > Place 8.5x11 and 8.5x14 originals, long-feed.

> Select SPECIAL ORIGINAL and MIXED SIZES.

If there is only one 8.5x11 tray (portrait/side-feed), the job will print with an image rotation for the 8.5x11.

If the unit is equipped with an additional 8.5x11 landscape/long-feed tray, and if AUTO TRAY SWITCHING (in USER TOOLS) has been set to WITHOUT IMAGE ROTATION, copies will come out in the same orientation.

non-Standard Sized originalS > Place these originals on the exposure glass, lined up

with the small arrow in the upper left corner.

> Manually select the paper size and press START.

> If the unit cannot detect the original size, select SPECIAL ORIGINAL, then ORIGINAL SIZE. In CUSTOM SIZE, enter required measurements and press START.

Note: Clean the two exposure glasses regularly.

SortTo make several copies of your document, select SORT, and the number of sets with the blue keypad. The job will come out on the finisher, on the left side of the unit. If there is no finisher, and the unit is equipped with an internal shift tray, copies will come out sorted on this tray.

If there is no finishing option installed, and there is one 8.5x11 tray, copies will be sorted electronically. With two 8.5x11 trays (one side-feed and one long-feed), select ROTATE SORT.

StackTo group or stack quantities of one or more originals, select STACK, and the quantity with the keypad.

Note: Stapling is impossible with this mode.

Staplingtop left corner: for side-feed (portrait) 8.5x11 originals, and for 8.5x11 or 14 landscape originals, fed long-feed.

bottom left corner: for landscape 8.5x11 originals, fed side-feed, and for 8.5x14 portrait originals, that require stapling on the left.

two-staple position: for 8.5x11 portrait originals, fed side-feed, and for 8.5x11 landscape originals, fed side-feed, where two staples at the top are required.

reduction / enlargement > In the REDUCE/ENLARGE menu, choose a preset

percentage between 25 and 400%. Press + or – to go up or down in 1% increments, or select number keys to enter the % directly with the blue keypad.

> At the main screen, with the AUTO REDUCE/ENLARGE feature, it is possible to automatically reduce an 8.5x14 or 11x17 onto an 8.5x11; also, an 11x17 onto an 8.5x14. You can also enlarge an 8.5x11 or 8.5x14 onto an 11x17, or a 5.5x8.5 onto an 8.5x11, 8.5x14, 11x17.

Note: The paper tray (final result) must be selected manually when reducing or enlarging.

duplex / combine / SerieSTo make these features more user-friendly, certain presets are already on the main screen as shortcut keys.

The most popular from left to right are :

> 1-sided to 2-sided;

> 2-sided to 2-sided;

> Combine 2 originals on one page;

> Combine 4 originals on one page; and,

> Magazine (to make a booklet with several 11 or 14 inch originals).

For other possibilities, select the DUPLEX / COMBINE / SERIES menu.

Note: The shortcut keys can be changed by going into the USER TOOLS menu.

edit / Stamp / color

edit Section

Margin adjustment: shifting text, either to punch holes or re-center the original.

Erase: borders (fax headers, black lines, binding marks), center (shading or spiral mark caused by book copying).

Positive/negative: transforms a document printed white-on-black into black-on-white, to save toner.

Centering: very useful when reducing or enlarging, select this feature at the same time as the REDUCE/ENLARGE, or when copying an original on a different paper size, and centering is required. (i.e. a 5.5x8.5 on a 8.5x11).

Double copies: an 8.5x11 will be reduced and printed twice on one page, or a 5.5x8.5 as is, twice on one page.

Image repeat: an 8.5x11 will be repeated several times on one sheet. In the REDUCE/ENLARGE menu, select 50% for 4 repeats, 33% for 9, and 25% for 16.

Note: These three percentages can be programmed directly on the main screen, by going into USER TOOLS.

Stamp Section

This sub-menu offers page numbering, date stamping and preset stamps (Copy, Urgent, Confidential, and more can be printed directly onto copies).

With USER STAMP four personalized logos or stamps can be set into memory then printed on copies.

colour: model mp c

With ADJUST COLOR you can:

> do colour conversion (up to four per document).

> erase a colour.

> add a colour background.

> create or change colours.

cover / Slip SheetIf the unit is equipped with a large capacity tray and four additional trays, the by-pass tray can be programmed for covers, and tray 1 for designate/chapter inserts.

If the unit is equipped with two paper trays, the by-pass is programmed for both features.

deSignate / chapter20 to 100 inserts can be selected. By default, the insert will be copied on. To change this setting to BLANK, it must be modified in USER TOOLS.

On 50 to 75 CPM models, this setting is possible on screen in the menu itself.

Note: To program or modify settings in the USER TOOLS, refer to the General Settings Manual, if that section is not covered in the copier manual.

programThis button is located on the upper/right side of the operation panel. Ten copy settings can be programmed into memory.

Select the copy features that you want to save. Press the PROGRAM button. Select PROGRAM, then select a number from 1 to 10. Give the copy setting a name and press OK.

DOCuMENt sERVER fEatuREsWith this feature frequently copied documents and settings can be stored into memory.

Storing a document > On the COPY screen, select STORE FILE.

> Click on FILE NAME to identify the document.

> Select USER NAME to store the name of the person or department that will be using this file.

> Select PASSWORD to input a code for confidentiality. Note: Do not use passwords unless necessary, as they are easily forgotten. Press OK.

> Select the settings, (i.e.: sort, duplex, staple, etc.).

> Place the originals in the document feeder and press START.

> A sample of the file will automatically print at the same time it is memorized.

printing a document > Press the DOCUMENT SERVER button.

> Select the file to be printed using the NEXT arrow, if necessary. A file can also be found by searching by User Name or File Name. You can also preview your document on screen.

> Select the number of copies and press START.

deleting a document > Press on DOCUMENT SERVER button.

> Select the file, press DELETE FILE, and DELETE.

copy Quality SettingSWhen faxing a document, it is important to select the best quality possible so the reception is clear for the receiving destination.

standard: for transmitting a regular print document (default).

Detail: for documents with small print.

super fine: for graphics, maps.

Scan type

text: originals with text only (default).

text/Photo: originals with a blend of text and photo.

Photo: black and white, or color photo originals.

scan size: AUTO PAPER SELECT is the default setting. If you have a non-standard size original, select the scan size manually. You can also send a document using MIXED ORIGINAL SIZES.

Density: By default, the transmission occurs with AUTO IMAGE DENSITY. To select manual settings, press the arrows for lighter or darker.

original Feed type

You can select the feed orientation of your document or two-sided.

stamp: If the document to be faxed has often been stapled and unstapled, or has been punched, or is torn, two sheets could feed in at the same time. Using this feature, every original going through the feeder will have a small pink dot at the bottom, showing that it has been scanned successfully.

Setting the originalSDocument feeder: Insert originals face up, and preferably long-feed, to prevent reduction or reception problems at the receiving end.

Capacity:

> 50 originals for 25 to 30 CPM models

> 80 originals for 35 to 45 CPM models

> 100 originals for 55 to 75 CPM models

Exposure glass: For documents difficult to transmit (pamphlets, magazines, thick or torn originals),

Place the first page of the document on the glass, long-feed, dial the fax number and press START. If there are no other pages, press #. Transmission will start.

For more pages, place the next one, and press START, the next, etc. You have 60 seconds between each page. Press # after the last page.

After one or more pages scanned on the glass, the rest of the document can be transferred to the document feeder (always within 60 seconds) put the remaining pages in the feeder and press START.

Delayed transmission: Select TX MODE and SEND LATER. Choose between AM and PM, enter the time and press OK, twice.

Deleting a transmission: Select CHANGE TX /INFO (located at the top of the screen). Choose CHECK /STOP TRANSMISSION FILE. Select the number to be deleted, and press STOP TRANSMISSION. Press YES and EXIT.

transmission Result Report: This report prints automatically, once the transmission is completed, or after a few redial attempts. If OK appears in the RESULT column, the transmis-sion is successful. If E- (code) appears, the transmission has failed. Check the legend on the report, and re-send the docu-ment. This feature can be turned OFF, in which case a report will print only if there is an error.

Multiple send (broadcasting): For transmitting the same document to several numbers at the same time.

If the numbers are not registered, dial the first number, press ADD, the next ADD, etc. Press START after the last one. If the numbers are pre-programmed, select them one after the other (they will be highlighted), and press START.

The transmission result report for all these numbers will print on one page with the result indicated for each one.

Programming Quick Dials: Press the USER TOOLS button. Select SYSTEM SETTINGS, then ADMINISTRATOR TOOLS. Select ADDRESS BOOK MANAGEMENT.

Programming a Number: Press NEW PROGRAM. Press CHANGE at the top of the screen to input the destination name. Key-in the name and press OK.

Choose the Display type: If FREQUENT, the registered quick dial appears directly on the fax screen. If the ALPHA section is selected instead, the number is registered in this section on the screen.

Select FAX DEST. Enter the fax number, along with the area code, and 9 or 1, etc. (depending on your telephone system requirements). Press OK next to the fax number first, then OK at the top of the screen. To add this number to a pre-registered group, press ADD TO GROUP at the top right of the screen. Select the group, press OK. To quit the menu press EXIT four times.

Deleting a Number: In the address book select DELETE, and the quick dial to be removed. Press YES to confirm.

Programming a group: Select ADDRESS BOOK: PROGRAM/CHANGE/DELETE GROUP. Press NEW PROGRAM. Press CHANGE at the top of the screen to enter the group name. Key-0 in the name and OK.

Deleting a group: Press DELETE. Select the group to be removed and press YES.

Printing the Phone List: Press the USER TOOLS button. Select SYSTEM SETTINGS and ADMINISTRATOR TOOLS.

Select PRINT ADDRESS BOOK: DESTINATION LIST. Choose the desired list and press START, then EXIT.

sCaNNER fEatuREsIt is possible to scan a document to an e-mail address, to a folder, or to the hard disk of the unit depending on your network configuration.

with the Document feeder: Place the document in the feeder, face up.

Capacity :

> 50 originals for 25 to 30 CPM models

> 100 originals for 35 to 50 CPM models

> 150 originals for 55 to 90 CPM models

If the document is two-sided, press ORIGINAL FEED type and select 2-SIDED ORIGINAL (top-to-top or top-to-bottom); also choose if the last page is 1-SIDED or 2-SIDED. You can also select the ORIENTATION of the original as well as the SADF feature.

with the Exposure glass: For documents difficult to scan (pamphlets, magazines, thick or damaged originals).

Place the first page of the document on the glass. Press START. Within 60 seconds place the second page and press START, etc. Press # after the last page. Scanning will begin.

scan settings: Select the appropriate scan type (text, text/photo or photo) according to the document. You can also scan in color MP C models).

select the resolution: between 100 and 600 dpi.

scan size: The default setting is AUTO DELECT. Select a size manually, only if the original is non-standard. If the document has different sizes, select the MIXED SIZES feature.

file type and Name : Choose between TIFF and PDF (multi-page).

For a document of several pages that you want to scan one by one (each page will have its own file), choose TIFF/JPEG or PDF (SINGLE PAGE).

Press on FILE NAME to identify the document.

text*: With this option you can key-in a destination message.

subject*: With this option you can enter the subject of the message.

Press SENDER NAME* if you are registered as a SENDER in the address book. This is not necessary if the default sender is programmed with an administrator e-mail address.

With the PREVIEW option, you can see your scanned document before sending it. If the document is suitable, press CONTINUE TX. If you wish to modify, press CLEAR .

* For scan to e-mail only.

sending: Select the scan destination, either as a pre-programmed screen-touch, or as a manual entry. Press START. Press SCANNED FILE STATUS to check if the scan was successful.

scanning to the hard Drive of the unit: Press STORE FILE, at the top of the screen. Select STORE ONLY. Input a User Name, File Name, and Password if necessary. Press START.

Open your internet browser. In the address bar, key-in the IP address of the unit (without any 0’s at the beginning, if any), or the host name of your unit. Select DOCUMENT SERVER. Choose between PDF and TIFF. Once opened, the document may be saved in your documents file.

To delete the file from the hard drive, select the file, then DELETE. In the next screen select DELETE FILE (top left), and OK.

To prevent overloading the memory of the hard drive, it is important to delete regularly.

Note: In USER TOOLS, an AUTO DELETE of these files can be programmed, after (1 to 180 days). The default setting is NO DELETE.

PRINtINg DIffERENt PagEs IN ONE DOCuMENt fROM DIffERENt PaPER tRaysIf you want to print pages of your document on different colors or different types of paper (ie: letterhead) you can do this from your print driver.

Note: All paper drawers must be the same size and direction.

With your document open click FILE then PRINT. Now the bottom window opens. Click PROPERTIES.

> Click PAPER.

> Click CLOSE.

> Click USER / DEFINED PAGES.

> Click on the Tray special pages are to be pulled from.

> Type the page numbers you want to pull from that tray.

> Click UPDATE.

Now you will see your page numbers show up in the DEFINED PAGE LIST. If you make a mistake just click on that tray and press RESET.

Continue doing this until all the pages have been entered. Then Click OK until the print driver disappears.

LOCkED OR CONfIDENtIaL PRINtINg

> Open the print driver, click PROPERTIES

> Click LOCKED PRINT.

> Click DETAILS.

> Type your name and a numeric password.

> Click OK.

> Now choose whatever settings you want for this job (ie: stapling, double siding, single siding, color or black and white).

> Click OK twice and the print driver will disappear.

Your job is now sitting on the printer hard drive. It will not hold up any other jobs. You have 24 hours to go and retrieve after which it will automatically delete.

REtRIEVINg yOuR JOb fROM thE PRINtERAt the machine:

> Press PRINTER.

> Press LOCKED PRINT JOBS or LOCKED PRINT JOB LIST (wording may vary slightly depending on model).

> Scroll to your job or press USER ID on the left and choose your name to find your specific job(s).

> Choose job then press PRINT (on right).

> If you’ve password protected your document the screen will now prompt for your password. Use the blue number keys and type it in.

> The document will now print and automatically delete.

hOw tO saVE PRINt sEttINgs

> Click FILE, PRINT to open the Ricoh print driver.

> Click PROPERTIES.

> Choose the settings you wish to save. (i.e.: staple, duplex, etc.)

> Click SAVE

> Select where you want to save the document. Remember to name it.

> Click SAVE.

> Click OK and continue your work.

Next time you want to reuse the same settings:

> Open the printer driver again

> Click PROPERTIES

> Click LOAD and find your settings
