On behalf of the Association, I would like to thank them and wish them the very best and a well de- served rest for the many years of commitment in their various roles on the Committee. Dear Members Welcome to the Annual General Meeting 2012 edition of the AEAWA Newsletter and my final message. There are some members of the Management Committee that will be stepping down after many years of valued service to the Association.

John Sutton, vice President, Frank Hedges, Secretary, Thelma Green – co-ordinator of the Children’s Party and Daisy Wester-hout, Catering Co-ordinator. On behalf of the Association, I would like to thank them and wish them the very best and a well de-served rest for the many years of commitment in their various roles on the Committee. To our Editor, Heather McKenzie, thank you for taking on this difficult role even after four years of service on the Management Committee. Despite your gruelling commitments at work, you were always able to undertake any request that was asked of you. We are deeply grateful for all you have done. I am delighted to inform you that this year we have recipients for all three awards – Ida De Silva- Arts – 2 applicants; Andrew Clarke - Sport– 1 applicant; Ivan Richards Community award – 2 nominations. AUSTRALIAN EURASIAN ASSOCIATION OF WA (INC) – MINUTES OF ANNUAL GENERAL MEETING HELD AT 10.10AM ON SUNDAY 10 APRIL 2011 AT REDCLIFFE COMMUNITY HALL

1: ATTENDANCE: As per the AGM Attendance Register, with 76 financial members in attendance. 2: A minutes silence was observed for the late Eric Retnam and Ow Mun Hong. 3: APOLOGIES: Horace Sta Maria, Blanche Savic, Patrick Gorman, Jessie de Mello, Clifford Sequerah, Daisy Se-querah, Brian Green, Tony Hendricks, Barbara Hendricks, Judy and Ian Mascarenhas, Dawn Koch, Brian Leicester, Vanessa Lum, Max and Priscilla Clutton, Michael Chowdhurie and Suria Fernandez. 4: MINUTES OF PREVIOUS AGM HELD ON SUNDAY 10 APRIL 2010: The minutes were accepted on the motion of Heather Fitzgerald, seconded by Charles Reincastle. 5: BUSINESS ARISING FROM PREVIOUS AGM: Nil 6: PRESIDENT’S REPORT: President Genevieve said the past year had been filled with functions, outings and events – AEAWA was a truly vibrant and active Association and she was proud to be the President. Some high-lights had been:

. the holding of a Planning Committee meeting in January when the Management Committee looked at is-sues outside the normal agenda of Committee work;

. the development of Policies relating to the administration of the Achievement Awards, the Complaints and Suggestion processes, and AEAWA’s involvement with Registered Charities;

. the ongoing improvement in AEAWA’s website, thanks to our Webmaster Alan Jupp (*the President in-vited Alan to speak to the subject – see* below) and the way in which details of our activities were becoming widely known to Eurasians around the world;

. the ongoing development of an informative and professional monthly Newsletter thanks to the outstanding contribution of our Newsletter Editor Heather Fitzgerald;

. the ongoing review of our Constitution, culminating in some proposed amendments to be considered by the AGM today – further review is envisaged with the aim to have a document relevant to our changing circum-stances in the years to come. The President spoke also of her visit to Malacca and Singapore and the warmth with which she was received in both places – she was quite ‘jealous’ of Singapore’s excellent clubhouse incorporating a museum and the work being done in both places to ensure the preservation of Eurasian culture and heritage. President Genevieve then thanked the Management Committee for their commitment to all facets of the Associa-tion’s work and being accommodating to changes which she initiated; she also paid tribute to retiring Treasurer Gary Fernandez and Gerry Carroll, who headed the Heritage portfolio; she also thanked all members of AEAWA who had made her feel welcome in her role as President; she also had a special word of thanks for those who had helped her with transport to and fro – you are the wind beneath my ‘clipped wings’ she said. The President’s report was greeted with acclamation. At the President’s invitation, Alan Jupp (AEAWA’s Webmaster) spoke briefly about the Website - he said that in 2010 there were 140,528 ‘hits’ on the site and for the year to date there were 72,500 ‘hits’ showing the popularity of the site – despite those impressive figures, he said not enough of our own members visited the site, on which he would like to include more photographs. 7: VICE PRESIDENT’S REPORT: John Sutton’s report said that working with the Management Committee had been a real pleasure with sometimes robust debate being settled without any disharmony or rancour. He also men-tioned the fun that we all had over the year due to the efforts of the Seniors and Functions Sub committees – he thought that the Seniors Sub committee should be called ‘The Let’s Have Fun’ sub committee, such was their contri-bution to our enjoyment of each others company! During the year he had continued his work on the membership data base, so that information about the membership statistics could be more readily captured. There are 173 family members, 153 pensioner members, 26 single members and 9 life members (5 and 4 spouses). There were 33 chil-dren of members who were under the age of 18. 58% of members lived south of the river and 42% to the north. Newsletters are distributed to 219 addresses. Papers showing the membership statistics were distributed to the meeting. John’s report also was greeted with acclamation. 8: SECRETARY’S REPORT: Secretary Frank in a brief oral report said that the Management Committee was going from strength to strength building on the good work of the previous year. Again, there was very little correspondence in or out over the year as email exchanges seemed to have taken over from the writing of letters. He thanked Presi-dent Genevieve and all Management Committee members for their contribution, saying there was a good spirit about our work. 9: TREASURER’S REPORT: Treasurer Gary Fernandez spoke to his audited financial report which was circulated

prior to the AGM, as was the Auditor’s report. Gary said AEAWA’s financial position was still robust in that cash on

deposit and in the operating account was close to $50,000. A major item of expenditure was a new sound system at

a cost of $4,774 – subscription income had increased by 17% to $4,744. Overall there was an operating deficit of

$2,997 (but there had been no Winter Dance last year). Sunday lunch prices had increased slightly to $6 because of increased food costs and it was necessary to maintain standards of lunches and also to provide a positive return to AEAWA. As he was stepping down from the Treasurer’s portfolio, he expressed his thanks to his fellow Management Committee members. President Genevieve thanked Gary for all his hard work over the year. Gary’s report was ac-cepted on the motion of Robert Harding and Alan Jupp. 10: REPORTS FROM CHAIRS OF SUB COMMITTEES 10.1 HERITAGE: President Genevieve gave a short oral report saying the Awards process was completed (see Item 11 below), heritage dishes had been available at lunches, some books by Eurasians were also available and our dances had some heritage elements. 10.2: CHILDREN: Thelma Green said that she had only one event to raise funds for the Children’s Xmas Party – a Quiz night. A Christmas hamper was also raffled. Sadly, due to increased costs, profit from the September fund rais-ing lunch was ‘well down’. 31 children attended the Xmas Party, 20 members children and 11 non members children. A small $ surplus was achieved. 10.3: SENIORS: Joan Reincastle prepared a written report to which she spoke – she was fulsome in her praise of the help given to her by the Management Committee and more particularly by the Seniors Sub-Committee, which met regularly at the Reincastle home over dinner. Activities during 2010-2011 were: . Weekend away at Churchill Park Busselton in May 2010 . Christmas in July at Quindanning Inn . Senior’s week - Mystery Tour financially assisted by Bendigo Bank . Family Fun Day at the home of Brian and Thelma Green October 2010 . Kalbarri Trip Away November 2010 . Xmas Lights Mandurah Cruise December 2010 . Annual Chinese Dinner Ming Dynasty Morley March 2011 Joan thanked those who had supported the above activities and asked members to put forward suggestions for fu-ture activities – she stressed that the activities are for everyone in AEAWA – the young, the not so young and the young at heart, the aim being to provide a social and lively fellowship! 10.4: FUNCTIONS REPORT: Margaret Chowdhurie spoke to her written report, thanking all involved in the organiza-tion and setting up of the various functions. She also thanked the members generally for their support of the func-tions. 10.5: SPECIAL EVENTS REPORT: Chad Beins had prepared and distributed a comprehensive report which had been placed on everyone’s chairs at the AGM. He said that over the year his portfolio had evolved from Youth to Special Events to Family and Cultural Events (FaCE), incorporating Heritage. He spoke of the many successful ac-tivities that had taken place over the year, including the Youth Day Lunch and Soccer Challenge; the Eurasianlym-pics II; Ten Pin Bowling and Cricket. His primary focus in the coming year was to give particular attention to mem-bers with young families. He had a good sub-committee formed and would soon come up with a detailed schedule of events for 2011-2012. Chad concluded his report by thanking all those who had helped get things going, including Gerry Carroll for his good work on Heritage matters. Chad’s presentation was greeted with acclamation. President Genevieve commented that Chad had brought a new dimension to this side of AEAWA’s activities. 10.6: CATERING REPORT: Daisy Westerhout, as Co-ordinator of Sunday lunches apologized for having been away for some lunches but said things were left in the capable hands of monthly lunch co-ordinators, including Judy Koek, Sue James, Margaret Chowdhurie and Joan Reincastle who all did so much to keep things ‘moving’. She ex-pressed her thanks to those folk and also to the many other helpers in the kitchen. Daisy made particular mention of the Mothers Day lunch when 280 meals were served to members, guests and entertainers. She appealed to mem-bers to help with the making of cakes to complement the Sunday lunches. Robert Harding from the floor proposed a Vote of Thanks to Philip de Mello and his band of helpers for the tireless work they did on drinks for the Sunday lunches. Charles Reincastle said Gary Fernandez also deserved a pat on the back for the considerable time he spent in the kitchen, helping with the money side of things. 10.7: MEMBERS AFFAIRS REPORT: Charles Reincastle thanked those members who were at the AGM because it meant that they had renewed their subscriptions on time! Sadly there were still some 35 who had not renewed their membership. Sadly also, 2 members had resigned. 10.8: GOLF REPORT: Graeme Mitchell said he had a small subcommittee going and he was hoping to build up the playing numbers 11: AWARDS PRESENTATIONS: President Genevieve said she and Sue James had represented the Management Committee, along with Philomena Noronha on the Ida de Silva Award committee. The two appli-cants were Joshua de Souza (violin) and Emily Minjoot (ballroom dancing). Both had done well in their respective fields and it was difficult to distinguish between them but in the end the Award was given to Joshua, who was pre-sented with the winner’s cheque and trophy. Emily was given a participant’s shield. For the second year in a row, there were no applicants for the Andrew Clarke Sports Award. There were two applicants for the Ivan Richards Community Service Award, Joan Reincastle and Keenan Klassen.

Both had strong claims - the winner was Joan Reincastle who had been very active in a variety of Community ori-ented projects. Sue James spoke highly of Keenan’s community service inputs also, especially in relation to the Saint Vincent de Paul Society, which he will represent at a World Youth Day Congress in Madrid in August. BREAK: At this stage (11.15) a break was taken: proceedings resumed at 11.30. 12: GENERAL BUSINESS:

12.1: As per the Agenda, and supported by the Management Committee, three motions to amend the Con-stitution were put forward by John Sutton and seconded by Frank Hedges. The first motion was to delete Clause 2(g) of the Constitution and replace it with:

Clause 2(g:) The Association makes annual Achievement Awards to commemorate the memory of mem-bers who made outstanding contributions to the Association during their membership.

These Achievement Awards recognize outstanding performance, by the recipients, in the fields of: .The Arts

. Sport

. Community Service The Awards shall be made in accordance with the Association’s Heritage Policy. After a brief discussion, George Lopez moved an amendment which was seconded by Alan Jupp to the effect that after ‘Community Service’ the words ‘or any other field of endeavour’ be added. The amendment to the motion was put and carried without dissent, after which the motion was put and carried, also without dissent.

12.2: The second motion was to delete Clauses 8q, 8(q)(i), 8(q)(ii) and 8(q)(iii) and to insert a new Clause 8q as follows: q) make the Annual Achievement Awards as outlined in the Association’s Heritage Awards Policy and… The second motion was put to the vote and carried without dissent.

12.3: The third motion was to delete Clause 11.9 (The President will present the Ida de Silva annual award at each AGM) and insert new Clause 11.9: The President will present Annual Achievement Awards at each AGM. The third motion was put to the vote and carried without dissent.

12.4: Joyce Drysdale suggested that at each lunch, new members be introduced to those present. There was support for the idea. 13: Election of Office Bearers: Secretary Frank said there was one nomination for the position of Treasurer namely Carol Richards, who was declared elected. For members of the Management Committee, nominations had been received in respect of Joan and Charles Reincastle, Sue James, Daisy Westerhout, Thelma Green, Chadwick Be-ins, Graeme Mitchell, Margaret Chowdhurie, Valerie Whitaker and Alan Jupp. Although there were ten nominations for 8 vacancies it was decided to leave the situation as it was, because the Management Committee has the power to co-opt up to 3 additional members as it sees fit. Philomena Noronha and Valerie Villamil were chosen as repre-sentatives on the Awards panels. 14: Honorary Auditor: It was proposed that George Lopez should continue as Honorary Auditor for 2011-2012. George accepted the position. 15: Concluding Comments by President: President Geraldine de Souza commented generally about how pleased she was with the way the past year had gone and how grateful she was to all on the Management Committee, various subcommittees and a lot of other people for their help in making the past year a great success. Once again Philip de Mello and his team received special mention for their contribution. The meeting closed at 1215 and members adjourned for lunch.

The Ida Da Silva Award for The Arts Ida Da Silva was a founding member of AEAWA and devoted much of her time to continuing the traditions of Portuguese dancing and singing. Ida’s work is commemorated by this award made to a young member for achievement in any of the artistic fields. The Andrew Clarke Award for Sport Andrew Clarke was famous for his sporting achievements especially on the Hockey field, and for his encouragement of young people in sport. Andrew is remembered each year by this award for sporting achievement. The Ivan Richards Award for Community Service We are pleased to remember Ivan’s long record of service to the Community by this award. Unlike the other awards which are applied for, members can nominate another member based on their service to the community.

SENIORS EVENTS - MARK YOUR DIARY …

Not just for Seniors—but for All Members and Friends!

‘Happy and Holy Easter’ to all members and friends who will be celebrating Easter. Have a wonderful break and keep safe on the road. Well another year (2011-2012) has passed, and I must congratulate my hard work-ing Seniors Committee for their various inputs during the year. We had all worked as a team, and will continue to do so. It has not been a one person show. This sub-committee, has once again offered their time and service in the coming New Year; what a dedicated group. All for AEAWA.

A big thank you to all of you. I must also thank all those members and friends, who have always supported the various activities and events. As always, it has been expressed, the outings are not only for seniors/pensioners,

but for all - young and not so young and young at heart.
