This guide is to help you ensure that you have everything that you need for a PASS/MERIT

If you would like a distinction, please see me.

Reminder of scenarioYou will be creating a spreadsheet on mobile phones for a mobile phone shop to use. Imagine that you

work in a mobile phone shop that is currently using a paper based system, you have to create a computer based system using Excel. You have to think about what a shop would need to function, what questions customers may ask, what information that they would require and what information the business would need e.g. stock levels, amount sold, profit etc.

The spreadsheet model needs to include functionality that could include:-

Front end that is well designed and allows the user to navigate through all of the worksheets

Develop a computerised system that is easy to use

Present Data (including in Chart format)

Allow the comparison of mobile phones

Establish Profit / loss for each phone and all stock

Include an order form that can be printed

Provide automatic stock checks / highlight when stock running low (show totals of all stock)

Show costs including VAT

You should use a range of formulas and functions to provide the above functionality

Page 3: AO1 help This guide is to help you ensure that you have everything that you need for a PASS/MERIT If you would like a distinction, please see me.

AO1 requirements

Formulas – 2 for pass, all 4 for merit and distinction

• + Create a column called ‘Price plus VAT’. Add the original cost of the phone and the VAT together

• + Add a profit margin onto every phone. • - Current stock (Original stock – How many sold

(you decide on this)• * Total sales (Retail price x how many sold)• / Average sales (=Total sales / number of

phones)

FunctionsCOUNTIFColumn G refers to the make column

Number of phone types we sell =COUNT(A5:A29)

Our most expensive phone is =MAX(C5:C29)Our cheapest phone is =MIN(C5:C29)Average phone price =AVERAGE(C5:C29)

=VLOOKUP(B4,'Phone Data'!B4:W33,11,FALSE)=VLOOKUP(B4,'Phone Data'!B4:W33,13,FALSE)=VLOOKUP(B4,'Phone Data'!B4:W33,14,FALSE)=VLOOKUP(B4,'Phone Data'!B4:W33,12,FALSE)=VLOOKUP('Phone Finder'!B4,'Phone Data'!B4:W33,17,FALSE)=VLOOKUP(B4,'Phone Data'!B4:W33,18,FALSE)=VLOOKUP(B4,'Phone Data'!B4:W33,2,FALSE)

Using a VLOOKUP is a function

Make sure that you have the date and time on your spreadsheet (index or home page is a good place. To do this just write =NOW() or =TODAY()

Page 6: AO1 help This guide is to help you ensure that you have everything that you need for a PASS/MERIT If you would like a distinction, please see me.

Absolute cell referencing

• Add a VAT column• Set the level of VAT in a cell somewhere to the

side of your spreadsheet (I’ve used 20%)

• To work out VAT use cost x the VAT cell• To make this absolute after you have worked

this out add $ before and after your VAT cell. You can now drag this down and the function will still work.

Page 7: AO1 help This guide is to help you ensure that you have everything that you need for a PASS/MERIT If you would like a distinction, please see me.

Make sure your spreadsheet has more than one page

Link these together using VLOOKUP (next slide has more information on this)Use Macros to link the pages together neatly on your home page (more information on this in the AO6 guide)

Make sure that your home page (or index page)is neatly set out, looks professional, and links theother pages together. Can you add a logo?

VLOOKUP

First decide on the criteria you are going to use and enter these on your page. Format these to match the formatting you have already chosen

Some examples of criteria you may like to compare

This is a reminder of how I demonstrated VLOOKUP to help to create the Phone finder page. You can also use it on your Order form.

Give the table a name in the naming cell such as phonedata

It is important that youthen hit the enter button to save the name.

Page 10: AO1 help This guide is to help you ensure that you have everything that you need for a PASS/MERIT If you would like a distinction, please see me.

On your phone finder sheet you now need to make sure that you have a list of drop down optionsfor the phone. To do this, select the list of phones and name them as you did for your table by highlightingyour list of phones, naming this list phones then press enter to save.

You need to use Data Validation to allow the user to choose from a list. To do this, go to the cell you want the drop down choice then go to Data, Validation.

Allow a list and the source will be =phones as in the example above. Once you have a cell in your phone finder sheet containing information (the phones) you can then look up associated information to the phone. To do this you use the VLOOKUP function. Using the phonedata table as an example, I could look up cost of the phone by typing into the cost cell =VLOOKUP(cell where you have your drop down list of phones,phonedata,3) This is because column 3 is the column that has the cost information. To find out the networks available I would select the networks cell on the phonefinder page and type =VLOOKUP(cell with drop down list,phonedata,13) This is because the network data is contained in column 13. You can do this with any values that you would like to look up. Just follow the above guide.

IF statements – some examples

=IF(R7>25, "Stock Levels Ok", "Needs Restocking")Choose a stock level for your phone and order more stock if numbers in stock fall below this (you choose the figures!)

=IF(S22<3,"re-order","full stock")
