    1 Overview

    Quality Control (QC) is a process employed to ensure that a product or performed service

    adheres to a defined set of quality criteria or meets the requirements of the client or customer.

    BatchMaster ERP with SAP Business One (BatchMaster ERP) enables you to employ stringent

    quality control procedures on inventory items.

    QC includes all the actions that a business requires for the control and verification of

    characteristics of a product or service. The basic goal of quality control is to ensure that the

    products, services, or processes provided meet specific requirements and are dependable,

    satisfactory, and fiscally sound.

    2 Quality Control Setup

    If you are using bin management, ensure that you have configured bin information. Of the

    two bin systems available, it is recommended to implement BatchMaster ERP bins.

    2.1 QC Defaults

    Use QC Default screen to define setup options and quality control document numbering.

    2.1.1 General Tab

    Using the options in this tab, you can do the following:

    Establish the default warehouses (one for each of these cases) where passed, failed, and damaged inventory items should be sent.

    Specify the next production, purchase, sales, and default QC number.

    2.1.1.1 Key Terms Used

    Next Production QC Number: Use this field to specify the QC Order Number to be assigned to

    the next production QC Order. You can use an alphanumeric series.

    Next Purchase QC Number: Use this field to specify the QC Order Number to be assigned to

    the next Purchase QC Order.

    Next Sales QC Number: Use this field to specify the QC Order Number to be assigned to the

    next Sales QC Order.

    Next Inventory QC Number: Use this field to specify the QC Order Number to be assigned to

    the next inventory QC Order. Inventory QC helps you in assuring the quality of existing

    inventory.

    Default Warehouse for Inventory Transfer: Use this field to specify default and distinct

    warehouses for Pass, Fail, and Damaged goods, if you plan to perform an inventory transfer

    after QC.

    Pass Whse: Use this field to specify default pass warehouse.

    Fail Whse: Use this field to specify default fail warehouse where rejected goods will be posted.

    Damage Whse: Use this field to specify the warehouse to which the items scrapped in QC are

    posted.

    Update: Click this button to save the settings.

    Cancel: Click this button to close the screen without saving the settings.

    2.1.1.2 Specifying General Settings

    Use the following procedure to specify general settings for QC:

    1. Open the QC Defaults screen. 2. Specify the subsequent production QC order number in the Next Production QC Number

    field. 3. Also, mention the Next Purchase QC number, Next Sales QC Number, Next Default QC

    Number in the respective fields. 4. Choose the default warehouse for passed inventory, using the Pass Whse lookup

    button. 5. Specify the default warehouse for the rejected inventory, using the Fail Whse lookup

    button. 6. Select the default warehouse for the damaged inventory, using the Damage Whse

    lookup button. 7. Click the Update button to save the settings.

    2.1.2 Production Tab

    Use this tab to specify how a production QC record is created, when a production batch is

    released.

    2.1.2.1 Key Terms Used

    Transfer QC Target Values to QC Tests: Select this checkbox if you want to copy target QC

    values to test results. Deselect this check box, if you do not want your technician to see target

    results.

    Allow Production Batch to be closed without completing QC: Select this checkbox if, if you

    want to be able to close a batch even when QC testing is not complete.

    Sometimes the lead time for test results is long (for example a microbial assay) or samples

    are sent to an external lab for testing. In such cases, you may not want to keep the batch open

    for a long duration.

    Automatically Insert QC Tests For

    An in-process QC document can be created automatically, when you release a batch. Use the

    following options to specify whether finished good tests should be copied to QC document

    generated on the release of a batch:

    Assembly Batch Finished Goods: Select this option to insert QC tests for finished goods produced in assembly-type batches. Since there is no formula in an assembly-type batch, an automatic QC order will be created only if you select this checkbox. It should be noted that you can always create a QC order against a batch manually.

    Fill Batch Finished Goods: Select this option to insert tests for finished goods while releasing fill-type batches.

    Fill Batch Formula: Select this option to insert formula in-process QC tests while releasing fill-type batches.

    You create a fill-type batch to fill an already produced bulk/intermediate into finished goods. If your business process requires you to repeat all the formula in-process QC tests again at the time of filling the bulk, then you can select this option.

    Fill Batch Intermediates: Select this option to insert QC tests for bulk that is being used for filling the containers. This option allows you to retest the bulk before converting it into finished goods.

    Mix Batch Finished Goods: Select this option to insert QC tests for finished goods produced in mix-type batches.

    2.1.2.2 Specifying Production Settings

    Use the following procedure to specify QC settings applicable for production batches:

    1. Switch to the Production tab on the QC Defaults screen. 2. Select the Transfer QC Target values to QC tests checkbox, if required. 3. Select the Allow production batch to be closed without completing QC checkbox to close

    production batches without performing QC. 4. Insert QC tests automatically for Mix Batch Finished Goods, Assembly Batch Finished

    Goods, Fill Batch Finished Goods, Fill Batch Formula, and Fill Batch Intermediates, by selecting the corresponding checkbox.

    2.1.3 QC Defaults Standard

    The options displayed under this tab is based on the Bin settings you set at the Process Mfg

    Defaults screen. If you have implemented SAP Bin to manage inventory, then this screen

    displays fields that helps you specify the default lot status, when items are in each of these

    conditions:

    Declared failed or damaged in QC tests

    Declared pass in QC tests

    Under the QC process

    2.1.3.1 Key Terms Used

    Lot Status under QC: Use this field to specify default status of the lot, which is under QC

    process.

    Lot status for QC Pass: Use this field to specify the default status of the lot that was accepted

    during QC process.

    Lot status Fail/Damage: Use this field to specify the default status of the lot that was declared

    failed or damaged during QC process.

    For all the three options discussed above, the available lot statuses are Locked, Not

    Accessible, and Released.

    OK: Click this button to save the settings made.

    Cancel: Click this button to close the screen without saving the settings.

    2.1.3.2 Specifying Default QC Statuses for Item Lots

    Use the following procedure to specify default QC statuses for item lots:

    1. Switch to the QC Defaults Standard tab. 2. Use the Lot Status Under QC drop-down menu to assign default lot status for the lot

    under QC process. 3. Use the Lot Status for QC Pass drop-down menu to assign default lot status for the lot

    accepted during QC process. 4. Use the Lot Status Fail/Damage drop-down menu to assign default lot status for the lot

    that failed or was declared damaged during QC process. 5. Click the Update button to save the modifications made.

    If you have implemented BatchMaster ERP Bin to handle inventory, then the QC Defaults tab

    will appears as shown below:

    Inventory types for Purchase, Sales and Inventory

    QC Hold: Use this field to specify an inventory type that should be used for items put on hold in

    QC. When you perform a purchase goods receipt, system automatically assigns this inventory

    type to the raw material lot. This ensures that raw material cannot be issued to a production

    batch before QC approves it.

    QC Pass: Use this field to specify an inventory type that should be applied on items that passed

    QC tests.

    QC Fail: Use this field to specify an inventory type that should be applied on items that passed

    QC tests.

    QC Damage: Use this field to specify an inventory type that should be applied on items that are

    declared damaged in QC tests.

    Inventory types for Production:

    QC Hold: Use this field to specify an inventory type that should be used for finished goods put

    on hold. When you receive finished goods or bulk from production batch, the system

    automatically assigns this inventory type to the FG lot. This ensures that FG cannot be shipped

    before they pass QC tests.

    QC Pass: Use this field to specify an inventory type that should be applied on finished goods

    that passed QC tests.

    QC Fail: Use this field to specify an inventory type that should be applied on finished goods that

    passed QC tests.

    QC Damage: Use this field to specify an inventory type that should be applied on finished

    goods that are declared damaged in QC tests.

    2.1.3.3 Specifying Default Inventory Types

    Use the following procedure to specify default inventory types:

    1. Specify the values for the QC Hold, Pass, Fail, and Damage fields by either looking up the values or entering them manually in the fields of the Inv Types for Purchase, Sales and Inventory section.

    2. Now, enter the respective values in the Inv Types for Production section as well. 3. Click the Update button to update the settings.

    2.2 Test Categories

    Use the Test Category screen to define groups or classifications for the test methods used in

    your business. For example you may want to categorize your tests into physical, chemical,

    microbial tests.

    2.2.1 Key Terms Used

    #: It shows the serial number of the test.

    Sequence: Use this system-generated field to view the sequence of test categories.

    Category: Use this field to specify a unique name for the test category.

    Update: Click this button to save the record.

    Cancel: Click this button to close the screen without saving the record.

    Up-Down buttons: Select a row and use up or down button to change its sequence.

    2.2.2 Defining Test Category

    Use the following procedure to define test category:

    1. Enter a unique name for the category in the Category field. Repeat this step of each test category.

    2. If required use the arrow buttons to change the current sequence of the category being defined.

    3. Click the Update button to save the record.

    2.3 Reason Codes

    Use the Reason Codes screen to store the possible reasons for pass or failure of item during

    QC. Later, you can associate the reason with the particular item at the Quality Control Order

    screen.

    2.3.1 Key Terms Used

    Reason Code: Use this field to specify a unique code for the reason being added.

    Description: Use this field to specify a description or explanation for reason code.

    Update: Click this button to update the newly added reasons in the master.

    2.3.2 Adding Reasons for QC failure

    Use the following procedure to add reasons for QC failure:

    1. Specify a unique code for each reason, in the Reason Code column.

    2. Enter the reasons in the Description column.

    3. Click the Update button to add the reasons.

    2.4 Quality Control Samples

    Use the Quality Control Samples screen to define a sample plan to inspect a specific quantity of

    item rather than the entire batch. On this screen, for every sample plan ID, you can define the

    number of samples that need to be drawn based on quantity. For example, you take only 1

    sample for quantity up to 500 KG but may need 2 samples for a quantity of 1100 KG.

    2.4.1 Key Terms Used

    Sample Plan ID: Use this field to specify a unique ID for sampling plan. This is mandatory field.

    Description: Use this field to specify description for sampling plan.

    Quantity From and Quantity To: Use this field to specify a range of quantity for which samples

    need to be taken.

    Number of Samples 1: Use this field to specify how many samples need to be taken for given

    quantity range.

    OK: Click this button to save the record.

    Cancel: Click this button to close the screen without saving the record.

    2.4.2 Creating QC Sampling Plan

    Use the following procedure to create a QC sampling plan:

    1. Enter a unique sampling plan ID, in the Sample Plan ID field.

    2. Enter a description of the sampling plan in the Sample Plan Description field.

    3. Define the sampling plan by specifying quantity intervals for drawing samples. Each row pertains to an interval.

    a. Specify the quantity range from which sample(s) need to be drawn, in the Quantity From and the Quantity To fields respectively.

    b. Specify the number of samples to be drawn, in the Number of Samples 1 field.

    4. Click the Add or Update button to save the QC Sample record.

    2.5 Specification Group

    Use the Specification Group screen to define categories that help you classify the

    characteristics of product, process, or services required by the customer. The Specifications

    group you defined here would be listed in the Group Name drop-down available on the

    Specifications screen.

    2.5.1 Key Terms Used

    Group name: Use this field to specify the name of the specification group need to be created.

    QC Group: Select this checkbox if the respective specification group is related to QC test.

    Update: Click this button to save the record.

    Cancel: Click this button to close the screen without saving the data.

    2.5.2 Creating Specification Groups

    Use the following procedure to create specification groups:

    1. Open the Specification Groups screen. 2. Enter a unique group name.

    3. Select the QC Group checkbox if the particular group is associated to QC testing. 4. Repeat the step for adding more rows. 5. Click the Update button to save the data.

    3 Quality Control

    3.1 Test Methods

    Use the Test Methods screen to define test methods you normally use to perform QC tests.

    3.1.1 Key Terms Used

    #: Use this field to view the serial number of the test method.

    Test Method: Use this field to specify a unique name to identify the test method.

    Update: Click this button to save the record.

    Cancel: Click this button to close the screen without saving the record.

    3.1.2 Defining Test Methods

    Use the following procedure to define test methods:

    1. Enter a unique name to identify the test, in the Test Method field. 2. Move to the next line to add another method. Repeat this step until you have added all

    the test methods. 3. Click the Update button to save the record.

    Use the Test Master screen to define the various QC tests to perform quality check. The test

    you create here can be assigned to individual items in the Item Details Screen. Similarly for

    defining in-process QC tests, you can use the QC tab on the Formula Entry screen.

    Refer to inventory and formulation guide for adding tests to an item and formula

    respectively.

    3.2.1 Key Terms Used

    Test ID: Use this field to specify a unique key to identify the test.

    Description: Use this field to specify a name or description of the test.

    Unit: Use this field to specify the unit in which test results should be expressed. Note that the

    unit field here has nothing to do with inventory unit of measure.

    Test Category: Use this field to specify the test category such as physical or chemical, to which

    the test belongs.

    The options listed in this drop-down menu depend on the categories defined in the Test

    Category screen.

    Test Method: Use this field to specify the pre-defined test procedure to be performed on items.

    The options listed in this drop-down menu depend on the methods defined in the Test

    Method screen.

    Inspection: Use this field to specify how material is inspected. The options available are:

    Continuous: In this type of inspection, the test is conducted on the entire quantity of item or on the entire lot of an item, if the item is lot tracked. This type of test assumes that the item undergoing the test are discrete in nature and each unit has to be inspected.

    Sampling: In this type of inspection, the test is applied on samples selected as per the desired sampling plan.

    Measuring: Use this field to specify how test results should be measured. The options available

    are:

    Alphanumeric: The result of the test is an alphanumeric value.

    Numeric: The result of the test is a numeric value.

    Pass/Fail: The result of the test can be either Pass or Fail.

    Lead Time: Use this field to specify the time needed to accomplish the quality control process.

    The format to determine this QC lead time is DDDD: HH: MM.

    Add/Update: Click this button to save the record.

    Cancel: Click this button to close the screen without saving the record.

    3.2.2 Defining QC Tests

    Use the following procedure to define QC Tests:

    1. Open the QC Test screen.

    2. Enter a unique code to identify the test in the Test ID field.

    3. Enter a description of Test ID in the Description field, if needed.

    4. Enter the desired test unit at the Unit field, if needed.

    5. Choose the appropriate type of test in the Test Category field.

    6. Select the appropriate test method in the Test Method field.

    7. Select the appropriate inspection type, Continuous or Sampling, in the Inspection field.

    8. Select the appropriate test measurement: Pass/Fail, Numeric, or Alphanumeric in the Measuring field.

    9. Repeat this step for all the tests.

    10. Click the Add or update button to save the record.

    3.3 Quality Control Order Process flow

    Quality Control Order in BatchMaster ERP is a three step procedure, which involves order

    processing, evaluation and approval.

    Looking through the process flow of QC, let us discuss individual steps as below:

    1. The QC Manager views and analyzes the quality control order on Quality Control Order-QC screen and then assign the order to the desired user.

    Assign Quality Control Order to the user.

    Quality Control Order-User

    Authorized user can enter test values.

    Quality Control Order-QC

    Evaluate the test results.

    Quality Control Order-QA

    Approve the Quality control Order and post the inventory .

    3.4 Quality Control Order User

    Use the Quality Control Order- User screen to view the quality control orders, assigned to you.

    In addition, you can enter the test results on this screen.

    3.4.1 Key Terms Used

    QC No: Use this field to view the auto-generated unique identification key for the QC order.

    QC Type: Use this field to view the QC order type. The options available are:

    Production QC: For testing work in progress.

    Purchase QC: For testing incoming raw materials/ingredients.

    Sales QC: For testing finished goods prior to shipment.

    Inventory QC: For re-testing inventory items, as required. You could retest raw materials or intermediates prior to issuing to a batch; items close to expiry; and returned goods to ascertain whether they can be re-sold, re-worked, or should be scrapped.

    System automatically populates this field, if you use the Copy From button.

    Status: Use this field to view the current status of the QC order. The options available are:

    Closed: Select this status once you are ready to close the document.

    If you have implemented BatchMaster ERP Bin, then the system allows you to select the appropriate inventory types to control usage of lots once you close the document. For example, if a raw material lot is tested then you can release it for production usage. Similarly if a finished good lot is tested then you can release it for sales deliveries.

    In Progress: Select this status if test results have been entered but no decision has been made.

    New: Select this status if the order has been created but is not released yet. Test results cannot be entered in a QC order with New status.

    QC completed: Select this status if all tests have been entered and QC results are evaluated using Evaluate QC button results.

    Released: Select this status when you are ready to enter test results.

    Req Date: Use this field to view the date on which test results are required. By default, this field

    displays the date on which the QC order was created.

    Completed Date: Use this field to view the date when QC is actually completed.

    Reference Doc No: Use this field to view the reference document number associated with the

    QC order. This number can be PO number in case of Purchase QC or SO number in case of

    Sales QC.

    Reference Doc Type: Use this field to view the type of the reference document. The options

    available are:

    Goods Receipt PO

    Production Batch

    Sales Order

    Assigned To: Use this field to view the unique code of the user who has been assigned this QC

    test.

    Owner: Use this field to view the unique identification of the user who is responsible for the

    document. This is an optional field

    Notes: Use this field to enter any remark or comment pertaining to the QC order.

    No: Use this field to view the number of times the QC has been performed against a document.

    Normally you would create a single quality control document for a batch or a purchase

    order. In case you need to test it second time you can always create another quality control

    document.

    BP Code: Use this field to view the business partner associated with the QC order.

    The vendor code is displayed here in case of purchase QC and the customer code is

    displayed here in case of sales QC.

    The table displays all items and formula (in case of production QC) that need to be tested.

    System adds a line per lot of item that need to be tested. If you created the document using

    Copy From feature, then system automatically populates this table based on the document.

    Item Code/Formula ID: Use this field to view the formula or item for which tests need to be

    performed.

    Description: Use this field to view the description of the item or formula.

    Revision No: Use this field to view the revision number of the formula, if a formula is being

    tested.

    Warehouse: Use this field to view the items warehouse.

    Lot: Use this field to view the lot that is being tested, if the item is serial/Lot tracked.

    Test Qty: Use this field to view the full lot quantity for which testing is required.

    Accepted Qty: Use this field to view the quantity accepted after the evaluation of test results. If

    needed, you can override this value.

    Rejected Qty: Use this field to view the quantity rejected after the evaluation of test results. You

    can override this value, if need be.

    Scrapped Qty: Use this field to view the quantity scrapped after the evaluation of test results.

    You can override this value, if need be.

    QC Decision: Use this field to view the overall QC decision for the lot. You can override the

    system calculated decision.

    QC Status: Use this field to view the status of QC for this lot.

    Item/Formula: Use this field to view whether an item or a formula is being tested. Formulas are

    applicable only for production QC test.

    Pass Warehouse: Use this field to view the default warehouse where QC passed materials can

    be transferred.

    Fail Warehouse: Use this field to view the default fail warehouse where QC failed material can

    be transferred.

    Damage Warehouse: Use this field to view the default warehouse where damaged material

    can be transferred.

    Reason Code: Use this field to select the appropriate reason code for the QC test result of the

    lot being tested.

    Detail: Use this field to enter the note or comments for the lot that is being tested.

    Fields in Lower Grid

    Sample Set: Use this field to select the sample set need to be tested.

    Sample No: Use this field to view the sample number.

    Test Code: Use this field to select the unique code of quality test applying on the item or

    formula.

    Once you select desired test code, the value of the fields Test Unit, Category, Test Method,

    Inspection, and Measuring are automatically populated by the system.

    Test Unit: Use this field to view the test unit in which QC test result should be entered.

    Category: Use this field to view the QC Test category.

    Test Method: Use this field to view the test method used to perform the test.

    Inspection: Use this field to view the inspection method: Sampling or Continuous.

    Measuring: Use this field to view the method in which the result is obtained: Pass/Fail,

    Numeric, or Alphanumeric.

    Numeric Value: Use this field to view the numeric test result, if test type is numeric.

    Alpha Numeric: Use this field to view the alpha numeric test result, if test type is alpha numeric.

    Results: Use this field to view the test result, pass or fail, based on the numeric or

    alphanumeric value obtained.

    Remarks: Use this field to specify any comment about the test.

    Add/Update/OK: Click this button to save the record. Once the records are saved, or when

    older records are retrieved, the caption of the button changes to OK.

    Cancel: Click this button to close the screen without saving the record.

    3.4.2 Entering Test Values for QC Tests

    Use the following procedure to enter test values for QC tests:

    1. Use the Find button and locate the document on which QC test needs to be performed. 2. Select the sample set that should be displayed in the lower grid, in the Sample Set field. 3. Specify the result in the Numeric Value field, if the measuring parameter is numeric. 4. Specify the result in the Alpha Numeric Value field, if the measuring parameter is

    alphanumeric. 5. Specify the result in the Results field, if the measuring parameter is Pass/Fail. The result

    is displayed automatically based on the numeric or alphanumeric value specified, if an acceptable range of values (numeric or alphanumeric) is already defined for the item.

    6. Enter any note or comment on the test, in the Remarks field. 7. Click the Update button to save the record.

    3.4.3 GoTo

    Inventory Transfer QC

    Use the Inventory Transfer QC option to access the Quality Control Post Inventory Transfer

    screen in which you can post the items in the quality control order to the appropriate

    inventory/warehouse.

    Change Inventory Type

    Use the Change Inventory Type option to change inventory type of items after QC is complete.

    For example, you may want to change inventory type to QCHOLD, once the material is

    accepted in QC. This screen appears automatically when you close a QC document. The

    system automatically applies the default Pass Inv Type, Fail Inv Type, and Damaged Inv Types.

    You can accept system suggested values or change types if required. Once you click Post

    button, the system changes inventory type of lots under QC.

    This option is applicable only if you have implemented BatchMaster ERP Bin

    Management system. To enable bins, you need to check Allow Multiple Bins option in the

    Process Mfg. Defaults screen.

    which contains details for each activity attached to the QC order.

    Use the New Activity option to access the Activity screen in SAP. Using this screen, you can

    create and associate activities. Now, you can associate records in the Formula Entry, Product

    Cost Analysis, Physical Property Analysis, Bill of Material Entry, Batch Entry, Batch Ticket,

    Batch Close, Super Batch Entry, and Super Batch Close screens with this feature. For each

    screen, you must provide the document identifier associated with the feature. Note that when

    you access the Activity screen using the GoTo Function for this screen, the Document Type and

    Document ID fields will auto-populate the values.

    Relationship Map

    A relationship map for QC is a pictorial representation of all the critical information about the

    Quality Control document. The relationship map for a QC order would display the QC order

    number, QC type, completion date, and the associated document (sales order, purchase order,

    or batch) number.

    You can click the + button on the main entity to view additional information such as the item and

    the item lot subjected to QC and the QC results.

    3.5 Quality Control Order QC

    Use the Quality control order- QC screen to create quality control document and assign it to a

    specific user. Further, authorized user can evaluate the test values being specified.

    Copy Test Results: Use this button to copy the test results of one lot for other lots. This feature

    is helpful if you are testing more than one lot of an item and want to copy the test results of one

    lot to all the lots. In such a case, select the lot that has test results entered in the top grid and

    click this button. As a result, the system will copy the test results of the selected lot to all other

    lots of the same item.

    Duplicate Sample: Use this function if you wish to create more samples for testing. To create

    duplicate sample, select a lot in the top grid, then select a sample number from the Sample Set

    field and click the Duplicate Sample button. The system will create a new sample from the

    selected sample.

    Fields in Lower Grid

    If you created the QC document by using Copy From button, then the system automatically

    populates items, lot# and tests based on sampling plan. You can add more tests manually if

    required.

    System copies item QC tests defined on the QC tab of Item Master Details screen. System

    copies only those tests that are relevant for given document type.

    Sample Set: Use this field to select the sample set that needs to be tested.

    Sample No: Use this field to view the sample number. If you are adding a test manually, then

    specify the sample number.

    Test Unit: Use this field to view the test unit in which QC test result are to be entered.

    If the test value is within tolerances, the system will automatically mark test results as pass; else

    system marks the result as fail. You can, always, override system calculated results.

    Remarks: Use this field to specify any comment about the test.

    Assigned To: Use this field to assign the QC tests to the desired user. A user can apply only

    those tests that have been assigned to them using this field.

    Add/Update/OK: Click this button to save the record. Once the records are saved, or when

    older records are retrieved, the caption of the button changes to OK.

    Cancel: Click this button to close the screen without saving the record.

    Evaluate QC: Click this button to evaluate the QC results. The system determines QC results

    based on how many samples have passed. The system result can be overridden.

    The Evaluate QC button can be used only after changing the status of the order to

    Released.

    Copy From: Click this button to choose the document type from Production Order, Sales Order,

    or Goods Receipt PO. Based on the option that you select here, you can view a list of records

    from which you can choose the desired one.

    When one of these options is selected in the Copy From field, the value of the following

    fields are added by default: QC Type, Status, Req Date, Reference Doc. No, Reference Doc.

    Type, No, and Card No. are added by default. The default value of the Status field is New and

    that of Req Date field is the current server date.

    3.5.2 Working with Quality Control Order-QC screen

    3.5.2.1 Creating a New QC Order

    Use the following procedure to create a new QC order:

    1. Open the Quality Control Order-QC screen in the Add mode. 2. Specify the type of the QC order in the QC Type field. The options available are Production

    QC, Purchase QC, Sales QC, and Inventory QC. 3. Use the Find window to select the desired document from the list. 4. You can also use the Copy From button in the lower right corner of the screen to copy

    data from Production Order, Sales Order, or Goods Receipt PO. 5. Specify the date on which the request was raised for the order, in the Req Date field. 6. Specify the date on which the order was completed (if the order is complete), in the

    Completed Date field. 7. Specify the user responsible for the order, in the Owner field. 8. Click on Add button to add the record. 9. Change the order status from New to Released to enter the test results. 10. Select the desired sample set in the Sample Set field and choose the sample that needs

    to be assigned to the user for testing. 11. Click on the Update button to save the record.

    3.5.2.2 Assigning QC Order to a User

    Use the following procedure to assign a QC order to the desired user:

    1. Select the document that needs to be assigned to the user from the Find window. Alternatively, use the Copy From button in the lower right corner of the screen to copy data from Production Order, Sales Order, or Goods Receipt PO.

    System defaults the item/formula for which QC is applicable and needs to be assigned to the user.

    2. Specify the user who is responsible for the order, in the Owner field. 3. Select the Item/formula, needs to be assigned to the user for testing. 4. Using the Status dropdown, change the order status from New to Release. 5. Select the desired sample set in the Sample Set field and choose the sample that

    needs to be assigned to the user for testing. 6. Specify the user to whom you need to assign the QC test, in the Assigned To field. 7. Click on Update button to save the record.

    3.5.2.3 Evaluating the QC Order

    Use the following procedure to evaluate a QC order:

    1. Select the document that needs to be evaluated, from the Find window or use the Copy From button in the lower right corner of the screen to copy data from Production Order, Sales Order, or Goods Receipt PO.

    The system defaults the item/formula for which QC is applicable. 2. Specify the user responsible for the order, in the Owner field. 3. Select the sample/formula line from the upper grid and observe their test result values

    in the lower grid. 4. Modify the test results, if require with respect to item/formula samples. 5. Use the Duplicate Sample button, if needed, to create a duplicate of the sample

    selected in the lower grid with a new sample number. 6. Use the Copy Test Results button to copy the test results of one lot to another lot, if

    two or more lots of an item are subjected to QC test in a QC order. 7. Click on the Update button to update the test results. 8. Use the Evaluate QC button to evaluate the test results. Respective test results will be

    updated in the upper grid. 9. Click on Update button to save the record.

    3.5.3 GoTo

    Related Activity

    Select the Related Activity option under the GoTo menu to access the Activities Overview

    screen, which contains details of each activity.

    New Activity

    Select the New Activity option to go to the Activity screen in SAP. Use this screen to create and

    associate activities. Now, you can associate the Formula Entry, Product Cost Analysis, Physical

    inventory QC, you can select one or more lots of the item that need to be tested, the system

    adds selected lots in the grid for testing.

    Test Qty: Use this field to view the lot quantity that requires testing.

    Accepted Qty: Use this field to view the quantity accepted after the evaluation of test results. If

    needed, you can override this value.

    Rejected Qty: Use this field to view the quantity rejected after the evaluation of test results. You

    can override this value.

    Scrapped Qty: Use this field to view the quantity scrapped after the evaluation of test results.

    You can override this value.

    QC Decision: Use this field to view the overall QC decision for the lot. You can override the

    system calculated decision.

    QC Status: Use this field to view the status of QC for this lot.

    Item/Formula: Use this field to view whether item or a formula is being tested. Formulas are

    applicable only for production QC test.

    Pass Warehouse: Use this field to view the default warehouse where QC passed materials can

    be transferred.

    Fail Warehouse: Use this field to view the default warehouse where QC failed material can be

    transferred.

    Damage Warehouse: Use this field to view the default warehouse where damaged material

    can be transferred.

    Reason Code: Use this field to select an appropriate reason code for the lot being tested. This

    field will be copied to the user-defined field Reason Code on batch or serial details.

    Detail: Use this field to enter any comments for the lot that is being tested. The value of this

    field will be copied to the Detail field of the Batch Details screen (Inventory >> Item

    Management >> Batches >> Batch Details).

    Copy Test Results: Use this button to copy the test results of one lot for the other lots. This

    feature is helpful if you are testing more than one lot of an item and want to copy the test results

    of one lot to all the lots. In such a case, select the lot that has test results entered in the top grid

    and click this button. As a result, the system will copy the test results of the selected lot to all

    other lots of the same item.

    Duplicate Sample: Use this function if you wish to create more samples for testing. To create

    duplicate sample, select a lot in the top grid, then select a sample number from the Sample Set

    field and click the Duplicate Sample button. The system will create a new sample from the

    selected sample.

    Fields in Lower Grid

    If you created the QC document by using Copy From button then the system automatically

    populates items, lot# and tests based on sampling plan. You can add more tests manually, if

    required.

    The system copies item QC tests defined on QC tab of item details screen. System copies

    only tests relevant for given document type.

    Sample Set: Use this field to select the sample set need to be tested.

    Sample No: Use this field to view the sample number. If you are adding a test manually, then

    specify the sample number.

    Test Code: Use this field to view the unique code of quality test applied on the item or formula.

    Once you select desired test code, the value of the fields Test Unit, Category, Test Method,

    Inspection, and Measuring are automatically populated by the system.

    Test Unit: Use this field to view the test unit in which QC test result are to be entered.

    Category: Use this field to view the QC Test category.

    Test Method: Use this field to view the test method used to perform the test.

    Inspection: Use this field to view the inspection method: Sampling or Continuous.

    Measuring: Use this field to view the measuring method of the QC test: Pass/Fail, Numeric, or

    Alphanumeric.

    Numeric Value: Use this field to enter the numeric result of the QC test, if the test type is

    numeric.

    Alpha Numeric: Use this field to enter the alphanumeric result of the QC test, if the test type is

    alphanumeric.

    Results: Use this field to specify the result, pass or fail, based on the numeric or alphanumeric

    value obtained.

    If you are entering a numeric test result, then the system automatically evaluates the test

    result. If the test value is within tolerance limit, then the system will automatically display the test

    result as pass; else the system displays the test result as fail. You can, always, override system

    calculated results.

    Remarks: Use this field to specify any comment about the test.

    Assigned To: Use this field to assign the QC tests to users. You can assign only those tests

    that have been assigned to them using this field. This field is ideally used by QC Manager.

    Add/Update/OK: Click this button to save the record. Once the records are saved, or when

    older records are retrieved, the caption of this button changes to OK.

    Cancel: Click this button to close the screen without saving the record.

    Evaluate QC: Click this button to evaluate the QC results. The system determines QC results

    based on how many samples have passed. The system result can be overridden.

    The Evaluate QC button can be used only after changing the status of the order to

    Released.

    Copy From: Click this button to choose the document type from Production Order, Sales Order,

    or Goods Receipt PO. The list of that type of document gets displayed, you can choose from.

    When one of these options is selected in the Copy From field, the value of the following

    fields are added by default: QC Type, Status, Req Date, Reference Doc. No, Reference Doc.

    Type, No, and Card No. The default value of the Status field is New and that of Req Date field is

    the current server date.

    3.6.2 Approving or Re-evaluating QC Tests

    Use the following procedure to approve or re-evaluate QC tests:

    1. Use the Find button and fetch the QC document that requires approval. 2. Verify the evaluated test results. 3. Modify the test values and evaluate the QC order again, if need be. 4. Mention the QC decision and reason for the pass/fail in the QC Decision and Reason

    Code fields respectively.

    Change Inventory Type

    Use the Change Inventory Type option to change inventory type of items after QC is complete.

    For example, you may want to change inventory type to QCHOLD, once the material is

    accepted in QC. This screen appears automatically when you close a QC document. The

    system automatically applies the default Pass Inv Type, Fail Inv Type, and Damaged Inv Types.

    You can accept system suggested values or change types if required. Once you click Post

    button, the system changes inventory type of lots under QC.

    This option is applicable only if you have implemented BatchMaster ERP Bin

    Management system. To enable bins, you need to check Allow Multiple Bins option in the

    Process Mfg. Defaults screen.

    Use the New Activity option to access the Activity screen in SAP. Using this screen, you can

    create and associate activities. Now, you can associate records in the Formula Entry, Product

    Cost Analysis, Physical Property Analysis, Bill of Material Entry, Batch Entry, Batch Ticket,

    Batch Close, Super Batch Entry, and Super Batch Close screens with this feature. For each

    screen, you must provide the document identifier associated with the feature. Note that when

    you access the Activity screen using the GoTo Function for this screen, the Document Type and

    Document ID fields will auto-populate the values.

    Relationship Map

    The relationship map for a QC order is a pictorial representation of all relevant information about

    3.7 Inventory Transfer QC

    Use the Inventory Transfer QC screen to post the inventory to the appropriate warehouse based

    QC Order: Use this field to fetch the desired QC order, whose items should be posted to

    inventory.

    After choosing the desired QC order, the values of the following fields in the upper grid:

    fields in the lower grid: Whs Code, From Bin, and Available Qty are added by default.

    Fields in Upper Grid

    This grid displays information on the items subjected to QC inspection in this QC order.

    Item Code: Use this field to view the key that uniquely identifies an item.

    Description: Use this field to view the description of the item.

    Warehouse: Use this field to view the location of the item.

    Lot No: Use this field to view the lot number of the item lot.

    Inventory Type: Use this field to view the inventory type associated with the item lot.

    Container No.: Use this field to view the container number if containerization is associated.

    Pallet No.: Use this field to view the pallet number, if the item is sold in pallets.

    Available Qty: Use this field to view the quantity of the item lot available.

    Pass Qty: Use this field to specify the quantity of the item lot that passed in QC.

    Fail Qty: Use this field to specify the quantity of the item lot that failed in QC.

    Damaged Qty: Use this field to specify the quantity of the item lot that was scrapped in QC.

    Pass Bin: Use this field to specify the bin, where passed items are to be posted.

    Fail Bin: Use this field to specify the bin, where the failed items are to be posted.

    Damage Bin: Use this field to specify the bin, where the damaged items are to be posted.

    3.7.2 Posting Items to Inventory after QC Inspection

    Use the following procedure to post items after QC inspection:

    1. Open the Inventory Transfer - QC screen. 2. Use the lookup in the QC Order field and fetch the QC order, whose items should be posted

    to inventory, 3. Observe that the values of the following fields in the upper grid: Item Code, Description,

    Warehouse, Lot No, and Test Qty; and the values of following fields in the lower grid: Whs Code, From Bin, and Available Qty are added by default.

    4. Based on the QC results, enter the quantity of items accepted, rejected, and scrapped in the Accepted Qty, Rejected Qty, and Scrapped Qty fields respectively.

    5. Specify the warehouses for items that were passed, failed, or scrapped in QC in the Pass Warehouse, Fail Warehouse, and Damage Warehouse fields respectively.

    6. Enter the quantity of item that passed in each lot in the Pass Qty field.

    When the user selects an item in the upper grid, the lots pertaining to that item appear in the lower grid. In the lower grid, each row pertains to a lot.

    7. Enter the quantity of item that failed in each lot in the Fail Qty field. 8. Enter the quantity of item that was scrapped in each lot in the Damaged Qty field. 9. Specify three different bins where passed, failed, and damaged quantity of the item should

    be posted.

    3.8 Change Inventory Type

    Use the Change Inventory Type screen to change the inventory type of items. For example,

    during physical inspection you have found that a finished good lot is damaged in your

    warehouse. You need to lock the FG lot so that it is not shipped by mistake. You can use this

    screen to change the inventory type of the damaged lot.

    You can also change inventory type of a portion of a lot. For example you have a raw material

    lot stored in multiple bins, which has been tested and passed. During warehouse inspection,

    you find that material in a particular bin is damaged (may be due to bad handling). You can

    restrict material from that bin to be issued to the production till you re-test the portion.

    This option is applicable only when BatchMaster ERP Bin Management system is

    enabled. To enable bins, you need to check Allow Multiple Bins option on the BMM Defaults

    screen.

    Document Date: Use this field to specify the date on which the inventory type is changed or

    recorded. By default, this field displays the current server date.

    Warehouse: Use this field to specify the warehouse associated with the item, whose inventory

    type should be changed.

    Grid Details

    #: Use this field to view the auto-generated number that identifies the sequence of every change

    in inventory type.

    Item No: Use this field to specify the item, whose inventory type should be changed. The lookup

    in this field fetches the items associated with the warehouse selected in the header section of

    this screen.

    Item Description: Use this field to view the description of the item selected in the Item No field.

    UOM: Use this field to view the UOM of the item selected in the Item No field.

    Lot: Use this field to specify the item lot, whose inventory type should be changed.

    From Bin: Use this field to view the bin number associated with the selected item lot.

    From Inventory Type: Use this field to view the current inventory type of the item.

    Quantity: Use this field to view the quantity of the item in the item lot. This is an editable field.

    Container: Use this field to view the container, if associated with the item lot.

    To Inventory Type: Use this field to specify the inventory type that should be associated with

    Add: Click this button to change the inventory type of the lot.

    Cancel: Click this button to close the screen without saving the changes made.

    3.8.2 Changing Inventory Type of Item

    Use the following procedure to change the inventory type of an item:

    1. Open the Change Inventory Type screen from the Quality Control module. 2. Change the date on which the change in inventory type is recorded, in the Document Date

    field, if need be. 3. Select the Warehouse in which the item lot, whose inventory type should be changed, is

    present. 4. Populate fields in the grid, as required.

    a) Select the item whose inventory type should be changed, in the Item No field. b) Select the item lot whose inventory type should be changed, in the Lot field. c) Specify the Quantity of the item lot, if need be. d) Specify the inventory type that that should be associated with the item lot, in the To

    Inventory Type field. 5. If necessary, modify inventory types of more item lots associated with the selected warehouse,

    by repeating the step 4. 6. Click the Add button to save the record and implement the changes.

    7. Observe that the inventory type(s) of the selected item lot(s) have been changed, in the Inventory Detail Report.

    3.9 Specifications

    Use the Specifications screen to record the customer specified standards to check the

    performance of product, process or services being offered.

    The Purchase order screen provides a button to Print Specifications of purchased items.

    It is mandatory to set specifications in the Specifications screen, which is located in the

    Inventory module in Setup under Administration.
