Chapter III PRESENTATION AND ANALSYSIS OF THE PROPOSED SYSTEM This chapter presents the Data Dictionary, Top-Level Diagram, Entity-Relationship Diagram, Data Structure with Sample Records, Hierarchical Input Process Output, Input Process Output, Cost Benefit Analysis with the Break-Even Analysis and evaluation of the proposed system. The Proposed System The Data Dictionary defines the label in the Context, and in the Top-Level Diagram whether it is a number, date or characters. Chapter IIIPRESENTATION AND ANALSYSIS OF THE PROPOSED SYSTEM

This chapter presents the Data Dictionary, Top-Level Diagram, Entity-Relationship Diagram, Data Structure with Sample Records, Hierarchical Input Process Output, Input Process Output, Cost Benefit Analysis with the Break-Even Analysis and evaluation of the proposed system.The Proposed System The Data Dictionary defines the label in the Context, and in the Top-Level Diagram whether it is a number, date or characters. Top-Level Diagram displays the flow of data inside the organization. Entity-Relationship Diagram displays what information are required in every entity. Data structure with sample records shows the system database with records of the said system. Hierarchical Input Process Output is used to arrange charts in order to graphically represent the programs control structure. Input Process Output shows the output requested. Cost Benefit Analysis with Break-Even Analysis a systematic process for calculating the margin of safety and comparing benefits and costs of a project.

The importance of the system is that it is more efficient enough and it does solve the current grading system of Anastrophe Christian School. Therefore, the proposed Automated Grading System automate the students information through the use of the user-friendly and menu-driven screen instructions and pop up messages that provide easy way to manage records, editing student information, storing and retrieving grades as well as generating the Form 138. The systems features allow teachers or users to save, editand retrieve stored information and grades in the system. The generated output of the system is the Report of Rating (Form 138-E).The Automated Grading System provides more security in handling records because it is password protected and retrieval of information requires less effort, time and energy.

The sources and destinations are called the external entities since they are outside the system. The external entities are as follows: the student enrols, the teacher who records scores and generates grade and the principle to which the printed records of the student are validated.

Entities such as student and teacher are represented using rectangular form. The flows of processes are described using arrows with description containing what is done with the information. Every process is expressed by an action word. Data stores are also represented by rectangular form with open right side with the description.In the process 1.0, the information of the teacher is being encoded and then will be stored to data store for teachers. The information included the teachers name and school year started.In the next process, the student information is encoded and thus contains students name, grade level and school year. The information is being stored on the data store for students.In the third process, student subject enrolled by the student is being encoded by the teacher. Student subject includes subject description. The student records are being stored in a student subject data store which is the student subject, combining the student ID number and student subject description.In the process 4.0, for every subject there are assigned teacher to teach the student. It may be three teachers with every student or it will depend on the number of student enrolled to that subject. The information is stored at the subject teachers data storeIn the next process, teacher encodes subject criteria. Student subject has subject criteria necessary for the computation of student grades.In the process 6.0, student score that is given and encoded by the teacher are entered into the system. The teacher will compile all the scores of the students.In the next process, teachers generate student grade.In the last process, student scores are processed to generate necessary reports needed which are to be validated by the principal.

There are five entities which are involved in the Entity Relationship Diagram: the Student, Criteria, Teacher, Curriculum and SubjectGrade. Every student record has personal information such as name, grade level and school year. The teacher has personal information too such as name, advisee and school year. The subject has its description. Every subject has its criteria for grading in which the fields are shown in the Figure 5. The last entity is the Student Grade which contains valuable information such as the subject, student ID, grading period, rating, school year and subject teacher.

Cost Benefit AnalysisCost Benefit Analysis is a systematic process for calculating and comparing benefits and costs of a project for two purposes: to determine if it is a sound investment and, to see how it compares with alternate projects. It is also called cost-effectiveness analysis; it is relevant to businesses as well as to non-profit and governmental units.A business organization especially big companies might find it very useful and of big help because it is use to determine if there are additional funds needed for the organization, if there is a need in the reduction of budget in other operation of the company and to determine if the cash flowing outside the corporation is of lower than the cash inflows.Some resources such as time and money are very limited; an organization cannot accept every proposed project. To decide which of the proposed projects are to be developed, decision makers assess the benefit well as the risks of the project and approving a project when its benefits exceed its costs. Cost-benefit analysis provides the structure and support for making such decisions.Those benefits that increases the welfare of the organization is called tangible benefits such as cash inflows from additional sales of a product or the saving in cash outflows that a project enables while the intangible benefits are very important but cannot be measured or hard to quantity.Cost are expenses made in order to obtain tangible benefits. In determining the project cost both Tangible and Intangible Cost are needed. Table 37 summarizes the recurring cost of the current system. As shown in the table, supplies and electricity costs are being sum up monthly which is Php 2,480.00 and Php 1,500.00 respectively. The proposed system was evaluated under five categories broken down into: Reliability, User-Friendliness, Usefulness, Completeness and Aesthetic Effect. The scoring is set to 1.0 as the lowest and 5.0 as the highest. It is shown in this table that the criteria for Reliability and User-Friendliness were rated Excellent with a mean rating of 5.00. On Usefulness, the system was rated Excellent with a mean rating of 4.95, on Completeness, it is rated 5.00 with a descriptive rating of Excellent and on Aesthetic Effect, and the proposed system was evaluated 4.89 with a descriptive rating of Excellent. As a whole, the Automated Grading System of Anastrophe Christian School was rated Excellent as supported by the mean rating of 4.97 and indicates that the proposed system is technically and functionally feasible, thus it meets the expectation of the end-users.
