Dear Parents and Guardians, Start of Autumn Term 2020 Arrangements The arrangements and plans to ensure the safety and well-being of our pupils is of paramount importance. This interim guide will inform you about those arrangements.

It will be important to strike a balance between ‘business as usual’ and putting in place the necessary precautions and safety measures across all aspects of College life - above and beyond the expectations of the UK Government, and we are working hard to ensure this.

We will continue to develop these plans throughout the summer holiday and we intend to provide a comprehensive Back to School Guide by the end of July. In the meantime, I wanted to provide you with some detail, to both reassure you and help you make decisions, particularly concerning travel arrangements.

We continue to take guidance from the UK Government and the World Health Organisation, the Boarding Schools Association (including the BSA COVID Safe Charter) and our own medical team. Please be aware that the information within this interim guide may change in line with UK Government announcements and we will keep you updated with those developments

During August there will be an opportunity for all parents and guardians to join online meetings with members of the College’s Senior Management Team to address any concerns or questions you may have.

The UK Government rules currently require everyone arriving in the UK to quarantine for 14 days (although

there are indications that this might change, at least for certain countries). The following information

assumes that a quarantine period will still be required in August but is subject to change, in line with

any changes to rules and guidelines:

■ Malvern College will open for overseas pupils

who need to quarantine on 19th August 2020

to allow for a 14-day quarantine period.

■ Overseas pupils are encouraged to explore

quarantine options with guardians and family,

as appropriate, before taking up the option

in College.

■ The cost for the quarantine period will be

£565 and will be added to the school bill. This

is a nominal fee applicable for the quarantine

period only, to support our overseas families in

adhering to the UK Government guidelines.

■ Parents who wish to travel to the UK and

quarantine with their child can do so in a

hotel or privately rented accommodation,

but not at the College. Parents will not be

allowed to enter the boarding House, or any

other school building until the quarantine

period has been completed.

■ Parents of overseas pupils who have to

quarantine will be asked to complete a

form prior to arrival in the UK to confirm

quarantine arrangements.

Quarantine Arrangements For Overseas Boarding Pupils

■ Pupils who are travelling to the College

will be collected from main airports by GT

Matrix transport (our usual College transport

provider). Further details will be available by

the end of July.

■ On arrival at Malvern College, all pupils

will undergo health screening by College

medical staff which will include a temperature

check using thermal scanners and health

questionnaire.

■ COVID-19 testing will also be in place as

required; further details will be provided in

our July update.

■ Pupils who choose to quarantine in school will

be quarantined in boarding Houses and cared

for by College staff.

■ The boarding House used for quarantine

may not be the same as a pupil’s normal

boarding House.

■ The College Medical Centre will be staffed

24 hours per day by qualified medical staff.

■ Clear guidance will be given to pupils on

arrival about the procedures they need to

adhere to in school.

■ We have an isolation facility for pupils who

develop symptoms.

■ Deep cleaning will take place for all rooms that

have been occupied during the quarantine

period before they are re-used.

Arrival of new pupils joining the College in September

All new pupils who do not need to quarantine

should arrive at the College on Wednesday 2nd

September at 14:00. They will undergo health

screening including a temperature check using

thermal scanners and a health questionnaire,

before entering school buildings. If current

social distancing rules are still in place:

■ Day pupils will be invited to attend the

College, by appointment only, for various

aspects of their induction processes, all

adhering to social distancing guidelines

■ Some of the induction process will

be conducted online to facilitate

social distancing

Arrival Arrangements For Current Pupils

Arrival of boarding pupils who are not new to the College

Boarding pupils who are not new to the College,

and who are not quarantining in College, should

arrive by 5pm on Thursday 3rd September. They

will undergo health screening before entering

school buildings.

Arrival of day pupils who are not new to the College

Day pupils who are not new to the College

should arrive by 8.10am on Friday 4th September.

They will undergo health screening before

entering school buildings.

All boarding pupils

■ Boarders in the same boarding House are

treated as a household so they can interact

without maintaining social distancing.

■ All boarders will have all meals in the

boarding House and will socially distance

from pupils and staff who are not in their

House on the rest of the campus.

■ Any pupil showing symptoms will

immediately go into isolation. Appropriate

medical care will be provided. Other pupils

in the boarding House will also go into

isolation (as directed by guidelines set)

until test results are confirmed.

■ Boarders will be given guidance about how

to protect themselves and each other with

sensible hygiene precautions.

Day Pupils

■ Day pupils will not be allowed to enter

boarding Houses.

■ Day pupils are encouraged to board but they

must commit to boarding from the beginning

of term until the first Leave Out at the earliest.

■ Day pupils will not have the option of staying

overnight in a boarding House unless they are a

full boarder. Day boarding will not be an option

for at least the first half of the Autumn term.

■ Day pupils, visitors and non-resident staff

will be health-screened on arrival at the

College each day.

■ Any day pupil or non-residential member

of staff showing symptoms will be sent

home to isolate immediately.

■ Day pupils will have designated bases on

the school campus, where they can work,

store their possessions, as well as being with

other day pupils from their House, but also

socially distanced.

Visitors and Non-Residential Staff

■ There will be strict controls for visitors and

non-residential staff entering boarding Houses

in order to protect the safety of the pupils

and staff who are resident.

The School Day ■ Lessons, co-curriculum and super-curriculum

activities will commence on 4th September and

will be appropriate to the guidelines in place,

for example, the Autumn term is likely to start

with sports that are more easily adapted to social

distancing such as tennis and cricket.

■ One-way systems will be put in place where

appropriate in College buildings.

■ Boarders and day pupils will attend lessons

socially distanced.

■ Pupils who wish to wear face coverings are

welcome to do so. In certain circumstances

they may be required to do so (e.g. when

using transport).

■ Each classroom will be equipped with hand

sanitiser and alcohol wipes.

■ Pupils will be required to clean their own desks

and chairs at the end of each lesson.

■ Where a whole class will not fit into a room due

to social distancing, lessons may be moved to

a larger space or combined with a rotation of

attendance in class and online learning in school.

■ Any pupil unable to access a lesson in person,

will be able to access it online.

■ Large gatherings e.g. Chapel or year group

events will be suitably adapted or removed

from the weekly time-table.

■ Day pupils will eat in a House group, in designated

areas such as the Gryphon Room or Sports Hall,

appropriately separated from each other. They will

not eat in their boarding House but will be joined

by non-residential House staff.

■ Boarders will eat in their boarding House maintaining

the boarding House as a ‘household’.

■ We are working closely with our caterers to prepare

new protocols to minimise any risks next term.

The school will remain open during Leave-Out and

Half Term for overseas boarders who are unable to

return home or to stay with their guardians due to

the pandemic. Further details will follow.

School Uniform For All Pupils The following section provides opening arrangements for Schooltogs, the College’s uniform supplier, this

summer and at the start of the Autumn term. At present the shop remains closed, although we are expecting

that we will be able to open over the summer holidays as set out below. We will be in touch again over the

course of the summer if and when these arrangements change.

CURRENT PARENTS

Current social distancing regulations mean that the

shop is limited to two customers at any one time,

and current parents are therefore encouraged

as far as is possible to order uniform online here.

Parents wishing to visit the shop in person are asked

to wear a face covering when doing so and may

be asked to queue outside if there are two or more

customers already in the shop. Hand sanitizer will

be available in the shop for customer use.

NEW PARENTS

Parents of new pupils are encouraged to book a

private appointment for the fitting of their child’s

uniform at the shop; this can be booked for any

time during the summer holidays via the

Schooltogs online appointment system here.

PUPILS IN QUARANTINE

Current quarantine regulations would prevent pupils

from accessing the shop during the quarantine

period from 19th August. If these regulations remain

unchanged by the end of the summer holidays we

will make arrangements for any pupils in quarantine

to purchase their uniform during the first few days

of term instead.
