Batch Management: Configuration Guide

1 PurposeThis document describes the general configuration steps required to manually set up the configuration within the system landscape that has already been installed using the corresponding installation or configuration guides for installation.

The configuration guide describes how to set up the configuration of a building block manually, without the support of automated configuration tools. If you want to use BC sets and CATT procedures for an automated installation process, refer to the Installation Guide of the Batch Management building block.

2 Preparation

2.1 PrerequisitesThe following building blocks form the basis for all Fabricated Metal business scenarios provided by SAP Best Practices. You only have to install these building blocks once.

3 Configuration

3.1 Batch Management GeneralThe following six activities are same as the corresponding parts of German baseline building block J19. If you have installed J19, you can skip these activities.

3.1.1 Define Batch Level

UseThis transaction enables you to set the batch level for batch management. Three unique options for a material are available:

At plant level

At material level

At client level

PrerequisitesIf the material or client level for a material is chosen, check that no materials are in stock. If a material exists in stock, the level may not be changeable.

Procedure1. To carry out the activity, choose one of the following navigation options:

2. In the Define Batch Level screen, select Batch unique at material level and choose Save.

3. If the system displays any warning messages, continue through them by choosing Enter.

ResultYou have set the batch level to the material level.

3.1.2 Conversion of Batch Level

UseThis step activates the conversion of the batch level. Carefully consider this step, because it is very difficult to change the batch level once materials are in stock.

PrerequisitesThe batch level has been chosen. The project should carefully review which batch level is needed before configuration and creation of master data is begun.

Procedure1. To carry out the activity, choose one of the following navigation options:

Transaction Code OMCT

2. On the Batch definition screen, choose Batch level Conversion.

3. On the dialog box, choose No. The status bar will display a notification of success.

ResultYou have converted the batch level.

3.1.3 Activate Batch Status Management

UseThe purpose of this activity is to set the batch management to active status in the client.

PrerequisitesThe batch level should be set before the batch management is set to active.

Procedure1. To carry out the activity, choose one of the following navigation options:

SAP R/3 Role Menu Activate Batch Status Management

Transaction Code OMCS

2. Select the Batch status management active radio button.

3. Choose Save.

ResultYou have activated the batch level status.

3.1.4 Conversion of Status Management

UseThis purpose of this activity is to convert the batch management status to active.

PrerequisitesThe status of batch management has been set from inactive to active.

Procedure1. To carry out the activity, choose one of the following navigation options:

2. Choose Batch status management conversion.

3. On the dialog box, choose Yes to run the conversion in test mode. If you want to run the conversion directly, choose No.

3.1.5 Activate Internal Batch Number Assignment

UseThis purpose of this activity is to set the internal number assignment of batches to automatically active.

Procedure1. Access the activity using one of the following navigation options:

2. Choose Automatic batch number assignment active and choose Save.

3. On the Prompt for Local Workbench Request dialog box, choose Create request.

4. On the Create Request dialog box, in Short Description, enter a short description (for example, J05 Activities), then choose Save.

5. Choose Continue.

6. Choose Back.

3.1.6 Internal Batch Number Assignment for Assigned Goods Receipt

UseThe purpose of this activity is to set the internal number allocation of batches at goods receipt to automatic in the following plants:

BP01, BP02, BP03, and BP0X.

Procedure1. Access the activity using the following navigation options:

2. Choose the activity Internal Batch Number Assignment for Assigned Goods Receipt

3. Set the automatic batch number allocation indicator in plants BP01, BP02, BP03, and BP0X.

4. Save your results.

3.1.7 Configure Batch-Where-Used List

Use In this activity, you make the settings required for the batch where-used list function. The standard sets the batch where-used list active in each plant. Furthermore, the plant can be selected to have synchronous posting of batch where-used records. When the batch where-used file is built up, the receipt and issue records required for the batch where-used list are generated for the material document items. The system only includes material document items for plants in which building up of the file is allowed.

Procedure1. To carry out the activity, choose one of the following navigation options:

3.2 Setting up Batch Management

3.2.1 Create Class (023)

UseThe purpose of this activity is to create the classes of the class type 023. A group of characteristics that can be attributed to a product. A class is a group of similar objects according to common characteristics.

Fabricated Metals uses the following class types:

- 023 (batch classes)

- 200 (class for Material – configurable products; usable in bill of material)

- 300 (Variant class)

Procedure

1. Access the transaction using:

3.2.2 Maintain Organizational Area for Batch Characteristics

UseThe purpose of this activity is to maintain organizational area for batch characteristics. To use the quantity conversion on batch level you need to assign the organizational areas S to the batch characteristics that are used to store the conversion factor.

Procedure

1. Access the transaction using:

3.2.3 Assign Class Type 023 to Configurable Material

UseThe purpose of this activity is to assign class type 023 to a configurable material. A class type is a top-level unit of control for classes. Each class must be allocated to exactly one class type.

Procedure

1. Access the transaction using:

3.2.4 Maintain Batch Specific Unit of Measure in Material Master

UseThe purpose of this activity is to maintain a batch-specific unit of measure in the material master. You use batch-specific units of measure when the conversion ratio for the unit of measure to the base unit of measure varies for different batches of a material.

You can define alternative units of a material for which the conversion ratio to the base unit of measure on a batch-specific basis.

Procedure

1. Access the transaction using:

ResultThe material master is changed according to the batch specific unit of measure.

3.3 Set up the Sales and Distribution Batch SearchA new strategy type has been defined for Sales and Distribution. Since the batch search criteria often comes from the configuration in the metal area, and with that are dependent on configurable material and not on the individual material variants, a specific conditions table has been created which contains the pricing reference material (normally for the respective configurable material). This conditions table was incorporated in an access sequence; if no batch search strategy record exists with the access sales and distribution area material and no record with the access sales and distribution customer material, then the batch search strategy record for the price material is accessed. This is normally sufficient.

3.3.1 Condition Tables Field Catalog

UseThe purpose of this activity is to define the condition tables field catalog.The field catalog contains all of the key fields for the condition tables.

Procedure1. Access the transaction using:

3. Select New Entries.

3.3.2 Condition Tables Create

UseThe purpose of this activity is to create conditions tables. You wish, for example, to use the order type and the customer group as selection criteria for batch determination. To do this, you create a condition table containing these two fields.

Procedure1. Access the transaction using:

(Note that the technical view must be "PMATN" since there are 2 fields with the description Material/Material number in existence.

5. Choose Select field.

6. Choose Generate.

7. Choose YES.

ResultThe condition table “900” can now be used for access sequences.

3.3.3 Generate Condition Tables

UseIn this section, you generate condition table 900.

PrerequisitesThe generation of the tables has already been done in the previous step. As the activation of the BCS in transaction /SMB50/B036_M05_01 of the installation guide does not generate the tables, you find here a manual description on how to generate the tables after having used transaction /SMB50/B036_M05_01.

Procedure1. Access the transaction using:

3.3.4 Access Sequences

UseThe purpose of this activity is to define access sequences. You can define an access sequence so that the system first searches for a batch search strategy containing condition table 508. If no such strategy is defined, the system is to find the general strategy for the order type using condition table 507.

UseThe purpose of this activity is to define Sales and Distribution strategy types You wish to use different batch search strategies for different combinations of sales areas and sales document types. For this purpose you create strategy types.

3.6.4 Create Customer Exit for Classify Batches

UseThe purpose of this activity is to create customer exits for classifying batches. This procedure is used when material is posted from the production order to customer special stock. The values defined in the configuration of the production order (they come from a sales order in the case of make-to-order or from the material variant in the case of make-to-stock) should be proposed from the production order when the goods receipt is issued, if corresponding values exist in the batch class.

When you have a goods receipt with reference to a purchase order, the values defined in the configuration of the purchase order, (they come from the sales order in case of third party or bought-in item or from the material variant) should be proposed from the purchase order at the time of goods receipt, if corresponding values exist in the batch class.

When you have a goods receipt without reference (movement type 561 or 501) the values defined in the configuration of the material variant should be proposed from material variant at the time of goods receipt, if corresponding values exist in the batch class.

The following cases exist:

Goods receipt for the purchase order

In the 'non-direct' sales scenario, the configuration is copied from the sales order to the purchase order. Certain characteristics, which are batch-relevant, should be proposed as default values at the time of goods receipt.

Goods receipt in all other cases

The characteristics should be copied from the material variant.

Goods receipt for the production order

The customer requirements are described in the sales order. This configuration is also available in the production order header. Certain characteristics, which are also batch-relevant, should be proposed as default values at the time of goods receipt.

Procedure

When you create and activate this user exit, the system will prompt you to assign a change request. Enter the development class you are using (e.g. ZMET) or choose Local object to save it locally. This assignment allows you to transport the project and its components into a productive system once you have completed project a name that indicates the type of functions it contains and that shows, which transactions are affected. It may be useful to agree upon a company-wide naming convention for enhancement projects.

1. To access the transaction, choose:

4. On the screen Attributes of Enhancement for Project, describe the function of the project by providing a short descriptive text, e.g. Classify Batches.

5. Choose Save.

6. The system then prompts you to assign a change request. Enter the development class (e.g. ZMET) or choose Local object to save it locally.

7. Choose Enhancement assignments from the application toolbar. Here you specify which SAP enhancement packages you want to include in your project by choosing enhancements.

8. Enter the names of the enhancement, in this case SAPLV1ZN. You can also select the enhancement by pressing F4. Please refer to the table mentioned in step 2.

9. Choose Save.

10. Return to the main screen of the Project Management transaction and select Components from the sub-objects and choose Display. Make sure that the name of the project is the same, for example, Classify Batches.

11. On the Display Z02B0501 screen, double-click on the function exit: “EXIT_SAPLV01Z_014”. On the next screen, under the tab Source code, scroll down to bottom of the screen and double-click on the row: Include “ ZXVBZU10”

If the Create object dialog box appears , confirm the message: Do you want to create the object?

12. Choose Yes and in the Create Object Directory Entry dialog box, choose a development class or save as a local object.

13. The View ABAP Editor: Change Include ZXVBZU10 screen appears.

14. From the menu, choose Utilities More utilities Upload/Download Upload

15. Select the file CMOD_P005_M05.TXT from the folder or browse for the right file. This will attach the add-on functionality (Classify Batches) to the exit in your project.

16. Choose Save and Choose Activate.

17. Choose Back three times to return the Project Management screen

18. Choose Activate project pushbutton from the application toolbar.

19. Within this program, programs ZM_CONFIG_PUR_ORD, ZM_CONFIG_PROD_ORD and ZM_CONFIG_PROD_ORD are called, which also need to be created using SE38.

7. Choose the Enhancement assignments pushbutton from the application toolbar. Here you specify which SAP enhancement packages you want to include in your project by choosing enhancements.

8. Enter the names of the enhancement, in this case MBCFC004. You can also select the enhancement by choosing F4. Please refer to the table mentioned in step 2.

9. Choose Save.

10. Return to the main screen of the Project Management transaction and select Components from the sub-objects and choose Display. Make sure that the name of the project is the same, for example, Batch specification for Goods movements.

11. On the Display Z02B0502 screen, double-click on the function exit: “EXIT_SAPMM07M_004”. On the next screen under the Source code tab page, scroll down to bottom of the screen and double-click on the row: Include “ZXMBCU04”

If the dialog box Create object appears , confirm the message: Do you want to create the object?

12. Choose Yes in the Create Object Directory Entry dialog box, and choose a development class or save as local object.

13. The screen View ABAP Editor: Change Include ZXMBCU04 appears.

14. From menu, choose Utilities More utilities Upload/Download Upload

15. Select the file CMOD_P009_M05.TXT from the folder or browse for the right file. This will attach the add-on functionality (Classify Batches) to the exit in your project

16. Choose Save and Choose Activate.

17. Choose Back three times to return the Project Management screen

18. Click on the Activate project pushbutton from the application toolbar.

Within this program, programs ZM_CONFIG_PUR_ORD, ZM_CONFIG_PROD_ORD and ZM_CONFIG_MATERIAL are called, which are same with programs used in ZXVBZU10( we have created them in previous steps ).

ResultYou have activated the customer exit MBCFC004 for batch specification in goods movements.
