Virtual Demonstrations are web-based events providing your organization the opportunity to promote your conference demonstration to NAPCP's extensive industry audience. Nearly 15,000 members and subscribers!
Virtual Demonstrations include: •one-hour live demonstration via GoToWebinar (typically 75-150 participants) *ability to restrict to end-users only if preferred •final attendee list with contact information (post-event) •one dedicated e-mail promoting the demonstration to the NAPCP member and complimentary subscriber base (nearly 15,000), promotions in NAPCP newsletters, social media, etc... •your logo and a link from the NAPCP event website to your website •event listing in the NAPCP online calendar
1.) Table Top Only: All elements related to one’s exhibit must be situated atop one’s table. Nothing can be on the ground. This means banners, signs, AV monitors, literature holders, support stands, etc...A black and white rule is if you put it on the ground, it is in violation of the table top only restriction. Exhibits meant to be on the ground are not allowed unless they can be propped up on one’s table. Each exhibit table is 6 feet in length x 30 inches in width. If any elements are on the floor prior to the exhibit hall opening, the doors will be held closed until elements are no longer on the floor and the exhibit hall opening will be delayed.
2.) The NAPCP Supplies: A table linen for the exhibit table, 2 chairs and 1 wastebasket. The exhibit hall at the conference hotel is carpeted so there is no need to order carpet or cleaning services. The NAPCP also supplies overnight security on Monday, April 10 after the first night exhibit hall opening concludes. While exhibits may stay up overnight, it is recommended items of value be removed from the exhibit hall and stored securely until the next morning. The NAPCP is not responsible for lost or damaged property.
3.) Decorator / Labor: The NAPCP does not contract with a decorator. All labor and storage are on one’s own.
*4.) Material Handling and Shipping: All material handling and shipping is managed through FedEx, onsite at the hotel. Fees apply to all shipments. These fees are to be paid direct to FedEx and managed by the exhibitor.
*5.) Electrical, AV Rental and Internet: These serviced need to be ordered and paid for direct with the onsite provider. Please go here for all details and order forms.
6.) Permission Based Attendee List: As part of the exhibit contract, exhibitors receive a permission based attendee list with contact information (sent no later than one week after the conference.) Contact information includes: name, title, organization, phone number, e-mail address and mailing address. The list is sent as an excel spreadsheet.
7.) Exhibit Hall Lay Out: The exhibit hall is set with bars and food stations. The exhibit hall is set up to maximize space and flow. Placement of exhibitors is a one by one selection process. Beginning January 2017, routing for table selection will begin. The routing order is determined first by Year-Round Partner Sponsor status, followed by sponsor level over time, consecutive years as a partner sponsor, exhibitor history as well as date of signed contract and payment received. *Information on these services will be available September 2016. Frequently Asked Questions Q: When will I be able to select my exhibit table location? A: Beginning January 2017, routing for table selection will begin. The routing order is determined by Year-Round Partner Sponsor status, sponsor level over time, consecutive years as a partner sponsor, exhibitor history as well as date of signed contract and payment received. Routing goes one by one. Q: Why is the exhibit hall a table top only exhibit? A: The NAPCP is a membership based association that is an unbiased and impartial voice in the Commercial Card and Payment industry. By maintaining a table top only exhibit, the NAPCP provides an even playing field for all providers in the industry. A table top only exhibit also allows for a cost effective way to exhibit. Q: Why do individuals need to register themselves for the conference instead of having someone else register them? A: The NAPCP prohibits the sharing of usernames and passwords. Each individual needs to register themselves to ensure accurate profile information as this is the only way the NAPCP can maintain accurate information of its members and honor members’ preferences with regards to the NAPCP (example: permissions to provide contact information, acknowledgement of cancellation policies, correct names on name badges). Q: Why are providers rarely selected to speak at the conference? A: The conference is an educational, end-user focused conference. Speaking proposals are approved based on merit in this priority order: (1) End-user-led breakout sessions make up the majority of the Annual Conference agenda; therefore, end-user submissions receive top consideration. Providers, spread the word about the NAPCP’s speaking opportunity to clients who have a strong case study to present. (2) Year-Round Partner Spon-sor organizations at and above the Silver level receive a 45-minute educational breakout session as part of their sponsorship package. (Note: All Year-Round Partner Sponsors receive a 45-minute Provider Breakout or Demonstration in their package; a few slots are available to others for a fee; see page 4.) (3) Finally, and only if there are openings in the agenda, the NAPCP will consider speaking proposals from providers, consultants, researchers, etc. To increase the chance of acceptance, the proposal must include timely, unique content, including unpublished research or topics targeting advanced users. Q: What is the process for determining date and time for Provider Breakout or Demonstration sessions? A: Just like exhibit table location selection, preference on date and time is given first to Year-Round Partner Sponsors followed by sponsor history at the conference over time, date of signed contract as well as looking at the overall conference agenda to ensure non-competing sessions on similar topics during the same time slot. The conference will support three tracks of these sessions and occur only on the first two full days of the conference. (Tuesday, April 11 and Wednesday, April 12.) There are 24 slots available.
Q: Why have Product & Technology Demonstrations been renamed to Provider Breakout or Demonstrations? A. The NAPCP recognizes providers may not have specific solutions, tools or products they wish to demonstrate at the annual conference but still want to speak with thought leadership content. By renaming these sessions to Provider Breakout or Demonstrations, the NAPCP is identifying to conference attendees that the subject matter is either product specific to a provider or educational, presented by a provider organization. Providers may use these sponsored sessions in the manner they choose. The NAPCP will provide a template to be completed with session title and description, allowing the presenting organization to detail exactly what they will discuss. The NAPCP still advertises that these sessions are for End-Users Only but at the discretion of the presenting organization.
Q: What is the difference between donating an Attendee Appreciate gift and a giveaway provided as an exhibitor and why are Attendee Appreciate gifts the only gifts the NAPCP announces to an entire audience? A: Exhibitors are encouraged to have a giveaway as part of their exhibit table, however, the management and announcement of that gift is the responsibility of the exhibitor due to time and audio restraints in the exhibit hall. Attendee Appreciation gifts are announced by the NAPCP as part of the second day General Session where there is a captive and controlled audience. It also provides sponsors of those gifts with visual and emcee recognition along with a print listing in the conference addendum received by all attendees. Q: What does permission based attendee list and use of the attendee list mean for exhibitors? A. Included in the exhibit contract is a permission based attendee list. At the time of conference registration, registrants will need to provide their permission to be included in the attendee list distributed to exhibitors. It is recommended to still have a way to capture attendees’ information who stop by your exhibit table as not everyone will give permission. The attendee list will include name, title, organization, mailing address and e-mail address. The list will be distributed to exhibitors one week after the conference concludes. The list will be e-mailed to the contact person on the exhibit contract. The list is restricted to a one-time use and exhibitors will need to sign their contract acknowledging their understanding of the terms of use. Q: What other expenses will I need to manage for the exhibit table? A: As an exhibitor, you will need to purchase and manage electrical, internet, shipping and handling and audio visual components independent of the NAPCP. The exhibit service kit is available at www.napcp.org/ConfLogistics. You can find contact information, order forms, costs and instructions at this link. Q: Why are there sessions conducted during open exhibit hall hours? A: Due to the amount of educational content the conference provides, coupled with the duration of time the conference runs, sessions must occur during some open exhibit hall hours to accommodate the demand attendees have for breakouts. During “slower” times, exhibitors are encouraged to attend sessions to engage with attendees and hear about end-user experiences to understand how providers can work with end-users. Q: Is there an area at the conference I may conduct private meetings with clients or potential clients? A: Yes. The NAPCP will have a hotel meeting room available for “Pop Up Meetings”. The room will be available for use from 8:00 a.m.—5:00 p.m. on Tuesday and Wednesday, April 11-12. To reserve time in the room, simply stop by the registration desk and ask where the Pop Up Meeting room is located. On the outside of the room will be a sign up sheet where you may block time.
