Teacher Access Center (Teachers) Target Audience

1. All general and special education students in Grades K-5 (except for students served in

PPCD, Life Skills, or Applied Skills), should be administered the District’s Universal

Screening Instrument: K-2 Humble Early Reading Inventory (HERSI) or Grades 3-5 Humble

Intermediate Inventory Screening (HILS) a minimum of two times per year. Each student

must have MP1 and MP4 data. (Note: K-2 and 2nd

grade bilingual students will have

additional data entered for MP2 and/or MP3.)

2. Students receiving additional services through Special Education:

i.The classroom teacher and/or special education teacher/case manager should determine

who is to administer the appropriate assessment and both should analyze the data and plan

for targeted instruction.

ii.It is the homeroom teacher’s responsibility to make sure the student’s assessment data is

entered into eSchool.

iii.If an off-year assessment is given, (i.e.: a 3rd

grade student is given HERSI) enter the data in

the fields available, note the type of assessment used and additional scoring information

(i.e.: CAP- 10/18; LID- 13/54, etc) in the comments field.

3. If a student is served in PPCD, Life Skills, or Applied Skills, an assessment record must

be entered into eSchool. Enter date, appropriate test type, language. In each component field,

select from the drop down N/A and enter 0 in the WV (Writing Vocabulary) field. Enter

assessed with alternative assessment in the comments field and save the student record. It is

the homeroom teacher’s responsibility to make sure the student’s assessment data is entered

into eSchool.

Standardized test scores can be accessed through the Teacher Access Center. All TAKS scores are

centrally loaded and you have ‘view only’ access to that information. However, scores for the

following three tests must be manually entered for each student.

1. Pre-K Literacy Assessment

2. HERSI K-2

3. HILS 3-5

NOTE: When viewing test scores, always scroll to the far right of the screen to make sure all

information is viewable.

How to view TAKS scores

1. From the Teacher Access Center Home Page, click the List link in the Primary Homeroom row.

2. Click on a student’s name.

3. Click the Test Summary button, and then maximize the screen.

4. Scroll down to the TAKS 2008-2010 information.

This is a very wide screen, so you’ll have to scroll to the right in order to view all information.

5. Each row represents one administration of the TAKS test. The first 4 columns give you general

information about the test.

6. Each subject component of the TAKS test is grouped together with the name of the section in

the blue bar.

Reading Mathematics

Scroll to the right to see the Social Studies, Science and Writing sections of the test.

How to enter student’s scores for the Pre-K Literacy Assessment

1. From the Teacher Access Center Home Page, click the List link in the Primary Homeroom row.

2. Click on a student’s name.

3. Click the Test Summary button, and then maximize the screen.

4. In the Pre-K Literacy Assessment area, click the New button.

5. The top part of the screen allows you to enter general information about the Pre-K Literacy

Assessment. Enter the following:

- Test Date: (enter the date that the test was given – xx/xx/xxxx. For multiple testing

dates, enter the date that the test began.) This cannot be changed once the save

button is clicked, so please verify the date before you click save.

- The rest of the boxes in this area should auto-populate when you put in the test date.

- Make sure there is a check in the ‘Print on Transcripts’ box.

6. Enter the following information (Press the tab key to move to the next field):

How to enter student’s scores for HERSI K-2

1. From the Teacher Access Center Home Page, click the List link in the Primary Homeroom row.

- WT K-1: Enter a value from 0 to 20.

- WT 2nd: Enter a value from A to H.

- WV: Enter the appropriate value. Note: You MUST enter a number.

Enter 0 even if WV is not assessed at this time (i.e. Kindergarten-MP1) - Dictation/Spelling: Enter a value 0 to 39.

- TL (DRA): Use the drop-down and select the appropriate value.

- Text Type: Enter either Fiction or Non-Fiction.

- DRA Comp: Enter a value 6 to 24.

- Use the 4 comment lines as needed.

7. Click the Save button.

How to enter student’s scores for HILS 3-5

1. From the Teacher Access Center Home Page, click the List link in the Primary Homeroom row.

2. Click on a student’s name.

4. In the HILS 3-5 area, click the New button.

Enter the following:

- Use the 4 comment lines as needed.

7. Click the Save button.

How to edit a test record

After test records have been entered, teachers may go back into the test detail area and modify any

field, except test date. Use these instructions.

1. From the Teacher Access Center Home Page, click the List link.

2. Select a student’s name.

3. Click the Test Summary button.

4. Click the test date link for the test that you want to modify.

5. Make the necessary modifications.

6. Click the Save button.

Multiple Testing Dates

The administration of the Universal Screening Instrument will be administered over multiple days by

the classroom teacher. We suggest the following guidance for entering data:

-When testing is complete, enter all testing data, under one test date. If you choose to enter the data

when each assessment component is completed, you will need to edit the existing test record to enter

the scores rather than create a new test record.

-If you have given an additional assessment throughout a Marking Period (MP) and wish to record the

information in eSchool; AND you do not administer all components of the Universal Screening

Assessment at this time, then you will need to carry over the most recent information from those fields

in previous testing dates.

Note: Teacher Mastery and Benchmark Reports are created from the very last test entry record.

Therefore, it is imperative that the last data entry for a given Marking Period (MP) has data

entered for ALL fields! Do not leave N/A in a field, as this will result in inaccurate reports.

How to delete a test record

The only reason you would need to delete a test record is if an incorrect test date was entered. Since

teachers do not have the ability to delete test records, use the following instructions to remove a line

from the Pre-K Literacy Assessment, HERSI K-2, or HILS 3-5 test areas. (TAKS scores may not be

deleted)

1. From the Teacher Access Center Home Page, click the List link.

2. Select a student’s name.

3. Click the Test Summary button.

4. Click the test date link for the test that you want to delete.

5. Enter the word ‘DELETE’ in the Line 1 Comments area at the bottom of the screen.

6. Click the Save button.

7. Campus Literacy Coaches will be responsible for deleting their campus test records.

What to do if you need help

1. Logging in

a. Use the Internet Browser to access eSchool.

b. Enter your Novell username and password.

c. Click the OK button to log on to the Teacher Access Center.

2. Locked out

If you get locked out and cannot log in, please complete a HEAT ticket.

3. Entering Data

a. If there is no “new” button on the Test Summary screen:

i. Check to be sure that you have opened eSchool with Internet Explore rather than

Mozilla Firefox.

ii. Click the “show all” box on the Test Summary screen. Checking this box should

show all test areas and new buttons for the student. You should then able to click

"new" and enter data for the appropriate test type.

b. If your campus Literacy Coach is unable to assist you, please contact the ELAR

Department for assistance.

eSchool (Administrators & Literacy Coaches)

Test score information is available for viewing through the eSchool application. When viewing any

test, make sure you scroll all the way to the right in order to see all components of the test.

How to view a Test Score

1. Select Student Center, Testing, Test History

2. Search for a student and select the name.

3. All test information that is contained in eSchool for this student will show in a list format.

4. Click the name of the test that you want to view.

5. Scroll down to view all subtests.

6. Click Test List to get back to the previous screen. NOTE: Do NOT click “save” to go back to

previous screen. This could alter the previous test data.

How to view all Test Scores

1. Select Student Center, Testing, Test Summary

2. Search for a student and select the name.

3. Scroll down the page to see all test information in a summary format. Make sure you scroll all

the way to the right in order to see all components of the test.

How to delete a Test Score

1. Select Student Center, Testing, Test History

2. Search for a student and select the name.

3. All test information that is contained in eSchool for this student will show in a list format.

4. Click the Delete box in the row of the appropriate test entry.

5. Select “Delete”

How to view, email, and print reports

There are various types of reports that can be viewed and printed through the Student Center. Follow

these steps to view reports:

1. Click Cognos Reporting

2. Enter your Novell username and password

4. Here you will view a list of available reports.

□ Hersi Hils PK Lit Delete/Remove Test Listing: Coaches will use this list as a guide to delete

selected test records from eSchool.

o Select Campus

and not meeting benchmark, along with a total for the campus by grade level.

□ Hersi Hils PK Lit Missing Test Report: Report generates a list of students who are missing

selected testing components by classroom.

□ Hersi Hils PK Lit Multiple Test Report: Report generates a list of students who have

multiple test entries for selected test type.

o Select Campus

□ Hersi Hils PK Lit Teacher Totals: Report generates a list of all teachers on the campus, the

number of students assigned to their homeroom, and the number of students with testing data.

o Select Campus

o Select Report Type

o Click Finish

□ Hersi Hils PK Lit Summer School: Report generates a list of students who meet the eligibility

criteria for District Summer School.

5. To email reports, once the report is running:

• Click “Select a Delivery Method”

• Click “Email Report”

• Check the box that says “Attach Report” and verify your email address is accurate.

• Click “OK”

• Click on the icon that says “View in PDF Format”

• Click print

Special Spanish Situations � Beginning of the Year (MP1) testing in both English and Spanish

� When testing students in both English and Spanish, all testing and data entry for

students’ first language must be completed and entered into eSchool by the initial

date set by the district.

� Testing and data entry for students’ second language will be given an additional 2

week testing window. All data must be entered into eSchool no later than 2 weeks

after the initial testing date.

� Data entry for testing in both English and Spanish

� When a student is tested in both languages, please create two separate test

dates/entries for each assessment. Be sure to change the Language box to

reflect the correct language for the assessment.

� Refer to District documents for specific information regarding the administration of

assessments for students in Bilingual and Dual Language Programs.

� HERSI—2nd Grade Word Test

� Enter the total number of words read correctly using the numbers designated for

the Spanish assessment. These numbers are characterized with (S).
