All exhibitors should comply with the requirements set out in the Health and Safety Policy, organisation and arrangements of the Poynton Horticultural & Agricultural Society. Copies of this policy may be obtained from the Society Secretary and will be displayed in the Show Office prior to and during the Show.
Specifically, all exhibitors, trade stand occupiers and entertainment & catering providers are required to maintain their exhibition/areas in such a manner so as to ensure that their activities do not endanger themselves, other exhibitors or members of the general public

NO VEHICLE WILL BE ALLOWED ON THE SHOWGROUND UNLESS DISPLAYING AN APPROPRIATE VEHICLE PASS.
Light refreshments are available on the Show Ground on Friday afternoon and evening, also early Saturday morning.

NOTICE TO EXHIBITORS
Important Changes to the Schedule
In 2018 we introduced several changes to the Schedule to reflect lack of participation and dwindling popularity in certain classes. Whilst we aim to offer a wide choice of classes, certain sections have seen a gradual decline in entries for a variety of reasons over recent years. We therefore reluctantly took the decision to withdraw some classes from our schedule.
After consultations with Poynton Flower Club, The Floral Art Classes have been discontinued.
Although, we have retained the Rose Classes for this year, it is possible that they will be withdrawn for future shows. There are a small number of rose classes in other sections, which will be retained.
LATE ENTRIES
Owing to a limited number of volunteers, we continue to experience difficulties in registering entries and producing class cards and allocating table space when entries are submitted after the deadline. In past years this has meant volunteers working through the Thursday night in order to process and print-off the 100’s of class cards needed for collection before staging at 6.00pm on Friday evening. To avoid this we have now changed the deadline for entries to be submitted. The new deadline for entries is now 8.00pm of the Wednesday before the Show. Entry forms which list the exhibits you are bringing to the show should be sent to us before 8pm on Wednesday 21st August. This deadline is set because we have to print off 100s of class cards and make sure there is enough table space for each of the exhibits in the Horticulture tent. In exceptional circumstances we will still accept late entries, but our volunteer team really doesn’t want to have to stay up all Friday night printing out additional class cards and rearranging tables. If you think you will miss the deadline just email your list of entries to the Horticulture section show secretary Mrs.Jill Share Email [email protected] You can pay for your entries on the Friday evening when you bring your exhibits, but remember we are unable to issue concessionary exhibitor
passes or car park permits for late entries unless pre-ordered before the deadline. Please only submit late entries as an unavoidable exception rather than as the norm.….. Thank You.
Poynton Horticultural & Agricultural Society
The Society was founded in 1885 and its Show has been an annual highlight of the Poynton scene for well over a century.
Nowadays, Poynton Show attracts exhibitors and visitors from all over the UK and North West. It has become a large regional one-day event, providing enjoyment for all the family. It is organised and staged entirely by unpaid volunteers.
Help us to maintain this fine tradition by becoming a Vice-President of the Society. For a modest annual subscription, you will receive a Vice- President's badge entitling free entry to the show and access to the Vice- President's Enclosure on the showground with its own licenced catering facilities. Junior memberships for younger members of the family, are also available at modest cost.

RULES
1. CLASSIFICATION OF EXHIBITORS: The Exhibitors are classified as follows:-
(a) The Open Classes – open to all Exhibitors except where otherwise stated in class descriptions.
(b) The Novice Classes - limited to Exhibitors who have not won a first prize in any Horticultural Show.
(c) Local Classes - limited to Exhibitors who reside within the parish boundary of Poynton-with-Worth (SK12).
(d) Junior Classes - for Exhibitors who have not reached the age of 15 years on the day of the show.
(e) Nurserymen’s Class - Trade only. (f) Societies' Class - Societies only.
2. ENTRIES All persons intending to exhibit must submit their entry forms to the Horticulture Section Secretary, together with the requisite non-refundable fees, by 8.00p.m. on the Wednesday prior to the show.
3. CONDITIONS & PENALTIES All specimens must be bona-fide produce of the Exhibitor and have been in the Exhibitor’s possession at least two months prior to the Exhibition. Any Exhibitor in Classifications (a), (b), (c) and (d) showing produce not grown in the garden attached to the Exhibitor’s house or on a registered allotment, shall notify the same to the Secretary of the Horticultural Section, stating where the produce is grown and giving proof of ownership and cultivation to the satisfaction of the Horticulture Committee. Any person infringing this rule shall, at the discretion of the Horticulture Committee, be liable to forfeiture of all prizes.
4. COMPETITORS
Competitors will be allowed to stage as many exhibits as they desire in any one class with the exception of the National Vegetable Society Classes where only one entry per class exhibitor will be allowed.
5. INSPECTION
The Horticulture Committee may appoint representatives to inspect the growing sites and entries of intended Exhibitors, and all produce must be shown to them in a growing state if required.
6. VASES, FLOWER STANDS, BOXES & PLATES
The Committee has a limited number of vases which will be allocated to Exhibitors on a first come, first served basis on collection of class cards. All vases must be signed for, must not be taken from the show marquee, and remain the property of the Committee and are loaned in good faith, returnable at the end of the show in serviceable condition. All other Exhibitors must provide themselves with suitable receptacles for Flowers, Vegetables, etc.

7. RECEPTION & STAGING OF EXHIBITS The Horticultural Marquee will be open from 6.00p.m. on the Friday prior to the Show until 8.15a.m. on the day of the Show to receive specimens in the Classes described in Rule 1. No specimens will be admitted except at these times. Exhibitors must stage their own exhibits but must do so in the spaces provided and as directed by the Horticulture Committee. No persons other than Exhibitors staging their own exhibits and members of the Horticulture Committee will be allowed in the Horticultural Marquee prior to judging.
The marquee will be cleared of all Exhibitors at 8.25a.m. promptly, on Show Day. Exhibitors are requested to use the staging tent or the spare staging tables provided, to prepare their exhibits and NOT to utilise the paper covered display tables for this purpose.
8. CLASS CARDS
Class cards, corresponding with entries can be collected from the Secretary’s table in the Horticultural Marquee during staging times.
9. JUDGES DUTIES
The Judges will commence to make their awards at 8.30a.m. and no person other than the Officers appointed by the Horticulture Committee shall be allowed in the Horticultural Marquee while judging is in progress.
10. BASIS OF JUDGING All Classes will be judged using the current rules and regulations of the Royal Horticultural Society, excepting where there is a Specialist Society publishing its own rules, e.g. N.V.S., B.G.S., etc. In these cases the rules and regulations of the Specialist Society will form the basis of judging.
11. AWARDS The Judges may decide not to award a prize if they consider the specimens shown in any Class to be unworthy or if in any one Class there are fewer exhibits than prizes offered. In cases of exceptional merit they may recommend to the Horticulture Committee to grant special prizes.
12. JUDGES DECISIONS The Judges’ decision is final except in cases where, after an award is made, the exhibit is found not to comply with these rules and regulations.
13. DISPUTES Any objections or complaints must be lodged in writing to the Horticulture Secretary before 1.00p.m. on the day of the Show. The Secretary will call together members of the Committee to hear the complaint and adjudicate thereon. Any complaint received after 1.00p.m. will not be entertained. The decision of the Committee will be final.

Rules (Cont'd) 14. REMOVAL OF EXHIBITS
Exhibits must NOT be removed from the Show bench until after the completion of presentations, which will commence at 4.00p.m. Although the Committee will use all reasonable care whilst exhibits are in their charge, they will not be responsible for any loss or damage to produce, vases, show stands, plates, etc. which may occur.
15. NURSERYMEN'S & SOCIETIES' DISPLAYS Will be permitted to sell their displays after the close of the Show.
16. PAYMENT OF PRIZE MONEY All prize money will be paid by the Horticulture Treasurer in the Horticultural Marquee from 2.00p.m. until 4.00p.m.
17. EXHIBITOR’S PASSES
Everyone who stages an exhibit can purchase an exhibitors pass and car park permit if they include them on their entry form and submit it, with fees, before the deadline for entries of 8.00pm of Wednesday before Show day. Entries submitted after this deadline (late entries) are ineligible for these passes. See more detail on page 9.
18. EXHIBITORS
Exhibitors are encouraged to name the varieties in their exhibit. Such names should be printed in block letters.
19. SOCIETIES' CLASS
Societies are invited to apply (01625 873014) for space by the Monday prior to the Show at the latest. Applications after this date will only be accepted subject to space available. The Show Committee can make available island or wall sites to suit reasonable requests together with table staging covered with white paper and blue skirting. Tiering is not provided but any Society wishing to provide its own is welcome. Space will be allocated on a first come first served basis.
20. PRESENTATION OF TROPHIES AND AWARDS The presentation of British Gladiolus Society Awards commences at 4.00p.m. The presentation of all other Trophies and Awards will be at 4.30p.m. Winners should assemble 5 minutes beforehand in readiness to receive their awards. Trophy Winners are allowed to take trophies home but must first sign for them and undertake to insure them against loss or damage whilst in their care. Trophies must be returned in good condition when requested by the Show Secretary in order to be available for the next year’s Show. Photographs of the trophy presentation will be taken for publicity purposes and contestants who do not wish to be photographed must inform the Show Secretary prior to the Trophy presentations. This is to conform with the new ‘EU General Data Protection Regulation’ which came into force on 25th May 2018.

Important Notice to all Exhibitors
Exhibitor Passes & Car Park Permits (Rule 17)
The following conditions govern the issue of exhibitor's passes and car park permits and replace all previous arrangements.
Exhibitor passes
To encourage more people to enter exhibits we offer a discount price of £5 for an exhibitor pass (compared with £10 for an online ticket or £15 for tickets bought at the show gate) which will allow access to the whole Show Field during the Show. You do not need a pass when you bring your exhibit(s) or remove your exhibit(s) when the show is not open to the general public. If you wish to purchase an exhibitor pass you must include it on the official entry form which lists which classes you are entering. You will pick up the exhibitor pass along with your class cards when you drop off your entries before the show. As an added incentive to participate, we will count your entries as free upto the value of your exhibitors pass, so the maximum you will pay for an exhibitor pass and up to 13 entries is still just £5. The minimum requirement is single entry, but only those entries actually staged on show day will qualify. When you bring your exhibits to the Horticultural Tent on Friday 23rd (6pm- midnight) or Saturday 24th (6am-8.15am) please go to the Secretary’s table to collect your exhibitor pass and class cards and we will show you where to place your entries.
Car Park Permits
You do not need to buy a car park permit if you wish to access the Show Field to bring an exhibit before the show opens or collect an exhibit after the show closes. If you want to park on the Show Field during the Show you can buy a car park permit at £5, along with your exhibitor pass which also costs £5. You cannot buy a car park permit without also purchasing an exhibitor’s pass. Only one exhibitor’s pass and one car park permit per entrant is allowed and you must submit your entry form before the deadline of 8.00pm of Wednesday before Show Day. Non-exhibitors need a normal entry ticket. Please go to the Secretary’s table in the Horticulture tent to collect your car park permit, if you ordered one, when you collect your Class Cards & Exhibitors Pass Friday 23rd (6pm-midnight) or Saturday 24th (6am-8.15am). We will count your exhibitors entry fees as free of cost up to the value of the combined total of your Exhibitors Pass and Car Park Permit (25 entries) Additional entries over this will be charged the normal entry fee. Free Parking, not on the show field, is available at Towers farm, a short walk away from the Show Field. Location details available from the Show Secretary, Show Website, or follow the direction signs on Show Day.

For persons not having won a 1st prize in any horticultural show
Not entered a Show before? - Read this!....... Many folk are reticent about entering shows because they are unsure about the procedures, or they think they stand little chance of achieving a prize. The only certainty of not achieving an award is not to enter, but how many times have you wandered past show exhibits and said to yourself 'I've got better than that at home!'. - So this year, give it a go and enter! Below are some initial guidelines to help you get started. There are lots of rules and regulations in this brochure and if you have never exhibited before it may be confusing. Don’t give up! Please phone Anne Gunning on 01625 850836 and she will help you.
1. Read the Show Rules and the Schedule carefully and decide in which sections you are eligible to enter. If it's called an 'Open' Section or Class, anybody can enter. A 'Novice' section is usually restricted to exhibitors that have never won a first prize in any show before. A 'Local' section means that the exhibitor has to reside within the Parish of Poynton-with- Worth (SK12 postcode). Some specialised classes may be 'closed', i.e. restricted to members of particular societies such at the British Gladiolus Society that is holding its own show within the main show. Unless you are a member you will not be eligible to enter these classes. 'Junior' sections are free to enter and will have an age restriction.
2. Have a look at your growing produce and decide which you want to enter in the show and then look through the schedule until you find a class that fits your exhibit. Make a note of the class number.
3. Nurture your exhibit to make sure it doesn't get attacked by pests or diseases or spoiled by the weather. Then near the show day enter your exhibits onto the entry form and pay your entry fee before the deadline for entries.
4. Immediately before taking your exhibits to the show, select and prepare them. You are looking for exhibits that are as near perfect and unblemished as possible, so only select those that have not been attacked by pests or diseases, are not miss-shapen, and have no damage. Some classes specify a certain number of items, such as pods of peas, so make sure you have enough, or that the roots or leaves be left on, so don't cut them off! Your exhibit may need to be cleaned to remove any dust or mud splashes and this can done using clean water and possibly a soft brush that won't damage the produce.
5. Take your prepared exhibits to the showground at the specified time and report to the horticulture tent where you will be given a class card for each exhibit. The show officials will show you where to place your exhibit(s) and your class card(s) Your class card has a unique number to identify your entry. Your name must be hidden from the judge, but the name of the variety should be visible.
6. That's all there is to it! It's now down to the judges to make their decision and for you to collect your prize (hopefully) Good Luck!
LATE ENTRIES For many years the Committee have accepted entries received after the deadline of 8.00p.m. on the Thursday before Show Day (Late Entries) as a concession to exhibitors who have genuine or exceptional difficulty in meeting this deadline. It is necessary to impose this deadline to allow time for the entries to be processed, class cards produced and sufficient table space to be allocated. However, growing numbers of exhibitors are presenting their entry forms at a very late stage on the Friday evening before the show. As many as 20% of all exhibitors presented their entry forms after the deadline for last year's show. This presents an unacceptable burden on the limited voluntary manpower we have available, at a time when there are many other pressing demands to complete arrangements for the show. While we wish to continue this concession for genuinely exceptional circumstances (unlike many other shows), we do ask all exhibitors to be aware of the difficulties of dealing with this high proportion of late entries. Please ensure that your entries meet the new Wednesday evening deadline wherever possible, even by sending them in by e-mail, (with payment to be made when you collect your class cards), and only submit late entries as an unavoidable exception rather than as the norm. The purchase of an exhibitor's pass, and, if required, a car park permit, is optional, but you cannot order a car park permit without having ordered an exhibitor's pass. The cost of an exhibitor's pass is £5.00, but is offset (discounted) by the value of your entries until the cost of the pass is met. If the value of your entries is £5.00 or greater, the exhibitor's pass will carry no additional charge. Any unused entries above £5.00 are counted towards the cost of a car park permit, if ordered. Only one exhibitors pass per entrant is permitted. If you have ordered a car park permit (£5.00) in addition to an exhibitor's pass, this too will be offset by the value of any residual unused entries above £5.00 until the cost of the permit is met. If the total value of all your entries is £10.00, or greater, there will be no additional charge for the car park permit. IMPORTANT: No passes or permits can be issued for late entries.

IMPORTANT NOTE TO ALL EXHIBITORS
1. Exhibits may only be removed from the show benches after completion of the presentation of awards and trophies, which will be held at 4.30pm. Exhibitors receiving awards should assemble at 4.25pm. in readiness for the presentations.
2. Exhibitors should also be aware that the show tent should be cleared of all exhibits as soon as possible after completion of the awards presentations to avoid loss or damage to exhibits whilst the tent is being dismantled.
