Coney is an Arts Council National Portfolio Organisation and a registered charity led by JCEOs Becki Haines & Tassos Stevens. We became a National Portfolio Organisation of Arts Council England in 2012, and continue as an NPO through 2015-2018 & 2018-22. We became a registered charity in 2014 with 8 Trustees and chaired by Benjamin Yeoh.

Coney HQ is the engine that delivers the Coney programme. HQ is run by Natalie Adams General Manager, Becki Haines Executive Producer | Joint Chief Executive and Tassos Stevens Director | Joint Chief Executive, with David Finnigan currently as Associate-in-Residence and Toby Peach as Playful Accomplice. All of our roles in Coney HQ are distinct from roles any of us may take in the making of projects. There may be opportunities to develop skills and interests around particular lines of practice and take roles on projects.

The people making projects in the Coney programme are drawn from a pool of makers, recruited from the wider network, and especially our associates, who can also represent Coney in between projects. There are currently 15 associates: Afreena Islam, Astrid Breel, Ben Pacey, David Finnigan, Dominic Garfield, Emma Frankland, Fran Moulds, Georgina Bednar, Kieran Lucas, Michelle McMahon, Morag Iles, Rhiannon Armstrong, Toby Peach, Tom Bowtell, and William Drew.

The wider Network of Coney is open to anyone interested to join, and we host open events for people to connect, play, and exchange. There are members of this network all over the world. In this way, we support emerging and established artists from all disciplines, and creative ideas at a vital point in their development.

The RoleThe Administrator is an integral part of a small team at Coney HQ, and will work closely with the General Manager, to support the day-to-day administration of the company. The Administrator will be an enthusiastic member of our dedicated team working across all company activities from statutory to playful, providing vital support to ensure the effective and efficient running of Coney. Responsible for Coney’s Customer Relationship Management System and The Network of Coney, the Administrator is an integral part of sustaining relationships from stakeholders for fundraising to artists for projects.

This is a wonderful opportunity for someone who has experience within and a passion for the arts and wants to work as part of our small team into the future. The successful candidate will join Coney HQ based at Toynbee Studios, East London. They will have an enthusiasm for theatre and live performance, and real passion for supporting and developing artists.

The Administrator will work at the heart of a small team, as a core role within Coney HQ. Duties include but are not limited to:

ADMINISTRATION To maintain excellent communication across the organisation. To ensure efficient general office management including responding to general enquiries via

phone, e-mail and post, distributing post, general housekeeping monitoring, inventory checks and clearance of the prop cupboard, and ordering stationery supplies and consumables when running low.

To act as a welcoming and helpful first point of contact for all enquiries and visitors, either in person, by telephone or by email, liaise with suppliers and visitors as required, arrange couriers and other deliveries.

To support the General Manager with the company’s IT structures and resources, including day to day maintenance and development of in-house systems with support from the external maintenance providers.

To be responsible for minuting weekly HQ meetings, ensuring decisions and actions are recorded and shared in good time. To assist the Executive Producer with preparing board papers, minuting board meetings.

To be responsible for updating and maintaining the company’s annual programme schedule, keeping a central record of projects, commissions, associates, meetings, appointments and office desk use.

To administer outgoing contracts for all permanent, freelance and temporary staff, to be signed off by the General Manager.

To schedule and prepare HQ staff appraisals and the company Away Day. Manage annual leave, agreed absence and TOIL requests.

To be the lead contact on, and manage the Network of Coney including events and opportunities associated with The Network.

To liaise with the company’s building manager at Artsadmin with regards to health and safety, fire, access and maintenance issues as required.

To ensure that all policies and risk management process are appropriately up to date and complied with, including but not limited to: risk assessments and policies relating to Finance, Employment, Children and Vulnerable Adults, Diversity, Equal Opportunities and Health and Safety.

To be responsible for the administration, preparation and collation for DBS checks, visas and work permits as required.

To support the General Manager and Executive Producer in preparation of reports to Arts Council England, other funders, Companies House and the Charity Commission.

To arrange and book meeting rooms and organise refreshments as required. To book rehearsal space, accommodation and travel for artistic teams within allocated budgets, as required.

To collate and manage communication with makers and artists’ details for the company’s small-scale events including Scratch, Playdays, Salons, events for the Associates and the Network, and other projects as required.

To proofread and research as required. To act as one of the company’s designated first aiders.MARKETING AND ONLINE To be responsible for the company’s output online including: copy and content creation for the

company’s blog and social media platforms. Manage Twitter, Facebook, Instagram and YouTube.

To be responsible for the company’s website and online platforms as required, liaising with the website developers where necessary, ensuring these are kept up to date.

To compile and send bi-monthly newsletters. To assist with the delivery of production marketing collateral including but not limited to

posters, flyers, brochures, evaluation and feedback forms. To collate and manage audience data and audience feedback into Coney’s databases, and

report on trends as required. Establish and maintain reciprocal marketing agreements with other organisations.

To assist the General Manager and Project Producers with the delivery of small-scale marketing campaigns, including writing and proofing copy for projects as required.

FINANCIAL To maintain accurate and timely records for the company’s internal finance systems, including

logging payments and invoices received, remittances, settlements, banking cheques and cash, and raising invoices.

To manage and process all core and freelance staff expenses as required, ensuring they are prepared accurately and in good time.

To manage, prepare and reconcile monthly credit card statements, ensuring they are prepared accurately and in good time, overseen by the General Manager.

To manage, prepare and reconcile petty cash on a day to day basis, overseen by the General Manager.

To generate financial reports for the General Manager when necessary, using the company’s internal systems and accounting software.

To support the General Manager in the administration of statutory financial and Board reporting as required.

DATA MANAGEMENT To implement and oversee a robust data management system for Coney’s relationships;

audiences, stakeholders, friends, network and associates. To provide accurate, up to date data in support of fundraising. To ensure evaluation is implemented across the company’s projects, supporting teams to

ensure all data and feedback is collated and accessibly filed To ensure data collection adheres to and supports Arts Council England funding requirements Assist the Executive Producer in compiling the Arts Council England annual report.

FUNDRAISING To ensure the company’s CRM system, CiviCRM, is maintained and updated to a high standard,

including database development with the CRM developers, cleaning and uploading data from current and potential prospects, collating data from staff and Associates, profiling and wealth screening data, and regularly updating data for individuals.

To assist the General Manager with the company’s fundraising events including, set-up and maintenance of event guest lists, sending invitations and ensuring accuracy of event information for mailings to stakeholders, supporters and individuals.

To attend the company’s fundraising events acting as an ambassador for Coney at these events.

GENERAL Attend Coney company meetings and creative sharings. Attendance at Coney projects, shows

and events – occasionally overnight stays required. Represent Coney at conferences, formal and informal meetings and other events as required. Commit to the principles of Coney and champion our work. To provide general assistance to all staff as necessary without neglecting core duties.

Terms and Conditions

Salary: £19,000-£22,000 dependent on experience

Terms: Full-time

Holiday: 28 days per annum, excluding bank holidays

Pension: You will be auto-enrolled to Coney’s pension scheme provider with statutory contribution rates.

Agreed Absence: An agreed absence entitlement is available for up to 5 working days per year. This is a reciprocal relationship allowing the Administrator to fulfil other opportunities for professional development, to then be shared with Coney on return to work.

Hours: Based on a normal working week of 35 hours. Coney’s office hours are 10am-6pm, Monday to Friday, with occasional work at evenings and weekends as required. Coney operates a TOIL system.

Notice period: 1 month probationary period, 2 months’ notice on either side is required thereafter.
