PRS_ERP_CPILS1: BF Commercial Project & Lean Staffing (New)

Use

As of SAP enhancement package 5 for SAP ERP 6.0 (EA-APPL 605), the business

function Commercial Project Inception & Lean Staffing (PRS_ERP_CPILS1) is

available.

You can use this business function to streamline enterprise operations and to increase

the efficiency of your project-oriented and service-oriented business: In addition to

providing dedicated capabilities for setting up and maintaining commercial projects and

related staff assignments, its automatic functions for tracking, controlling and analyzing

billable work enhance operational control, facilitate compliance with client contracts,

and reduce costs.

The new business function comprises the following applications:

Commercial Project Inception

The Commercial Project Inception application allows you to simplify the creation of

commercial engagements by:

o Providing a consolidated view of customer contracts and project controlling

o Enabling an easy way to set up controlling structures for improved financial

contract management

o Synchronizing the creation of contracts and projects, including a subsequent

linking of contracts with projects (when you create a sales document, you can

create a project using standard WBS elements).

Lean Staffing

The Lean Staffing application introduces new tools that can be used to manage

assignments of employees to both client-facing and internal engagements, and enables

you to:o Easily identify the right professionals for your engagements

o Assign selected employees to engagements and apply rules

o Monitor employee assignments

o Simplify and validate time recordings for employees (CATS)

o Obtain reliable reports and forecasts about employee utilization

o Use integrated functions for service-specific billing and financials.

Employee Forecast

Visibility of the utilization and availability of individual employees is a key asset for

professional service providers.

The Forecast application allows individuals to plan their own time, while documenting

their availability / non-availability in parallel. This improves the assessment of your employee commitments, raises visibility of employee utilization and increases the

reliability of the business forecast.

The flexible reporting options offered by this application are based on preferences that

you can define in Customizing.

WIP Details

You can now save details of work in progress (WIP) determined during the Results

Analysis and execute reports to understand the details of WIP.

The WIP details are saved in the database during Results Analysis for subsequent

reporting. Reporting is provided using Simplified Reporting , which supports reporting

using either standard or customer-created SAP Query and BI Query reporting based on

an Infoset that is enabled as a BI Infoprovider.

Service Attributes

The billing of services to clients is based on SAP’s Resource Related Billing Solution.

To incorporate the diverse requirements of a service provider as flexibly as possible,

new service attributes have been introduced: these enable you to add new parameters

and characteristics to your service process that are valid throughout the entirecommercial process, or are electively only relevant in individual process steps. These

attributes allow you to control all resource-related billing processes on the basis of

individual criteria.

Personal Object Worklists

New configurable personal object worklists (Power Lists (POWL)) are available, that

improve usability and user navigation. These functions enable you to easily create

personal worklists on the basis of feeder classes. They are also instrumental in adding

valuable process guidance along the professional services quotation-to-cash businessscenario. The Commercial Project Inception & Lean Staffing business function includes

new Power Lists for:

o Sales documents

o Internal orders

o Projects

o Customer service orders

o Staff assignments

o Employees.

PRS_ERP_CPILS1: Archiving (New)

Use

As of SAP enhancement package 5 for SAP ERP 6.0 (EA-APPL 605), business

function Commercial Project Inception & Lean Staffing (PRS_ERP_CPILS1), you can

use archiving functions to permanently store your Lean Staffing assignment data for future reference.

Whereas the tables SAWE_D_TIME_PS and SAWE_D_TIME_PSI are deleted without

prior archiving, the new archiving object SAWE_LSA enables you to archive and delete

the following database tables:

o SAWE_D_SA_HDR

o SAWE_D_SA_ITM

Archiving is executed using the standard archive administration tool SARA.

The archived objects stored in the archive information system are the following:

o Info Structure SAP_SAWE_SA

o Field Catalog SAP_SAWE_SA

Archiving Process

The new archiving object comprises the following programs:

- Preprocessing

SAWE_SA_ARC_PREPROCESSIN

G

- Write SAWE_SA_ARC_WRITE

- Delete SAWE_SA_ARC_Delete

- Read Sequentially

SAWE_SA_ARC_READ_SEQUENTI

 AL

- Read By Index SAWE_SA_ARC_READ_BY_INDEX

Preprocessing

The archiving object launches a preprocessing report that checks whether staff

assignments can be archived. All assignments associated with an assignment object(sales document, internal order, project, customer) are archived. Consequently, all the

staff assignments of an assignment object must be archivable, otherwise the archive

operation fails.

If all assignments of a specific assignment object can be archived, the preprocessing

report selects the field to_be_archived in the staff assignment table

SAWE_D_SA_HDR. If this field is selected, the transaction Lean Staffing Staff

Page 22: Chapter 23 SAP for Professional Services

Assignments can no longer be accessed in the change mode and can only be

displayed.

Staff assignment items can be archived only if their end date is later than the specified

retention period. The report selection parameters require you to enter a retention

period, which has to be expressed either as a specific date or in days.

Example:

If the retention period date entered in the report parameter is 2009.10.01, all staff

assignment items with an end date equivalent to 2009.09.30 or older can be archived.

This archiving program can run independently of write/delete programs.

The flag to_be_archived in the staff assignments can also be set by the assignment

object. For example, when you archive an SD order, the order sets the flag

to_be_archived in any related staff assignments, because staff assignments without

underlying assignment objects do not exist.

Write

The write program selects all the staff assignments in which the field to_be_deleted is

selected and writes them to the archive.

Delete

The delete program deletes the staff assignments from the resident tables and also

deletes the tables that are not to be archived (for example, the forecast table).

Read Sequentially

The read sequential program sequentially reads all records from the selected archiving

files.

Read By Index

The read by index program reads index-sequential records from the entire archive.

Archive Information System

The archive information system provides a standard field catalog SAP_SAWE_SA and

an information structure SAP_SAWE_SA, which you can use to create your ownobjects.

function Commercial Project Inception & Lean Staffing (PRS_ERP_CPILS1), you can

assign employees to various types of objects (such as an SD order item or a WBSelement) and forecast the working time of these employees.

To support the assignment of employees and forecasts, each of these object types

must implement the Work Engagement Interface (technically, implement the Business

Add-In WE_ENGAGEMENT) and must perform a number of callbacks (technically, call

the Business Add-In WE_ENGAGEMENT_CALLBACK). Both BAdI definitions are

contained in the enhancement spot WE_ENGAGEMENT.

SAP delivers the necessary implementations and callbacks for the following object

types:

o SD order item

o WBS element

o Internal order

o Service order

o Customer.

Effects on Customizing

You define the Customizing settings for this function in the SAP Customizing

Implementation Guide under SAP Professional Services -> Enhancements ->

Enhancements for Lean Staffing & Forecasting . You can also assign the Customizing

activities in the release note attributes. This has the following advantages:

oThe assigned Customizing activities are displayed when your customer generates a release-specific view (a delta Customizing view).

o Your customer can display the release note directly from the Customizing activity

to which it is assigned.

If you want to extend the assignment of employees and forecasts to other object types

in a project-specific way, you must carry out the following activities:

o Define a new assignment object type using the Customizing activity SAP

Customizing Implementation Guide -> SAP Professional Services ->

Enhancements -> Enhancements for Lean Staffing & Forecasting -> Define New

 Assignment Object Types.

o Create an implementation of the Business Add-In (BAdI) WE_ENGAGEMENT

with the new assignment object type as a filter value in Customizing under SAP

Customizing Implementation Guide -> SAP Professional Services ->

Enhancements -> Enhancements for Lean Staffing & Forecasting -> BAdI:

Implement Assignment Object Types.

o Ensure that the application which maintains objects of the new type issues the

callbacks described in the BAdI WE_ENGAGEMENT_CALLBACK. This last step

is only necessary if the objects of the new type can be renamed, deleted or

archived and their assigned employees and forecasts must automatically reflect

such changes.

PRS_ERP_CPILS1: Resource-Related Billing Using Service Attributes(New)

Use

As of SAP enhancement package 5 for SAP ERP 6.0 (EA-APPL 605), businessfunction Commercial Project Inception & Lean Staff ing (PRS_ERP_CPILS1), you

can use a cross-application enhancement concept for resource-related billing, using

service attributes. The introduction of the work period adds enhanced capabilities to the

billing of services.

The cross-application enhancement concept integrates service attributes over multiple

units and multiple applications.

For example, you can introduce service attributes relevant to your business processes,

and make them available across Cross -Application Time Sheet (CATS), Human

Resources (HR), Control l ing (CO), Sales and Distributio n (SD), and Project

System (PS). You can include these service attributes in the following processes:

oStaff assignment to clients' engagements

o Time entry in CATS

o Transfer from CATS to CO

o Resource-related billing

o Detailed work in progress (WIP) reporting

o Pricing in SD documents

In resource-related billing, the system consolidates the work and cost assigned to a

project (Project System ) and considers these values during the creation of an invoice.

For example, if you record time for a client project, the resource-related billing (usingservice attributes) allows you to invoice this time to the client.

With the enhanced service attributes, you can introduce additional parameters across

the process flow and the system manages the handling of these parameters. For

example, when you introduce a parameter for billing (bil lable and nonbi l lable ) at time

recording, this parameter value gets forwarded to CO during the CATS-CO transfer.

Optionally, this parameter is available in the dynamic item processor (DIP) profile, for

use during invoice creation.

You can transfer this parameter value to sales and billing, to be used, for example, in

the pricing procedure to determine the service price. In this scenario, you may need to

determine the valid service charge for an invoice for the period (or date) the service is

rendered. The time period in which the service is rendered (work period) may be used

as a criterion to structure the invoice. This is an important characteristic in reporting.

Effects on Existing Data

Resource-related billing (using service attributes) enhances the existing resource-

related billing. Adding customer fields in the existing resource-related billing process

needs to be done individually in many places and may impact the performance of billing

or the results analysis. In the existing resource-related billing, the customer-defined

user fields are not exposed to other applications. In the enhanced resource-related

billing, these user fields are carried over across applications.

You can make the Customizing settings related to service attributes in Customizing for

SAP Profession al Services (IS-PRS), under Service Attr ibu tes .

PRS_ERP_CPILS1: Detailed Work In Progress Reporting (New)

Use

As of SAP enhancement package 5 for SAP-ERP 6.0 (EA-APPL 605), it is possible to

save details of work in progress (WIP) determined during Results Analysis and execute

reports to understand the details of WIP.

The WIP details can be saved in the database during Results Analysis for subsequent

reporting. Reporting is provided using Simplified Reporting, which supports reporting

using either standard or customer-created SAP Query and BI Query reporting based on

an Infoset that is enabled as a BI Infoprovider.

Features

o In combination with the new work period service attribute, WIP aging can be

reported

o New customizing allows the assignment of WIP revenues into revenue

categories for reporting. Revenue categories are determined based on billing

material numbers.

Effects on Existing Data

Only WIP data resulting from Results Analysis runs after the activation of this function

is available for reporting.

Effects on Customizing

o Detailed WIP data is only saved if the relevant Results Analysis version is

configured appropriately. Turn on the Save WIP Details option in Customizing by

choosing Project System -> Revenues and Earnings -> Automatic and

Periodic Al locations -> Results Analysis -> Edit Results Analysis Keys and

Version -> Maintain results analysis version s .

o Customizing for reporting revenues by categories can optionally be configured to

assign WIP elements to revenue categories based on billing Material Number.

Define the revenue categories and determination in Customizing for SAP

Professional Services by choosing Work in Pro gress Reporting -> Define

Revenue Categories for Reporti ng .

PRS_ERP_CPILS_1: Impact on Time Recording (CATS) (New)

Use

As of SAP enhancement package 5 for SAP ERP 6.0 (EA-APPL 605), business

function Commercial Project Inception & Lean Staffing (PRS_ERP_CPILS1),

enhancements of the Time Sheet (CATS) for time recording are available that arerequired if you want to use Lean Staffing within the framework of the business function.

The business function provides enhancements to the application logic and

enhancements to the SAP GUI user interfaces for Time Sheet (CATS classic).

Note

If you want to use Web Dynpro user interfaces of the Time Sheet (CATS regular)

as well as the Web application Approve Working Time, you must also activate

the business function PRS_HCM_CPILS_1. For more information, see therelease note PRS_HCM_CPILS_1: HCM, Lean Staffing for Professional

Services.

The PRS_ERP_CPILS_1 business function contains the following enhancements:

o The worklist of the previous time sheet now contains the data from the Lean

Staffing staff assignment. In this way, employees can now report back to their

assignment objects stored in the worklist.

o You can use the data from the Lean Staffing staff assignment to perform

automatic input checks when recording in CATS.

o The user interfaces for SAP GUI (CATS classic) now support service attributes

that the customer can use to enhance the data record structure of Lean Staffing.

You can integrate up to 10 service attributes in the Time Sheet.

o All evaluation reports and approval reports now support service attributes as

well.

o The Change and Insert methods of the business object CATimeSheetManager  and the GetWorklist method of the business object EmployeeCATimeSheet now

support the service attributes.

Effects on Existing Data

Once the business function is activated, the system adds the fields of the service

attributes (CATS_SA_ADDFI_SA_FIELD1 to CATS_SA_ADDFI_SA_FIELD10 and

CATS_SA_ADDFI_SA_FIELD1_W to CATS_SA_ADDFI_SA_FIELD10_W) to the

worklists and data entry areas of all existing data entry profiles.

The automatically started report RCATSFAW_SERVICE_ATTRIBUTES then hides

these fields again so that there are no changes to the existing profiles.

Effects on Customizing

New activities are available for you in the Implementation Guide to set up CATS. See

Time Sheet (CATS) -> Settings for All User Interfaces -> Service Attributes in CATS.

o In the Customizing activity Maintain Service Attributes in CATS, you assign user-

defined fields to the service attributes and then provide the service attributes for

maintenance and display in Time Sheet.

o In the Customizing activity BAdI: Assign Service Attribute to CO, you specify the

service attributes for the transfer to Controlling (CO). In the standard system,

when the service attributes are transferred from CATS to CO, the service

attributes are mapped with identical names. You can use this BAdI to change

this assignment and map customer fields from the customer include CI_CATSDB

to service attributes, for example.
