Registration and Orientation

AIHOrientation:

• The Academic and Student Services team will welcome you and introduce important informationaboutAustralianInstituteofHigherEducationandallotherrelevantmatters.Wewillexplainacademicandgeneraladministrativemattersandansweranyquestionsyoumayhavebeforeyousign-offonyourOrientation.

Section 1: AIH Policies

1.1 Student Progression and ExclusionAIH has designed this Policy to detail the rules for meetingcoursecompletionrequirements,todefinethe grounds for exclusion related to lack of progress, andtodetailconfirmationofstudentcoursecompletion.AIHalsorequiresthattheacademicachievement of each student is monitored so that studentswhoaredeterminedtobe“atrisk”canbeprovided with appropriate support.

1.2 Advanced Standing and Credit TransferAIHiscommittedtodevelopingopenandaccessibleguidelinesforthegrantingofcreditwithrespect

tospecificunitsthatconstituteacourseofstudyonthebasisofpriorlearning,whetherfromformalstudies, professional work or life experience.

ThelatesttimeanapplicationforAdvancedStandingcannormallybemadeistwoweekspriortothefirstcensusdateaftercommencementofthecourse.

1.3 Student AssessmentAll student assessment tasks are appropriately designed to determine the extent to which students have met the learning and skills outcome requirements within a unit of study and to

assistteachingstaffmakedecisionsabouttheperformance of individual students within a unit of study.

1.4 Academic MisconductAIH upholds the principle of academic integrity and independently achieved intellectual inquiry. Failure to comply with this principle will result in appropriateandrecordedsanctionsbasedontheextentofthebreach.

1.5 Student Code of ConductStudents should familiarise themselves with the StudentCodeofConductavailableontheAIHwebsite.TheStudentCodeofConducthasbeendeveloped to provide a clear statement of the Institutesexpectationsofstudentsinrespectofacademicmattersandpersonalbehaviour.

1.6 Intellectual PropertyAIHhasdesignedthispolicytocreateaninnovativeculturewhichfostersthecreationofintellectualproperty; to ensure that intellectual property createdwithintheInstituteisidentifiedandmanaged appropriately; and to provide a clear understandingoftherightsandresponsibilitiesofstaffandstudents.

1.7 Critical Incident ManagementTheAIHCriticalIncidentManagementPlanaddressesvariousscenariosfollowingacriticalincident.Preparationfor,responsetoandrecoveryfromacriticalincidentaffectingtheinformationresources,educationfacilities,administration,personnelandclientsrequiresthecooperativeeffortsofallmanagersinpartnershipwiththefunctionalareassupportingtheoperationsofAIH.

1.8 Student Complaint and AppealAIHiscommittedtodevelopingandmaintaininganeffective,timely,fairandequitablecomplainthandlingsystemwhichiseasilyaccessibleandofferedtocomplainantsatnocharge.

1.9 Management of Personal InformationThisPolicyisbasedonrelevantlegislationregardingthehandlingofpersonalinformationandisdesignedtoensurethatAIHmanagesallpersonalinformationappropriately.

1.11 HolidaysHolidaysaretimetabledintoyourcourse.Forholidaydates,thecurrentprincipaldatesshouldbeavailablefromthewebsite.

TheInstituteisclosedonallNSWandFederalGovernmentpublicholidays.Forfurtherinformation,pleaseseeAIHwebsitefortheAcademic Calendar.

1.12 Approved LeaveLeaveforstudentscanonlybegrantedonthegrounds of serious illness of the students or urgent familymattersinvolvingtheimmediatefamily(i.e.motherorfatherorsibling),providedthatthestudentproducesverifiabledocumentsthatsupporttheir case.

1.13 Sick LeaveAstudentabsentfromclassduetomedicalreasonsmustprovidemedicalcertificatesfromaregisteredmedicalpractitioner.Onlyinexceptionalcircumstanceswillretrospectivemedicalcertificatesbeaccepted.

IfyouaresickforanextendedperiodoftimeyoumustnotifytheInstituteassoonaspracticable.

Please email Student Services if you will miss more than2consecutiveclassespertrimesterduetoleave.

1.14 Payment of Tuition FeesStudentsmustbeup-to-datewiththeiracademicfeepaymentsinordertoberegisteredforaunit.Feesforthefollowingtrimestermustbepaid2(two)weeksbeforethestartofthenexttrimester.Ifstudentspayaftertheduedate,theymayincuralatesurcharge.Apaymentremindernoticewillbeemailed to students with details of due date and amountapproximatelytwoweeksbeforepaymentis due.

If a student has not paid their fees they are deemed tobenon-financial.Non-financialstudentscarrythefollowingpenalties:

• Cannotberegisteredinaunit

• No access to Moodle

• Noaccesstodocumentatione.g.marks,andprocessingofdocumentation

Ifastudentknowsthattheywillhaveaproblemwith paying their fees, please consult the Accounts OfficeroremailAccountsDepartmentassoonaspossible.

1.15 Disclosure of InformationInformationaboutstudentswillnotbeprovidedtoanyotherthirdpartywithoutthepriorwritten/signed/acknowledged consent of the student with theexceptionsofgovernmentdepartmentssuchasDET,DIBP.Inthecaseofthelatter,informationwillbeprovidedwithorwithouttheconsentofthestudent.

Copiesofanyinformationsharedwithathirdpartyarekeptonthestudent’sfile.Informationaboutastudent from the student:

• Studentswillbegivenaccesstoallinformationkeptontheirfilebaseduponwrittenorverbal(interview) request.

• Email requests from students for documents cannotbeprocessed.Studentsmustwriteaformalletterwiththeirsignatureonitandtheinformation/documentswillthenbeprocessed.

• Informationaboutastudentfromathirdparty:

• Informationrequestsaboutstudentsfromathirdpartywillbedeniedunlessthereiswrittenconsent from the student of whose records are requested.

• Oncewrittenconsenthasbeenreceived,includinganylimitationsorboundaries,theinformationcanthenbedivulged.

• Allsharedinformationmustbedocumentedandsignedwithacopymadeavailabletothestudent.

Inallcases,conditionsofthePrivacy&PersonalProtectionAct1998willbefollowedandadheredtobybothstaffmembersandstudentsatAIH.

Section 2: General Administrative Matters

2.1 Change of Address or Contact DetailsStudentsmustnotifyAIHofANYchangetotheircontactdetailswithin7days.StudentscanfillinaformatReceptionoremailStudentServices.

2.2 Student CardInordertoobtainastudentcard,youwillbegiventheStudentCardFormduringOrientation.ThecardswillbegiventoyouatReceptionwhenready.DuringOrientation,yourphotowillbetakenforStudentIDandyourIDwillthenbeissued.

Thestudentcardcanbeusedasaconcessioncardatmuseums,theatres,cinemasbutnotforpublictransport.YoucanalsouseyourIDcardforprintingandphotocopyingattheInstitute.Pleasenotethatthemoneycreditedonyourcardisnotrefundable.Theamountcanbeusedatanytimetoprintorcopydocuments.

The replacement of lost cards may incur a $10 fee.

2.3 Student MailIf you wish to get your mail delivered to the Institute,youareresponsibleforcollectingthemailfromtheReception–itwillnotbedeliveredtostudents,andisdisposedofafteraperiodoftime.

2.4 Request for Official Documents FormInordertoobtainthefollowingdocumentation:

• Completionletter,and

• Otherletters

Acompletedrequestforofficialdocumentsformisrequired.ThisisavailableattheReceptionorfromAIHwebsiteandyourstudentportal.

Processingastudentrequestmaytakebetween3workingdaystoabout2weeksdependingontherequest.

2.5 Campus rulesThefollowingarenotpermittedoncampus:

• Alcohol

• Chewing Gum

• Drugs

• Firearms and Knives

• Smoking

Thefollowingarenotpermittedinthelectureandtutorials rooms:

• UseofMobilePhones

Asthestudentbodycomprisesadiversegroupofpeople,allstudentsandstaffareaskedtobemindful of the following:

• Washyourhandsafterusingtoiletfacilities

2.6 Classroom PolicyIn the lecture and tutorial rooms and in the computerlabs,pleaseadheretothefollowing:

• Turnoffyourmobilephone

• Do not write on the desks

• Do not consume food or drink in the class rooms

• Do not chew gum in the rooms

• Smokingisnotpermittedanywhereoncampus(includingthelifts,stairwells,canteenandfoyer)In order to maximise your learning and the learning of others, it is important that you:

• Participateinthelessonsandgroupactivities.

• SpeakEnglishatalltimes.

• Respectthecultureofothernationalities.

• AlwaysrespectAIHstaffandstudentsandthepublic.

• Followthelecturer’sinstructions.

• Leavetheclassroomtidy.

2.7 AttendanceStudentsareexpectedtoattendatleast80%ofalllectures and tutorials as this facilitates the learning process.Attendancemeansattendingthewholeclass.

AttendanceisrecordedandmaybeusedbythePrincipal and lecturer to determine a student’s academic performance and progress.

2.8 Student emailStudents are expected to check their AIH email on aregularbasisasthiswillbethemainchannelofcommunicationwithstudentsfrombothacademicandadministrativestaff.

Section 3: Students Rights and Responsibilities

WhenyousignanddateyourenrolmentformyouagreetoabidebytherulesandregulationssetdownbyAIH.

As a student you have a right to:

• Learninasafe,supportiveenvironmentwithoutharassmentordiscrimination.

• Beinformedofallassessmentproceduresaswell as results from those assessments.

• Lodgeacomplaintwithoutbeingvictimised.Asastudentyoualsohavearesponsibilityto:

• TreatotherstudentsandAIHstaffwithrespectandfairnessatalltimes.

• Obeyreasonabledirectionsfromlecturersandstaff.

• Only smoke in a designated smoking area.

• Behonestinyourassessmenttasks.

• Followsafeworkingpractices,includingwearingfootwear and using safety equipment where necessary.

• Nottobehaveinawaythatcouldthreaten,offendorembarrassothers.

3.1 Discrimination and HarassmentAIHiscommittedtodeliveryofhighereducationinanon-discriminatoryandequitablelearningenvironment. AIH will not tolerate any form of unlawfuldiscriminationorsexualharassmentbyanystaffmemberorstudent.

Sexualharassmentisaformofdiscriminationandconstitutesanyunwelcomebehaviourofasexualnature,whichhumiliates,intimidatesoroffendsanother person.

Some instances of sexual harassment are more obviousthanothers.Thebestpolicyistoalwaysbecautiousandsensitivetotheperceptionsofothers.Behaviourthatsomepeoplefindamusingmayoffendothers.

Some examples of sexual harassment (the following listisbynomeansexhaustive)are:

• Persistentlyaskingsomebodyout,eventhoughthey have declined.

• Intrusivequestioningaboutaperson’sprivatelife.

• Sendinganycommunicationcontainingsexistorracist jokes.

• Displaying pornography.

• Deliberatelybrushingupagainstortouchingsomebody.

Students wishing to lodge a complaint regarding discriminationorharassmentshouldcontactStudent Services immediately.

Ifacomplaintofdiscriminationand/orsexualharassmentismade,itwillbeinvestigatedpromptly,impartially,confidentiallyandthoroughly.

Ifastudentinfringesthediscriminationandharassmentguidelinesandthisissubstantiatedbythe Principal, AIH may apply one or more of the followingasapplicable,dependingontheseverityofthe case:

• Issuetheoffendingstudentinvolvedwithafirstandfinalwrittenwarning

• Requiretheoffendingstudenttomakeawrittenand/orverbalapology(inpublicorinprivate)

• Requiretheoffendingstudenttoundergocounselling

• Expeltheoffendingstudent

• Otherdisciplinaryactionmayalsobetaken.

Students should note that AIH may forward harassment complaints of a sexual nature to a State orFederalAnti-discriminationagency.Inveryseriouscases,criminalchargesmaybepursued.

StudentsparticipatinginAIHinternalgrievanceprocedures do not forego their right to complain toaStateorFederalAnti-discriminationagencyatalatertime,shouldtheybedissatisfiedwiththeoutcome of the internal procedure.

AllstudentsshouldnotethatifAIHbecomesawareofanydiscriminatorybehaviourorharassment,itmayofitsowninitiativetakedisciplinaryactionagainst the student involved even though a complainthasnotbeenmaderegardingthestudentsconduct.

AustralianInstituteofHigherEducationHigherEducationagreestoabidebytheAnti-

DiscriminationAct1977toprotectallAIHstaffandstudentsfromanyformofdiscrimination,harassmentorbullying.

8.5 Dress Code• Allstudentsarerequiredtobeneatlyand

• Ripped jeans or any torn clothing are not acceptable.

8.6 Dealing with serious non-academic misconduct and risk

• Studentsareexpectedtobehaveprofessionallyandrespectfullyatalltimestotowardsstudentsandstaff.Theseexpectationsareoutlinedabove,andtheresolutionsandconsequencesarealsooutlinedabove.

• WheneitherTheDepartmentorAIHissuesastudentaletterthatmustbeaddressedwithinacertainnumberofdays,ifastudenthasnot provided the correct address the student wouldnotbeabletoreplyandthevisamaybecancelledbyTheDepartment.

• AnypersonaldetailsprovidedtoAIHmaybemadeavailabletoCommonwealthandStateAgencies as per the ESOS Act 2000 and the NationalCodeofConduct.

• NOTE: New students are required to provide theirAustralianaddressonOrientationDay.Ifthe student does not know his/her address yet, ensure that the Student Services Department is informedassoonaspossible.

14.2 Allianz Card (Overseas Student Health Cover)

• StudentvisaholdersarerequiredtoobtainOverseas Student Health Cover (OSHC) to cover their stay in Australia as a student. In most cases thishasbeenpaidforwiththeenrolmentfees.

14.3 Student Deferral/Suspension of StudiesNormallystudentsdeferbecauseofbereavement,illnessorexceptionalcircumstancesbeyondthestudent’s control. These are the steps to take when deferring:

• Students wishing to terminate their course earlier than 6 months of commencing their coursemustprovidesupportingdocumentation.ApplicationsareonlyapprovedincertaincircumstancesasperAIH’sInternationalStudentDeferment,SuspensionandCancellationofStudy Policy and Procedure which is aligned withtheNationalCodeofPracticegoverninginternationalstudenteducation.

• If you do not inform AIH that you have terminated,andasaresultofterminatingyoudonotattendclasses,youwillbereportedtoTheDepartmentofHomeAffairsviaPRISMS.

14.10 School Age DependantsAny school aged dependents accompanying overseas students to Australia are required to enrol at school and must pay full fees if they are enrolled in either a government or non-government school.
