1 Product Description

1.1 Product profile

HiPath Xpressions combines the services voice, fax, e-mail and Short Message Service (SMS) on a Windows 2003 platform (Windows NT will not be supported due to end of support of Microsoft, Microsoft support for Windows 2000 has been stopped starting 1.7.2005) to create a unified messaging system with the communication platforms HiPath 3000, 4000, 5000, DX and Hicom 150E/H and Hicom 300E/H. Information flow, flexibility and speed are becoming key success factors for modern companies. Thanks to its modu-lar, scalable client/server architecture, HiPath Xpressions can be matched perfectly to the communications requirements of our customers. Open standards, integration in existing DP and telecommunication environments, universal access to messages by means of PC and telephone, and secure access via ISDN, LAN and Internet guarantee investment pro-tection for the future. The customer can select services, users, DP integration and soft-ware-only solutions or certified complete systems to meet their requirements. In this way it is possible to provide the tailored solution for every demand from the small entry-level variant to the networked communications solution. HiPath Xpressions V4.0 is the further development of HiPath Xpressions 450 and is based on the MRS technology of CYCOS AG. The HiPath Xpressions V4.0 solution is differentiated from the MRS solution through fea-tures and functions exclusively available at Siemens. The exclusive Siemens Unified Messaging modules are: • Unified Messaging with a PhoneMail-oriented user interface • Unified Messaging with a VMS-oriented user interface • Cornet-N integration for Hicom 300/300E (incl. display support for digital telephones)

and Hicom 150 Office/HiPath3000 • CorNet-NQ integration at HiPath4000 • My Xpressions Folder as separate inbox for particularly important messages as ex-

tension of the PhoneMail user interface • Name dialing as additional message addressing option or used for connection setup

as extension of the PhoneMail user interface • Forwarding of HiPath Xpressions V4.0 alarms to HDMS/ HiPath Fault Management

and other management systems (via SNMP) • Incorporation with HiPath User Management

The product structure was modified and aligned with requirements for a global product within the framework of HiPath Xpressions V4.0.

1.2 Product structure and description of features

The HiPath Xpressions marketing structure is determined by the various messaging sys-tem requirements. The requirement for an increased support of indirect channels de-manded a further simplification of the product structure to the minimum number needed. The wish to allow enhancements of existing installations demanded installed base statis-tics and a configurator. Customers can choose the model that best matches their requirements and if necessary upgrade at a future date to the next model. HiPath Xpressions V4.0 will be launched in the market in two steps. The sales release for phase 1 for FRG, AUS, LUX, SWZ, UK and the US is in March 2005. The release into the additional countries of the international market takes place in mid 2005 with the SMR. The complete contents is already described in this document. Existing customers of V4.0 can upgrade to the SMR without the need for new licenses. This SMR primarily concerns the release of new languages as well as some small feature expan-sions. New features must be marketed separately. Services that are necessary for the changeover must always be marketed. These include the installation of the new software package and the new license key. The following is an overview of the features already available in the relevant basic pack-ages and the optional features to be ordered.

1.2.1 HiPath Xpressions HiPath Xpressions - voice-mail or unified systems The individual features are described in detail below.

1.2.1.1 VoiceMail User The HiPath Xpressions VoiceMail application offers every user the chance to receive, save, forward, answer and comment on voice messages. User prompts A set of acoustic user prompts guides you through all functions. You can call up additional detailed information via the Help function (PhoneMail user interface only). In addition to acoustic user prompts, information on the individual steps is displayed on a digital Hi-com/HiPath telephone operating in conjunction with Hicom 300 E/300 and 300 H, or Hi-Path4000. This feature is not supported by Hicom 150E/H and HiPath 3000. For external and internal callers During periods of absence (meeting, business trip, vacation, etc.), you can forward calls to your mailbox. The caller hears your personal announcement and can leave a message for you after the signal tone. If the caller does not want to leave a message but speak directly to another subscriber, then he or she can connect to a deputy or the attendant console without having to set up a new call. For mailbox owners When the access number is entered in HiPath Xpressions, a supplementary announce-ment is added to the user prompts. The personal call number and a password must be en-tered to play back existing messages (voice, fax), to send messages, etc. when using the PhoneMail user interface. The code number (Hicom PIN) must be entered when using the VMS user interface; a password is generally optional.

Password All saved messages are password-protected. This can be modified by the user at any time. If the password is repeatedly entered incorrectly, HiPath Xpressions clears down the connection and, in the case of external callers, sets up a connection to the attendant con-sole. Receiving messages You can decide whether the caller just hears an advisory (Greeting only function) when you are absent or whether he or she can leave a message after the announcement (Ac-cept Message function). If threshold values are exceeded, mailbox usage can be re-stricted for the user until he or she clears out the message memory. Visual and acoustic signaling New messages are visually signaled at digital terminals with display by an illuminated mailbox LED and by an announcement when the handset is taken off hook. When you press the mailbox LED on the digital telephone’s display in Hicom 300/300E/300 H and HiPath 4000, an advisory appears informing you that a new message was received in Hi-Path Xpressions. In analog and digital telephones without display and in the case of con-nections to Hicom 150/150E/150 H and HiPath 3000, new messages are only signaled acoustically. The messages can be called up via standard mailbox access mechanisms. Notification service New messages can also be signaled via SMS. This feature can be separately configured for each service. A short message is then sent to your telephone when a voice mail, fax mail or e-mail message is received. These settings can be modified at any time from a telephone or, even easier, via the Web Assistant (earlier Client assistant) (1.3.1). Listening to messages You can listen to saved messages any time anywhere by dialing into your mailbox. You can scroll back and forth within a message or insert a pause. Starting with Xpressions V4.0 you have the chance to increase or decrease the playback speed inside the Phone-Mail user interface. HiPath Xpressions distinguishes between both the various services, e.g.

• voice mail • fax mail • e-mail

and the following message groups: • received messages or messages that could not be delivered. • new messages, • messages that have been listened to, • messages that are sent after clearing down the connection to HiPath Xpressions.

You can scroll back and forth though the message list to find a specific message. Answering/forwarding messages Messages that have been played back can be deleted, saved or edited. You can thus, for example, answer an internal subscriber’s question by addressing his or her mailbox with-out having to redial the subscriber’s call number or set up a direct connection to the inter-nal or external sender. The message can also be forwarded with a comment to other mailbox owners. Commented messages can in turn be forwarded with comments. Sending messages - To a recipient You can forward a spoken message to another user’s mailbox. This is possible from every location, twenty-four hours a day. - To a distribution list To send messages to a specific group of recipients, you can set up a personal distribution list on your PC. Every distribution list can contain up to 99 call numbers. Similarly, public distribution lists can be set up for all mailbox owners.

Could a message not be recorded completely when using the PhoneMail user interface, it will be left in a first place position for access when calling again into Xpressions. The partly recorded message can be completed and addressed for sending. Reason for an in-terruption could occur during a connection via mobile phone. Personal announcements/general announcements - Personal announcements (greetings) Every mailbox owner can record a personal name greeting, otherwise the call number of the station dialed is output. In addition, you can select one of 9 greetings, up to 5 of these are currently assigned to situations: -internal/external, -during/outside business hours, -greeting on busy):

• Alternative greeting (used for internal and external callers) • Greeting for internal callers • Greeting for external callers

If you have not activated personal greetings, the system greeting is used by default and the caller can then leave his or her message. - Central greeting (only applies when using the VMS user interface) In addition to the personal greeting, general announcements that are valid for all users can be created.

Short cut key menu for User specific use The PhoneMail User Interface offers a special menu with 9 possible predefined pre-selections. This now allows the user with one push what in earlier times needed a some of selections, i.e. inside the main menu with 41 for example the recording of the daily greet-ing could be started. Setting up of these pre-selections is done inside the Web Assistant.

1.2.1.2 The Voice Messaging System user interface Three different user interfaces are available on the telephone for HiPath Xpressions V4.0. One is the PhoneMail interface, which is known from earlier versions of HiPath Xpres-sions450. The other is the user interface matched to VMS and is available since the intro-duction of HiPath Xpressions450 V2.1. Third is a user interface using speech recognition. This will be described in greater detail below. VMS Telephone User Interface (TUI) Customers who have used the Hicom 300 Voice Mail Service VMS until now can receive and send their voice messages with a user interface matched to VMS. This means that the user does not need to mentally adapt to a new user interface or new operating logic. The dictation equipment functionality in particular has been improved. HiPath Xpressions V3.0 Phase 2 already enhanced the user interface to include unified messaging. The system changeover will result in a slight modification of functions compared to the Hi-com VMS interface. These are described briefly in the following:

The following frequently used Hicom features are not supported by HiPath Xpressions VMS because for one, the connection has been changed:

• Scrolling using the mailbox key (without B channel), • Mailbox access via “Mailbox – Output”, if there are only old messages present, • Unidentified mailbox access via “Mailbox – Output”, • Direct sending of messages from user’s own mailbox without entry in the send

box (old function 2). Instead the following new features are available:

• better display support • real dictation functionality • better positioning options • language switchover by the mailbox owner or the caller

Other differences:

Page 8: COM ESY HA3 - BEIA TELECOM€¦ · HiPath Xpressions V4.0 is the further development of HiPath Xpressions 450 and is based on the MRS technology of CYCOS AG. The HiPath Xpressions

HiPath_XpressionsV40_en Ausgabe 3_extern.doc Page 6

:

• The multi-stage announcement service function is performed by the new imple-mented Attendant functionality

• AMIS addressing from the telephone user interface of HiPath Xpressions The following features are no longer supported by HiPath Xpressions since they are only very rarely used by customers:

• Broadcasting to everyone (this is now done via e-mail) • Message desk with separation of destination information and actual message no

longer exists • Timer announcement • Event signaling • System-wide inclusion of name announcement via telephone • Inclusion of prompts via telephone

The entire data stock in the form of subscriber data, recorded announcements and mes-sages can be transferred to HiPath Xpressions during the course of migrations from the VMS. This means that there is no loss of data for users and also no high training costs because the user interface is virtually identical.

Simultaneous use of the VMS and PhoneMail user interface in the same system has been released starting with HiPath Xpressions V3.0. Speech recognition (TUI) Mobile users might be interested in using the mailbox via speech recognition. The speech recognition will recognize the key words for guidance inside the User interface and allow an easy way to listen to messages, record messages or for an easy way to record the daily greeting.

1.2.1.3 Fax mail User and fax applications When using HiPath Xpressions as a fax-only server as part of Unified Users, the following features are available to the user. Each subscriber has a personal mailbox with a direct inward dialing number for sending and receiving fax messages. The user accesses this mailbox via the Xpressions Web As-sistant or by means of integration in an existing e-mail system. This mailbox is password-protected against unauthorized access. Receiving faxes Fax messages that are addressed to a subscriber’s fax call number are saved in the rele-vant subscriber’s mailbox and are thus available for retrieval or further processing. If threshold values are exceeded, mailbox usage can be restricted for the user until he or she reduces the message memory. Automatic fax tone recognition If call forwarding is active on the workstation telephone, HiPath Xpressions checks the call to see if it comes from a fax service in accordance with typical analog telephone/fax combo device functionality and, where applicable, switches to fax receipt mode. Deputy assignment Every incoming message can be forwarded automatically to another subscriber to ensure that no messages go unprocessed (e.g. in the event of vacation).

Fax viewer/editor Incoming fax messages can be displayed and edited on the PC by means of a standard fax viewer/editor for TIFF or JPEG format, or are integrated with HiPath Xpressions Ex-tension for MS Outlook 2003/XP/2000.

Page 9: COM ESY HA3 - BEIA TELECOM€¦ · HiPath Xpressions V4.0 is the further development of HiPath Xpressions 450 and is based on the MRS technology of CYCOS AG. The HiPath Xpressions

:

Output to LAN printer Incoming fax messages do not have to be output to a fax machine but can at any time be printed at a LAN printer. The number of fax machines needed in a company can thus be significantly reduced. E-mail output as fax Incoming e-mails can be output to a random fax device along with any convertible attach-ments. This lets you stay up to date when on the road. Archiving Incoming fax messages with important corporate data, for example, are not only sent to the original recipient, but a copy of these messages can also be sent to a separate mail-box (e.g. for central archiving purposes with an external application). Sending faxes - Fax cover and logo A subscriber-specific fax cover and logo can be set when sending a fax. - Fragmented fax transmission In the case of interruption during a send operation, transmission continues from the page on which the previous interruption occurred. The continuation of the send operation can be indicated by a configured mark. - Sending from an MS Office application Fax messages can be generated and sent directly from an MS Office application (e.g. MS Word for Windows, MS PowerPoint, etc.). - Scheduled transmission Using the priority levels normal, medium, and high, the user can define the time period for fax transmission. The time periods are assigned priorities centrally and apply identically to all users.

1.2.1.4 Service-free features The features that apply both the voice and fax applications are described below. Distribution lists A message can be transmitted to a pre-defined number of recipients using the relevant preferred services. Access to your messages – any time and anywhere Password-protected mailboxes and thus all messages entered (voice mail, fax mail, e-mail) can be accessed via telephone or intranet/Internet at any time, irrespective of loca-tion and platform.

Message waiting indication New messages can be signaled at the PC (e.g. by a pop-up window) both via the mailbox LED at the digital system telephone and via an SMS to the mobile phone. Every sub-scriber can freely configure the notification feature for his or her specific service inside the WebAssistant and thus match it to the relevant personal communications requirements. Speed dialing number – address book (central/personal) All services are based on unique addresses. Every destination address can be individually assigned a speed dialing number to simplify address input. Address entries can be admin-istered centrally in HiPath Xpressions and are thus available to all subscribers. In addition, every subscriber can have a personal address book on his or her PC client. Number redial Number redial is automatically activated if connection setup failed. In the case of the fax mail service, the interval between the individual dial attempts and the number of dial at-tempts can be set by the administrator.

Postmaster mailbox Every incoming message that is not correctly addressed can be automatically forwarded to a postmaster mailbox (overflow). This ensures that no messages get lost in HiPath Xpressions. Call charge registration All necessary information (in particular the subscriber’s call number) are transferred to the Hicom/HiPath and incorporated in the Hicom/HiPath call charge registration application. All send and receive operations for all subscribers configured in HiPath Xpressions are also saved in the HiPath Xpressions system journal (not applicable for SMS transmission via a GSM box).

1.2.2 Unified Messaging User Unified messaging means the integration of the voice, fax, e-mail and SMS services in an application. All personal messages are available for retrieval in a subscriber-specific mail-box. This internet-oriented functionality lets you access all IMAP4 clients (e.g. Netscape Communicator, Outlook Express, or Outlook 2000/2003) from your PC and keep your fa-miliar user interface. When on the road, you can manage your mailbox easily via the tele-phone. HiPath Xpressions is especially attractive for companies that do not have an e-mail system. These companies can avoid repeated investment while benefiting from a powerful and Internet-capable e-mail system. The services are also easy to integrate in your existing communication environment. Op-timized versions are available for MS Exchange, Lotus Notes and SAP R/3 (see DP inte-gration).

1.2.2.1 In-house/Internet e-mail Companies can use the HiPath Xpressions e-mail functionality irrespective of other e-mail systems (e.g. MS Exchange or Lotus Notes) for in-house and Internet mail. The e-mail system is based on the SMTP standard (Simple Mail Transfer Protocol). IMAP4 clients (e.g. Netscape Communicator, Outlook 2000/98 or Outlook Express) or the proprietary HiPath Xpressions Client, which is specialized for fax functionality can be used for send-ing or receiving e-mails. A feature is also available for the automatic subscriber-specific import of Internet mails that are saved on your Internet provider’s POP3 server. The schedule can be controlled centrally and your connection costs can be reduced to a mini-mum. If you activate scheduled e-mail dispatch, you can optimize the provider costs in-curred. E-mails with high priority are always sent immediately.

1.2.2.2 HiPath Xpressions with Extensions Advanced The extensions advanced extend the advantages of a unified messaging system to in-clude the CTI component (Computer Telephony Integration). The user can thus set up or process incoming and outgoing telephone calls directly from his or her usual application. This includes the following functions:

• Logging calls in folders or documents, notes on calls • Calling entries from folders or views that are linked to a telephone number, such

as personal and global address books, journals, e-mail folders, or • Databases or calendars • Searching in personal and global LDAP address books (Exchange, Lotus

Notes/Domino, MetaDirectory) and calling from hit lists • Caller identification from local address books or global LDAP address books • Call planning and callback list in the task list or mail/journal database • Initiating calls with drag&drop on the telephone icon in the system tray • Display dialog with name and telephone number in the case of incoming calls • E-mail notification in the case of forwarded or transferred calls • Use of enhanced telephone features (consultation, toggle, conference, • Call transfer, call back, call forwarding)

1.2.4 Description of optional features

1.2.4.1 Automated Attendant This application has been redesigned for Xpressions V4.0 (based on Appgen/Vogue). Us-ing its own Windows-Application it is now possible to design easily complex structures. Name dialling has been implemented as an add-on alternative for forwarding not only to a known number but also to a known name. Name dialling knows all users that own a mail-box. Call Processing offers users an application for automatically answering incoming calls (24 hours a day, 7 days a week) and routing these calls to predefined destinations by means of caller-controlled routing. The Automatic Attendant is set up and maintained via its own Windows application. Based on a Windows User Interface different menu structures can be build up using a graphical user interface. With the first Step the Automated Attendant is used, in a follow up Step complex struc-tures can be build-up and supported. The only database format is MySQL and the RepApl MS SQL.

1.2.4.2 Short Message Service (SMS) The SMS box connected to HiPath Xpressions can be used for the cost-effective, direct transmission of short message to GSM 900/1800 networks. Telephone connections to routing providers are not needed. The direct delivery of your messages within the GSM network guarantees their confidentiality. With HiPath Xpressions, short messages up to 160 characters in length (including muted vowels and special characters) can be sent in an easy and user-friendly manner with standard clients, such as MS Outlook, Lotus Notes or Netscape Communicator. The call numbers saved in the message can be selected at the mobile phone and then dialed immediately. If the mobile phone is switched off, the message is saved for up to 48 hours by the network operator. No additional costs are in-curred by the recipient. The message receiver sees the number of the SMS-Box. The message can contain the telephone number for the return call to extract the new messages. The Short Message Service is also used for signaling new messages. This can be set for specific subscribers and services on a Web page or via telephone (see Web Assistant). In addition to the option for sending short messages from an SMS box, it is also possible to send messages directly via a service provider. SMS transmission via service providers is released for D networks. With this functionality, the message is sent directly to the ser-vice provider who converts it into an SMS and sends it to the specified D network number. An SMS box is not necessary in this case. This function is only available in conjunction with Eicon cards. Important note for the “Send via Service Provider” option: Due to the deregulation of the mobile communication market and the associated portabil-ity of the mobile call number (the mobile network can no longer be clearly identified by the prefix) transmission errors occur more frequently when using the ISDN transfer function. Inside the Eicon card, the prefix is prewired with a mobile phone service provider. If the prefix and the provider do not match, the SMS is not sent as the service provider does not recognize this call number as belonging to the network. Because this occurs within the mobile networks and the service providers require that a destination call number belongs

Page 13: COM ESY HA3 - BEIA TELECOM€¦ · HiPath Xpressions V4.0 is the further development of HiPath Xpressions 450 and is based on the MRS technology of CYCOS AG. The HiPath Xpressions

to their network, adaptation within the Xpressions system is not possible. This “erroneous behavior” therefore cannot be eliminated with a later software correction. This dispatch option is therefore only included on the list for the sake of completeness and clarity but we strongly advise against using it. This option which was released with Hi-Path Xpressions Version 3.0 has been revoked already. SMS messages can be answered. Inside the message the address has to be included in a defined format. The answer telephone number has to be separated either by *# or by <>. The address can be anywhere in the message. The message is forwarded to the mailbox of the receiver.

1.2.4.3 DP integration HiPath Xpressions can also be integrated in your company’s existing infrastructure and satisfies all requirements for an innovative communication solution. Efficient integration is possible in • MS Exchange (Exchange 2000 SR 2 or Exchange 2003) • Lotus Notes (Version 5.0 excl. 5.0.8 and excl. 5.0.11, Lotus R6.0 and 6.5.1/6.5.3) • and SAP R/3 (Version 3.1 and 4.0)

Integrated Messaging with MS Exchange/Lotus Notes (Dual Message Store) MS Exchange/Lotus Notes users can implement this package to receive (voice, fax, e-mail) and send (voice, fax, e-mail, SMS) all existing messages for them in the existing e-mail environment. In addition, mobile users can access all messages when on the road and, for example, have e-mails read out using the Text to Speech function (to be ordered separately). Message states are fully synchronized. In other words, if a message is de-leted on the desktop, it no longer exists for telephone retrieval. Or if a message is played back via telephone, it is marked as read on the desktop and the mailbox LED on the workstation telephone is extinguished. User data can be automatically replicated from MS Exchange/Lotus Notes to HiPath Xpressions. This guarantees uniform administration un-der MS Exchange/Lotus Notes. HiPath Xpressions is integrated by default in MS Ex-change via a connector. In Lotus Notes, the connection is based on the Lotus Notes client principle whereby the high Lotus Notes security standards are satisfied. In the case of Exchange, one connector is to be implemented for each site, i.e. separate orders must be placed for integration with Exchange.

Page 14: COM ESY HA3 - BEIA TELECOM€¦ · HiPath Xpressions V4.0 is the further development of HiPath Xpressions 450 and is based on the MRS technology of CYCOS AG. The HiPath Xpressions

Exchange 2000/2003 Connector MS Exchange users can implement this package to receive (voice, fax, e-mail) and send (voice, fax, e-mail, SMS) all existing messages for them in the existing e-mail environ-ment. In addition, mobile users can access all messages when on the road and, for ex-ample, have e-mails read out using the Text to Speech function. Message states are fully synchronized. In other words, if a message is deleted on the desktop, it no longer exists for telephone retrieval. Or if a message is played back via telephone, it is marked as read on the desktop and the mailbox LED on the workstation telephone is extinguished. User data can be automatically replicated from MS Exchange Active Directory to HiPath Xpressions. This guarantees uniform administration under MS Exchange Active Directory. HiPath Xpressions is integrated by default in MS Exchange via a connector. In the case of Exchange, one connector is to be implemented for each site, i.e. separate orders must be placed for integration with Exchange. Installations with Xpressions Upgrade to V4.0 can keep using Exchange 5.5.

Single or Dual Message Store Redundant integrated message storage (inbox replication) can be avoided with True Uni-fied Messaging or Single Message Store. In the case of Integrated Messaging or Dual Message Store, e-mails are replicated from the e-mail data server to the Xpressions sys-tem so that they are available for telephone retrieval or the Xpressions Web Assistant (1.2.4.21). Conversely, voice mails and fax message are transferred from Xpressions to the e-mail server so that they can be accessed with a standard e-mail client, such as Out-look. This replication is unnecessary when using the Single Message Store feature, as does the “dual” message store necessary on the Xpressions server for all replicated data. The True UM Connector provides access for telephone retrieval from the MS Exchange 2000/2003 and Lotus Domino R5/R6 inbox. Lotus Domino via TUM - status of e-mails in LN mailbox: Since Lotus Domino works with "offline copies" of the LN client mailbox, the following ap-plies: synchronization of e-mail read/unread status always functions properly when the LN user mailbox is closed during a TUM/TUI session. However, if an e-mail is read while the LN mailbox is open, its status remains unread until the mailbox has been closed and then reopened. Only then is the current mailbox used.

SAP R/3 connection HiPath Xpressions uses the standardized SAP connect interface and was certified by SAP AG. In your usual SAP R/3 user interface, you can also send faxes and SMSs or receive faxes and voice mails. Field service employees can be notified about new messages while on the road and, for example, have incoming e-mails read out (Text to Speech). Message processing is separately performed in both systems within the framework of SAP connect options. Full synchronization is therefore not performed. The SAP R/3 connection is only released for specific projects.

1.2.4.4 HiPath Xpressions Extensions HiPath Xpressions adds new functions, which are known as HiPath Xpressions Exten-sions to the user interface of the e-mail clients MS Outlook and Lotus Notes.

The toolbar then contains individual icons for user-friendly voice/fax processing, SMS transmission and CTI. The symbols have been newly implemented with Xpressions V4.0 For activating a call out of the journal the CAP is required. The CAP is not included in the Extensions Standard. Before installations can be done the checklist in annex A has to be reviewed. The following is an example of an MS Outlook Client toolbar:

The following offerings are available for HiPath Xpressions V4.0:

• HiPath Xpressions Extensions Standard with the following functions: o Voice/fax forms o SMS transmission o Outgoing telephone calls/callbacks from local and LDAP directories (“CTI

SMS transmission This extension features: • a user-friendly send window • automatic mobile phone number transfer from Outlook address books A button is available for user-friendly SMS transmission. A send window for short mes-sages appears in which you only have to enter the required text. The program takes care of the address syntax. If a mobile phone number is entered in the Outlook directories, it is automatically transferred to the send window.

Outgoing telephone calls/callbacks from local and central Outlook directo-ries (“CTI light”) Without having to re-enter call numbers, outgoing telephone calls can be simply initiated from local and central Outlook directories (e.g. Contacts) or a callback can be initiated on receiving messages, irrespective of the message type (fax, voice, e-mail), with connection setup controlled via HiPath Xpressions (“associated dialing”). Lotus Notes Extensions Standard The Lotus Notes Extensions Standard feature was released for the first time in conjunc-tion with HiPath Xpressions V3.0. This messaging function lets users set up a call by en-tering a call number, selecting a subscriber in the Lotus Notes address book or by setting up a callback call after selecting the inbound message. The following four send forms are supported in HiPath Xpressions V4.0 under Lotus Notes:

• Fax send form • Fax on Demand request form • SMS/Instant Messaging form • Voice mail send form incl. recording with PC microphone

1.2.4.4.2 HiPath Xpressions Extensions Advanced With the basic system the HiPath Xpressions Extensions Standard, voice/fax forms and SMS transmission are available. In addition with the HiPath Xpressions Extensions Ad-vanced, extensive CTI functions are available which match the scope and implementation of HiPath SimplyPhone V4.0 functions: Extensions Advanced is also available for different e-mail clients:

MS Outlook Extensions Advanced

An extensive range of CTI functions is available for MS Outlook, such as telephoning and caller identification from Contacts and address books and call logging in the journal. A Dialer function is also available which provides speed dialing keys and number redial in addition to the CTI functions integrated in Outlook. The technical prerequisite for the use of MS Outlook Extensions Advanced is the CTIApl and for HiPath4000 the CAP V2.0. The licenses for CAP come with the Extensions Ad-vanced. CAP/TAPI Service Provider and HiPath Xpressions can be installed on a shared server with up to 150 users. Here is a selection of the additional CTI functions available:

• Logging calls in folders or documents, notes on calls • Calling entries from folders or views that are linked to a telephone number, such

as personal and global address books, journals, e-mail folders, or • Databases or calendars • Searching in personal and global LDAP address books (Exchange, Lotus

Notes/Domino, MetaDirectory) and calling from hit lists • Caller identification from local address books or global LDAP address books • Call planning and callback list in the task list or mail/journal database • Initiating calls with drag&drop on the telephone icon in the system tray • Display dialog with name and telephone number in the case of incoming calls • E-mail notification in the case of forwarded or transferred calls • Use of enhanced telephone features (consultation, toggle, conference, • Call transfer, call back, call forwarding) • Fully integrated command line in the interface

Lotus Notes Extensions Advanced An extensive range of CTI functions is available for Lotus Notes, such as telephoning and caller identification from Contacts and address books and call logging in the journal. Telephony functionality like: - phone, conference, forward, call back - document calls For each coming or going call a call dialog is automatically opened. This dialog contains date and time of the call plus name and telephone number of the caller. You have the op-tion to add comments. The user has the option to decide on the automatic entry to the journal and/or on a to do item inside Lotus Notes. - activate calls based on contact list SimplyPhone allows you to place a call from a Lotus Notes-element (Contact, Journal en-try, actions or E-Mail or date). - identify caller - list of calls to do and list of calls not taken

If you do not take a call, SimplyPhone closes the dialogue and produces a element on the to do list. The 6 last calls of this kind will be included in the context menu of not taken calls. You can directly activate a return call. Instead of the to do entry a journal entry can be produced. - Telephone notes with Lotus Notes-Mail If you take a call that was mend for somebody else because of a group functionality or call forwarding, SimplyPhone will open the caller dialog giving you the E-Mail-Address of the original called person already included plus the name of the caller. In addition instead f a message a journal entry can be produced. - Email-information The technical prerequisite for the use of Lotus Notes Extensions Advanced is the CTIApl and for HiPath4000 the CAP. Extensions Advanced comes with the licenses for CAP.

1.2.4.5 LDAP Connector The LDAP connector synchronizes the internal Xpressions V4.0 database for user data with directory services that support the LDAP V3 protocol. These services include:

• Directory services based on the X.500 standard, e.g. Siemens DirX V5.5 • Directory services based on the LDAP standard in compliance with RFC 2251

(LDAP v3), see also http://www.ietf.org/rfc/rfc2251.txt, e.g. Netscape Directory Server

• The Netware Directory Services (NDS) in Novell Netware 5.x with LDAP V3 ser-vices installed

• The global address book in MS Exchange 5.x • The global address book (Names.NSF) in Lotus Notes/Domino 5.x with LDAP

services installed

1.2.4.6 Networking Networking has been redesigned for Xpressions V4.0. Message and data transport is handled via SMTP and thus uses the TCP/IP-Protocol. These are the options: Single systems can be networked internally to form a common system. System and ad-dress information is replicated automatically between the systems. An existing PhoneMail network can be incorporated using the Connect Server. The Con-nect Server exchanges also the address information address information. The Xpressions Web Assistant supports the Administrator during the setup of the network.

1.2.4.7 Additional user languages Mailbox owners can use this feature to individually set the operating language in HiPath Xpressions V4.0 to German or English (UK or US). This affects the telephone user inter-face, the Web Assistant and the HiPath Xpressions Extensions. Additional languages will be provided in a separate SMR (Software Maintenance Re-lease). The following languages are currently planned: Dutch, French, Spanish, Portu-guese, Italian, Turkish, Brazilian Portuguese, South American Spanish, Russian, and Ca-nadian French. Up to eight languages at a time can be supported in any one system. The display is however limited for Russian and Turkish. This is due to the integration of ASCI 7 bit, which cannot cover all characters used in these languages. These languages are also not supported in Exchange or Notes. In such cases, the English or German ver-sion of Exchange/Notes should be implemented. This feature must be activated sepa-rately on installation. Some countries have produced their local languages for the voice prompts (partly based on V3.0) Hungarian, Swedish, Danish, Slovakian, in preparation: Japanese, Serbian, Greek). On demand these languages can be made available via the local countries.

1.2.4.8 My Xpressions folder In the e-mail system, every user can create a separate Inbox-type folder named “Xpres-sions”. In this folder, specific messages, which satisfy the defined conditions, can be col-lected or copied via the Rules Wizard. The advantage of this is particularly noticeable when dialing from the telephone because this folder is now the first one offered rather than all messages in consecutive order. This enables important messages to be filtered and accelerates response times. In this folder, a distinction is made between new and read messages.

1.2.4.9 Fax on Demand Fax documents saved in HiPath Xpressions are available for retrieval as and when re-quired. Each of these documents is permanently assigned a call number and can be ob-tained by dialing the relevant call number from a fax machine. The connection costs in-curred by this form of transmission are borne by the caller. Fax-on-demand is only permitted by the server in fax-polling mode. FOD services exe-cuted via the voice menu are not released.

1.2.4.10 HiPath Xpressions Client (Communication Client) The Communication Client can be used by the administrator or by the user. The use has access to his E-Mail/Voice/Fax messages, make use of the dialing agent, send SMS, or make use of additional functionalities. For dialing out of the Communication Client and connected to HiPath4000 requires CAP: HiPath Xpressions Communications is not released for terminal server operation. Access via HiPath Xpressions Communications to TUM mailboxes is not possible for foreign mes-sage stores.

1.2.4.11 Text to Speech When accessing messages via telephone, the user can output e-mails in addition to voice and fax messages. In the event of telephone retrieval, e-mails are converted into voice outputs with the help of Text to Speech (software must be installed and licensed) and read out. Per port an additional 64KB of RAM needs to be included for the server PC.

:

When upgrading from an older version of HiPath Xpressions (<= Ver 4.0) to the present version, the new Text to Speech software from Scansoft must be ordered.

1.2.4.12 Integration in management systems Fault Management HiPath Xpressions V4.0 allows the transmission of alarm messages to HDMS V3.6, Hi-Path Fault Management or HiPath CAP. Transmission is based on the SMNP protocol (SMNP only when using HiPath CAP). Subscriber Management HiPath Xpressions V4.0 permits subscriber administration via the following systems: 1. MS Exchange V5.5 2. Lotus Notes 3. MS Active Directory (together with Exchange 2000/2003) 4. Customer Directory via LDAP Connector 5. HDMS V3.6 Subscriber Administration for VMS User Interface 6. HiPath Manager Subscriber management will be released separately after the independent of basic Xpres-sions V4.0 User Management field trial is finished.

1.2.4.13 Connection to HiPath 5000 V3.0 HiPath Xpressions V4.0 can be connected to the IPAPL at HiPath 5000 via TAPI2.1. In this context, only Blind Transfer (not Supervised Transfer) is supported. The fax function can be added via a separate fax card. This feature is only released for use in individual projects because the connection changes in conjunction with HiPath 5000 V4.0. This then corresponds to HiPath 3000 V4.0 and initially implements the familiar connection using S0/S2 interfaces.

1.2.4.14 Speech recognition On a project specific release basis speech recognition is available for HiPath Xpressions V4.0. This is based on software from Scansoft and supports German or English.. The mailbox can be directed using speech for example for access to messages or re-cording a new daily greeting. In case of misinterpretation Xpressions switches back to DTMF. The display is supported on HiPath4000.

1.2.4.15 New functions for PhoneMail user interface users

Name dialing As an alternative to calling a subscriber by dialing the associated call number, name-based dialing is available in Guest and Direct Access mode. The entry is made by typing letters via the keyboard. If Xpressions recognizes a minimum number of input digits or an end-of-dialing signal, it searches the database for a matching name. Up to 6 alternatives can be listed, subsequent hits can be activated via additional dialing. The names are listed in ascending call number order. Distribution list names or AMIS addresses are not offered. Name dialing is only available for the PhoneMail user interface; name dialing is not sup-ported by the VMS user interface. Message status Messages can also be marked as “Confidential”, “Urgent” or “Send later”. The recipient cannot forward a confidential message by telephone but rather from an e-mail client. In the incoming menu, an urgent message comes after the rejected messages and the in-coming confirmations at the start of the second message group or can be moved to the special “Xpressions” folder by the Rules Wizard. A message can include a recipient reply request with received, read or deleted indication.

Page 24: COM ESY HA3 - BEIA TELECOM€¦ · HiPath Xpressions V4.0 is the further development of HiPath Xpressions 450 and is based on the MRS technology of CYCOS AG. The HiPath Xpressions

:

AMIS The call number entered is checked against the AMIS node with subscriber number length. If the AMIS node matches, the node name entered can be output as confirmation. The subscriber to be reached is entered as usual by the user, without the message origi-nator having to know the corresponding AMIS numbers. VPIM Functionality comparable to AMIS only based on the VPIM-Protocol. Announcements (personal/corporate) Time-dependent announcements can be configured by the mailbox owner at the PC. A distinction can be made between internal announcements, external announcements, an-nouncements on busy, announcements outside business hours or alternative greetings. The personal announcement works as follows: The alternative greeting has priority irre-spective of the time of day. If the line is busy, the announcement on busy is always output, also irrespective of the time of day. Time of day activations apply to all other options. Pre-vention of announcement skipping can only be activated at the PC. Every user can save up to ten different announcements and then, depending on the situation, allocate them to the above-mentioned types. Notification function Besides setting the mailbox LED for one or more subscribers, Xpressions can control the following media when a new message is received: telephone (user outcall) pager, text pager (USA release only), or SMS for GSM-base handsets (GSM900 and GSM1800 net-works only). Short cut keys Complex command structures can be simplified using the Short cut keys. This allows for example with the command 41 to record the daily greeting. The selection behind the short cut keys are done in the Web Assistant. Interrupted recording of a message Is a connection to Xpressions interrupted during the recording of a message for example when calling from a mobile then the message will be offered to the mailbox owner after di-alling in for further processing (add to the recorded message or send it). Group Mailbox A group mailbox can now consist of a group of users (max. 99). Only one user can listen to incoming messages at a time.

1.2.4.16 New functions for VMS users User interface identification is performed via the telephone number in the case of called subscribers. The telephone number is assigned either to the PhoneMail or the VMS-like user interface. A group mailbox for up to 6 subscribers is available. Messages can be left simultaneously by a “random” number of users but only one user ever has read access. Sent messages can be marked as “Confidential”, “Urgent” or “Send later”. Messages to be sent later can also be set as recurrent, e.g. for regular meetings. Confidential messages cannot be forwarded. Only voice messages can be marked as confidential. “Confidential” appears on the display. Urgent messages appear in a separate message queue. Unified is also supported, i.e. fax and e-mail. Fax messages can be output at the fax ma-chine or printer. E-mails can be output at a fax machine, printer or read out via Text to Speech.

Messages can be sent to third-party messaging systems via AMIS with the same func-tionality as in the PM UI. All voice and e-mail messages in the inbox can be played back one after the other, with-out having to select each message individually. This is especially advantageous if you cannot always access them manually via the telephone, e.g. when in the car. The play-back volume can be increased or reduced. Announcements Announcements can be activated on the basis of internal/external office hours, outside of office hours, busy and alternative announcements. See comment on PhoneMail.

1.2.4.17 New functions for PhoneMail or VMS user interface users

Mobile availability An option for mobile availability within a region is set up by the administrator. A special command is defined for this. The mailbox owner then sets the call number at which he or she can be reached under the answering machine options in the mailbox. This option must be offered to the caller within the framework of the personal announcement. In addi-tion, call forwarding can be activated externally. System calls In the context of availability, the user can define if he or she wants all messages, voice/fax or e-mail messages or only urgent messages to be signaled (outcall) to ensure his or her fast response to the message Deputy assignment During a vacation, for example, all mails can be automatically forwarded to a deputy. This deputy must have a valid call number in the system. This solution is PBX-independent. Password/PIN updating Mandatory password renewal at defined intervals can be set. Passwords are subject to certain conventions (no digit repetition, no extension number, no name, not the last pass-words).

1.2.4.18 User outcall/mailbox LED (notifications) In the case of mailboxes, the mailbox LED can now be set at more than one terminal. This is especially advantageous in groups with a shared mailbox. The following forms of notification are now possible: user outcall, SMS, MWI, fax, e-mail, and pager call (USA release only). In the case of cascading, up to 99 dependencies can be defined, e.g. who should be called and at which call number if unavailable, etc. Impor-tant messages can also lead separately to notification. Similarly, an availability timeframe can be defined for each number.

1.2.4.19 Fax integration of a separate server The following fax systems can be integrated as external fax servers in the framework of True Unified Messaging:

• Fax Server from Omtool • LightningFax from Interstar Technologies

These fax systems are integrated in Exchange 2000/2003 or Notes RL 5/6. The faxes are entered in Exchange or Notes and can be retrieved by telephone either via the PhoneMail user interface or can be viewed as Tiff files via a client at the PC.

1.2.4.20 Large customer networks/networks with open numbering An additional field with an individual call number label is inserted for each user in Xpres-sions depending on various external Hicom systems at the customer facility (external line prefix).

Network administrator mode This mode is used when the user uses the data of the network administrator for the ac-cess.

• View into the configuration of voice mail networks and distribution networks. • Administration and configuration of system networks.

1.2.4.22 HiPath Xpressions Reporting HiPath Xpressions V4.0 features 10 predefined reports. These are based on the Pho-neMail report structure and cater to users with PhoneMail or VMS user interfaces. These reports focus on the following • Comments on system usage or system-wide utilization • Comments on subscriber deployment • Comments on announcement services, e.g. automated attendant, call processing • System security, e.g. unauthorized system access attempts • AMIS networking statistics

1.2.4.23 Telephone Device for the Deaf This feature was implemented fort he US to allow sales into the government channels.

1.2.5 New functions in V4.0

The expansion features in this release are described in this section

1.2.5.1 Corporate announcements There can be up to 999 different corporate announcements. The administrator can allo-cate a user to a corporate announcement. This permits the announcements for various companies to be housed under one roof. If a subscriber is absent or already on the phone, Xpressions can initiate a callback. Call numbers which have been suppressed will not appear and cannot be used for call-back. The administrator can configure the system so that calls are either transferred or dis-carded via the Automated Attendant.

1.2.5.2 Trusted Number Access Is the Telephone number of the caller known to the system the identification is shortened for quicker access to new messages.

1.2.5.5 Expansions in the MS Exchange environment In the Active Directory settings, users can now be assigned to a PBX system and an Ex-change connector. In addition, HiPath Xpressions V4.0 can be installed on a server with an MS-Exchange system with immediate effect. For performance reasons, the number of users is limited to 150 on installations of this type. This type of installation is only released on a project-specific basis in the initial phase.

1.2.5.6 HiPath Xpressions and HiPath CAP on a shared server The HiPath Xpressions V4.0 permits the installation of HiPath Xpressions V4.0 and Hi-Path CAP V2.0 together on one server for smaller configurations.

1.2.6 HiPath Xpressions - Demosystems Xpressions V4.0 is available as a demo system with 10 user Unified incl. Extension Ad-vanced and Connector to Exchange/Notes. Hint: This system cannot be upgraded or en-hanced. An Eicon- board 2 or 8 port needs to be ordered seperately. SMS-Box, TTS, Of-fice SBE, Modem for Service or pcAnywhere must be supplied locally – if required.

1.2.7 HiPath Xpressions – Connect Server The Connect Server supplies the connection between Hicom PhoneMail and HiPath Xpressions. Voice messages can be exchanged. The users are replicated in this network automatically.

1.2.8 HiPath Xpressions – Back-up Server In case of cluster or stand-by installations licenses are also needed for the stand-by sys-tem. With the logistic release in mid 2005 a ordering position will be included to allow this. This will allow to get a second license for the passive system bound to the MAC-ID of the second system. Only one system is allowed to be active at a time.

Project business with Cycos AG is clearly described and defined in the ICN VD Circular No. 05/2002. The following is an excerpt from this memo: HiPath Xpressions and HiPath SimplyPhone represent powerful product lines in the uni-fied messaging or unified communication environment. With the features implemented at Siemens, a wide variety of scenarios are possible with the standard configuration. All messaging projects are therefore to be performed on the basis of HiPath Xpressions. See also ICN VD Circular No. 12/2001. Special customer requirements can always be satisfied with the above-mentioned pro-ducts and in close cooperation with our development partner Cycos. To this end we have negotiated centrally applicable purchasing conditions with Cycos. Implementation is bind-ing. To ensure the smooth and timely processing of project-specific solutions, VD CCS and where necessary the relevant ICN EN department, such as Customer Projects, Product Sales, Product Management, must be involved in consulting and solution release in the initial project phase. We have created a project work folder as a binding tool for you and your co-workers. Please forward this information to the relevant persons. Contents of the work folder Workflow and processing for project-specific supplements Overview of the agreed conditions Contact person for the entire process The detailed contents of the work folder can be found at the following link. http://netinfovd1.icn.siemens.de/rundschreiben/vdmtl02/vdmtl0502.pdf For best results with Siemens solutions, it is important that VD CCS be involved as early as possible in the clarification of the relevant necessary project-specific scope. This will significantly improve the quality of the ordering, implementation and support phase. This applies solely to Cycos AG Alsdorf.

1.2.10 Project-specific releases Features are also released on a project-specific basis with HiPath Xpressions version 4.0. These include:

• System networking 1.2.4.6 • DSS1 implementation • Speech recognition 1.2.4.14 • HiPath Xpressions and MS Exchange on one server 1.2.5.4 • SAP Connector • Several distributed systems with one access number • Message import from external POP3 servers (additional hardware usually required)

1.2.12 Limitations

1.2.12.1 HiPath ProCenter Office V1.3 with HiPath Xpressions V4.0 It is not possible to use these two applications on one server, because of the different software versions.

1.2.12.2 Common limitations 1. The parallel operation of Xpressions and HiPath ProCenter Office on one server is not

released. 2. HiPath Xpressions can only be used as a single server solution by a maximum of 2000

users and 2 x S2, the equivalent of 60 B-channels. 3. Lotus Domino via TUM - status of e-mails in LN mailbox:

Since Lotus Domino works with "offline copies" of the LN client mailbox, the following applies: synchronization of e-mail read/unread status always functions properly when the LN user mailbox is closed during a TUM/TUI session. However, if an e-mail is read while the LN mailbox is open, its status remains unread until the mailbox has been closed and then reopened. Only then is the current mailbox used.

4. Fax-on-demand is only permitted by the server in fax-polling mode. FOD services exe-cuted via the voice menu are not released.

5. HiPath Xpressions Communications is not released for terminal server operation. 6. Access via HiPath Xpressions Communications to TUM mailboxes is not possible for

foreign message stores. 7. Subscriber administration via HDMS or HiPath 4000 Manager (HXC Connector) is only

released if the user data are migrated from a Hicom VMS to HiPath Xpressions VMS. 8. Preferably boards with a universal PCI bus (3.3 and 5 volts) are installed with all new

deliveries from version 3.0. All Eicon boards are 3.3 volt-compatible. 9. The DM/F300-1E1 Dialogic board cannot be used with the new PCI slots for 3.3V and

66MHz. 10. Access numbers starting with "0" are not possible. 11. From HiPath Xpressions V4.0 only Speechify TTS V3.0.4 is used for text-to-speech. 12. The AMIS protocol with Eicon boards is not released. This restriction is only valid for

connections of a migration from a Hicom VMS to HiPath Xpressions VMS, but not to-PhoneMail or Octel systems.

13. The “Daimler” feature is not released. This release is to take place with a following SMR after corresponding tests.

1.2.13 Migration concept

1.2.13.1 Upgrading earlier HiPath Xpressions versions (HiPath Xpressions 450 Vx.x/ HiPath Xpressions V3.0) and expansions

The following upgrade items are essential depending on the system version in use for up-grading HiPath Xpressions 450/ HiPath Xpressions V3.0 to HiPath Xpressions V4.0 keep-ing the existing sold features:

• Basis package upgrade to V4.0 BDB255 • Voice License upgrade to V4.0 per User BDB264 • Unified/Fax License upgrade to V4.0 per User - BDB265 • Extensions Advanced upgrade to V4.0 BDB267

New features must also be ordered.

HiPath Xpressions’ absolute modular marketing structure guarantees the customer the flexible extension of his or her initial configuration. This applies both to additional services and for the expansion of user licenses. Systems to be migrated that are before Xpressions V3.0 SA10 need more technical effort. Please calculate separately. Not supported any more with Xpressions V4.0 are the operating system Windows NT, Windows 98 for the Client and Office 2000. Microsoft announced the Stop of support for Windows 2000 as operating system fort the Server PC starting from 1.7.2005. No bugs will be corrected any more in this operating system.

Migrations to Xpressions V4.0 with Windows 2000 Server are supported until 30.9.2005. During the support time of Xpressions V4.0, bugs arising will be corrected on the side of HiPath Xpressions. A bug occurring with the operating system can only be corrected with the change to Windows 2003.This has to be supplied by the customer. For all migrations to Xpressions V4.0 we recommend the parallel change of the operating system to Windows 2003 Server. Important note: Sales of HiPath Xpressions systems V2.0 & V2.1 included the option of a server license limited to different numbers of users (depending on the installed server hardware). De-pending on the different hardware platforms, different maximum server configurations were approved. Licenses for more than 2000 users were not included in these configura-tion limits. This type of server license no longer exists since the introduction of HiPath Xpressions V3.0.However, so as not to put existing customers at a disadvantage in the case of an upgrade to V4.0, the following agreement has been made: The customer had a maximum user configuration limit per server depending on the soft-ware version purchased (V2.0/V2.1). On performing upgrades, all user licenses that are in excess of this licensing limit (2000 users) but still within the configuration limit are supplied free of charge by Product Management. This is outlined in the table below:

V2.1 Voice/fax 1000 --- 3000 1000 10000 8000

Unified 600 --- 2000 --- 5000 3000 The following is an example of the result for version 2.1: The customer ordered a license for 5000 Unified users on a distributed system. If this is to be upgraded to the current version and to include an additional 100 users, there is no charge for the extra 3000 licenses required (up to 5000 users) since Product Management bears the cost. The customer must only bear the cost for the additional 100 users be-cause this capacity could not have been realized with a V2.1.

1.2.13.2 Upgrading from Hicom VMS to HiPath Xpressions V4.0 The Hicom 300 Voice Mail Service (VMS) is no longer available for new business. Existing customers can continue to use it. We want the VMS customers to migrate to HiPath Xpressions with the user interface matched to VMS.

Page 31: COM ESY HA3 - BEIA TELECOM€¦ · HiPath Xpressions V4.0 is the further development of HiPath Xpressions 450 and is based on the MRS technology of CYCOS AG. The HiPath Xpressions

The principle differences compared to HiPath Xpressions are listed below for better guid-ance in the expansion or replacement business:

Unified Messaging will only be integrated in the VMS user interface in HiPath Xpressions V3.0 Phase 2. Tools for transferring user data and messages in the course of VMS migration to HiPath Xpressions with VMS interface are available for the migration. Please note that when mi-grating from VMS to HiPath Xpressions Standard or HiPath Xpressions Advanced, only data relating to the voicemail can be transferred. Fax or e-mail data cannot be transferred as there is none in the VMS database.

1.2.13.3 Upgrading from PhoneMail to HiPath Xpressions V4.0 There are no migration tools currently available for upgrading PhoneMail installations to HiPath Xpressions V4.0. Because of the major technical differences in the system struc-ture, it is not possible to back up the user data and then transfer it to the HiPath Xpres-sions user database. A parallel use of PhoneMail and Xpressions in one network is possible when making use of the Connect Server V4.0 as a gateway. Voice messages can be exchanged between PhoneMail and Xpressions.

The Web Assistant provides support at many levels. For example, for changing your op-erating language, selecting a fax cover, defining a deputy, using an audio file as an an-nouncement, setting up a mixed distribution list, or setting service-specific message wait-ing signaling. Client Assistant operation is self-explanatory. An extensive online help sys-tem is also available to answer your questions.

1.3.2 System administration System journal All send and receive operations from all subscribers configured in HiPath Xpressions are saved in this database. For data protection reasons, this journal can only be read by au-thorized persons. A report generator is available on a project-specific basis for creating individual reports. You yourself can define the selection criteria (report time, database fields, etc.). Primary resource or subscriber-specific reports can be generated by access-ing HiPath Xpressions database tables. The topics of these reports can therefore be call charge evaluation, itemized call lists, server load or service monitoring.

Line Monitor This is used for displaying messages regarding status, performance, diagnostics, etc. for the entire HiPath Xpressions system. In addition, the individual configuration of specific HiPath Xpressions modules is possible. Remote administration HiPath Xpressions can be administered remotely via ISDN, modem, LAN, intra-net/Internet. A number of tools can be used for this, e.g. Remote Access Service (RAS) from MS Windows 2000/2003 or NT or PC Anywhere. Networking Multiple HiPath Xpressions systems can be networked via ISDN and LAN. Internet tech-nology (SMTP/MIME, POP3/IMAP4) is used for this. TCP/IP is used as the transport pro-tocol. The integration of HiPath Xpressions via Domain Name Service (DNS) is a prereq-uisite in the LAN. Voice mail networking is also possible for specific projects via AMIS analog (e.g. to Siemens VMS). For more details, see the description under 1.2.4.6 Reports Prepared reports are available for statistics. These reports focus on the following:

• Comments on system load or system-wide utilization • Comments on user utilization • Announcement service utilization, e.g. automatic attendant, call processing • System security, e.g. unauthorized system access • In addition the Xpressions database interface is open so that customer-specific

reports are easy to create using standard reporting tools, such as Crystal Reports.

1.4 Customer prerequisites and basic functional conditions

The basic technical conditions, such as the existence of telephone, fax and e-mail net-works must be clarified before a quotation is issued.

Most of the requirements for a messaging system can be clarified using the following list.

The service offering from Professional Services (see Section 1.5) should be marketed for more complex installations, in particular for multiple locations.

Additional information:

PBX connections HiPath Xpressions can be connected to the following communication systems: • Hicom 300 E V 1.0 and later • Hicom 300 H V1.0 and later • HiPath 4000 • Hicom 150 E V 2.1 • Hicom 150 H V1.0 and later • Hicom 150 OfficePro/Com • HiPath 3000/5000 • HiPath 5000 V3.0(project-specific) • Realitis DX • Third-party EWSD and telephone systems (project-specific) The configuration (per server) can be scaled as required from 2 channels (S0) up to 60 channels (S2M). In the case of large configurations, distributed systems (61-240 channels) or networked systems (unlimited channel number) can be configured. The CorNet N/NQ protocol was implemented to guarantee optimum integration in Hicom systems. For ex-ample, you save channels to HiPath Xpressions, because when connecting to other sub-scribers from the voice mail, the routing function is transferred directly to the Hi-com/HiPath. And your voice mail user prompts are improved by the inclusion of additional display texts on your digital workstation telephone.

1.5 Services

Services must be marketed to a greater extent, especially with regard to their incorpora-tion in the customer’s specific IT environment. These services must be marketed in par-ticular when implementing HiPath Xpressions in a MS-Exchange or Lotus Notes environ-ment.

For more information, see http://netinfo.icn.siemens.de/mobile_office_packages/product

The Professional Services group has created various service packages that are tailored to the special requirements of HiPath Xpressions marketing.

Depending on the customer environment it makes sense to do a network analysis.

2 Sales Information

2.1 Scope, start of marketing and delivery

2.1.1 Customer information on start of marketing and delivery Chapter “Applications” “Messaging”.

2.2 Sales objectives and target groups

HiPath Xpressions V4.0 will be marketed as a UM solution. The product is clearly differenti-ated in comparison with the competition through its flexibility, scalability and the future-proofness of the product solution. This means that customers can be offered a higher de-gree of protection for their investment.

HiPath Xpressions can be used with PM or VMS-TUI as a cost-optimized voice-only solu-tion on Hicom 300 E/H, HiPath 4000 or Hicom 150 E/H, HiPath 3000 where no other UM solution is required in the initial stage, and as an upgrade/migration solution for an existing Hicom 300 VMS solution. An upgrade to unified users can be done at any time.

HiPath Xpressions Unified Users provide the solution based on a straightforward unified messaging solution. In this case, the various services (voice, fax, e-mail) are made avail-able to the individual users as and when required. In other words, in addition to the use of unified messaging mailboxes, voice-only and/or fax-only mailboxes are also possible. As a “unified communication” solution with Full-CTI, this is the ideal application for custom-ers who want CTI functionality as well as unified messaging. This solution also supports the integration of computer-aided telephony functions on the user’s desktop. A detailed examination of the customer’s requirements, an analysis of the TC/DP systems used and of the particular network, and comprehensive advice for the customer are re-quired in most cases. This results in many different opportunities for placing services and marketing them.

2.3 Marketing structure

The marketing concept guarantees the customer a choice of services to match their re-quirements and flexible structuring of their user licenses. The wish to reduce product or-dering complexity resulted in an optimized structure which is available with Xpressions V4.0. Customers of earlier versions will be set to the same level like new customers. The basic system now includes thes separat features which were marketed separately in earlier versions: • Office package • Automated Attendant • Internet e-mail • e-mail connectors to MS Exchange, Lotus Notes and SAP • Fault/User Management • AMIS networking • LDAP • Networking to other HiPath Xpressions systems • Communications Client Voice User now includes the feature • Web Assistant Unified User now includes the feature: • Web Assistant • Extensions Standard (CTI-light) Separate order positions are: • SMS Box • Fax-on-Demand • Text-to-Speech • Speech recognition (projektspezifisch) • Administration from remote (PC-Anywhere) • Hardware or connectivity lines to the PBX The modular structure allows the customer leeway for making expansions as and when needed to comply with the market situation. The upper price limit of 2000 subscribers per service is no longer applicable. A company or campus license can be obtained from COM ESY HS TS for specific pro-jects (see Section 2.4.2). Systems with more than 2000 subscribers have to be build up as distributed systems consisting of more than one PC. For new orders Voice/fax boards from Eicon are used on the server side. These boards support the CorNet-N/NQ connection and thus guarantee optimum integration in the Hi-com/HiPath systems. Dialogic boards are only supported up to the operating system Win-dows 2000. HiPath Xpressions can be connected to Hicom 300/300E and Hicom 300 H V1.0/HiPath 4000 both via DIU2, DIUN2 or DIUN4 and via STMD/STMD2. A reduced module price from ICN EN applies for the connection of HiPath Xpressions to Hicom 300 V3.5. With Hi-com 300E and Hicom 300 H V1.0/HiPath 4000 the licenses required (Networking feature, basic telephony, operating software) are provided at a reduced rate when ports are re-leased. HiPath Xpressions is connected to Hicom 150 E V2.2, Hicom 150 Office Pro/Com, Hicom 150 H and HiPath 3000 via S0 or S2M. The configuration per server is up to 30 channels for voice and fax.

3 Prices and Commercial Handling

3.1 Export regulations (customs and export control)

Certain products marketed by us are subject to export-approval regulations under EU/German and US law [as per German Export List (Ausfuhrliste, AL) and Export Admini-stration Regulations (EAR)].

At the time when a quotation is submitted or an order confirmed, it is not always safe to assume,

• that the requisite export/re-export permits will be granted in all cases, or

• that existing export/re-export permits will be extended for a period of time cover-ing delivery deadlines that result from planning or delays.

Consequently, you must include the following proviso in your quotations, order confirma-tions and contracts with customers if you are aware or presume that the shipments are in-tended for export/re-export - in other words including indirect exports and business with dealers:

“This quotation (contract, order confirmation) and contract fulfillment are provisional upon the requisite export permits being issued and upon there being no other impediments due to German or other applicable export regulations.”

4 Data Protection and Information Security

4.1 Customer information on data protection and information security

The data protection regulations applicable in the particular country must be observed.
