REVIEWING A PROJECT

• Reviewing a project involves:

• Reviewing project outcomes and processes against the Project

Scope and Plan

• Team members to get a range of views and experiences

• Documenting lessons learnt from the project in order to

incorporate them into new projects.

REVIEWING A PROJECT

• The purpose of this activity is to:

• raise a review team and conduct the review

• identify the outcomes and benefits generated by the project

• determine the final cost of the project

• evaluate the outcomes in terms of the original need

• identify lessons learnt in terms of organisational processes and

procedures

• document the review.

REVIEWING A PROJECT

• The post-implementation review is an activity conducted after the

project has been closed down and the project’s product or service

has been in operation for some time.

• The activity is not strictly a project activity as the project no

longer exists.

• It is more an organisational activity designed to evaluate the

outcomes generated by the project in relation to the original need

and identify lessons for improving organisational processes and

procedures.

• Not all projects require a formal post-implementation review; the

sponsor must exercise judgement in selecting which projects to

review.

• The conduct of the review should be considered as a project in its

own right and planned and managed accordingly.

• In many cases the personnel conducting the review will not be

from the original project team staff who will have since moved on.

• It helps you answer the following key questions:

• Did the project fully solve the problem that it was designed to

address?

• Can we take things further, and deliver even bigger benefits?

• What lessons did we learn that we can apply to future projects?

• Here are some tips for conducting the PIR:

• Ask for openness 

• Be objective

• Document success 

• Look with hindsight 

• Be future-focused 

• Look at both positives and negatives

• When conducting the review, include the following activities: 

• Conduct a gap analysis.

• Determine whether the project goals were achieved.

• Determine the satisfaction of stakeholders.

• Determine the project's costs and benefits.

• Identify areas of further development. 

• Identify lessons learned

• You ended up going over budget by only $2000 because of the savings you

achieved with the new suppliers, so total spend was $17,000

• Although Kate was still too ill to attend, her deputy, Matthew accepted the

challenge and did extremely well, so well Carl is considering have him act as Front

of House Manager at his second site (this event was such a success, he decided to

open another site in a major metropolitan centre)

• Complete the Post Implementation Review, using the Template Provided.
