The Gathering

There are both big decisions and little details to attend to as you prepare for your upcoming catered event. Let The Gathering by Chartwells guide you, from designing the perfect menu to personalizing all the details of your unique gathering. Our catering services can accommodate any size, theme, or individual requirements, in virtually any location – on or off campus.

We’ll work with you to create a custom gathering menu inspired by your unique needs that will leave a lasting impression on your guests. All menus will follow the Chartwells culinary philosophy; authentic recipes using the freshest, seasonal ingredients.

Waiter service, buffet, small plates and international inspired specialty stations: all served in your style! And because you’ve entrusted your event to The Gathering by Chartwells, the food will be unmatched, the service spectacular, and the event will be unforgettable!

Plan Your Event

The Gathering

Policies & ProceduresTo ensure optimal selection and the best possible service we kindly ask that events be booked at least seven business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs.

Guest CountsWe kindly request a confirmed number of guests be specified 4 business days prior to the event. This number is considered the guaranteed guest count. Theguarantee is not subject to reduction and the client willbe billed for the guaranteed number or the accountednumber of guests served, whichever is greater.Chartwells reserves the right to make reasonablesubstitutions to the menus and/or add an additional fee.If the guarantee is not received on time, the lastestimated number to attend would be used as theguarantee. Chartwells will automatically produce eventitems 5% over the guaranteed number..

Serviceware and ChinaAll disposable serviceware will be furnished as accompaniment to all items purchased. Some exceptions apply to orders being picked up. We provide high quality disposable plastic ware. China and glassware is available for an additional charge of $2.50 per person.

LinenTablecloths are supplied for all food and beveragesservice tables at events. Tablecloths for non food tablesare available for an additional $7.25 per table.

Tax ExemptWe request tax-exempt forms be dropped by the Chartwells office three business days prior to the event.

Attendant’s FeeChartwells requires attendants for all buffet & chinaserver, receptions & breaks. The number of attendantsis based on the size, set-up and complexity of the menuitems.

All buffet & beverage tables include table cloths. All meals will be on good quality disposable ware unless otherwise noted or requested.

Billing & PaymentWhen ordering a Schreiner University affiliated event,please have your purchase order number available. Allcatered events purchased with a Schreiner Universitypurchase order will receive a 5% discount. A $15.00administrative fee is added to all events. All nonaffiliatedSchreiner University catered events will berequired to pay 100% of the estimated charges toreserve our services. The catering sales office mustreceive payment no later than seven (7) business daysprior to the event. Any Schreiner University eventbooked less than 48 hours in advance will not beeligible for the discount.

CancellationIf you find it necessary to cancel an event, you will becharged for any expenses already incurred. Cancellationof service must be submitted in writing and sent directlyto the catering sales office no later than four (4)business days before the scheduled event. Shouldcancellations occur after four (4) business days prior tothe function, the client will be responsible for 100% ofthe contract cost.

Special DietsSpecial diets are accommodated upon request, wekindly request that your needs be submitted as soon aspossible.

Open Flame & SternoIt is Chartwells’ policy to require an attendant on-site atevents that utilize open flame or the use of sterno. Thecosts for the attendant will be passed on to the client atthe current rate stated in the contract.

Leftover FoodFood is extremely perishable; therefore any food notconsumed at the event remains the property of Chartwells. No credits will be issued for leftover food orunused items.

Location, Meeting & Equipment InformationPrior to making catering arrangements, you must firstmake room reservations for your event. For specificlocations on campus, it is important that you make your reservations as far in advance as possible. It is thecustomer’s responsibility to ensure that the facilitywhere the event will be held is open and accessible with sufficient time prior to the function for set-up purposes. Set-up time will vary based on the size and complexity of the event and must be coordinated with the catering department.

Please reserve all non-food related equipment bycontacting Auxiliary Services at 830-792-7456. This willinclude room reservation, set and room configuration,audio visual and other general information.

Drop-Off CateringDrop-off catering includes food & drink only. No waitstaff or personnel is present or provided. We suggest adelivery time of approximately 30 minutes prior to yourevent. Drop-off catering orders are available Mondaythrough Friday, 8am to 5pm. The client is directed tosecure Chartwells’ property for later pick-up and will beresponsible for any losses incurred. Chartwells requiresan attendant to be available at events that require openflames or sterno.

Additional RequirementsAll events will have a predetermined ending time. Anyevent that extends past the agreed upon ending time issubject to an overtime fee.

Any event that is not on Schreiner University propertywill have a $75.00 delivery fee.

Any events held at the Schreiner University Event Center may be subject to additional fees.

The Gathering

The lawful sale and/or service of alcoholic beverages will be conducted solely by non-student personnel from Chartwells Dining Services when the event is on campus.

Alcohol may be served at on-campus and off-campus events only when the appropriate university personnel had given authorization. Recognized student organizations wishing to serve alcohol at an event must submit an Event/Alcohol Form with the appropriate authorizations to the Student Activities Office no later than 20 business days prior to the event.

There can be no serving of alcoholic beverages before 12:00 noon on any day or after 12:00 midnight, Sunday through Thursday. Alcohol may be served until 1:00am on Friday and Saturday.

Non-alcoholic beverages must be available in the same location and featured as prominently as the alcoholic beverages. If the event is being held in the CCAC, arrangements must be made with Chartwells for nonalcoholic drinks and food.

The client must also arrange security personnel to be present at the event.

The alcohol server(s) reserve the right to monitor and refuse service to any guest. “Last Calls” are not allowed.

Alcohol cannot be taken out of the room it is being served in. All drinks will be served in disposable glasses unless glassware is requested. Bar glassware is an additional cost.

Clients requesting Open Bar services will require a minimum of $250 in sales. If the minimum is not met, you will be billed the remaining amount.

Kegs are not allowed with our services. Clients may not bring in any outside alcoholic beverages.

Please ask your catering coordinator about additional alcoholic beverage pricing.
