    APPLICATION INSTRUCTIONS

    REQUIREMENTS FOR APPLYING TO RENNERT INTERNATIONAL PROGRAMS:• Must be 17 years of age or older.

    • Must be a non-native speaker of English.

    In order to apply for a program, students must:

     • Submit a completed registration form to [email protected].

    • Submit payment of the non-refundable Registration Fee ($155), and if applicable, Accommodation Placement Fee ($95) and Express Mail Fees ($85).

    • For programs requiring a telephone or Skype interview, an admissions coordinator will contact you to arrange an interview time.• Housing reservations are on a first-come, first-serve basis and are not guaranteed until you receive written confirmation of availability.

    Please include 2 housing choices on your registration form. If your first choice is not available, an admissions coordinator will contact you with available alternatives.

    An admissions coordinator will respond within 24-48 hours to all requests. If a specific program or request requires additional information in order to process

    the registration, it will not be confirmed until all necessary information is received.

    VISA INFORMATIONFor students requesting a form I-20, the following documents must also be submitted (in English or accompanied by an English translation):

    • Copy of your passport – valid for at least 6 months beyond the end-date of your expected stay.

    • Home address in your country.

    • Evidence of financial ability. 

    You must prove that you can support the cost of living and studying in the United States. 

    Your proof of financial ability must demonstrate enough funds to cover the cost of tuition + estimated living expenses in New York

    (approximately $2000 USD/month or $1000 USD/month for students staying in Rennert housing). 

    Examples of acceptable evidence are:

    • Bank statements which state current balance. Bank statement must be less than 3 months old.

    • Bank letter stating the date the account was opened, total amount deposited for the past year, and current balance.

    • Letter from employer on business stationery stating annual salary.

    • Income tax receipts and forms.

    • Sponsor letter (Funds from parents, relatives, organizations) + one of the above forms of evidence for the sponsor signing the form.

    TERMS AND CONDITIONS

    CANCELATION POLICIES

    Prior to Start Date

    ACCOMMODATION TERMS AND CONDITIONS

    • Rennert is not responsible for personal belongings or student guardianship. Rennert students are expected to conduct themselves as responsible adults.

    • Accommodations are only available to Rennert students during their period of study.

    • Overnight guests are not permitted.

    • Rennert cannot guarantee availability in first choice of accommodation.

    • Prices are subject to change due to availability.

    • Reservations cannot be confirmed until the Accommodation Placement Fee is received.

    ACCOMMODATION CANCELATION POLICY

    TERMINATIONS AND EXPULSIONS

    Registration, Accommodation Placement and Express Mail fees must be paidat the time of registration.

    Students participating in English programs at Rennert must be at least 17years of age and non-native speakers of English.

    Students will be assigned to afternoon or morning schedules based on leveland availability. There are no guaranteed morning or afternoon classes.

    Prices and policies are subject to change with approval of the New York StateEducation Department.

    This school is authorized under federal law to enroll non-immigrant alienstudents. Teresa Barile is a certified sales agent for Rennert International.She is registered with the NY State Education Department Bureau ofProprietary Supervision and her sales license number is 11571576.

    All fees must be paid in full at least 14 days prior to arrival or theregistration will be canceled.

    All program cancelations received in writing prior to program start date orbecause of visa denial will be eligible for a full monetary refund, minus anynon-refundable fees (Registration Fee, Accommodation Placement Fee,Express Mail Fee and any Bank Charges). Registration fees for canceledcourses may be applied to future registrations in the same calendar year.

    For cancelation due to visa denial, all tuition fees will be refunded, minus

    any non-refundable fees. Rennert’s Admissions officers must receive avisa refusal letter at least 2 business days before the original scheduledstart date.

    Rennert will make refunds only to the person or agency that paid theschool.

    Prior to Arrival•

    Accommodation and room change fees are non-refundable.

    Accommodation cancelations must be received in writing at least 14

    days before the scheduled arrival date, or 60 days prior to arrival forself-catering studio apartment reservations.

    For accommodation cancelations received less than 14 days prior toarrival, 1 week of the accommodations fees, in addition to thenon-refundable accommodations placement fee, will be retained.

    For accommodation cancelations received less than 7 days prior toarrival, the first 2 weeks of the accommodations fees, in addition tothe non-refundable accommodations placement will be retained.

    For self-catering studio apartments, cancelations made less than 60days prior to arrival will not be eligible for a refund.

    After Arrival•

    There are no refunds, cancelations or changes for reservations of 4weeks or fewer. There are no refunds or cancelations for studioapartments after arrival.

    4 week written notice is required to cancel or change accommoda-tions, with the 4 week period taking effect from the date of receipt ofthe written notice.

    Refunds will be calculated based on the remaining time in theaccommodation reservation, minus the 4 week notice period and anynon-refundable fees as listed above. All refunds will be issued to theperson, agent or third party who made the initial payment.

    After Classes Begin

    There are no program changes or refunds given on registrations of 4weeks or fewer.

    Refunds for course cancelations after a course has started arecalculated based on the last date of attendance as follows, uponreceipt of written notification.

    All program changes require 4 weeks notice.

    Refunds for program changes after a course has started are calculated

    based on the last date of attendance in the original program as follows,upon receipt of written notification:

    Any student studying on a student visa wishing to shorten their enrolledprogram must leave the country within 15 days or transfer immediately toanother school. Refunds are calculated according to the Refund Policy.

    For courses longer than 4 weeks, with written cancelations ornotifications of program changes received after the 4th week butbefore the mid-point of their course, Rennert will retain a pro-ratedamount of the tuition at the non-discounted rate.For cancelations or program changes after the mid-point of acourse, no refund will be issued.

    Any student who is expelled due to failure to follow visa or school regulations, local, state, or federal law, is not entitled to arefund on courses or accommodations. Any visa student who has their visa terminated must leave the country immediately.

    PROGRAMS TERMS & CONDITIONS

    All registrations in the Summer Plus!, Academy Plus!, Summer Adventures and/or Winter Adventures teen programs are subject to the following conditions which becomelegally binding once the registration is confirmed by Rennert International.

    1. Program lengthA program week for the all-inclusive program with Rennert Teens begins with an arrival on Sunday and a departure on Saturday. The Day and Full Day options begin onMondays and finish on Fridays. Two weeks is the minimum enrollment requirement.

    2. Registration and payment proceduresRegistrations should be submitted at least 60 days before arrival date and should include the following information:-Family name, given name, date of birth, native language and gender of every student.-Flight arrival and flight departure information and indicate if airport transfer is required.-Full name, email and telephone number of an emergency contact.-Full name of the person or company responsible for payment, with mailing address, email, telephone, fax and website (as applicable).Once all the above information has been received, an invoice will be sent via email or fax within 48 business hours. A minimum $500 payment per student is due 30 daysbefore arrival including the $110 Registration fee to confirm the registration. Once a minimum of $500 has been received (payable by credit card or wire transfer) thebooking will be confirmed. Along with the confirmation, Rennert will also send documents and forms to be completed by the student/guardian and returned to RennertFull payment of the remaining balance and final student details are due 15 days before arrival.

    3. Cancelation and refund policyPrior to Start Date:• All registrations must be paid in full at least 14 days prior to program start date or the registration will be canceled.• All program cancelations must be received in writing at least 15 days or more prior to program start date to be eligible for a full monetary refund, minus the non-refundable Registration Fee of $110. Registration fees for canceled programs may be applied to future registrations in the same calendar year.• Rennert will make refunds only to the person or agency that issued payment to the school.• If written cancelation is received 14 days or less prior to start date, all program fees will be refunded, minus the USD $500 deposit which includes the non-refundable

    Registration fee as this amount has already been used to secure housing, meals and activities for the student.• For cancelations due to visa denial, all program fees will be refunded, minus the non-refundable Registration fee and any other non-refundable fees. Rennert mustreceive a visa refusal letter at least 2 business days before the original scheduled start date, otherwise no refund will be issued.After classes begin:• No program changes or refunds will be given for registrations of 4 weeks or less.• All program changes require a minimum of 4 weeks’ notice.• Refunds for program cancelation after a program has started are calculated based on the last date of attendance(upon receipt of written notification) as follows:__ For programs longer than 4 weeks, with written cancelations received after the 4th week but before the mid-point of their course, Rennert will retain a pro-rated amountof the program fee at the non-discounted rate.__ For cancelations after the mid-point of a course, no refund will be issuedAll refunds will be made to the party that paid Rennert. Refunds will be processed within 30 days from the date of receipt of the Program Cancelation Form.

    4. Medical insuranceAll students and group leaders participating in the program must have a minimum coverage of a travel health insurance during their stay. Proof of insurance and coveragemust be submitted prior to arrival.

    5. Conduct and DisciplineStudents are expected to conduct themselves in a manner that is conducive to the general well-being of all students, staff members,and the greater Rennert community.

    All students are required to participate in the daily aspects of the program and must respect and obey all rules related to property, academic standards, attendancerequirements and campus policies as set forth by Rennert. Rennert reserves the right to refuse, exclude, eject or subject any student or group leader to legal ordisciplinary action if said participant displays behavior that is inconsistent with the policies and objectives of the program. Such behavior includes:- Under-age purchase or consumption of alcohol- Possession or use of illegal substances or dangerous objects (eg. Illegal drugs, firearms, knives and other weapons, etc.)- Damage to property- Threatening, violent, profane, lewd or indecent displays or behavior- Theft- Sexual, racial, religious or personal harassment- Unauthorized absence from classes or other required events- Smoking inside a building or other non-smoking areas- Violation of any other college or residential guidelines- Blatant disregard of Rennert staff authorityIn these instances, no refund will be given and any costs incurred, including damages, will be passed on to the participant (parents or guardians).

    6. SupervisionAlthough Rennert Teen programs are fully supervised, students 15 years of age and older are permitted some free time during certain city center activities for up to amaximum of two hours and within a boundary area detailed by staff. If the parent/guardian does not wish to permit this, it must be indicated on the applicable section ofthe registration form.

    7. LiabilityCourse, activity, excursion, transportation, meals and housing details as well as other aspects of the Rennert Teens programs are displayed in publicity materials in goodfaith. The details and/or schedules of any part of the program may be subject to change for reasons of safety, in the event of unsuitable weather, or in the event of otheconditions that are beyond control. Rennert reserves the right to change the particular aspects of the program if the number of participants is not the minimum requiredto successfully carry out such aspect of the program. It is understood that photos taken of students participating in the program are the property of Rennert Internationaland can be used for promotional and informational purposes. Rennert will not be liable for any loss, damage or injury to persons or property unless proven to be caused bywillful negligence on the part of Rennert or its staff. Rennert will not be liable for any loss of services to be delivered due to acts, omissions, or accidents beyond thecontrol of Rennert, including delays in travel services, compliance with government order, rule, direction or regulation, riots and/or civil commotion, war or hostilities, actsof terrorism, invasion, explosion, accident, fire, flood, lightening, storm, illness, widespread disease, epidemic or infection.

    8. Resolution of disputesIf a student, group leader or agent decides to complain about any aspect of the Rennert Teens Programs, such complaint must be initially made to a Rennert staff on site.Unless there is a valid reason why this is not possible, we will not consider ourselves liable for any complaint not made at the time. In the event that the matter is notresolved, the client or his agent should make an immediate complaint in writing to Rennert’s main office in New York. Such complaints will be investigated in full andsubject to an appropriate refund (if any) provided that all invoices relating to the participant is settled in full and the complaint is received within one month of the end ofthe program. Any legal disputes or unresolved dispute that has completed the above-described procedure will be settled in a New York State court in accordance with thelaws of the State of New York State and the United States of America.
