Course Management

● The Registrar’s Office is currently engaged in a project to reimagine and redefine course management at Columbia. Production date is February 2019 for the Fall 2019 semester.

● The new Course Management system will allow Departments and Programs to comprehensively manage their Course Inventory through a fully integrated and seamless application that eliminates outdated mainframe protocol.

NameCoach● The Registrar’s Office recently deployed an electronic name

pronunciation tool this fall semester called NameCoach. NameCoach is a simple application that permits students to self-pronounce their names, and Faculty will be able to listen to these pronunciations through their Canvas course rosters.

● Name pronunciation is especially significant for students who have specified the use of a Preferred Name. Coming this spring semester through the same NameCoach tool will be the ability for students to provide their preferred gender pronouns to their instructors.

Submitting Courses

The Curricular Planning Statement (CPS)● Used to create course

listings in Directory of Classes and Vergil

● Submitted to Registrar’s Office by each department’s Director of Academic Administration and Finance (DAAF)

● Teaching Faculty are welcome to contact us directly

● Grades submitted through Student Services Online (SSOL)

● Tool opens soon after the start of a semester

● Pull-down menu of grade choices for each student on the grade roster

● Faculty have complete grading autonomy subject to School-based policy

● Be attentive to issues relating to grade inflation

● Best to consult with the CTL for guidance relating to grading on a curve

● Students need grades recorded on time to continue their programs in good standing at the University or to pursue post-graduation plans

● Our Faculty have been terrific about submitting their grades on time

Changing Grades

● Electronically, through Student Services Online (SSOL)

● Anytime

● Faculty must provide a rationale for each change of grade

● Request is routed to approver at student’s home school

The Office of the University Registrar now provide an official, secure, digital diploma to all graduates -- beginning February, 2108

Classrooms

● Severely constrained inventory

● Only 12 classrooms for 100+ students

● Registrar’s Office controls vast majority of classrooms in Engineering and the Arts and Sciences

● Others controlled by departments; some shared arrangements

● Faculty encouraged to teach before or after peak time blocks:

○ Try to stay away from 10:10 a.m., 11:40 a.m., 1:10 p.m., and 2:40 p.m.

○ Especially for large lecture courses (100 or more students)

○ Departments asked to do fair share to spread courses: no clumping!
