Spring is here! For most of us, this change in the seasons triggers certain responses

– we undergo spring cleaning, pack away the winter clothes and pull out the spring wardrobe, start thinking about summer vacations, and maybe even walk with a little spring in our step. 

The transition from winter to spring is an inevitable change, and one you likely welcome with a smile. But how do you and

your company respond to organizational changes? For example, what steps does your team take (or should you take) when you upgrade to Microsoft Dynamics CRM 2011? How should you prepare your infrastructure, and what can you do to help ensure your CRM Users adopt the change?

I encourage you to look to the CRMUG® community to help you through these types of organizational changes. Somewhere, someone has been through the process already – and has come out the other side with loads of advice, tips, and expertise on how to best tackle the process (and what to avoid!). CRMUG is full of people like you who readily share their experiences and help you learn from their successes.

One way to get engaged with the right Users is to participate in Special Interest Group (SIG) discussions.  We have a number of SIGs that meet regularly to connect, learn, and share ideas on a specific topic of interest.  Upgrading soon? Get involved in the upcoming “Upgrading to Microsoft Dynamics CRM 2011” SIG meetings. And if you’re at Convergence in Houston, be sure to join us for the opening

session of CRMUG DayONE on Sunday, March 18. You’ll hear from a panel of CRMUG Members who will share great tips on ensuring strong User adoption.

While we’re talking change, I’d like to introduce several changes that are happening within the CRMUG team. Due to the explosive growth of our CRMUG community over the last year, we’re making some organizational changes to better serve our CRMUG Members. I will be moving out of the CRMUG director role and into the leadership of a newly formed Member services team that will focus exclusively on enhancing your overall Member experience.  With that, I invite you to welcome Tony Stein, our new CRMUG director. Tony has a long history in the Microsoft Dynamics CRM community, having worked on the Microsoft Dynamics team for 10 years.  I’m excited about the strong leadership and fresh ideas that Tony will bring to our group. He will join our team at Convergence in Houston, and he looks forward to meeting as many of you as possible! As we look ahead to an exciting new year, I can’t help but reflect on 2011

and marvel at the fantastic year that our CRMUG® community has experienced.  It’s hard to count our many blessings, but I’ll share with you a few of my favorites.    

First, we have been blessed with a fabu-lous group of volunteers that have helped plan, coordinate, and execute around 190 educational webinars.  Many of these

webinars have been led by the Microsoft Dynamics CRM most valu-able professionals (MVPs), and I can’t thank them enough for sharing their knowledge. I’d also like to extend a huge “thanks” to all of the expert Microsoft Dynamics CRM Users that took leadership roles within – and lent their expertise to – the CRMUG Special Interest Groups (SIGs).

We’ve also been blessed with an awesome array of CRMUG Regional Chapter leaders that have committed to building the CRMUG community within their local markets.  It was a monumental initia-tive and achievement in 2011 to launch quarterly chapter meetings in 27 locations, and 52 Users stepped up to take leadership roles. Thank you to each of these leaders who openly share their Microsoft Dynamics CRM experiences and help facilitate meaningful dialogue between Users in our various regions. 

I can’t say enough about the fantastic group of CRMUG Mem-bers who put enormous effort into making our CRMUG DayONE and Summit conferences wildly successful. The strength of our event programming continues to grow, and that has led to increased event attendance and more valuable networking opportunities.  We experi-enced a record-breaking Summit attendance growth of 59 percent in 2011; hats off to all of you!

The CRMUG community is also blessed with a wealth of expert VAR and ISV Partner Members who openly share their expertise with the CRMUG community.  Their knowledge and experiences are invaluable, and CRMUG and the Microsoft Dynamics CRM commu-nity as a whole grow stronger because of their contributions.

And lastly, I’d like to thank the CRMUG board of advisors for the investment they make in helping guide CRMUG, for the time they spent helping me navigate my first year as CRMUG director, and for their never-ending evangelism of CRMUG.

Looking ahead, I am excited for what 2012 has in store for CRMUG. You’ve no doubt joined CRMUG as a means of connect-ing with other Microsoft Dynamics CRM Users, and I am commit-ted to facilitating new and effective ways to help you accomplish just that. My CRMUG New Year’s resolutions are:

» To provide a larger variety of programming for ALL roles within your organization.

The Microsoft Dynamics CRM engineering team hired Jim Doran

in September 2010 to lead and evolve the Microsoft Dynamics

CRM Technical Preview Programs (TPPs), including the Technology

Adoption Program (TAP), Early Adopter Program (EAP), and the

Public Beta program (PB). Jim’s a member of the Microsoft-wide

TAP Leadership Team, has been a member of the business solutions

division for 11 of his 12 years at Microsoft, and previously led the

Microsoft Dynamics AX Technical Preview Programs area and team.

He brings a wealth of experience and expertise to this function of the

Microsoft Dynamics CRM engineering team.

“I look forward to designing and executing on best-in-industry

Technical Preview Programs intended to accelerate the pace of

evolution of Microsoft Dynamics CRM on behalf of the business

needs of our end Users, Customers, ISVs, and system implementing

(SI) Partners,” says Jim.

What’s new? The Microsoft Dynamics CRM TPP team is offering

an array of programs that enable them to accept all nominees.

Also, the Microsoft Dynamics CRM TPP team offers a perpetual

nomination process, accepting nominations for its TPPs with no

nomination deadlines. They are always open for business, just like

many of you!

What programs is the team offering? First, a TAP program that

includes key Customers, SI Partners, MVPs, MCS, and critical

ISVs. The TAP program focuses on enabling Customer/SI Partner

CRM Engineering Team Evolves Technical Preview Programs

teams who are in the process of deploying the next version of

CRM in production prior to release or shortly thereafter. Also,

the TAP focuses on enabling our key ISVs to learn about the new

features first so they can design and build new solutions, upgrade

and extend existing ones, and generally stay in lock-step with the

Microsoft Dynamics CRM engineering team. Finally, TAP is the

place for our MVPs to have access to the latest drops of the next

version of CRM.

Next, the EAP also includes TAP personas plus training Partners,

authors, Microsoft field reps, and anyone else with a valid business

case for very early access to next version of Microsoft Dynamics

CRM. The EAP is test-only access and runs in tandem with the TAP,

same timeline, with the same early access to the same bits as TAP. The

primary difference between the two is the expectations don’t include

pre-release production deployment or pre-release ISV solution

development.

Finally, the Public Beta includes all of the aforementioned persona

types plus Customer prospects. The PB will occur for all major

releases, about 60 to 90 days prior to release, and does not require

any additional legal agreements. The PB is primarily focused on

enablement and launch impact.

In my mind, business intelligence is all about creating business results. It sounds simple, but in reality many times I see organizations being highly focused on generating a specific report or chart with no regard to the overall purpose. It may seem innocent…what could happen? Why don’t we just generate the charts and reports we want; surely more information is better than less, right? Well, the true problem of focusing on just generating a report or chart is found in what happens next. Once we have a piece of information, we will tend to find some

sort of surprise, something we want to understand deeper, and that drives another report or chart. This multiplication of questions is a natural function of businesses learning while they operate. Or said in another way, if we keep doing the same mistakes over and over, there would be no reason to ask any deeper questions since we would already have a report that addressed the following question. Luckily most businesses learn – those that don’t, die!

A learning organization poses a big challenge to the development of a successful business intelligence implementation, since it is by definition a project that never ends. It is in fact a problem that exponentially grows in size during implementation since User functional requirements multiply as we move from the strategic levels towards the operational levels, in addition to the multiplication of requirements generated by learning itself. Moreover, the number of questions and the pace of learning are higher at the operational level since decision cycles are shorter here as compared to the strategic level. Failure to recognize the dynamics of learning and the nature of decision cycles from strategic level to operations will make a business intelligence implementation fail. There are typically two types of failures: delusion or confusion.

Delusion: business intelligence simply doesn’t deliver what we hoped.This scenario occurs when we try to have a few people produce all the output, and typically a lot of reports, for

everyone else. If this project starts from the strategic level, it will seem to be delivering successful in the beginning, but the report builders will feel that more and more requests are coming in as people start using their information. If the ambition is to deliver business intelligence to the entire organization, they will feel requests starting to explode as they

move deeper into the organization. Unless the group of report builders is huge (almost as large as the total number of decision makers!), the number of requests for new information will be snowballing into a workload that will prevent them from ever delivering to all Users. People at operational levels will feel that they do not get the information they need, and thus the world remains close to unchanged for them even though a business intelligence project at this time has most likely lasted months. The delusion is complete.

Confusion: we produce a lot of chart, reports, and dashboards, but the information does not add up. The complete opposite to the highly centralized developer approach is to let go of control and let Users and business units cater themselves with little or no integration. In this scenario we are pretty good at producing reports and charts at all levels, but continuously we will find people arguing about what are the “real numbers”. This is an acceleration of the problem that perhaps most have seen, where, for example, a financial manager appears in a meeting with a different revenue figure from the sales manager. Even though the numbers are close, the discussion is highly likely to be about data quality rather than about reacting on the trends and problems at hand. In the confusion scenario, decision cycles are in fact running backwards since we have to go back to the systems and double-check. Thus a lot of unproductive energy is spent arguing about what is the right course of action. In reality, the confused organization is worse off than the organization with no information since at least with no information there would not be the same loss of internal energy. Confusion drains the organization while it can even stimulate political agendas since multiple versions of truth thrive in it.

Solution: integration of all BI disciplines in decision cycles. The method to avoid both pitfalls is to recognize that it is all about the Users’ decision cycles as opposed to the individual report and chart. In principle, if we think about anything we do as supporting a better and faster decision – as opposed to the specific report – then an entirely new type of system emerges. For example, if you have been working with business intelligence systems already, have those systems completely integrated reporting and analytics? If you are in an organization that learns, then there cannot be a report without the need to analyze, simply because whenever something goes wrong or an opportunity presents itself, it will be something new. Therefore, prefabricated reports will not accommodate for the changes occurring in the real world, but analytics will provide that flexibility. On the other hand, reports and dashboards are excellent tools for creating a frame of reference that aligns the organization’s efforts and keeps focus on its goals. Recognizing that all these disciplines are tightly interlinked is the key to a successful business intelligence implementation that renders the complete organization informed, powerful, and agile. If Users can move freely between predefined goals (on reports and dashboards) as well as analytics that cope with the unexpected (problems and opportunities), any User will be able to travel a decision cycle end-to-end, from the moment something happens to the time when something is done about it! The system now supports all steps including decision and action, the two quite important steps that follow any understanding (analysis) of any piece of information about where we are and where we want to go as an organization.

Data quality, availability, and security are still important. A lot has been said about making sure that the data is correct before we can even start thinking about a business intelligence system, and it is of course true that we need data in a certain quality before BI even makes sense. However, most (any) organization today has at least a financial application, allowing it to file taxes without going to jail. My point is that the data residing in many systems used for operations are definitely good enough to base decisions on; why else would we run our operations on them?! Most likely, there are also a number of applications that can build a pretty good database for business intelligence automatically based on these operational systems. In other words, the attitude where IT staff will say that 80 percent of the work is about getting the data right is getting old. In fact, I think that this statement completely sets a project up to fail by design since it is neglecting the exponential pluralism in User decision needs mentioned earlier. It is, however, true that IT staff has an important role in ensuring data availability, quality, and security, which should not be taken lightly. This being said, it is important that IT staff does this with the sole purpose of catering the decision cycles organization-wide, and thus they should ensure that the systems they build and maintain support the User to move freely between the business intelligence disciplines, not confining them within a predefined reporting paradigm. So whenever a project is scoped to spend 80 percent of the time gathering and building a database, scope again! Make sure that at least as many resources are dedicated to making sure Users can actually make fast and better decisions in whatever they do; dedicate at least 50 percent of project resources to this!

The future is synergy rather than just efficiency. Until this point, we have concentrated on Users’ efficient decision making throughout an organization. The next step, and an important challenge in the future, is not just being able to be efficient in the decision process; it is about synergy. Synergy is when we start running decision cycles that are not possible for a human without a computer. The thought about synergy as the ultimate practice arises from the idea behind high-performance teams, where people team up to have other people shield their weaknesses and thus be able to fully exploit their strengths. If we apply the same thoughts to the human/computer scenario, I think we still have some road to travel, since synergy is built on the foundation of trust. First we need to trust the systems to the extent where we do not need to go backwards in decisions to verify data and information quality. Secondly, we need to trust computers to undertake some tasks autonomously. For example, do we prefer to enter a system and pull a given report ourselves, or are we using a computerized agent to let us know when to look at a report, or perhaps even what to look for? Most people are still most comfortable pulling information instead of trusting a computer to push information when relevant. However, if we arrive at a point where we do trust the systems to do more, the benefits in reaction time and resource utilization are obvious. We would be able to run our organizations more efficiently and make much more radical maneuvers than we ever could as people. If only we could trust our business intelligence system! CRMUG

I recently walked into the men’s bathroom by mistake while visiting friends at a hotel lobby restaurant. Fortunately for me and everyone involved, my presence in the men’s bathroom caused little alarm, except for my embarrassment. Afterward, I wondered about how it happened. I have walked into the

wrong bathroom only one other time in my life. In both instances, the placement of the men’s bathrooms in relation to the women’s bathrooms weren’t what I was expecting. Now that I’ve spent a while thinking about it, I realize that I expect women’s bathrooms to be on the right and men’s

bathrooms to be on the left. Both the men’s bathrooms I mistakenly walked into were on the wrong side, at least from my perspective. I’m quite sure I haven’t been the only person to find themselves in the wrong place in these two inconsistently designed buildings.

I tell you this to illustrate that consistency is important in every aspect of our lives. It keeps traffic patterns flowing as smoothly as possible. It keeps thousands of people moving steadily through even the longest of airport security lines. It even helps us endure sometimes uncomfortable family situations because — even though

we get irritated by Aunt Edna’s constant criticisms — we are prepared for them.

Consistency is as essential for leaders as it is for busy waitresses or pet owners training puppies.

Many of us have experienced the fallout caused by erratic, unpredictable leaders. Remember the times you turned in what you thought was a good report only to discover your manager had changed the rules on the fly, and you had to suffer through a dressing-down and a complete redo? Or, how about the times you led projects to near comple-tion only to have an unpredictable leader surprise you with a last-minute review that brought you and your team back to square one with only a few days to respond?

Whether it’s in mood, expectations, involvement, promptness, policies, or lines of questioning, being a consistent leader is critical to the success of your organization…and to the mental health of your team members.

Since I have yet to achieve consistency in any aspect of my life (except, I guess, for my consistent avoidance of morning work-outs), I’ll describe an inspirational leader to you — a leader I look forward to being around and learning from. I’ll call him “D.”

When D enters a room, he doesn’t fill the space with his ego. In fact, he’s typically a few minutes early, peacefully waiting for others to join. D listens attentively and doesn’t distract himself or others with e-mail or side conversations. D asks relevant, thoughtful questions that help others form strong conclusions and strategies. D offers his opinions instead of imposing them on the group. D displays grace under pressure, even in the most stressful of situations. D searches for solutions instead of someone to blame. When D is involved, meetings and projects stay out of the ditches and remain focused on customers. In short, D is a consistent, quiet hero who I surreptitiously try to sit near in hopes his state of being will rub off on me by osmosis.

In case you’re thinking D is an amalgam I made up to illustrate a point, let me assure you he is real. I’ve had the honor of working with him for 25 years and have never once seen him being anything other than calm, open, helpful, optimistic, and most of all, consistent. And, if you’re like me and doubt it’s even remotely possible to be like D for more than an hour at a time, here’s the advice he gave me and other new managers long ago.

» Think hard about how you want to be

treated, and conversely, how you don’t want to be treated. Do more of the former than the latter until treating others the way you want to be treated becomes a habit.

» Nobody likes to be caught off guard. It leads to embarrassment, defensiveness, and avoid-ance. Even if you’re introducing just a small change, allow time and space for people to understand, prepare, and respond.

» Leadership isn’t a thing; it’s a state of being. Twenty years from now, no one will remember the projects you led or the decisions you drove. They’ll remember who and how you are, and how you treat others.

Well, D, it’s been more than 20 years, and you are absolutely right. I don’t remember the projects we worked on together or even what my role was when you were my manager. But I’ll always remember and be inspired by who and how you are. CRMUG

Murat Ozturan joined the Microsoft Dynamics CRM team five years ago to re-engineer the way the product presented itself to the enterprise market. Whereas some titles are generic in nature, Murat’s title of “program lead for engineering for

enterprise” quite aptly represents his team’s goal to bring a holistic, enterprise mentality to the product’s design. CRMUG® sat down with Murat to learn more about this initiative, the product’s direction, and what he enjoys most about time spent with CRM Users.

CRMUG: You joined the Microsoft Dynamics CRM team with a pretty specific directive. How did you gain the enterprise experience that’s been essential to creating success on that team?Murat Ozturan (MO): I’ve been with Microsoft 18 years in total, and my time prior to the last five years with the CRM team was spent in the field working with enterprise Customers and Partners, most of which were in financial institutions. Seven years ago I moved to the United States to manage the Microsoft alliance with Accenture and Avande and was responsible for the technology transfer to their offerings.

When I joined the CRM team, my responsibility was to create a group that focused on bringing enterprise-level knowledge to the development team. We created the concept of engineering for enterprise, E2. You won’t hear this, and you won’t hear this from any other Microsoft product as it’s unique to the CRM team.

My team has three challenges. The first is to be the subject matter experts on enterprise scenarios and work with feature teams to help build that expertise into the product. Another is to be the face of the research and development (R&D) team and work closely with ISVs, Partners, and Microsoft field to transfer our knowledge to the Customer projects. The third is to further the adoption of Microsoft Dynamics CRM within Microsoft.

Microsoft has historically used a lot of other products for its CRM needs, and I’m proud to say that today there are no competitive CRM products left in Microsoft. We have more than 40,000 unique Users and more than 65,000 seats using Microsoft Dynamics CRM in their day-to-day jobs.

CRMUG: That’s a large project in and of itself! How have you deployed Microsoft Dynamics CRM to all those groups?MO: There’s a specialized team in IT, and they manage the 40 plus instances we have of Microsoft Dynamics CRM. Those instances range from a team of three to six people to some instances serving more than 13,000 Users. We also have more than 40 test and development environments in addition to the live environment.

Microsoft IT provides an instance to the business and lets them build and implement their own solution or work with IT to customize the out-of-the-box experience.

CRMUG: You’ve seen a lot of progress in five years.MO: It’s been great, but it is not finished yet. We are also working with Microsoft IT to move all these instances to the cloud within several years.

CRMUG: Will you be at Convergence this year? What do you enjoy most about the event?MO: Yes, with a large portion of my team. Many people don’t realize that we bring a lot of our R&D team to Convergence. This year we have more than 40 R&D team members attending the event, covering all aspects of Microsoft Dynamics CRM, and our core purpose is to meet and talk with Customers to understand how the product is utilized and what they would like to see in the future releases.

CRMUG: What do you find most valuable about that time with Users?

MO: It’s a two-way conversation and a great time for us to brainstorm ideas with Customers. We’re able to do that in a short period of time and with many different Customers. It’s very valuable to hear firsthand the reaction of Users to our product. One of the things I always say is that people mistakenly think that because we’re building this race car, we’re also the magic drivers that go with it. We’re much more the mechanics; we don’t drive the product every day, and it makes a major difference when we go to Convergence and talk to the people who are in the driver’s seat. If they don’t like how things move from gear three to four, but can’t pinpoint the exact problem and we hear that from multiple people, we can go back to that area of Microsoft Dynamics CRM, look at it, and fix it.

CRMUG: That’s a great analogy. What advice do you have for Users who won’t be at Convergence this year?MO: One of my team’s responsibilities is community, and CRMUG is a very valuable group of Users and a great way of sharing the information that comes from Convergence. Another idea is to leverage the blogs and forums we produce as we’re always posting our latest info there. Finally, make plans to attend a future event. I was lucky enough to attend this past fall’s CRMUG Summit, and our team will continue to be part of those events and Convergence.

CRMUG: What advice do you have for Users who are prepping for the next update of Microsoft Dynamics CRM? MO: One of the most important things is that it’s a learning experience for both Users and Microsoft. Gone are the days when you’d have a version change every three years. It’s a cultural change for us as well as the people using the software to have a release every six months, but it’s the way business is headed.

The key things that are coming up in R8 are cross-browser and

performance enhancements. People will be surprised by the quick response of the screens and the information flows with it. We also have more online features, including more integration with Microsoft Office 365. I recommend that Users get involved in our technical preview program to share their feedback with us and better prepare themselves for what the next release will bring.

CRMUG: Does the statement of direction include all the new and upcoming features?MO: We have a very clear three-year plan with delivery milestones every six months. Every six months we tweak that plan as we look at the market’s response to the last update and shuffle features that were going to be released later to sooner – and sooner to later – based on Users’ responses.

In the past when Users sent a request, it could be three or four years before you saw a next release, and you might forget what you wanted to see updated. Now you might see it in six months and think “wow – they’re actually responsive!”

It’s also a nice rhythm for Users as previously the upgrade process became a migration and not an upgrade. If you’re doing this in small increments, it becomes an update rather than a big deal. For example, mature internet sites have updates all the time. You might notice a new click, new button, new information where it wasn’t before. This is already happening in our daily lives, and it’s becoming the norm of how we interact with solutions.

It’s a balancing act to deliver on this new biannual schedule, but it’s powerful in the sense that we are trying to deliver the most impactful features in the next release and are able to shift our priorities based on what our Customers are saying.

The Importance of Being DiscreetCRMUG

The importance of Discreet Activities (and the importance of marking Activities as completed when they’re finished) for the purpose of documenting History with an Account or Contact, and/or for Reporting, should not be

underestimated. At Cincom, we have seen a tremendous return

on using completed Activities to drive Reports. In the Cincom Acquire product group alone, we’ve added approximately eight hours per week of time NOT spent writing reports, and reports are generated real-time.

Managing Roles at an “All User Level”by Heather Thigpen

Managing Security Roles can be a daunting task.  We have found that creating a Security Role that has the minimum security for all Users is a great way to simplify your model. Let’s say for example all CRM Users (sales, marketing,

and Customer care-type employees) are able to read all account records and all cases.  Generally you would create a Security Role for each of your User types (sales, marketing, and Customer care) and individually grant them the read rights to account and cases.  And in this scenario if your Customer care reps would be able to also edit cases, you would grant this only to that role.  Seems simple and is actually manageable. 

But consider that you might have 20 roles, and now you

create a new entity and everyone is to be granted rights to read this entity.  You would now have to go in and modify 20 roles to grant each one read rights to the new entity. So to reduce this task and simplify security, our recommendation is to create an “All Users” security role and make this the single role they must have before any others.  In our example this “All Users” role would be granted to every User and would grant read rights to account and case.  This way when you add the new entity which you now need to make sure everyone can read, all you need to do is update the All Users role, and the other roles simply stay unedited.

Automatically Placing a Re-activated Case into User’s Queue

Our company is using Microsoft Dynamics CRM 2011 as a Customer service tool, which means we are creating lots of cases every day. One issue that we realized soon after implementation was that when a case needed to be re-opened by a

User, the case would not show up in that User’s queue. This made it possible for the case to fall through the cracks more easily.

I developed a custom workflow to resolve the issue.The workflow checks every case that has a change of status. If the

case is being Canceled or Resolved, the workflow will stop with a status of “Canceled”.  If, however, the status changes to “Active” (in-dicating that it has been re-activated), the workflow will create a Queue item record in the “Modified By” User’s queue for the case.

J.R. Halasz recently discovered CRMUG® Academy and wants to share its benefits

with other Microsoft Dynamics CRM Users. J.R. is a Microsoft Dynamics CRM analyst III with Nalco Company, a new CRMUG Member that found value from its trial membership and decided that full membership would be a great value.

J.R. attended his first CRMUG Academy class this fall in conjunction with CRMUG Summit in Las Vegas. Nalco is upgrading to Microsoft Dynamics CRM 2011 in the next couple of months, and J.R. wanted to gain greater insight into the preparations necessary for the upgrade.

“The Academy class gave me a good idea of what will be needed,” says J.R. “It was definitely worth my while. The scripting of the class was accurate,

and I got everything out of it that I was expecting.” In addition to the technical insight, J.R. enjoyed

the opportunity to discuss implementation scenarios with fellow Users.

“The instructor was knowledgeable and really engaged in the class,” says J.R. “He wanted us to ask questions and gave us real-life scenarios, which are always a benefit.”

J.R. is looking forward to his next class, which will likely be one of the Academy’s remote offerings as getting away from the office, especially in the midst and wake of an upgrade, proves to be a challenge.

“I’d recommend that other Microsoft Dynamics CRM Users check out an Academy class,” says J.R. “It’s a great way to get the information I need while making connections with fellow Users.” CRMUG

Adding Phone Number Auto Formatting to 2011 Forms

To add phone number auto formatting to Microsoft Dynamics CRM 2011 forms using centralized JavaScript code, which is referenced, rather than pasting the script in every field’s event which you had to do in Microsoft Dynamics CRM 4.0, set up

your first centralized JavaScript file:1. Click on Settings/Customizations, click on Customize the

System2. Click on Web Resources3. Click on New

On the New Web Resources page, enter a name for your JavaScript file like “CommonFunctions”, and select Script (Jscript) as the Type.

4. Click Save5. Click the Text Editor button6. Enter the script like this (note the reference to the context)

7. Click OK to close the Text Editor8. Click Publish to publish the script and make it available to

be called from forms9. Next, customize a form with phone numbers such as the Lead

form and Click on the Form Properties button in the toolbar

10. Click the Add button to add the CommonFunctions library you just published to be referenced by the form

11. Now for each phone number field on the form, select the field in the control dropdown, select On Change for the Event, and click the Add button to add an event handler for that field

12. Select the Library you just published and type in the function name; make sure “Enabled” is checked, and for this type of reusable code check the “Pass execution context as first parameter” option

13. Click OK, save everything, and publish the form14. Now you should be able to type 10 digits in the phone field

and the script will format it. If you don’t type 10 digits, the script will leave the value in place.

15. Notice the clever new feature to pass the execution context, get the field without hardcoding the fieldname, and being able to reuse the central code from any form and any phone field.

CRMUG: Tell me a little bit about your Customers.Jim Prothe (JP): We’ve had a lot of success in the professional services industries, particularly in accounting, architecture, and construction. Management and leadership in that space want one place to go to get their information, and we’re able to bring that information together through Microsoft Dynamics CRM.

CRMUG: The shift to online deployment for Microsoft Dynamics CRM has created quite a change to the way Users and Partners alike run their businesses. What implications do you see most with the change?JP: We now have an effective comparison point to one of the largest Microsoft Dynamics CRM competitors, Salesforce.com. When clients request an online deployment, they may have been using or looking at Salesforce, but now they are looking for something that integrates with the technology they have and already use, such as Microsoft Office. Because of that, Microsoft Dynamics CRM Online is a good choice for them.

CRMUG: What type of developments do you have coming for your Customers?JP: Our newest practice is enterprise mobility. We decided to start a mobile practice based on the consumerization of IT. There’s a lot of demand by our clients, and the market in general, to make data available on the iPad and other tablet devices.

Our approach is a little different than others in that we’re much more focused on use-case specific scenarios. Rather than building a one-size-fits-all product, we believe in studying the client’s use case and creating a custom app that improves their productivity in the field, such as enabling field reps to take advantage of features such as offline storage, location services, and touch screen functionality.

Our first application has been released and is a mobile sales kit that focuses on offline access to sales material, collateral, and so on. A future offering will include more focus on location services and will be designed for field sales reps to find accounts near them, map locations, drill down on intelligence information, and find key stats so there are no surprises when they walk in for a visit.

These first two applications are meant for the iPad, but we’re on a parallel development track for Windows 8 tablets. When they launch, we’ll be the first with enterprise-level apps for that device.

CRMUG: What’s the biggest challenge when developing mobile apps for Microsoft Dynamics CRM?JP: It hasn’t been the development of the application; it’s more about coming up with usage tactics…not with the iPad itself, but in how Customers use CRM to get the data they need.

CRMUG: We’re glad to have you as a Partner Member of CRMUG. What do you enjoy most about your participation? JP: Keeping a pulse on our User community and hearing their interests and challenges. When you attend events and hear people speaking candidly about their provider, it makes us better at what we do because we know what to do and what to avoid.

CRMUG: What do your Customers enjoy most about their participation in CRMUG?JP: A lot of our bigger clients are pretty active in the group, and they express a lot of value in finding best practices and better ways to do their day-to-day jobs. CRMUG

CRMUG: Tell me about your company’s background.Lou Guercia (LG): Scribe has been in the CRM and data integration market for more than 15 years. We have more history and expertise in and around CRM integration than just about any software company and have worked with Microsoft Dynamics CRM since the very first version in 2003.

It’s a unique position as we’ve not only grown up with the Microsoft Dynamics portfolio, but we’ve also grown up with the Partner channel and Microsoft’s go-to-market strategy which has allowed us to build a global network of more than 1,000 Partners to serve more than 12,000 Customers. We’ve also expanded our practice to the global market and while we’re headquartered in New Hampshire, we’ve doubled our presence with a subsidiary location in The Netherlands.

CRMUG: Share a little about what Scribe does for its Customers.LG: We have CRM data integration solutions that are both software and cloud-based. Our heritage product that most Partners and Customers know is Scribe Insight, and that offering has been in market for more than 10 years.

Last year at Convergence we showed Scribe Online, a cloud-based integration platform built entirely on the Microsoft stack with Microsoft Azure as the platform and support from .NET and Silverlight.

This product was developed for the trend of hybrid computing, and it can be delivered via the cloud and locally for the Partners and Customers who want to integrate with back office systems that are still running on-premise. We’re one of the few data integration providers that can offer both deployment options right now. Cloud-based computing is a trend that’s only going to gather more steam, and we want to provide our Customers with the ability to make the decisions based on what’s best for their business needs.

CRMUG: What do you have coming up for Customers?LG: We have a couple of really big things for Convergence. We recently introduced Scribe Online Synchronization Service (SYS), which gives Customers the ability to connect Microsoft Dynamics CRM to other data sources such as SQL, MySQL, ODBC database, OLE DB, and text files.

In addition to that, we announced our SPARK developer program, where developers can write their own connectors. This is really great for those who have an application that they want to integrate with Microsoft Dynamics CRM.

CRMUG: Many Users are doing their own development work these days. Can they work with you to make adjustments on their own?LG: Yes, Scribe Online SYS enables them to see if they can build a connector for their business. We want to provide more value to Microsoft Dynamics CRM Users so they’re able to be more successful and offering choice between on-premise and on-demand cloud service is important.

CRMUG: What sets you apart from your competition?LG: We have so much experience and expertise in integrations, and really understand the issues of integrating Microsoft Dynamics CRM to ERP. Our history in the market backs that up. We also have a strong vision as to where this market is headed and provide thought leadership to make our Partners and Customers more successful as they implement the software and extend its value to their companies.

CRMUG: What’s been the greatest benefit of being involved in CRMUG?LG: We’ve been a big supporter for awhile and are very active. Being part of CRMUG has enabled us to provide additional value to Customers, whether that’s answering questions at Summit or presenting during webinars and regional meetings.

The input we receive from Users is also so valuable. That feedback goes back into our business and becomes part of our product roadmap to provide better support for our Customers.

CRMUG: What would you recommend Users do to benefit more from CRMUG?LG: The best thing for a new User is to get active in discussions so the CRM community can help them have a successful launch and implementation. Getting into that conversation is going to help a lot of Users get quick value.

It’s equally important for more established Microsoft Dynamics CRM Users to participate in as many activities as possible. CRM is not a static thing, and the conversations are now around how CRM itself is becoming more strategic, enabling companies to build repositories of information that help people build stronger businesses and achieve terrific outcomes.

If you’re not active in the discussion, you’re not maximizing your chances for longer term success. That’s why we show up at so many of the events; we want an opportunity to learn as well as share our own thinking. CRMUG

Business SituationI would like to filter my look up for the primary contact of an

account to only those contacts that are related to that particular account.

SolutionIn Microsoft Dynamics CRM 2011, you now have the ability to

filter your look ups between entities without any code.From within the record, you have lookup fields. You can now

search for only your records or you can filter by related parent records.

1. You can configure the filter by opening up an account, click on the customize tab, click on form.

2. Double click on the primary contact lookup field to bring up the fields properties. On the display tab, you have a section called Related Records Filtering.

3. In the Only show records where: choose “Contacts (Parent Customer (Accounts))”.

4. In the Contains, choose “Current Record”.

2. To keep track of the movement of that individual from one account to the next, you can use a Connection. Create a contact connection role called “Previously Employed”.

3. Create a connection for the new contact record using the “Previously Employed” role to the old contact record. You can include dates of employment and other notes or descriptions to the connection.

Now when I open Kenny Rogers’ record, I have a Previously Employed Connection to the old contact record with all of Kenny’s history to his previous employer.

4. Lastly, to maintain the history for the contact associated to the old account, you will want to deactivate the contact in lieu of deleting the contact record. By deactivating the contact, you will maintain the history and audit trail; however, it cannot be edited, and relationships between the account or contact and other records cannot be created.
