Contractual Level: 3 % FTE: Full-time Working hours: Monday to Friday, 8.30am to 5pm Reporting to: Manager Accounts & Contracts Job Duties: Purchasing Process • Administer end-to-end purchasing process: registration of purchase orders, registration of invoices (including special tax considerations); cross-check vs supporting documents; prepare and register payments. • Monthly reconciliation of credit card statement with accounting system. • Seek alternative prices or offers for products upon request from Manager Accounts & Contracts. • Register petty cash disbursements in the accounting system upon request of Manager Accounts & Contracts. • Maintain up-to-date record of purchases made by cost center and generate internal reporting on spend per cost center. • Cross-check of large orders coming in over the summer (top-up orders during the year checked by Heads of Department). • Entry and ongoing maintenance of all A/P master data. • Maintain register of furniture and equipment for accounting purposes. • Maintain all A/P paper files in accordance with policy and legislation. General Administration • Front Office assistance to families during office opening hours. • Any other general and/or administrative requests which may reasonably made by the Manager Accounts & Contracts.
