CATERING Packaging Innovations has a full service catering concept for visitors, with light snacks during the day.
However, this might not be a complete lunch for everyone. Easyfairs offers lunchboxes for 15 euro
per person per day. The boxes can be ordered through My Easyfairs.

3. STAND INFORMATION
There are two types of stands at Packaging Innovations: All-in and Design Village. Below you will find
the exact specifications of both.

4. WEBSHOP & ADDITIONAL ITEMS
For all additional orders and submitting the correct stand name, you can login in My easyFairs. You
have received a welcome email after booking the stand. If you have not received this email, please
contact Gerbrig Reitsma.
STAND NAME
The deadline for submitting the stand name is 28th October 2016. For changing your stand name
after the 28th, additional costs apply. The costs are € 30,- per board, average 2 boards per stand.
ELECTRICITY Included in all stands is a 230V main connection. You can connect a fridge, laptop and LCD screen
without a problem. Please note: when ordering spotlights through My easyFairs, we take care of the
connection.
Please find below a table with some appliances and their electricity usage.
You’ll find electricity connections under “Technical equipment” in the web shop.
At Packaging Innovations it is not possible to order a water connection for your stand.

It is not allowed to dismantle before the official closing time of the show.
All stand material must be removed on the 24th of November, 22hrs Materials left in the halls on
Friday morning will be regarded as waste and treated as such.
LOADING & UNLOADING Only forklifts and electrical pallet trucks from Valverde are allowed in the venue. Appendix B contains
all their forms and tariffs – make sure you order before the deadline.
When entering the terrain, you will receive a loading pass which gives you 60 minutes access to the
(un)loading zone. After unloading you can park at the general car park – free of charge.
If we contact you to park your car elsewhere, we kindly request you to follow instructions, so all
exhibitors have the opportunity to decorate their stand.
During break down, the loading zone is only accessible for cars and vans up to 6 meters for the first
hour (17-18.00hrs). After 18.00hrs trucks will be granted access, if space allows.
We kindly request you to follow the instructions of our parking guides at all times.

PARKING It is not allowed to park in the loading zone. After unloading you can park your car on the main car
park in front of the hall. During show days we have one car park assigned for all exhibitors. This will
not be the main car park in front of the hall, we’d like to keep that free for our visitors.
Parking for exhibitors and visitors is free of charge.
ACCESS CONTROL During build up and dismantling access is controlled with green wrist bands. Wrist bands will be
handed out after stating company name and stand number. Make sure your couriers are aware of
this.
EXHIBITOR BADGES Please register your stand personnel at My easyFairs. With the bar codes you receive, you can pick up
your badges on Tuesday at the service desk. To avoid queues Wednesday morning, we kindly request
exhibitors to pick up their badges on Tuesday.
PLEASE NOTE: during the show badges need to worn in a visible manner.
SERVICE DURING BUILD UP & SHOW DAYS The service desk is located at the easyFairs Business Point on the show floor. The service desk is for
all questions related to your stand: build up, extra orders, parking tickets etc. During build up you can
pick up your badges here. All onsite orders need to be paid immediately. We accept cash, VISA or
Master Card.
Complaints about stand build, electrics, furniture or other services ordered through My easyFairs can
only be taking into consideration after they have been logged with the operations manager at the
service desk during build up or show.

Your operations contact person might be difficult to reach by phone. Please come and visit us at the
service desk. We also have staff walking the halls – in easyFairs jackets – to help you with questions
or problems.
During build up and show days you are more than welcome to enjoy a cup of coffee with us at our
Business Point.

6. SHOW REGULATIONS
EASYFAIRS REGULATIONS All visible sides of the stand above 250cm need to be dressed in a clean and proper manner
without branding visuals.
Maximum building height is 400 cm. There are no exceptions possible.
It is not allowed to use beamers and light effects outside the stand.
It is not allowed to conduct any commercial action outside your stand space without written
agreement of the organizer.
All free stand build need to be approved by the organizer before start of build up.
Any form of roof construction is only allowed after approval by the organization.
Amplified sound needs to be restricted and should never be an inconvenience to the
neighboring stands. If there are complaints, the organizer has the right to shut down the
sound system.
It is not allowed to use your own forklifts and electrical pallet trucks inside the hall.
It is not allowed to screw, drill or hammer nails into the walls. Damaged walls will be charged
to the customer at € 50,00 per panel.
Roll ups, banners and any other demonstration material have to be placed inside the stand
and not in the aisles.
It is not possible to exchange items from the standard package or get a refund for not used
items.
Lockable desks and storages are constructed in rental materials. The organizer cannot
guarantee the safety of your valuables when left unattended in desks or storages.
Cancellation terms of rented materials:
up to 2 weeks before the show: 50% cancellation costs
from 2 weeks before the show: 100% cancellation costs
REGULATIONS TAETS Smoking is not allowed in the venue.
All emergency exits need to be kept accessible at all times.
It is not allowed to use parts of the building for commercial purposes.
During build up and dismantling the halls are not accessible for children under the age of 16
and/or pets.
Propane gas is not allowed in the venue.
Cars are only allowed in the halls if the battery is disconnected and the tank is 90% empty.

9. INVITE YOUR (POTENTIAL) CLIENTS On average, 60% of our visitors visit the event as a result of a personal invitation by an exhibitor! Make sure you actively promote your participation towards (potential) customers. We will provide you the tools.
As you know, free admission for Packaging innovations is by invitation only, based on our visitor
profile. Visitors without invitation have to pay € 150,- at the entrance. This is how we can
guarantee highly qualified visitors. The most important thing to achieve this is cooperation in
inviting the right quality visitors. So please take into account our visitor profile doing so.

How many printed invitations would you like to receive (free of charge)? Please let us know before
Monday September 12th. You can send these invitations out, or give them to your sales reps to
distribute. .
USE OUR INVITATION SERVICE
If you do not want to send out the invitations yourself, we can send them out for you! Please send us
the names and addresses of all relations you want to invite and we will send out the invitations
(maximum 500 Benelux contacts) – at our costs. Your relations will receive the invitation in your
name. We need your database before 12 September in excel format, including the following

MAKE USE OF THE INVITATION LINK
In your own My Easyfairs you can find your unique registration link to invite (potential) visitors to
Packaging Innovations. See the example below where you can find the link.
You can create as many unique links as you want for different purposes. This way you can set
targets and track the results per campaign, per sales manager, per e-mailing etc.
ADD A BANNER TO YOUR WEBSITE
Let them know that you are participating in Packaging Innovations by placing a banner on your own
website. Under the banner you can add your unique registration link.
ADD A BANNER TO YOUR EMAIL SIGNATURE
Download a banner on the exhibition website (under "Downloads"). Then go to the settings of your
e-mail to change your signature and add the banner. Under the banner, you can add the registration
link so visitors can register for the show directly via the link.
In My Easyfairs you can see who has registered with your unique registration link.

10. MY EASYFAIRS
Caution! From September 1st, the new design of My Easyfairs will be implemented. The layout will look different, but everything will be more user friendly. For questions, please contact Michelle van Helvoirt. Your participation in Packaging Innovations means more than two days ‘live’ contact with (potential)
clients. In My Easyfairs you will find multiple online tools, which give you online visibility 365 days per
year. Included in all packages is our Online365 Pack.
The Online365 Plus and Premium Pack offer more tools to give you even more yield!

username (email) and the password you created (see
picture below). The landing page contains a list of all
easyFairs shows you (have) attend(ed), click on Packaging
Innovations to gain access to the information about this
show.
You are now on your company profile page, where you can
add your info to make this as complete as possible

• Add to promotional material
• Select a product to present in the Innovations tab on the website

Have you entered the correct company name in My Easyfairs for external communication? Do this before September 12th – our deadline for personalizing the invitation.
DOCUMENTS AND MATERIALS FROM EASYFAIRS
At this tab you will find the exhibitor manual, banners and logos in various sizes. You can use the
banners to promote your participation.
SEARCH ENGINE
When you use branch specific well known words in your company profile, visitors can easily find you
using our search engine. This search engine is not restricted to one show, but will search the total
Easyfairs website, all countries and all shows. This way you can reach a much bigger audience.

REGISTER YOUR STAND PERSONNEL!
Via the tab Exhibitor personnel you can register your stand personnel. See print screen below. Please
note – the email address you fill in here, is the email address to which the barcode is sent.

11. SCAN VISITORS WITH THE VISIT CONNECT APP With the Visit Connect App it is very easy to gather and follow up on your sales leads. All you have to do is install the app and scan the QR codes from the visitor badges. Included in your package is 1 free license. With our Plus Pack you get 3 licenses and with the Premium Pack even 5! It’s the easiest way to measure and control the ROI on participating in Packaging Innovations. Note: if you do not want to use your own smart phone, you can rent a mini iPad with us. The Visit
Connect software is installed beforehand. You can order the mini iPad through the web shop.

CREATE AN ACCOUNT
You will receive a link from us to create your profile. With this profile you can log in to the Visit
Connect website. The address of this site can also be found in My Easyfairs.
LICENSES
One Visit Connect license is valid for one device. If you are using more sales people on the stand, best is to give each of them their own license. Log in on the Visit Connect website with the profile you have created. Click in the bottom left corner on “Manage Scan App Access” and add user by simply clicking “Add user”.
Each user needs to be linked to a license. You double click the name and then “Assign Scan App license”. At the bottom you will find your total number of licenses and how many you have assigned. You can always withdraw.
TARGETS & QUESTIONS/REMARKS
To make best use of the app, you can fill in the targets (per day) and any questions or remark you want your sales people to fill in. This information is visible for all users in your profile.

APPENDIX A SPECIFICATIONS PRINT WORK Personalize your stand with your own print work.
Easyfairs offers three options to personalize your stand:
print directly on the stand panels, seamless print work
in frame or a banner on top of the stand.
OPTION A: PRINT DIRECTLY ON THE STAND PANELS
With this option the aluminum uprights between the
panels are visible. The stickers are for one time use only
and are directly on the panels.
Costs:
€ 100,00 excluding VAT per panel.
Pricing is based on ready to print art work.

- All texts need to be in outline;
- Do not down sample pictures or photo, only use ZIP compression;
- Pictures or photo’s should be at least 100dpi on 100%;

- Visible size 97x230cm, please allow 1cm bleed on all four sides.
Use of color:
- Image in RGB (Adobe RGB 1998), Vectors CMYK (Euroscale Coated V2) - by SPOT (PMS)-color we use the CMYK-values of the PANTONE+ color bridge coated-liberary - Note: We always try approach SPOT (PMS)-colors as good as possible in your print work. Please notify if you are using SPOT (PMS)-colors in your artwork.
Gradients: - Always make the gradients in Photoshop and High Resolution. Other methods (for example Illustrator) can give lines in your gradients.

OPTION B: SEAMLESS PRINT IN FRAME
With this option, we print your visual on a cloth, which
we stretch in an aluminum frame. This frame is an inch
in front of your wall, so the aluminum uprights are not
visible. The visual is yours after the show, the frame
stays our property.

€ 475,- for a 3m wide visual
€ 625,- for a 4m wide visual
All frames are 250cm high (same as the stand build). Pricing is based on ready to print art work

OPTION C: BANNER ON TOP OF THE SHELL
SCHEME WALL With this option, we will place a banner on top of
your back or side wall. Banner height is maximum
1,5m in order to stay within the building regulations.
The visual is yours after the show, the frame is our
property.

Always add a match print of iris proof, with the right measurements and color references.
Illustrator:
Used letter fonts always change into outlines;
Deliver also always imported illustrations and/or scans; Do not change the PMS-colors into CMYK values;

Please save images always as tiff in CMYK. Do not deliver color separated files;
RGB-files will be changed to CMYK files. Because of this there will be color changes; Please deliver images on 10% of final size, in minimum 300 DPI;

Uploading printwork
You can upload the files for your printwork to your personal map:
1. Send your request for creating a personal map to [email protected].
2. You will receive an email included the link to your map.
3. You can open this link and choose ‘Upload’.
4. You will be redirected to the ‘One Drive’- login menu. You can login to ‘One Drive’ with your
Microsoft Account (gmail, live, hotmail, outlook etc.). If you don’t have an account, you can
easily create one.
5. Click the ‘Upload’ button again. Now, you can put your files in the map. The uploading
process can take a few moments. When the files are uploaded, nog further action is needed.
We will check the files and we will contact you if there are any adjustments needed. It is not
possible to do a request for blueprints.

Valverde has been appointed by Easyfairs for all the logistical services you might
require during both the set up and dismantling of your stand. In this document you
can find the fixed tariffs for these services.
If you would like to receive a quote, please let us know by indicating this on the
answering form.
Valverde gives priority to orders that have been placed prior to the fair. We will handle
these orders first during construction and dismantling days.
Big parcels and/or unusual dimensions
(Exceeding 1.5 meters and/or heavier than 1000 kilograms).
Easyfairs and Valverde have agreed to unload and place these equipments the day
before the set up of the fair and reload them the day after the breakdown of the fair.
We would like to remind you that this only concerns these specific types of equipments.
It is not allowed to do any work on your stand during these days.

Heavier forklifts are available upon request.
Exhibitors who order at Valverde in advance, will be given priority and helped first during
the construction and dismantling days;
No equipment can be delivered or picked up during other times than those set by the
organization for set up and breakdown;
Our normal working hours are weekdays from 08:00 until 18:00hr. Outside these hours,
there is a 50% supplement;
Your order needs to be placed 5 working days before the start of the activities. After that,
a surcharge of 30% on the total amount of the final invoice applies;
On the next page you can find the answering form where you can place your order. If you
want to use our services, please fill in the form as thoroughly as possible;
After receiving your order form, we will send you a confirmation to finalize your order. If
necessary, we can provide you with your unloading times.
The tariffs above are all excluding VAT. Unless agreed otherwise, your order needs to be
paid before delivery.
The liability of a logistics service provider is limited and therefore we expect that all your
goods are already insured for transportation and residence during the exhibition.
The FENEX conditions are applicable on all our services. Upon request, we can provide
you with a copy of these conditions.
