CHAPTER I

INTRODUCTION

1.1 Background

MBA program includes the mixture of the theoretical as well as practical knowledge.

With the key intention to produce professional managers, MBA has been able to establish

itself as a superior platform among different programs of the entire management faculty.

It rendered the great opportunity to the student to develop their skill through practical

knowledge.

Under the course of PU, the student of MBA have to perform internship program for 8

weeks in any organization (i.e. financial, manufacturing or service related) recommended

by college or selected by student themselves. It was a remarkable experience and the only

way to expose ourselves, our knowledge and skills so that we could set our mind for real

job market and create opportunity for us in the real job market. The internship program

gives the student a golden chance to develop their skill and knowledge in different fields

and to gain real life experience by working in an organization as a trainee. Such program

helps the student to develop their career in a new way.

Internship is a practical section of the MBA course which is mainly targeted at giving the

practical exposure to the students who have acquired the plenty of theoretical knowledge

in the related field of the study. The students are opportune to participate into the

organizations to learn and solve the real life problems and develop the knowledge and

skills they have learned. Similarly, Internship is an opportunity to observe, learn and

understand the corporate culture, acquire knowledge and skills in the respective field

which helps the students in their further career development. Internship provides the main

opportunity to understand how the knowledge acquired through the lectures, group

discussion and formal study is applied in the real working situation.

Through the provision of the internship, each student’s interpersonal skills and

communication skills are highly developed to sustain freely in this era. To cope with the

changing environment internship is a platform for gaining greater knowledge to perform

effectively with working experience. As a whole, internship teaches us a corporate

culture, develops our public relationship and provides us an excellent working

experience.

In order to fulfill the requirement of the course, I was assigned to work as an intern at

Batas Organization, Nayabazar Pokhara. This internship report mentions the various

working experience on real field. I have done my internship in Batas Organization for

eight weeks.

1.2 Objectives of Internship

Internship plays a vital role in gaining practical knowledge and in developing our

confidence level. Objective of our work is to gain sufficient knowledge about working

system of the organization. Thus, internship is done to develop our coping ability in the

organization where we work. The main objectives of internship are:

To gain practical knowledge and exposure in the automobile industry.

To understand the major functions along with products and services of the

organization.

To analyze the practical implication of theoretical knowledge acquired during

the MBA program.

ORGANIZATION PROFILE

2.1 Description of the Organization

Batas Organization is one of Nepal’s successful and upcoming organizations. The

organization is a forefront runner in Automobiles, Finance, Investment & Remittance,

Energy, Travel & Tourism and Retail Business having head quarter in Pokhara and

corporate office in Kathmandu. Mr. Ananda Raj Batas is the Chairman of the

organization. Batas Organization is maintaining the vision of true corporate culture,

building global enterprise, proactive innovation, consumer focused and teamwork which

have leaded this Organization to its destiny to contribute national economy and beyond.

This Organization was initially set up in by Shree Ram Prasad Batas with a view to

initiate corporate culture outside the capital of the country in the vivacious city of

Pokhara.

Today, after 1969 AD 40 years, Batas Organization has grown several subsidiary

companies with a strong corporate culture, with a countrywide sales network and highly

skilled employees led by competent management team. Batas Organization has

successfully made its mark as a competitive business house within very short period of

time. Three brothers are running the owned profit making companies, professionally

& independently with the Value's of BATAS organization.

2.5 Major market and customers

The major market of Batas Organization is Kaski, Syangja, Gorkha, Lamjung, Manang,

Baglung, Tanahun and Beni. Sales persons visit these districts for marketing activities.

Sales persons are divided into the different markets according to districts. Batas

Organization has different types of customers according to the product category such as

middle class people for TVS bikes and scooter, higher class people for Fiat, Suzuki cars,

Hyosung bikes and mainly entrepreneurs for Mahindra jeeps, pickups and Scorpio jeeps.

Batas organization has investment portfolio in the different sectors such as Automobiles,

Finance & Investments, Hydroelectricity, Travel & Tourism and Remittance. Therefore

the products of Batas Organization are related to various investment portfolios. The Batas

i. Batas Brothers

Batas Brothers is the authorized distributor of Suzuki, Mahindra & Mahindra, TVS,

FIAT, and Cherry Spare Parts at Pokhara. In addition to genuine spare parts, the company

deals with Castrol Lubricants, Valvo line Lubricants, NBC Bearing, Globatt Batteries,

TATA Hand tools, JK Tyre, Bridgestone Tyre, and Car Accessories. Started in the year

1997 with the initial capital of NRS 35 Lakhs, registered under the HMG Department of

Commerce, As per Private Firm Registration Act, 2014 is owned by the Director, Mr.

Shanta Raj Batas.

The impressive price range and customer-friendly services have made Batas Brothers a

renowned spare parts dealer in the Western region. Batas Brothers is the unrivaled market

player in Pokhara capable of shipping any large quantity within the short span of time

with a highest standard of quality on most affordable/competitive prices. The quality of

ASB Automobiles is the authorized dealer of Mahindra& Mahindra's Tractors and 2

Wheelers of TVS Brand for Gandaki & Dhaulagiri Zones of Western Region. ASB

Automobiles provides 3S support to its customer since 1997 and is one of the leading

auto houses in Pokhara region. Quality of service is of prime importance to it; be it pre-

sale or post-sale. Pre-sale the company ensures that their staffs are at their courteous best.

It ensures that all the staffs are well-trained, and that they can answer any query you may

have. The company believes in building a very strong bondage with its customers &

providing services up to optimum.

UDR Auto Engineering is located at a prime location of Pokhara, Nayabazar-9. It is an

authorized service center of two wheelers and four wheelers of Mahindra & Mahindra,

Suzuki, FIAT, Cherry, TVS and Hyosung.

It has been a great journey for BATAS Automobiles, started in 1995 with Suzuki with

sheer dedication and willingness to serve their customer to the best. Batas Automobiles

has attained a place of eminence and honour in the market. Batas Automobiles is

handling the entire range of four wheeler products of Suzuki brand in Western region of

Gandaki and Dhaulagiri zones.

Thanks to a young and enthusiastic team of Batas Automobiles which today has to its

credit of registering high number of sales in the Western region. This is evident enough

of our focus for serving our customers to their satisfaction without compromising on

quality. For excellent sales and creditability among Suzuki users in Nepal, the dealership

was honoured with various and number of awards for Best Dealer, registering high

number of sales and many others.

Cherry Vehicles for Gandaki and Dhaulagiri region.

2.7 Organization Design & Structure

Organization design may involve strategic decisions, but is properly viewed as a path to

effective strategy execution. The design process nearly always entails making trade-offs

of one set of structural benefits against another. More powerful change happens when

there are clear design objectives driven by a new business strategy or forces in the market

that require a different approach to organizing resources.

2.8 Organization Performance

Organizational performance comprises the actual results of an organization as measured

against its intended goals or objectives. Organizational performance encompasses three

specific areas of firm outcomes:

Financial performance (profits, return on assets, return on investment, etc.)

Product market performance (sales, market share, etc.)

Shareholder return (total shareholder return, economic value added, etc.)

The following points can be given in this regard:

2.9 SWOT Analysis

The acronym SWOT stands for Strengths, Weaknesses, Opportunities and Threats.

Internal environment is analyzed to maximize strengths and minimize weaknesses.

External environment is analyzed to exploit any possible opportunities and to neutralize

threats. Thus, the objectives of SWOT analysis is to provide a framework to reflect

organizational capabilities to avail opportunities or to overcome threats presented by the

environment. Every company has their strengths, weaknesses, opportunities, and threats.

2.9.2 Weaknesses

The Weaknesses of Batas organization are as follows:

Banks as the major source for the loan, so the organization has to be dependent on

the banks.

No equal rights for the employees to participate on decision making except the

top level of management.

Rights and duties of the organization is centralized which makes the employee

dismotivated.

2.9.3 Opportunity

The Opportunities of Batas organization are as follows:

International competitiveness.

Expansion of business to extent of manufacturing the vehicles with own brand

name.

Opportunity of alliance or partnership with the national and international

companies.

With the strong financial background it can also open the banks, finances or

cooperatives in new future.

2.9.4 Threats

The Threats of Batas organization are as follows:

Competitive market.

If no of bad debts increases it will be threats to the organization.

Volatile nature of technology and system management can also be threats to the

organization.

Increased in interest rates of banks and finances.

Change in the policy of NRB

Unstable political situation

CHAPTER III

JOB PROFILE & ACTIVITIES PERFORMED

3.1 Activities Performed in the Organization

I got an opportunity to do my internship in one of the leading Automobile distributers in

Nepal, Batas Organizations. The duration for the internship was eight weeks. I was

assigned in the sales department of ASB Automobiles and Batas Automobiles. I got the

chance to learn many things relating to sales, marketing, dealing with customers,

handling telephone queries and many other customer related issues in the organization. I

have performed different activities during my internship period. Different activities that I

have performed are as follows:

Dealing Customers

Customer dealing was the major activity that I performed during the internship

program. I had to make regular oral product presentation to the customers.

Product presentation included the brief information about product features, prices,

warranty policy, service after sales, resale value etc. I had to regularly handle

customer queries and complaints.

Document Preparation

I had to prepare the essential documents .I was given the task of preparing

necessary copies of insurance policy, bill book, citizenship certificate, VAT bill,

warranty policy etc.

Marketing Activities

During the internship program, I along with my supervisor visited Prithivi

Narayan Campus and Pokhara Engineering College to distribute the brochures of

TVS Wego, RTR 180, RTR 160, Star City etc.

Customer Follow up

Occasionally, I was given the task of following up customers through telephone.

I had to call the customers to pay the remaining installments, to register the

vehicle ownership, to inform them about the arrival of booked vehicles, to obtain

necessary feedback etc.

Billing Customers

I had to bill the customers quite frequently. I had to fill the delivery sheet of the

vehicles as well as the cash voucher. The samples of delivery sheet and cash

voucher can be found in the appendix section.

Data Entry

During my internship program, I had to enter the purchase and sales data using

MS excel. The purchase and sales data included the name of customers, their

addresses, engine number of vehicle, chasis number of vehicle, date of purchase

and sales, type of model, colour of model etc.

Collecting Payments

In the case of hire purchase i.e. financing I had to visit various finance companies

and co-operative society to collect the necessary payments of the vehicles.

Use of email and Internet

I have used the email and internet services to receive various documents of the

business. The L/C related, insurance related document, custom related documents

etc. are effectively and efficiently transmitted through the use of IT.

3.2 Problems Solved

The following given points can be presented in this regard:

Assisting sales volume rise

During my eight weeks internship period, there was rapid increase in the sales

volume of TVS Wego. More than 200 Wego Scooters were sold during that

period. In that period, Wego became the largest selling scooter (i.e. 58) in a single

day in Pokhara valley.

Customer profile preparation

Customer profile is an integral part in any organization. A customer profile details

customer name, address, contact number, age, choice of model, type of purchase

etc. So, I prepared the customer profile both in the computer as well as manually

in the customer info register.

Proper filing and reference

I have made the filing procedures of the firm by making them easy accessible and

less time consuming and at the same time I have applied the approach of making

Xerox copy of important document to keep them as reference for the future.

3.3 Intern's Key Observation

From the internship at Batas Organization I got the chance to apply my theoretical

knowledge in the real business world practice. There, I have learnt many things that are

very practical and useful in order to run a business. During my internship, I have

observed the following things at Batas Organization.

Good relation among the employees.

Employees are very cooperative to each other.

Employees are always ready to do what they are asked to do.

All staffs are positive to the interns and they are ready to make us learn about the

operation of the organization.

Internal auditing is separately done.

Proper Communication between the employees and top level management.

HR policies are being made regarding different HR related practices.

Regular back-up of computer data.

CHAPTER IV

LESSONS LEARNT & FEEDBACK

4.1 Key Skills & Attitudes Learnt

4.1.1 Key Skills Learnt

Skill is the learned capacity to carry out pre-determined results often with the minimum

outlay of time, energy, or both. Following given are the specific skills I have learned in

the organization as an intern.

Time management

I have learned the way of time management during my internship period such as

which activities of the jobs should be prioritized , which job is to be done at time,

when to reporting and many more.

Knowledge of accounting software SWASTIK

I have learned the skill of using the accounting software SWASTIK to entry

purchase and sales transactions, to generate report from that software, to create

new accounts, to edit the entries made earlier, to make the format different types

of vouching documents etc.

Ms Office application

Throughout my internship I have used the MS office package for conducting

various activities. I have used the MS EXCEL to record purchase and sales data. I

have used the MS WORD to make various types of letters and prepare various

sales reports and many others.

Proper filling and Indexing

Practically I obtained the basic skills of proper filling and indexing to record the

reference of needed documents such as delivery letter, insurance policy, warranty

policy etc.

Dealing with various stakeholders

This is the major and valuable skill I have learned during my internship period. I

have learned how to deal with customers, subordinates, supervisor, bosses and

banking personnel to carry out the day to day activities effectively and efficiently.

4.1.2 Attitudes Learnt

Discipline

Discipline to follow the organizational rules and regulations, norms and values are

very much important for effectiveness and efficiency in job performance. A

disciplined employee can add value to the organizational resources very well. I

have realized the various kinds of disciplined behaviors when working as an

intern in the Bats Organization.

Punctuality

Punctuality gains respect in almost any place but it is essential in the workplace.

Being on time says a lot about you and how you feel about your company and

your colleagues. Understanding the importance of punctuality can go a long way

in helping you increase your value to your company and climb the career ladder.

Punctuality is very much important for customer satisfaction, good relationship

with boss, and to fulfill the job duties on time.

Cooperation

Cooperation between employees is very much needed in the organization for

better performance. Without proper cooperation and communication

organizational success cannot be imagined in this age of integrated business

scenario. Cooperation between the colleagues can enhance and enrich the job

performance.

4.2 Feedback to the Organization

Batas organization in comparison to other vehicle dealers in Pokhara are the most

organized, largest and customer oriented company. Although this company is a leading

automobile dealer company in Pokhara, it still needs to improve in certain aspects. I

had a good time with the organization’s management, employees and other concerned

parties. I learned various attitudes and skills during my internship which is not

possible without the guidance and cooperation of the above mentioned parties. Based

on my functioning, observation and intuition the following given feedback can be

provided to the organization.

Essence of Central Marketing Department

The marketing effort made by Batas organization is good but not enough to win

the market. First of all a central marketing department is very necessary in a

company like this to follow the market and keep a close eye to competitor’s

moves.

Customer Dealing Capabilities

I feel that the company needs to improve in the sales person’s dealing capabilities

with the customers. Through observation in the showroom, it seems that the

company can improve their sales person dealing capabilities through hiring

personnel educated in the marketing background and by providing regular sales

training and role modeling among the employees.

Clear hierarchy

There is no clear hierarchy and sometimes employees are confused about their

roles and responsibilities. So a proper hierarchical system should be developed in

Batas Organization.

Hiring of more external person in high level management

Since Batas Organizations a family based business, the owners are themselves in

the high level management. Some independent experts from outsider should also

be hired in top management level for the smooth operation of business.

Delegation of authority

I have observed that all the decisions in the organization are made by the owner

themselves. Even the small decisions are made by the owner of the organization.

Delegation of authority in certain aspect and participation of the employees in the

board meeting to some extent can be fruitful for the organization and at the same

time it also motivates the employees.

Proper use modern tools and IT

Proper use of modern tools and information technology can enhance the

organizational performance and effectively and efficiently achievement of

objectives. The following points can be suggested.

Computers and other equipments which are properly health and safety

considered.

Proper use of e-mail and internet services

Use of e- banking facilities

Development of user friendly company website

First aid kits and fire extinguisher

Installment of suggestion boxes

Other Recommendations

The following recommendations can be made for the organization in addition to

above:

The reception office is quite back. It should be in front of the organization.

Advertisement regarding different vehicles should be displayed in the

bigger screens.

Essential trainings on driving should be given to staffs.

Establishment of private discussion room, waiting lounge, kid’s zone,

refreshments, updated price boards etc.

Appropriate dress code is needed.

4.3 Feedback to the College/University

Internship is the most valued program of MBA to enhance and enrich the practical

managerial skills and other technical skills needed to manage business organization

effectively and efficiently. There should be proper coordination and cooperation between

the student, concerned business firm, and the concerned college to achieve the objectives

of the internship program.

Internship is an opportunity to observe, learn and understand the corporate culture,

acquire knowledge and skills in the respective field which helps the students in their

further career development. College plays an important role in the internship of the

students. Colleges work as facilitator or mediator between the students and the

organizations for conducting the internship program. But however in most of the cases

students themselves search organizations for the internship. On the basis of my

experience, I would like to give following feedback to Pokhara University School of

Business.

Guidance to students before going to internship

It will be fruitful for the students if they are given the necessary counseling before

going into the internship program regarding the needed skills, disciplinary actions,

format to record daily activities and jobs done etc. Internship management

committee should ask the students about their interested field of internship and

should suggest different organizations according to their interests.

Visit the organization during internship period

It can be advised to internship management committee to visit the concerned

business organization once or twice during the internship period. It will motivate

the student and organization will also positively assign the jobs to the intern. The

committee should contact students regularly, take feedback from the students and

help students if they are facing any problems during the internship period.

Proper format to record the daily activities

College should provide the specific format for the recording of day to day jobs

activities during the internship period so that it will help in making standard

report and it also help to identify the needed skills and other managerial practices

in the written form.
