Clubs and Publications Handbook Department of Clubs & Publications Stuyvesant Student Union The Stuyvesant Student Union’s Department of Clubs and Publications strives to foster an environment in which the student body may create and participate in clubs, publications, and other extracurricular activities. The Department’s goal is to regulate club activity and ensure that all clubs and publications create a safe, respectful, and productive environment in which each member is respected. The Department strives to provide clubs and publications with guidance in all of their activities. These activities include, but are by no means limited to, club and publication establishment, regular meetings, special events, and any other activities the club wishes to pursue. The Department of Clubs and Publications believes that by working closely with each of Stuyvesant’s clubs and publications, we will be able to enrich the life of Stuyvesant students seeking to engage in such extracurricular activities while positively impacting the greater Stuyvesant community. i. Address$and$adjust$all$the$reasons$listed$as$to$why$the$club$was$revoked$ii. List$out$plausible$reasons$justifying$the$original$charter$and$explaining$why$the$reasons$listed$by$

d. No$club$or$publication$is$guaranteed$approval$after$an$appeals$process.$$8. All$clubs$and$publications$are$expected$to$provide$all$of$its$members$with$a$copy$of$the$approved$charter,$or$to$make$
i. All$clubs$and$publications$may$reserve$a$room$from$the$selected$list$of$rooms$provided$by$the$SU$in$order$to$hold$meetings.$$
ii. All$clubs$and$publications$must$reserve$a$room$on$the$Student$Union$website$to$be$able$to$hold$a$club$meeting.$Please$contact$the$Directors$of$Clubs$and$Publications$and$IT$Directors$if$you$do$not$already$have$your$login$for$the$room$reservation$list.$$
iii. No$club$or$publication$is$entitled$to$a$specific$room.$The$room$reservation$process$runs$on$a$first$come$first$serve$basis.$
iv. All$rooms$must$be$kept$clean$and$in$sanitary$condition,$and$returned$in$the$condition$that$they$were$provided.$Any$complaints$made$by$a$member$of$the$Stuyvesant$staff$in$regards$to$the$condition$of$the$room$used$may$result$in$the$suspension$of$the$club$that$used$the$room.$
v. All$clubs$and$publications$must$use$the$room$they$reserved.$If$the$reserved$room$is$not$used,$the$club$or$publication$may$be$suspended$or$receive$a$strike.$$
vi. No$food$or$drink$is$permitted$during$club$meetings.$No$exceptions.$$vii. The$Directors$of$the$clubs$and$publications$department$must$be$notified$at$least$24$hours$in$advance$in$the$
viii. The$appropriate$paperwork$must$be$filled$out$in$order$to$reserve$and$use$spaces$other$than$school$classrooms$(i.e.$cafeteria,$auditorium,$lecture$halls)$for$their$meetings.$To$do$this,$please$have$your$Faculty$Advisor$schedule$a$meeting$with$Assistant$Principal$Organization$Randi$Damesek.$$
ix. Clubs$may$not$hold$meetings$on$rapid$dismissal$days$or$other$days$specified$by$the$administration.$Please$check$the$Stuyvesant$website$for$these$days$(stuy.enschool.org.)$
All Clubs and Publications must reserve a room in the SU office in order to hold a club meeting. Clubs with faculty advisors present at meetings may use available rooms on floors other than the 2nd and 3rd floor. Rooms must be reserved a week in advance.
In order to reserve spaces such as the 1st, 2nd and 3rd floor atriums as well as hallway spaces, clubs must sign up using the room reservation sheet in the SU.

a. Special$events$include,$but$are$not$limited$to,$guest$speaker$events,$fundraisers,$trips,$outside$activities,$etc.$$b. All$special$events$must$be$approved$by$the$club’s$Faculty$Advisor,$the$Stuyvesant$Student$Union,$the$Principal,$as$well$
a. To$host$a$guest$speaker,$club$leaders$must$first$have$the$event$approved$by$their$Faculty$Advisor$along$with$the$administration.$$
b. Clubs$and$publications$may$not$request$or$mandate$funds$from$members$or$the$Department$of$Clubs$and$Publications$to$pay$the$Guest$Speaker.$Stuyvesant$High$School,$the$Stuyvesant$Student$Union,$the$New$York$City$of$Department$of$Education,$and$of$their$employees$or$members,$will$not$absorb$any$costs$related$to$the$event.$No$exceptions.$It$is$therefore$highly$recommended$that$clubs$and$publications$only$invite$Guest$Speakers$who$do$not$require$any$payment.$$
c. Faculty$advisors$must$then$discuss$with$the$Assistant$Principal$of$Technology$about$specific$equipment$that$is$necessary$for$the$event.$$The$Faculty$Advisor$must$meet$with$the$Assistant$Principal$Organization$and$book$a$room$weeks$prior$to$the$event.$$
b. A$NYCDOE$current$licensed$employee$must$check$in$the$guest$speaker$into$the$school$and$escort$the$guest$speaker$to$the$reserved$room.$They$must$stay$with$the$club$throughout$the$event$and$must$escort$the$guest$speaker$out$of$the$school$at$the$end$of$the$event.$$
c. Clubs$and$publications$are$responsible$for$arranging$for$any$special$equipment$(computers,$projectors,$etc.)$themselves.$It$is$suggested$that$they$talk$to$the$Assistant$Principal$Technology$(currently$Mr.$Wong)$and$the$custodial$staff$to$get$the$equipment.$It$is$the$responsibility$of$the$clubs$and$publications$to$follow$up$on$equipment$requests.$All$equipment$must$be$returned$in$the$same$condition$borrowed.$No$club$or$publication$is$entitled$to$equipment$and$the$Assistant$Principals$or$other$Stuyvesant$Administrative$members$reserve$the$right$to$decide$whether$or$not$equipment$may$be$borrowed$or$utilized.$$
b. The$appropriate$paperwork$must$be$filled$out$to$hold$a$fundraiser.$Please$first$submit$a$proposal$of$the$fundraiser$you$plan$to$hold.$The$proposal$must$be$submitted$at$least$three$weeks$in$advance$to$the$proposed$date$of$the$event$to$the$Stuyvesant$Student$Union,$both$by$email$and$by$handing$in$a$physical$copy$to$the$Stuyvesant$Student$Union.$$
i. $In$the$proposal,$be$sure$to$include:$1. The$mission$of$your$club$and$how$this$fundraiser$complies$with$the$mission$2. The$specific$reason$you$are$holding$this$fundraiser$3. Where$the$event$will$take$place$4. Profit$analysis:$How$will$the$profits$be$divided$up?$Will$you$be$donating$money$to$charities?$$5. Who$will$lead$the$event?$$6. Any$other$notes$or$comments.$$
ii. All$clubs$and$publications$MUST$have$a$faculty$advisor$present$in$such$trips.$Any$club$or$publication$that$holds$an$event$outside$of$Stuyvesant$without$their$Faculty$Advisor’s$presence$will$not$be$recognized$by$Stuyvesant$High$School,$the$Stuyvesant$Administration,$the$Stuyvesant$Student$Union,$and/or$the$New$York$City$Department$of$Education$as$a$Stuyvesant$Club$or$Publication$and$may$not$affiliate$themselves$with$Stuyvesant$High$School$or$the$Stuyvesant$Student$Union$in$any$way.$$
iii. Please$contact$the$Directors$of$Clubs$and$Publications$and$the$COSA$for$more$information$in$regards$to$holding$an$event$outside$of$Stuyvesant.$$

Grant(–You$must$spend$your$own$money$and$save$all$of$your$receipts.$$Then$you$should$give$the$original$copies$of$the$receipts$to$your$assigned$budget$director.$In$a$few$days,$you$can$go$down$to$room$103$and$talk$to$Bonnie$(Mr.$Teitel’s$treasurer)$to$pick$up$your$check.$We$cannot$reimburse$tax,$so$you$should$use$taxZexempt$forms.$If$granted$money$by$the$SU,$your$assigned$budget$director$will$email$you$taxZexempt$forms$to$use.$(
