What is Subject Registration?

Subject Registration is a process during which students are invited to select elective subjects for the

semester concerned. It covers the selection of the following subjects:

i. General Education elective subjects and Discipline-specific elective subjects of your

programme.

ii. Subjects which you have failed or in lieu of exemption.

The College has set aside designated periods for a series of subject registration activities. Students

who do not complete the subject registration during the prescribed period and/or wish to change their

subject choices can have their last chance of subject selection during the add/drop period designated

for the semester concerned. However, available study places by then will be very limited and you

may not be able to set up a clash-free timetable during the add/drop period. If you do not select

sufficient elective subjects in the subject registration exercise, you will be assigned a personal time

ticket with lower priority for making changes to the subjects enrolled and your personal timetable

during the add/drop period. The end of the add/drop period is the deadline for students to select

subjects. Except for zero subject enrollment or deferment of study approved by the College, if

students do not take any subject by then, they will be treated as having no intention to continue with

their study at HKCC. Their student status will accordingly be nullified.

Students are requested to check their subject registration records on web carefully after they have

completed the subject registration process. For rectification, they should report any discrepancy

found to the College in writing.

General Information

The online subject registration exercise for Semester One 2013/14 will be held on 20 – 22 March

2013, during which you may login to the system via my.HKCC

(http://www.hkcc-polyu.edu.hk/myHKCC/) for subject registration. The details are as follows:

Time: 10:00 am – 10:00 pm

For each successful login, you will be given 15 minutes to select subjects. If you fail to complete the

registration process within the 15 minutes, you are required to re-login to the system and try again.

You may login to the system anytime within the period stated above to change your choice of elective

subjects. However, any last-minute login is highly discouraged.

On-site Support Sessions

To facilitate your subject registration process, on-site support sessions will be arranged during the

online subject registration period. If you encounter any difficulties using the online subject

registration system, you are welcome to seek hands-on assistance during the on-site support sessions

scheduled as follows:

Time: 2:30 pm – 4:00 pm

Location: Executive Training Room (1103C), Hung Hom Bay Campus

Executive Training Room (S502), West Kowloon Campus

Please note that the on-site support sessions only provide technical support for using the online

subject registration system but not academic advice. You are recommended to read the

recommended study pattern, subject pre-requisite, co-requisite and exclusion requirements, and any

other requirements stipulated in your definitive scheme/programme document. Should you need any

academic advice, please attain the briefing sessions arranged for your programme, if any, and/or

contact your Programme Leader or Assistant Programme Leader.

cancellation of subjects due to

insufficient enrollment, and notifies

the students concerned of

unsuccessful enrollment due to

limited quotas, if any.

(HKCC has the final authority to

decide on the subject selection of

students. The College may cancel

the offer of any subject if its student

enrollment falls below the minimum

class size or request students to

change their selection if the

maximum quotas of the selected

subjects are reached. You will be

advised to select other replacement

subjects in case you cannot enroll on

the selected subjects successfully.)

Students who cannot enroll on the

selected subjects successfully will be

invited to access the system again to

select other subjects for replacement.

10 – 11 April 2013 The online subject registration

System is open again for the students

concerned from 10:00 am to 10:00

pm.

Only students who cannot enroll on

the selected subjects successfully

would be allowed to login to the

system to select other subjects for

replacement.

June 2013 Notices of the tuition fee payments

are available online.

21 June 2013 Assessment results for Semester Two

2012/13 are announced via the

student portal my.HKCC.

Students may check their assessment

results through the assessment result

enquiry facility.

Important Points to Note

1. The normal study load of any student is 5 subjects or 15 credits per semester. Although you

may wish to take a practicum subject, you are advised to select sufficient elective subjects during

the subject registration period. This will guarantee your study places in the selected elective

subjects and a non-clash timetable.

2. You only need to choose the elective subject(s) and/or previously failed subject(s). Your

personalized timetable will be generated by the system later. You do not need to select any time

slot and location for your subject in this subject registration exercise. Please be reminded that

HKCC reserves the right to cancel any subject or make changes to the study pattern. You will be

notified if the subject(s) you have chosen are to be cancelled or the maximum quota(s) of the

selected subject(s) is reached.

3. If you have made any changes to your selected subjects, you should always print the “Submission

of Subject(s) selected” before you logout from the system every time and keep the latest version

for retention.

4. You may refer to the HKCC subject offering list for the offering semesters and locations of the

elective subjects. If a compulsory/selected elective subject is offered on both campuses, you will

take the subject on your home campus.

5. At least 1 hour of travelling time is required between the Hung Hom Bay Campus and West

Kowloon Campus, and at least 15 minutes is required for travelling between Hung Hom Bay

Campus and PolyU Main Campus. Please prepare for the bus fare of the shuttle bus running

between the campuses if you select the subjects that are not offered on your home campus. You

are encouraged to plan thoughtfully when you select your subjects.

6. For subject syllabi, please refer to the scheme/programme documents at the student portal

my.HKCC via http://www.hkcc-polyu.edu.hk/myHKCC/ � scheme/programme document.

7. Subject to availability of places, students are free to change to subject groups within the same or

on another campus during the add/drop period on late August to early September 2013.

8. If you do not select sufficient subjects at this stage, you would only be able to select the

outstanding subjects during the add/drop period, where the available vacancy is very limited or

even null. And you will be assigned a personal time ticket with lower priority for making any

changes to the subjects enrolled and to your personal timetable.

Login

1. You may login to the system via my.HKCC (http://www.hkcc-polyu.edu.hk/myHKCC/) to add/make

changes to the subjects enrolled during the subject registration period. Please select ‘choose subject’

under ‘e-applications’ ���� ‘subject registration’ ���� ‘choose subject’.

Adding or changing Subject(s)

1. If you want to add a new subject, you may select the subject type first and then the subjects

available from the drop down manual on the right hand side.

2. If you want to change an elective subject, you may select another subject under the subject

column.

3. When you have completed your selection, click “Next” button. The selected subjects will be

shown under ‘Verification of submission of selected subjects’. Please click “Confirm” for

submission.

Successful Confirmation

1. The system will display the message ‘Thank you for using our on-line subject registration

service’ only if the subject registration/amendment are conducted successfully. If you do not

receive this message, you need to repeat the whole registration procedures again. You may

make changes to the subject(s) on or before the end of the subject registration period, i.e. 22

March 2013.

2. After you completed the subject registration, click “Print” button to print the confirmation page

for your record.

Frequently Asked Questions

1. Who are involved in the subject registration for Semester One 2013/14?

Students will be invited to select the elective subjects on a semester basis, if they are outlined in

the recommended study pattern.

2. How can I prepare for subject registration?

You should read the recommended study pattern, the subject pre-requisite, co-requisite and

exclusion requirements, and/or other requirements stipulated in your definitive

scheme/programme document. You are also suggested to attend the briefing session and/or

contact your Programme Leader or Assistant Programme Leader for academic advice, if

necessary.

3. Where is the online subject registration system?

The online subject registration system can be accessed via:

4. How do I login to the subject registration system?

You may login to my.HKCC (http://www.hkcc-polyu.edu.hk/myHKCC/) for subject registration.

You are required to input your student number and Personal Identification Number (P.I.N.) to

access the system. For each successful login, you will be given 15 minutes to add/drop/change

your elective subjects. If you fail to complete the registration process within the 15 minutes,

you are required to re-login to the system and try again. You may login to the system anytime

within the aforementioned subject registration period to change your choice of elective subjects.

However, any last-minute login is highly discouraged.

If you forget your P.I.N., you can reset it through the function “Reset P.I.N.”. Your P.I.N. will

then be delivered to your student email account.

6. Can I register for subjects that are being offered on another campus?

You may register for elective subjects that are not offered on your home campus. However,

please note that you have to reserve at least 1 hour for travelling between the two campuses and

be prepared to pay the transportation fees such as the fare for public transport and the shuttle

bus service arranged by the college. Besides, please be reminded that the amount of Student

Travel Subsidy offered by SFAA, if any, is calculated according to the distance between a

student’s residential address and his/her home campus only.

If a compulsory/chosen elective subject is offered on both campuses, students will take the

subject offered on their home campus. Subject to availability of places, students are free to

change to a subject group within the same or on the other campus during the add/drop period on

late August to early September 2013.

7. What should I do if I would like to take more or fewer credits?

Student with overall GPA below 2.0

Students who have failed any compulsory subject(s) in the previous semester(s) will be invited

to choose one additional subject during the subject registration period via the online system. If

your overall GPA is below 2.0 after the announcement of assessment results for the latest

semester, you should not exceed the normal study load of 15 credits for Semester One 2013/14.

In such case, you will be informed of further details after the announcement of the assessment

results.

Subject to availability of resources, the system will pre-assign any failed compulsory subject(s)

to your subject selection. Including the pre-assigned subject and compulsory subject, you will

be allowed to indicate up to 5 subjects or 15 credits in the system during the online subject

registration exercise. Although subject(s) will be assigned to you, you are still required to

choose the elective subject(s), if any, via the online subject registration system.

For other cases, you will be required to seek approval from the College if you wish to increase

or reduce your study load in any semester. The application deadline for changing the study

load is as follows:

8. Do I need to retake a failed subject?

You will need to retake the same subject if you have failed a compulsory subject. If the

failed subject is a programme-specific elective or an elective subject in general education

studies, you may choose either to retake the same subject or to take another subject within the

same elective pool in any semester before you graduate. If the failed subject is a mutually

exclusive compulsory subject, you may either retake the failed subject or to take another

mutually exclusive subject, if applicable. The tuition fee will be charged in accordance with

the total number of credits (including retaken subjects) taken in the semester concerned.

In addition to retaking a subject due to failure, you may also retake any subject for the

purpose of improving your grades. Retaking is with the condition that your maximum study

load per semester will not exceed 21 credits. Students wishing to retake passed subjects will

be accorded a lower priority than those who are required to retake (due to failure in a

compulsory subject) and can only do so if places are available. You will be informed of the

application result for retaking a passed subject after the add/drop period of Semester One

2013/14.

When you retake the same subject, only the subject grade obtained in the final attempt will be

included in the calculation of the Grade Point Average (GPA) and the Grade Point Average for

award classification (Award GPA). Although the original grade will not be included in the

calculation of GPAs, it will be shown on the transcript of studies. You should refer to the

definitive scheme/programme document to ascertain the requirements for retaking failed

subjects or seek advice from HKCC.

9. What if I failed a subject which is the pre-requisite of the follow-on subject(s) for the next

semester?

After the announcement of the semester assessment results, students may have failed a subject

which is the pre-requisite of the follow-on subject(s) that they have registered for the next

semester. These follow-on subjects will be marked as ‘unqualified subjects’ in these

students’ subject registration records and they will not be qualified to attend classes of these

subjects.

You are therefore advised to check whether you have any unqualified subjects after the

announcement of the assessment results of the last semester. In case there are unqualified

subjects in your subject registration record but you still wish to take them despite the

unqualified status, you should approach the Information Kiosk as soon as possible to apply

for waiving their pre-requisite requirement. Alternatively you can take other subjects in

place of the ‘unqualified subjects’. You should complete these actions before the end of the

add/drop period of the semester concerned.

10. What is the arrangement of the subject registration during bad weather?

The subject registration is performed on web. No extension of the subject registration period

in the event of typhoon signal is hoisted or rainstorm warning is issued. However, in case of

severe system shutdown, we will post notices on the HKCC website

(http://www.hkcc-polyu.edu.hk) informing you of the necessary remedial arrangement once the

system is restored.
