Centre guide on using the new PE2MS spreadsheet This guide is to introduce the revised PE2MS (Physical Education Mark Sheet). We have recently updated the spreadsheet in accordance with the new specification and hopefully it will enhance your experience. This guide will explain how you, a teacher or exam officer would use the new PE2MS spreadsheet to share your cohorts’ individual, team and free choice activity marks with the moderator, allowing the sample to be decided. The PE2MS has two tabs at the bottom of the spreadsheet. The first tab labelled ‘PE2MS’ is used by both the teachers and the moderators. The second tab labelled ‘Sample’ is used only by the moderators. You are not required to use the ‘Sample’ tab. Two versions of the PE2MS spreadsheet have been made available on the subject page for you to download, the link can be found here: one version for a cohort up to 60 candidates and another version for a cohort up to 150 candidates. Only one PE2MS spreadsheet must be used for your cohort, covering both the full course and short course candidates, with all activities offered. Let’s start with a scenario to help you to understand how the new PE2MS spreadsheet must be used. Centres must download and open the PE2MS spreadsheet from the website and fill in the name and number of the centre. Secondly, fill in the candidates’ details: number, first name, last name, gender (use dropdown menu) and specification code (use dropdown menu). To speed up the process, you can copy and paste the details from Edexcel Online onto the PE2MS. To do this, go to Edexcel Online where you can find the candidate list and their details. You should then copy the list and paste it into a new tab on the spreadsheet. This way you can delete the irrelevant column(s) that you do not need to include in the ‘PE2MS’ tab i.e. D.O.B and UCI No.

Centre guide on using the new PE2MS spreadsheet

This guide is to introduce the revised PE2MS (Physical Education Mark Sheet). We have

recently updated the spreadsheet in accordance with the new specification and

hopefully it will enhance your experience. This guide will explain how you, a teacher or

exam officer would use the new PE2MS spreadsheet to share your cohorts’ individual,

team and free choice activity marks with the moderator, allowing the sample to be

decided.

The PE2MS has two tabs at the bottom of the spreadsheet. The first tab labelled ‘PE2MS’

is used by both the teachers and the moderators. The second tab labelled ‘Sample’ is

used only by the moderators. You are not required to use the ‘Sample’ tab.

Two versions of the PE2MS spreadsheet have been made available on the subject page

for you to download, the link can be found here: one version for a cohort up to 60

Let’s start with a scenario to help you to understand how the new PE2MS spreadsheet

must be used.

Centres must download and open the PE2MS spreadsheet from the website and fill in

Edexcel Online onto the PE2MS. To do this, go to Edexcel Online where you can find the

need to include in the ‘PE2MS’ tab i.e. D.O.B and UCI No.

It is important to note that when you are selecting the short course for specific

candidates, the rows against the ‘short course’ candidates in the ‘Free Choice Activity’

table will be coloured in grey, as the candidates are not required to complete the free

choice activity.

You will now need to enter the candidates’ marks (three activities for full course and two

activities for short course). You can select the activity and marks via a dropdown menu

so that you do not have to fill it in manually. The total mark for each activity, as well as

the total marks across two or three activities will be automatically calculated. The

orange highlighted ‘Centre total mark’ column will indicate which candidate received the

highest and lowest scores in your cohort. If you mistakenly select the wrong activity or

marks, you can remove it by pressing either the ‘Delete’ or ‘Backspace’ button on the

keyboard.

If your candidate(s) is injured or was not able to perform throughout the course and is

unable to partake in an activity or provide recorded evidence, you must select ‘X’ at the

bottom of the marks dropdown menu. You will then need to apply for special

consideration using bespoke PE Form 10 (the link is here) providing the estimated

centre mark for the candidate. The centre should input an ‘X’ - absent on Edexcel Online

for these situations.

At the top right of the spreadsheet, the number of candidates and the number of

activities offered will be automatically calculated.

There is a conditional formatting to highlight activity combinations that are not

permitted within the specification. For instance, if you select badminton for a candidate

in both the team and individual activities, this will cause the cells to be highlighted red.

This is to notify you that the combination of activities selected are forbidden. You must

then select an alternative activity for this candidate in either the team or individual

activity options. Please note the following forbidden combinations:

Rugby League Rugby Union

Camogie Hurling

Rowing Kayaking

Rowing Canoeing

Rowing Sculling

Canoeing Kayaking

Canoeing Sculling

Kayaking Sculling

Once you have entered your cohort and activity details along with your official final

centre marks you can then send the PE2MS to your moderator. Please send the official

final centre marks to your moderator as soon as possible allowing the sample to be

organised and a visit date to be arranged. When you submit the PE2MS with the official

final marks you must make sure that the same marks are entered on Edexcel online.

When sending the PE2MS spreadsheet to your allocated moderator, you must indicate

that the marks on your PE2MS spreadsheet are the final marks which have been (or will

be) inputted on the Edexcel Online system.

All marks must be inputted on the PE2MS and Edexcel Online at least 15 days before

the moderation day in order for the assessment to proceed.

When your PE2MS spreadsheet is ready send it to your allocated moderator, along with

the Initial Contact Questionnaire (ICQ) and a copy of Practical Performance

Authentication Sheet.

For auditing purposes, your allocated moderator will then ask you to confirm in writing

(via email) that the version of the PE2MS spreadsheet you sent is the final version. This

means that the marks cannot be changed, allowing the allocated moderator to start

selecting the sample, based on the centre marks.

Once the moderator has selected the sample they will return the PE2MS spreadsheet to

you, confirming the candidates and activities they would like to be part of the sample

for moderation day. The column titled ‘Selected for Sample?’ will show a ‘Yes’ for the

candidate(s) they have selected. You must ensure those sampled candidates are

available on the day of moderation (this can be via a live performance or a video

recording).

You must then confirm via email, that all the selected candidates for the sample will be

available for moderation.

PLEASE NOTE:

The moderator is not permitted to send the completed PE2MS with moderator marks

back to centres. For all NEA components, the moderator’s marks are confidential and

are not shared with centres. Final marks will be issued on results day along with an E9

feedback report available via Edexcel Online.
