Here at Accommodation Services we can assist with any queries you may have about the accommodation, the campus or things in the local area. We are here to offer you advice and support. Our office is available for you to pay your rent, request a room change, or just to have a chat. We also have fish and a pet Lizard that love attention from the residents!

Lock outsWho to contact: Accommodation Services During office hours: Come down to Accommodation Services and we will make you a temporary pass to get back into your room. If you are unable to come to the office to collect the pass, call reception and if available we will come to you. After hours: Call our Night Manager on0418 541 953.

The first time you get locked out it is free, each time after incurrs a fee.If you have lost your wristband or card, let the office know and we can replace it for you. Each lost item incurrs a replacement fee and will be charged to your accommodation account.Broken wristbands can be returned to Accommodation Services and replaced free of charge, with select sizes available for exchange (S,M,L).

Paying RentIn office: Pay using EFTPOS. We accept Visa, Mastercad and American Express as methods of payment.

Over the phone: Our reception staff are happy to take a payment over the phone with the above payment methods. A receipt foryour transaction can be emailed to youupon request.

StarRez Portal: Log into your online portal and make a payment under the ‘Accounts’ Tab. The amount owing will automatically be visable, however if you need to make partial payments, tick ‘manual break-up’ to type in your preffered amount and continue through to your Shopping Cart.

Guest Registration All overnight guests must be registered with Accommodation Services. Registration forms are located in the office and needs to be submitted at least 24 hours prior to your guest’s arrival. Overnight mattresses can be placed in your room if required. Guests can stay for a maximum of 10 nights over the course of the residential contract, and for no more than 2 nights at a time. Guests are not permitted to stay during ResFest, SWOTVAC and exam periods.

MailIf you receive letters in the mail we will deliver it to your residence where it will be placed in the pigeon holes and sorted under last name. Please note it is preferred you set up a free Parcel Locker with Australia Post if you will be receiving large packages/parcels. However, if parcels are delivered to the office, we will email you for collection. Packages that are left uncollected after 2 weeks of arrival will be returned to sender.

EDUCATION RESIDENTIAL

The Residential Education team work with our student leaders to provide support for all of our residents. The Coordinators for each portfolio (Social, Health and Wellbeing, Academic, After Hours) are located in the Accommodation Services office and have an open door policy for all residents to come have a chat, introduce themselves, or seek guidance.

Merchandise We have a large range of merchandise that is available to buy for each of our residential locations. If you want to buy, try on or just have a look at what we offer – Accommodation Services is the place to go.

Textbook Borrowing SchemeWe understand that buying textbooks is quite expensive which is why we have a Textbook Borrowing Scheme. This scheme allows you, and two friends, to borrow textbooks for a semester at a time. If we do not have the book you are after you can still submit your form and our Academic Coordinator will consider yourpurchase request.

Food Pantry Accommodation Services understand the potential financial strain that comes with moving away from home. To assist our residents we have a free and anonymous food pantry that you are welcome to utilise. Come into the office and our staff will point you in the right direction!

Resource Borrowing Scheme Additional to our textbooks, we also have other resources for you to borrow including DVD’s, board games, books, as well as PlayStation, Xbox and Wii games. Feel free to come down to the office and have a look at what’s on offer.

HOUSEKEEPINGDoor Battery Flashes Orange: Problem with the card/wristband. Come to the office and we will fix it.Flashing Green & Red: Battery is starting to go flat. Put in a maintenance request and someone will come and charge it the next day.No flash: Flat battery. Call Accommodation Services and we will send someone to replace it.

How to log your request: on your StarPortal account under the ‘Maintenance’ tab. There are drop down boxes with different categories. If your request does not fit directly under one of the categories, add as much detail in your description of the issue as possible. Depending on the type of request, the time frame for completion can vary, however the maintenance team aim to complete jobs as fast as they can. You can check the progress of your request on the StarPortal where it will have the status of the job.

Emergency Requests: call Accommodation Services and we will instruct our Maintenance Department to attend to the issue at their earliest convenience.

Smoke AlarmsSmoke alarms are fitted into every room, hallway and kitchen throughout our residential buildings.

Triggers: spray deoderant, candles, hair straighteners, spray tan and excessive steam from food.If the smoke alarm goes off in your room or you were the one that triggered it in a common area, you will be charged a fine of up to $6000.When a smoke alarm is set off, the fire brigade will attend and secure the area. If you hear the fire alarm please evacuate the building and move to the designated emergency evacuation area.

Each resident is responsible for cleaning up after themselves. If you are using any of the communal areas you need to ensure you are keeping them clean and tidy once you leave. Accommodation Services strives to ensure all residents continue to live in a clean environment and your assistance in this area is paramount.

Chisholm, Glenn, Menzies and University Lodge have cleaners attend your room once a week who will empty your rubbish bin and vacuum the floor. You are able to put up a ‘No Cleaning’ sign if you would not like your room cleaned. Not applicable for 2 consecutive weeks.

The cleaners also clean the kitchens and bathrooms everyday however residents are still required to do their own dishes and clean up any mess that they have made in these areas.Once a week Accommodation Services Facilities staff will confiscate any dirty dishes left out in the kitchens, so make sure you are cleaning and putting your dishes away after each use. It is a good idea to label containers or food products that you will be putting in the communal fridges and freezers, in the aim to prevent your food being taken.

Barnes Way and Waterdale Apartments are self contained. This means it is the responsibility of the tenants to keep their apartment clean and tidy as if they were living in a private rental property. This includes vacuuming carpet, mopping tiles, wiping down benches & sinks, cleaning microwaves, cleaning out fridges, cleaning stove tops and ovens, cleaning range hood filters andcleaning bathrooms/toilets. Inspections will occur throughout the contract period to ensure each apartment maintains at an acceptable standard of housekeeping. It is recommended to set up a cleaning roster to ensure these tasks are completed on a regular basis by all members of the apartment to avoid cleaning charges following inspections. Vacuums and mops can be hired from reception if you don’t have your own.

We have Rules of Residence in place to make sure everyone has a safe, enjoyable time Living at La Trobe.

We recommend all residents read through the rules and make themselves aware of the standard of living we expect from all our residents. If rules are broken, there will be consequences for the actions taken which may include contract termination.

Our Rules of Residence can be found on the La Trobe University website by searching ‘Rules of Residence’.

SECURITY

As per the Rules of Residence, Accommodation Services advises that all residents abide by the following rules to ensure a safe living environment.

• Lock your door when you are leaving your room. Accommodation Services are not responsible if your belongings are taken.

• Do not prop open interior/exterior doors or tamper with doors in any way. Doors automatically close for fire safety and security purposes. Fines and charges will apply.

• Do not let anyone you don’t know ‘trail’ you into the building.

• Do not lend your residential card/wristband to a third party. This is a breach of the Rules of Residence.

• Avoid walking alone at night. Walk in a group or use the escort service provided by La Trobe University Security.

• Make sure you lock your car and wind your windows up when leaving your car in the car park.

• Let people know your whereabouts when going somewhere by yourself.

When the office is closed we have an Accommodation Officer working to ensure we always have someone here to assist our residents.

Our After Hours Coordinator is also here to look after the Residential Education portfolio outside of business hours. They assist with after hours events and are available for residents who may require help with health and wellbeing related concerns.

Student LeadersYour student leaders are trained in first aid and mental health first aid. If you or someone you know is having any challenges regarding mental health or general first aid, seek assistance from your student leaders. Your leaders are also able to direct you to alternative services if you do not feel comfortable discussing your challenges with them.

CHECK INPrior to Check In Ensure you have completed the Alcocups and Consent Matters modules. You will be prompted to complete and pass the Alcocups module as part of your online acceptance. Instructions on how to complete the Consent Matters module was emailed to you along with your offer of accommodation. If you are yet to complete these modules, please do so as soon as possible. Please contact Accommodation Services if you are having any issues with completion.

Check In Day Emails will be sent prior to your check in date with instructions about where you can collect your keys. Student Leaders will then show you to your room and make sure you are comfortable before leaving you to unpack and set up your belongings!

Familiarity with Student LeadersStudent Leaders are here to help you and make your time on campus the best it can be! Each floor/tower/building will have minimum 1 Student Leader, make sure you introduce yourself and familiarise yourself with the location of their room in case you require their assistance.

CHECK OUTWeb Departure FormBefore vacating your residence it is essential that you complete a Web Departure Form (WDF) which can be found on your StarPortal. This provides us with important feedback and information regarding your time on residence as well as your desired check out day. Residents vacating on the contract end date are still required to complete the WDF.

Check out Procedure Once you have completed your WDF you will need to come down to the office and get your keys recoded to your new departure date. When checking out you will need to return your card and wristband to the front office ensuring that you have paid all your fees and haven’t left anything in your room.

When does my contract end?Every resident is on a fixed term contract, if you are unsure of your departure date contact Accommodation Services for confirmation.

What time is check out?10am on the day your contract ends. Failure to depart by 10am will see you charged for another day of rent. If you require a late check out please contact Accommodation Services prior to receive confirmation.

What if I want to leave before the end of my contract? If you are planning on departing before the end of your residential contract, you will be required to complete your Web Departure Form to begin the mandatory notice period required for cancellation. Cancellation fees will also apply. Please refer to the Rules of Residence document or inquire with reception staff for terms and conditions.

What happens if I have lost my card or wristband? There is a fee for each item not returned to Accommodation Services upon check out. You will be charged on the day of check out and will be required to pay on the spot to avoid a university sanction.

What if I have debt remaining on my account?You will be required to pay all debt before you check out of your accommodation. If you are unable to do so, you will be required to organise a meeting with our finance department to organise a payment plan schedule.

If you fail to clear your debt after check out your account will be sanctioned, restricting your access to student services. This means you will be unable to enrol in classes or access your university results. Sanctions will not be removed until all debt is cleared. Outstanding debt is then passed onto a debt collector for follow up.

What time can I check into my accommodation?If you are checking in on the first day of the fixed term contract like we recommend, you are able to check in anytime after 9am. If you are checking in after the contract start day, check in is a strict 2pm.

UNIVERSITY LIFE Course/Subject HelpIf you require assisance with your enrolment, HECs, fee payments or help with your study, ASK La Trobe is the place to go. They are located in the library foyer and will answer any questions you may have regarding the university.

LTSUThe La Trobe Student Union is a group of representatives from the student body who run events for students and provide discounts to stores if you become a member. They also offer different services including help with academic misconduct, financial counselling and LTU scholarships. They work on improving student experiences and education while at university. For information on becoming a member and the costs, head to their website – www.latrobesu.org.au

Food on CampusThere are many different cafes on campus that all have their own specials and unique options. Some of the Cafes in the Agora are Grafalis, Bachelor of Coffee, Writers Block, House of Cards and Caffeine.

All of the cafes listed above offer delicious food but additional to those there are Charlies Kebabs, Subway, Mamak Rice and Noodle, Grain Express, Café Spice, Fuel Juice Bar, Café Veloci, Nuts About Tella and the Eagle Bar.

Clubs and Societies At the start of each semester the University runs days where all of the sporting clubs and societies set up stalls on Simpsons Lawn where you can ask questions, get free samples of different products/baked goods, and sign up!

ACCOMMODATION SERVICES

Each year there are many different events organised by Accommodation Services. Each college has 2 alcohol permitted and 2 alcohol free events as well as a college ball. These events are a great way to get involved and meet the people you live with. The Residential Education team are here to make your time the best it can be by putting on events that residents withdifferent interests and hobbies will enjoy!

OutboundThis involves seeing iconic landmarks and exploring the ‘sights and sounds’ of Australia. Previously, Outbound has taken people swimming with dolphins, white water rafting, to Uluru – experience the outback, and New Zealand. The program is getting bigger and better every year and allows residents to do incredible things at a heavily discounted price. These events will be advertised through the Accommodaiton Services facebook page so be sure to turn your notifications on!

Ignite Ignite focuses on Arts, Music and Cultural events. It has seen residents attend theatre performances such as Mumma Mia! and Harry Potter & The Cursed Child. On top of performances, it has also allowed students to see exhibitions like the Terracotta Warriors at the National Gallery of Victoria.

STUDY TIPS

LMS & Allocate +If you are needing help with LMS or choosing your timetable via Allocate +, your academic mentors and Student Leaders will be able to help, however if they are busy the team at ASK La Trobe can assist you.

Lost on Campus The campus here in Bundoora is the largest university campus in the southern hemisphere so we recommend downloading the ‘Lost on Campus’ mobile app. It has all the features of the university including buildings, places to eat and even where the nearest toilets are. You can search the room number or building name of your class and it will provide directions and an estimated arrival time. We suggest also going for a walk around the campus before classes start to familiarise yourself with your surroundings.

Library The Library is in the Agora and is open 7am - Midnight during the semester and 24 hours during examination periods. Each level has a different classification; Level 1 Talk, Level 2 Quiet and Level 3 Silent.There are printers, staplers and microwaves in the library as well as a café on the first floor. You can also book out study rooms online for group meetings.

Printing All printers within the university are linked, meaning you can print from any location. Printers in the college computer rooms are stocked by Accommodation Services and you can collect extra paper from reception when required. To add credit to your account you will need to use ‘MyPrint’. Once you have credit on your account you can scan your student card on the printer to print.

Exams University Exam periods run for roughly 3 to 4 weeks after each semester. During this time there is a 24 hour noise curfew on all residences. The exam timetable, exam rules and allowable materials can be found on the La Trobe website by searching ‘Exams’.

Study HelpPeer Learning Advisors (PLA’s) are a group of high-achieving students who are available for you to drop in and receive help with any queries or academic issues you may have. This could be oral presentations, time management skills, essays or study skills. Sessions are located in the library foyer and in the Learning Hub. Check your student emails for specific session times and locations.

The Learning Hub is a place for students to extend their academic skills and offers support in different areas such as transitioning help and course work. They offer small group or one-on-one advice from PLA’s, Student Learning Lecturers, Academic English Advisers and other expert tutors. It is located on the first level of the Library behind Writers Block Café.

Academic Mentoring is a service provided by the Academic Student Leaders that live on Residence and is held once a fortnight for first year students living on campus to help them ease into the University life style. Each group of students will have a mentor that studies a similar course and can assist them with LMS, Allocate +, assignments, provide experience and guidance with time management and support.

If you are looking for a one-on-one tutoring session to help with specific classes or topics, Accommodation Services offers specialised tutoring. The first three sessions are free with a high-achieving resident that has studied your area of concern. If you require more than three sessions you will be required to pay for their time.

Study Tips • Read the Subject Learning Guide for each subject and put important dates in your calendar• Make use of your tutor/lecturer consultation hours • Don’t be afraid to ask for help from your tutors, Academic mentors or other people doing your

course• Use your time wisely – plan for what you aim to achieve each week• Do the pre work to ensure you know what the tutor is talking about in class, this will also allow

you to ask questions if you aren’t sure about something

Academic Integrity Academic Integrity is very important and the university will not tolerant any form of cheating or plagiarism. Consequences are serious and can lead to expulsion. Each student is required to complete the online module ‘Academic Integrity’ prior to their first week of classes to understand how to avoid plagiarism.

Physical Fitness There are a range of different inter-college sports that run throughout the year which are organised and run by the Sports Student Leaders. Each college versus each other to try and win the much desired Sport Cup.La Trobe Sports Centre offers a variety of facilities and social sports as well as memberships. They have an indoor pool, gym, group fitness classes as well as indoor and outdoor courts you can hire. Some of the social sports they have on offer include netball, basketball, futsal, tennis and dodgeball. La Trobe has over 25 different competitive sporting clubs which everyone is encouraged to try out. Additional to the usual competition, there is also the chance to compete in the Uni Games competition which is run twice a year on the Gold Coast, QLD.

STAYING HEALTHYON CAMPUS

All information regarding La Trobe sporting teams, the sports centre and memberships is on the website – www.latrobe.edu.au/sport.Menzies and Chisholm College both have gyms that are available to residents of that college to access 24/7.La Trobe has a walking track that takes you around the whole university which is a great way to stay fit without paying for a membership or if you are not a sporty person. The Darebin Creek Trail is also close to the University and stretches along the Darebin Creek . It provides a very scenic route if you would like to go off campus. There is also a track to Macleod train station which makes it easy to get too and from the station. La Trobe has a Bike Share program which is a great opportunity to contribute to a more sustainable and brighter future of our planet. Information can be found on the La Trobe Website.

Mental HealthIf you are feeling down or not really yourself, our Health & Wellbeing Coordinator is available for you to speak to. Come into the office and they will be able to sit down with you if available. Appointments can also be made with the Coordinator upon request. Staying connected and getting involved in events and activities around college is also very helpful – ‘Wellbeing Wednesdays’ is run by our Health & Wellbeing Coordinator and is an excellent online and activity based program that can assist with all things wellbeing. Be sure to follow the page on Facebook for upcoming events!Medicare card holders who have had a mental health diagnoses from a doctor can be entitled to a Mental Health Care Plan where they will receive up to 10 individual or group appointments with mental health services. More information about this can be found on the Health Direct website – www.healthdirect.gov.au/mentalhealth.It is recommended that you have 8 hours of sleep a night to enhance efficiency and productivity during the day.

Eating healthy is the best way to keep fit while living on res – it is a good idea to invest in a healthy recipe book that will allow you to eat well and avoid unhealthy snacking while studying. The La Trobe Farmers Markets is run every Sunday morning in Car Park 2 and has lots of delicious fruits and vegetables for a cheap price. Meditation is a great way to relax and unwind from the stress of university, 10 minutes a day is all you need to help destress and allow the body to regroup. There are heaps of free mediation apps that you can download or head on over to the sports centre where they run yoga classes.

Sexual HealthLa Trobe Medical Centre (and other General Practitioners nearby) can provide sexual health and STI checks as well as contraceptive advice and counselling. Ensuring consent is always given and that boundaries are respected is very important and we hope that you learn something from the Consent Matters module you completed prior to moving onto campus.There is LGBTIQA Support at La Trobe and a ‘Queer on Campus’ group that runs once a week and allows you to meet other LGBTIQA students and talk about things in confidence with a facilitated Queer Counsellor. MANAGING FINANCESBudget TipsBudgeting can be hard when you are a student but it is also very important. The mobile app ‘PocketBook’ is a great way to manage finances and track what you are spending. Textbooks and games can be borrowed from Accommodation Services so you don’t need to buy these yourself!

Free Financial Counselling for LTSU MembersLa Trobe Student Union members can also receive free financial counselling. This a great way to receive tips and tricks on how to budget wisely.

NEARBY SERVICESNearest General PractitionerLa Trobe Medical Centre is bulk billed for LTU staff and students, appointments can be made online, via the ‘Appointuit’ App or over the phone – (03) 9473 8885.Northland Medical Centre is also bulk billed for Medicare card holders. Appointments can be made online or over the phone – (03) 9471 9987.There are also other medical centres along Plenty Rd and at Uni Hill.

The Austin Hospital is located on Studley Rd, Heidelberg and is 15 minute drive from the university.Northpark Private Hospital is located on the corner of Plenty Rd & Greenhills Rd and is a 20 minute drive from La Trobe. The Northern Hospital is located on Cooper St, Epping and is roughly a 25 minute drive from campus.

Shopping Complexes Polaris is the closest and most convenient shopping complex to La Trobe. It has a variety of cafes, a Woolworths, Chemist Warehouse, Dan Murphy’s and a travel agency.Northland is a 10 minute drive from the university and has everything you can need from banks, supermarkets, electronics/home decor, clothing, barbers/hairdressers and jewellers. Summerhill is just 3 tram stops from the uni towards the city and has the closest Kmart as well as supermarkets, $2 stores, a newsagency and a post office. Uni Hill is a factory outlet that has a lot of sport stores, cafes, homeware stores and many others with discount prices. Uni Hill is located on Plenty Rd, Mill Park roughly 20 minutes from La Trobe.

Speak Up La TrobeSpeak Up is a place you can report (can be anonymous) any unacceptable behaviour that is happening to you (at uni or outside of the campus) or that you are witnessing happen to someone else. They can help if you are being bullied, stalked, feel unsafe or unwelcome, or if you have experienced some sort of sexual assault, violence or mental health concerns. Post OfficeAustralia Post is located in the Agora and although you can receive mail (letters) at Accommodation Services, if you are expecting a parcel, we suggest you sign up for a free parcel locker. The parcel lockers are positioned opposite the post office. To register, visit www.auspost.com.au/happinessdelivered and follow the prompts to receive your own delivery address.

Student DiscountsTake advantage of student discounts – there are so many places nearby that will give you discounts on your purchases just for being a student. Places such as PTV, select cinemas, ‘We Meat Again’ butcher at Polaris and Unified Hair and Beauty in the Agora, all give student discounts when you show your student card. Uni Hill have a student rewards card which gives you discounts at select stores, Spotify gives half price premium access and UNIDAYS has endless discount codes and vouchers to a large variety of online stores.

TRANSPORTCar ParkingFor residents living on Glenn, Menzies, and Chisholm or at University Lodge you will be required to obtain a parking permit through La Trobe’s V Permit Service. We recommend purchasing a White Parking Bay permit.Residents at Barnes Way and Waterdale Rd are able to park for free in their carpark. To do so you will need to register your car details with Accommodation Services and obtain a permit sticker. If you are needing to park in a campus carpark however, you will need to obtain a permit through V Permit. La Trobe has several Car Parks around the campus although here are our recommendations based on residence location:

Menzies Annexes – Car Park 4Menzies North and South wings – Car Park 6Glenn – Car Park 6

If you are ordering an uber, make sure you put the pick-up location as the car park closest to your residence as these services are not permitted to enter the campus internally.

Buses Bus 250/350 - This bus will take you to Melbourne Central and runs 2-3 times every hour. It can be accessed from the main bus stop near the Thomas Cherry building or at the bus stop on the intersection of Kingsbury Dr & Waterdale Rd.Bus 550 – This bus goes to Northland shopping centre and leaves twice an hour from the Medical centre, the main bus stop near the Thomas Cherry Building and from the intersection near Kingsbury Dr & Waterdale Rd.

Glider Service The Glider Bus is a free service provided by the University that stops outside each college roughly every 20 minutes throughout the day. Between 9:30pm–2:00am you can call (03) 9479 2012 and the Glider will pick you up from anywhere on campus and take you back to your residence. Information regarding specific times can be found on La Trobe’s website or at Accommodation Services.

TramsThe tram stop is located on the corner of Kingsbury Dr & Plenty Rd, across from Kingsbury McDonalds. The tram line is No. 86 which runs from Docklands to Mill Park via Bourke St.

TrainsMacleod Station is the closest train station to La Trobe University. It is apart of the Hurstbridge Train Line and runs trains into the city every 20 minutes during peak times. The PTV mobile app is very useful for navigating and figuring out timetables.

Myki Cards A Myki card is needed to access all public transport in Victoria. You can purchase one at the Australia Post in the Agora, LTSU, online or at any major train station. You can also top it up at any of these venues as well as at the bus terminal near the Thomas Cherry building.
