8/15 Parent Meeting Questions

Trumbull High School Golden Eagle Marching Band, Inc.

August/September 2017 Dear Neighbor, We are members of the Town of Trumbull’s nationally recognized high school marching band, and we stopped by your home today to ask for your support of our program, and specifically the students who visited homes in your neighborhood today. We actually just completed our two week band camp that consisted of almost 120 hours of practice preparing for our show this year. The Trumbull High School Golden Eagle Marching Band (THSGEMB) is a competition marching band comprised of approximately 110 members playing brass, woodwind, and percussion instruments, and performing with our 35 member color guard. We perform in competitive, exhibition, and parade programs throughout the Northeast and periodically travel to the south or west for a “Big Trip”. In November of 2017 we will appear in the Macy’s Thanksgiving Day Parade!

Some of our recent and upcoming exhibition appearances include:

Macy’s Thanksgiving Day Parade (1997 and 2017) Citrus Bowl Parade (1997, 2006, 2010)

Presidential Inauguration Parade (2001, 2009) Fiesta Bowl Field Competition & Parade (2012)

Walt Disney World Electric Light Parade (2006, 2010) Yamaha Cup, MetLife Stadium (2012)

Our recent competitive accomplishments include:

US Bands Class VI National Championship, 1st Place (2016) Bands of America (BOA) Class IV Open - 1st Place (2016)

Musical Arts Conference (MAC) Class V, 1st place and CT State Champions (2006, 2007, 2010, 2015)

Bands of America (BOA) Class IV Open - 3rd Place (2015)

MAC Class V, 2nd place (2005, 2008, 2009, 2016) BOA East Coast Regional Finalist (2013, 2014)

The cost to participate in a competitive program of this caliber is significant, over $800 / season before travel costs which can range from $300 to $1,500 per season (fall and winter) depending on our performance schedule. Won’t you please consider a gift during our annual “Door-to-Door” Campaign? Your contribution will directly benefit the group of us that came to meet you today; the donation being applied to our individual student accounts. Our collection during the door to door campaign will help our families offset the incremental travel costs. As a show of our appreciation, we invite you to attend the US Bands Preliminary Competition and will reserve a complimentary ticket with minimum donation of $25, two complimentary tickets with a donation of $50 or more, and up to four tickets with a donation of at least $100. Of course a contribution of any amount will be greatly appreciated. Complete the enclosed sheet and mail it back with your donation and your tickets will be on hold at the gate of this year’s “Fall Classic”, The New England Regional Competition at 1:00 pm on Saturday, November 4, 2017, hosted by Trumbull High School. For this reason the Trumbull High School Golden Eagle Marching Band has been in contact with Trumbull Police Department and has provided them with a list of vehicles being used to chaperone our students during our Door To Door Campaign. 2017 “DOOR TO DOOR CAMPAIGN”

Student Fundraiser Guidelines

The Marching Band will participate in a “door to door” solicitation of donations beginning Saturday, August 26th through Sunday, September 10th. This fundraiser has historically been very successful and proceeds will be used to offset student costs for their trips and participation fees. We will also continue to provide other means of fundraising throughout the coming year.

An effort will be made to inform Trumbull residents of the “Door to Door” solicitations via the Trumbull Times, Education Access TV Channel 17, and Trumbull Patch.

“Door to Door” Solicitation - How it Works:

Teams All band members will be asked to form teams of 4 students. Talk to your friends or ask someone to join you. If you do not have a team of four speak with one of the chair people and they will help you find a team

Each team will be randomly assigned a specific geographic area within Trumbull to solicit donations for the Band.

Each team will also be responsible for obtaining a parent chaperone volunteer.

The vehicle information sheet must be completely filled out in order to participate in this event (according to police department rules). Incomplete information is not acceptable.

Chaperones Each team MUST be accompanied by an adult parent/chaperone. The role of the chaperone is to:

Insure the safety of each student Maintain a copy of the Solicitation Authorization Insure proper behavior among student team members Answer questions from town residents as needed Maintain donations Provide team transportation

Process Teams will cover as much of their assigned territory as possible. Each Team will be provided a map of their designated area. Teams will also be supplied with the following startup materials:

Receipts for contributions. (10) A letter/flyer explaining the Marching Band and how it is funded. (10) Self addressed envelopes (with team number) in case someone wants to mail in a

contribution. (10) Some additional labels to get you started (you will need to copy, label and stuff

additional envelopes as needed)

Door-to-Door canvassing tips with more in-depth of information. A sheet for keeping a list of Silver ($25) and Gold ($50) patrons. People who donate

these amounts get free admission for 1 (Silver) or 2 (Gold) to our “Fall Classic” - the US Bands Regional Preliminaries starting at 1pm on 11/4.

Kick off Kickoff will be held Friday evening, at the High School (upon completion of Band Camp). At this time team members will:

receive area assignment receive their solicitations “packages” with final instructions

End of day On Sunday, Sept. 10th, you must hand in all donations at the main entrance between 4-5 PM so results can be tabulated. PLEASE DO NOT TURN IN CASH. All cash donations should be transferred to a check made payable to THSGEMB.

Also, return the DONOR SHEET for the Silver and Gold patrons, in order to have their tickets waiting for them at the gate on the day of US Bands Regional Competition Prelims.

HOW THE MONEY GETS DIVIDED

Donations collected over the two week period will be divided among team members based upon their participation as marked on the team collection envelope.

Parent chaperones should track daily tallies and mark which team members were present each day to distribute the team money fairly.

Any monies received via mail after the two week period will be divided amongst the team members EVENLY.

If any team goes OUT of their territory, they will forfeit 50% of their donations for that entire day.

PLEASE NOTE

When canvassing for donations along a street that marks the border of your territory you may only canvas those houses that fall on the interior of your territory. (Stay inside the lines!)

All door-to-door canvassing must end by 4:00PM Sunday, September 10th.

For the safety of our students and the comfort of our town’s residents there is to be no soliciting after dark!

Door To Door Canvassing Tips

No more than 3 team members should approach a house at a time. We do not want to overwhelm people with an unexpected group of teenagers at their door.

When an adult answers the door, introduce yourselves as members of the THS Marching Band and politely ask them if they would like to make a donation. For example; “Good morning/afternoon, my name is and this is . We are members of the Trumbull High School Marching Band. We stopped by today for our annual Door To Door fundraiser (hand them the “Dear Neighbor” letter). Would you consider supporting the band with a donation?”

Always be courteous and polite, whether you receive a donation or not, please say “Thank you”.

If you receive a donation of $25 or more, record the donation and the donor’s information on the Bronze, Silver & Gold Tally Sheet and advise the donor that there will be a ticket(s) waiting for them at the entrance to the NE Regional Prelims.

$25 - $49, one ticket (Bronze) $50 - $99, two tickets (Silver) $100 or more, four tickets (Gold)

If the person indicates that they would rather mail in the contribution, please give him/her an envelope with the affixed label (which should include your team number).

If no one is home, leave a “Dear Neighbor” letter with an envelope with your team number on it in the door of the home (we are hoping to provide bags for you to be able to hang this on the door knob/handle. You must not use mailboxes.

It is likely you will be asked questions about the band, the show, how the money is used, etc. Do your best to answer any questions and ask your chaperone for more info if needed.

Remember that you represent not only the Marching Band, but Trumbull High School as well. Proper behavior is essential.

WEAR YOUR BAND SHOW SHIRT! It will help identify you to potential donors.
