Guidelines for corporate sponsored breakfast sessions
We welcome breakfast session applications from corporate partners, provided that they co-present with a non-profit sector partner.
The NHLC Planning Committee insists that all presenters understand without exception, that commercialism is inappropriate and will not be tolerated. Corporate partners are asked to abide by these constraints when preparing for their session. Corporate partners are not permitted to foster the sale of its products and/or services at these sessions. Moreover, the session should be unbiased, and present both the pros and cons, as they relate to the subject matter. Both obvious and subtle advertisement of any products or services is in direct conflict with the spirit of the conference. Examples of the former include repeated references to products or trade names and excessive use of corporate logos and trademarks in graphic illustrations. Photographs of commercial equipment are not permitted unless they add educational value.

Increase your organization’s visibility by putting your advertisement on our mobile app! The conference app is used and seen by almost all 700 conference delegates. This is a unique opportunity to use your visual marketing elements, such as images and logos, to communicate your brand messaging. The compact nature of mobile advertising suggests including a very simple message in your ad, however we can also include the option of a pop-up window displaying further details when the image is clicked. Think of your banner ad as the open door to a conversation with our delegates.

SPONSORSHIP TERMS AND CONDITIONS
These terms and conditions are an essential part of the sponsorship agreement. Please retain this page for your records and appropriate follow up.
1. MANAGEMENT – The 2020 National Health Leadership Conference (“The Conference Secretariat”) reserves the right to render all interpretations and to establish further or to amend regulations as it may be deemed necessary for the proper conduct and general success of the conference.
2. SALES – All sponsorship, advertising and exhibit sales are final. Refunds will not be issued. Payment must be made in full prior to the event.
3. COMPETING EVENTS CLAUSE – Sponsors, exhibitors and advertisers shall not host, sponsor, or participate in any hospitality suites/rooms, social functions, education seminars, outings, group activities, or similar events during the conference program without prior approval of the NHLC Secretariat. (The conference program hours include: Monday, June 15 from 7:30 am – 6:30 pm and Tuesday, June 16 from 7:30 am – 4:30 pm.)
All activities and events conducted during the conference program, including events permitted by the NHLC Secretariat, must be contracted through the NHLC Secretariat. Sponsors shall not contract directly with the hotel, its vendors, or other venues for any element of a hospitality event.
4. NHLC DELEGATE LIST – The delegate list will be made available solely to sponsors and exhibitors of the 2020 National Health Leadership Conference, on the following dates: February 18; April 27; and June 1. The final delegate list will be made available to all sponsors and exhibitors post event. Advertisers are not eligible to receive the delegate list. The list provided to sponsors and exhibitors will comply with current privacy laws.
5. DEADLINES – Sponsors must provide information and deliverables to the Conference Secretariat by deadlines in order to receive specified benefits. If information and other materials do not arrive by the deadline, sponsors waive their rights to those benefits. The Conference Secretariat is under no obligation to issue reminders.
6. CONTACT PERSON – Companies are urged to assign one person to communicate with the Conference Secretariat on all matters pertaining to their participation as sponsors. The Conference Secretariat will send information and materials to the contact person listed on the Application Form. The Conference Secretariat is not responsible for relaying information among different branches/departments of sponsoring companies.
7. SPONSORSHIP AND EXHIBIT – The National Health Leadership Conference partners are committed to healthy lives and healthy Canadians. Sponsorship and exhibits from organizations whose primary business is manufacturing or promoting products or services such as tobacco products, weapons, gambling or pornography, sourcing from slave or child labour or other products that violate CCHL and HealthCareCAN policy, are not eligible. The Conference Secretariat on behalf of the partner organizations, reserves the right of final approval of all sponsorship and exhibits and the right to refuse or terminate any sponsorships and exhibits.
8. TERMINATION OF CONTRACT – This contract will terminate without liability to either party if substantial performance of either party’s obligations is prevented by an unforeseeable cause reasonably beyond that party’s control. Such causes include but are not limited to the following: acts of God; regulations or orders of governmental authorities; fire, flood or explosion; war, disaster, curtailment of transportation facilities; or other emergency making it illegal, or otherwise impossible to provide the facilities or the services to hold the meeting; any delay in necessary and essential construction or preparation of the meeting facility, strike, lockout or work stoppage or other restraint of labour, either partial or general, from whatever cause. The Conference Secretariat will, in the event of impossibility of performance for any of the above, reimburse the sponsor on a pro-rata basis on any amount paid, less any and all legitimate expenses incurred, such as but not limited to rent, advertising, salaries and operating costs.

Technical RequirementsThe NHLC conference preview and final programs are designed in four colours. The final program is printed on coated stock, with full bleeds. Ads may be submitted as bleed or non-bleed.
Electronic artwork for company logos and advertisements must be supplied by e-mail as a:• 300 dpi CMYK postscript PDF (with fonts embedded) @ 100% (preferred format);
Note: Ad artwork MUST be accompanied by PDF reference proofs or hard copy colour proofs. Any adjustments or repairs (size, colour profiles and missing fonts) to supplied electronic artwork will be billed to advertiser. All artwork files submitted in formats other than the requirements herein will be returned to advertiser for repair or replacement.
