1.0 General Information

The policies, procedures, and information within this document apply to all student Chromebooks used in School City of Mishawaka (SCM), including any other device considered by the Administration to come under this policy. Teachers may set additional reasonable requirements for classroom use.

2.0 Responsible Use Expectations

3.0 Your Chromebook

3.1 Returning your Chromebook

Chromebooks will be returned to SCM during the final week of school. If a student transfers out of SCM during the school year, the Chromebook must be returned at that time to the front office. Furthermore, the student will be responsible for any damages inconsistent with SCM Chromebook Device Agreement and must return the device to the front office in satisfactory condition. The student will be charged a fee for any needed repairs, not to exceed the replacement cost of the Chromebook.

3.2 Failure to return

Chromebook that are not returned in good working condition at the end of the school year or upon withdrawal from this school district or upon moving to another school district, will be considered theft or conversion of the device and will be turned over to local law enforcement.

4.0 Fees

4.1 Technology Access Fee

The $25 technology access fee (per semester) provides required access to School City of Mishawaka owned Chromebook, apps, and digital curriculum. The district issued device ensures compatibility with instructional infrastructure, filtering compliance, and content distribution.

4.2 Damage and Loss Fees

Students and Parents/Guardians are expected to be responsible stewards of all School City of Mishawaka owned devices. Each student Chromebook is protected by an approved protective case and will provide significant protection throughout their Mishawaka High School career. The case will not protect against abuse or careless handling. Parents/Guardians are financially responsible for any lost, stolen, or damaged equipment/software.

Intentional Damage: Students and Parents/Guardians are responsible for full payment for damages to the Chromebook that are the results of careless or negligent handling. SCM fees DO NOT cover intentional or careless damage of the Chromebook. This also includes intentional damage to another student’s Chromebook.

Device Alterations: “Jailbreaking” the device results in the loss of warranty through SCM. The District’s Acceptable Use Policy and Student Responsible Use Expectations, explicitly prohibit a student from altering a device’s operating system or software. Parents/Guardians & students will then be responsible for any and all fees and/or replacement of the Chromebook.

The table below details fee that may be assessed in instances where damage or lost devices occur.

4.3 Accessory Replacement

Charging Blocks & Cords: Each student will be issued a power block and cord along with his/her Chromebook. If the original block and cord stop working, a new block and cord will be issued at no charge. If a block and/or cord is damaged or lost, the student must purchase a new block and/or cord from SCM. Third party chargers and cords are not approved for use on SCM owned devices.

Protective Cases: Students should NOT remove the Chromebook from the school issued protective case for any reason. Removing an Chromebook from the protective case and causing damage to the Chromebook while outside of the case may result in a higher repair fee. In the rare instances where a teacher approved learning task requires case removal, the student must take the Chromebook to a Technology Staff member for proper removal.

4.4 Device Loss

Lost/Stolen Chromebooks: SCM will make every attempt to locate lost and stolen Chromebooks utilizing our network features. Any reported theft of an Chromebook will be fully investigated and reported to authorities. Chromebooks that are believed to be stolen must be reported immediately to the front office.

4.5 Claims

1. Claims for lost or damaged device or accessories must be filled out before a replacement device can be issued.

2. Claim forms can be found at the bookstore or Student Help Desk.

3. Completed forms will be reviewed for approval and assessment of any necessary fees.

4. Once a completed claim has processed, a replacement device will be issued.

5. Fees are due 10 days from incident. Payment details will be included with statements sent to student homes.

5.0 Device Usage and Care

The Chromebook is district property and all users will follow this policy and the SCM Responsible Use Expectations for this technology. Students are responsible for the general care of the Chromebook. Chromebooks that are broken or fail to work properly must be taken as soon as possible to SCM Technology Staff or Student Help Desk (Tech-Loft, MHS Library) for an evaluation of the equipment.

5.1 General Care & Precautions

• While in transit, Chromebook case must be latched securely.

• Only use a clean, soft, dry cloth to clean the screen. Do not use cleansers of any type.

• Cords and cables must be inserted and removed carefully into the Chromebook to prevent damage.

• Protect Chromebooks from exposure to any liquid (rain, drinks, cleansers, etc.).

• Students should NOT remove the corporation label at any time.

• Chromebooks must never be left in an unlocked locker, unlocked car, or any unsupervised area.

• Care should be taken so that placement in backpacks does not cause too much pressure and weight on the Chromebook screen. Do not throw your backpack. Duh

• Do not lean on the top of the Chromebook when it is closed.

• Do not place anything near the Chromebook that could put pressure on the screen.

• Do not place anything on the carrying case that will press against the cover.

• Do not “bump” the Chromebook against lockers, walls, floors, fluffy kittens, etc.

• Do not take Chromebook to situations that might result in damage or loss, such as gyms, practice fields, zombie apocalypses, or other activities where the device cannot be monitored and protected.

5.2 Usage and Preparation

• Students are responsible for keeping their Chromebook’s battery charged for each school day. Establish a home routine that ensures your Chromebook is prepared for a full day of usage. Eat a good breakfast too!

• Do not let the battery completely drain. This practice reduces the device product’s life and hurts the Chromebook’s feeling. Be kind.

• Do not leave device at home. Students are still responsible for coursework. Substitute devices will NOT be provided.

• Do not let others, other than Parents/Guardians, use your device. Damage or loss caused by others will be your responsibility.

5.3 Workflow

Printing is not enabled. Work must be saved locally to device or cloud storage conduits such as Google Drive (provided by SCM) or free accounts available such as DropBox, OneDrive.

Students may save work directly on the Chromebook. It is recommended students have a method of backing up their information personally or on an online resource such as Google Drive or Dropbox service. Storage space will be available on the Chromebook—BUT it will NOT be backed up in case of re-imaging. It is the student’s responsibility to ensure that work is not lost due to mechanical failure or accidental deletion. Chromebook malfunctions are not an acceptable excuse for not submitting work. Nice try ☺

SCM will not be responsible for lost or missing data.

5.4 Maintenance

Follow general and maintenance alerts and notifications from SCM Technology.

Students may be selected at random to provide their Chromebook for inspection. Individual student’s Chromebooks may also be inspected or monitored at any time.

6.0 Responsibilities

Mishawaka schools and its over 5000 students and nearly 700 staff need access to our network and school computers. We all need to ensure that every user feels safe while using the network and that our computers and printers are in working order for everyone to use.

SCM has rules that all students have to follow when they use the Internet or a District provided device. The full policy (Policy #7540.03) is available on our District website or in print at School City Administration offices at 1402 S. Main St, Mishawaka, IN 46544.

All users are expected to follow all of the rules and conditions listed in the District’s AUP, as well as those given verbally by SCM teachers and administrators, and to demonstrate good citizenship and ethical behavior at all times. The full text of Student Responsible Use Expectations is available in print or on the Corporation’s website.

6.1 Parent/Guardian Responsibilities

Talk to your student about values and the standards that your student should follow on the use of their Chromebook. Families also share the responsibility for such guidance and supervision while using their Chromebook as they exercise with information sources such as television, phones, movies, radio, social media, and other potentially offensive media.

6.2 School Responsibilities

• Provide Internet and e-mail/Learning Management System access to its students.

• Provide Internet blocking of inappropriate materials as able.

• Provide access to online data storage services. These will be treated similarly to school lockers. SCM reserves the right to review, monitor, and restrict information stored on or transmitted via SCM-owned equipment and network.

• Provide staff guidance to aid students in doing research.

• Help assure student compliance of the responsible use policy.

6.3 Student Responsibilities

We trust our students. We expect their best.

Mishawaka School’s Responsible Use Policy is a reflection of the high standards of excellence we have for our students. Responsible use of information and communication technologies (ICT) are essential skills for engaged, productive community members. Students are expected to follow the Device Agreement and Responsible Use Expectations and caring for and maintaining their device so that it is in good working order.
