Annual Maintenance Contract for Alternators and its auxiliary systems.

Scope of work

1. The alternators of capacity ranging from 10 KVA to 1250 KVA, are covered under this AMC.

2. Total 78 nos.,.of alternators are to be maintained. Refer Annexure I for the details of alternators.

3. Alternators of capacity less than 500 KVA shall undergo preventive maintenance once in a year while alternator of capacity 500 KVA and above shall undergo once in six months ie., twice in one year of the contract.

4. Details of works to be carried out are listed in Annexure II 5. Apart from preventive maintenance, the party shall undertake overhauling and

or rewinding of alternators as and when required only . 6. The party shall also undertake overhauling and or rewinding including

replacement of bearings of the followings as and when required only. a. Self motors 24 V / 12 V b. Dynamos c. Remote Coil cooler fans

7. The works against S.no.5 and 6 above will operated to the max. quantity as mentioned in the price break up format. These works will be operated ONLY if need arises.

Terms and conditions

1. All the DG sets are located at SDSC SHAR, Sriharikota except two nos., ( 125 & 180 KVA DG sets) at Chennai .

2. The DG sets at SDSC SHAR, Srikharikota are spread at various operational facilities and the max. intra distance between the DG sets is around 35 km

3. The party shall depute qualified service persons (minimum two persons of either ITI qualified technicians and or a diploma engineer) having sufficient knowledge about alternators.

4. The maintenance shall need to be carried in phases depending on the site clearance. The party need to make two or three visits once in six months to complete the maintenance works.

5. The party may be required to visit as and when required to assess the overhauling and rewinding requirements.

6. The party shall depute its persons with all necessary tools, equipments, meters, and consumables etc. that are required to carry out the maintenance activities.

7. The meters used shall have valid calibration certificate from a Govt. approved agency.

8. The transport requirements / expenses from their office to our site as well as between various DG sets’ locations in our site is to be borne by the party. The cost quoted shall be inclusive of this.

9. The safety of the persons deployed rests solely with the party 10. The works shall be carried out as required and as directed by the Department

persons.

11. If any damage occurs due to poor workmanship, it shall be rectified free of cost.

12. The party shall submit report on the half yearly maintenance carried out and on the overhauling / rectification works

13. After overhauling and rewinding works the items shall be positioned in the DG foundation frame. The alignment and coupling - decoupling is in the scope of other agency maintaining the Diesel Engine.

14. The cost quoted shall be inclusive of to and fro transportation charges towards taking the alternator and other items for repair / overhauling works.

15. Party shall arrange manpower for loading and unloading of items. Necessary derik / chain pulley block arrangement to remove the alternator from the DG set bed is in the scope of the party.

16. Material handling support for loading / unloading of item from the vehicle will be arranged by Department free of cost if required.

17. Payment can be made on pro-rata basis once in three months 18. Warranty: The rectification / overhauling works that are carried out shall be

guaranteed for a period of one year . 19. The bid shall be submitted in two parts viz., 01. Technical bid 02. Price Bid 20. In Technical Bid, the party shall duly fill the compliance statement – Annexure

IV and upload failing which their offers will not be considered . The price details shall not be indicated in the technical bid document uploaded by the party . If price are indicated in the technical bid documen t , the bids will be disqualified.

21. The party shall submit the price break up as enclosed in Annexure V along with the price bid

22. Parties quoting shall be either authorized service agency of Kirloskar / Crompton Greaves / AVK- Leorysomer / TDPS alternato rs or shall get the work done through the authorized service agency of Kirloskar / Crompton Greaves / AVK- Leorysomer. Necessary authorization certificate shall be enclosed along with the quote.

23. The parties other than the authorized service agency of Kirloskar / Crompton Greaves / AVK- Leorysomer shall submit a authorization from the authorized service agency stating a MOU between them for this work

24. The period of contract is for one year and can be extended for another one if mutually agreed without price increase .

25. The Department reserves the right to short close the contract if the performance of the contract is found unsatisfactory.

26. Department reserves the right to operate the AM C either fully or partially as required.

27. All security and safety guidelines of the Department are to be scrupulously followed.

28. Accommodation for service persons can be arranged on payment basis subject to availability.

29. Lowest offer will be decided on the total cost of all the works covered under the AMC.

30. The party may ask for clarifications if required immediately before submission of the bid. At any cost, the tender opening schedules will not be altered.

Note : The DG sets are either foot mounted inside the facilities or mounted in trailer or installed at outside either with or with out acoustic enclosures.

Annexure II

Preventive maintenance 1. Complete alternator shall be cleaned with blower. To clear the dusts

accumulated in the cooling air inlet and out let. 2. Lubrication of bearings with greases as specified in the OEM manual with the

approval of Department. The required quantity shall also be supplied by the party and the cost quoted shall be inclusive of the cost of grease.

3. Tightness of terminals of all windings 4. Measurement Insulation Resistance of all windings ( Main armature, main

Field , auxiliary armature and auxiliary fields ) 5. Measurement of vibration at minimum six locations. If the vibrations are

beyond acceptable limits shall replace the vibration pads and shall co-ordinate and support the Engine AMC persons towards reducing the vibration.

6. Check the functioning of winding and bearing temperature sensors are working.

7. Ensure the space heaters are working. If not working replacing the same. 8. Preventive maintenance of alternators less than 500 KVA shall be carried out

once in a year where as preventive maintenance of alternators of 500 KVA and above shall be carried out twice in a year at six months interval

9. Check list that is to be filled up on completion of the work is enclosed as Annexure III .

Complete Overhauling and Bearing replacement 1. All windings shall be cleaned with CTC or other solvents as per standard

practice. 2. All windings shall be applied with insulation varnish and dried 3. All winding leads shall be ensured for its healthiness and replaced if required. 4. Bearings shall be replaced if required in our presence. Bearings shall be of

SKF, FAG, TIMKEN make or of same make that is available in the existing alternator only. Original invoice for confirming the originality of bearings shall be submitted. In case of any sleeve etc., required towards replacing the bearings, the same shall be included in the cost of bearing supply and replacement cost.

5. Any items like replacement of stud of terminals / terminal blocks etc., that are required shall also be done and included in the cost.

6. The alternator body shall be spray painted of colour as directed by Department

Rewinding 1. Rewinding of windings as required and as directed / approved by the

Department only shall be carried out. 2. Complete winding shall be stripped off and new winding shall be done . No

partial replacement of coils are acceptable. 3. The insulation class as per the name plate of the winding shall be ensured 4. Old copper shall be retained by the party. Hence the cost quoted shall be after

considering the old copper scrap cost.

Automatic Voltage Regulators (AVRs) and Rotating Re ctifier Assemblies (RRAs)

1. The AVRs and RRAs shall be supplied as and when require ONLY 2. The AVRs and RRAs supplied shall be of the same make of the alternator or

shall be as approved by the alternator manufacturer. 3. The Installation and commissioning of the AVRs and RRAs shall be carried

out the party/. 4. The proper functioning of the AVRs and RRAs shall be ensured and support

for necessary trail run shall be extended as required and as directed by Department.
