Dear Kleb Intermediate Choir Members and Parents:

Welcome to the Kleb Intermediate School Choir! I am excited about the opportunity to work with such a wonderful group of students and parents. You have chosen to be a part of a fantastic music program. There is much to gain from Kleb Intermediate Choir, especially when you choose to be an active participant.

I am thrilled to begin this 2013-2014 school year and excited about the opportunities our program will provide for the members. I know this year will be fun, memorable, educational, and full of great music!

Every year students and parents are eager to know all the information needed to have a successful year. Many of you may have questions and concerns about our procedures and requirements; therefore, every choir member is receiving the Kleb Choir Handbook to help ease those concerns.

In this handbook, you will find information and guidelines. Please read and become familiar with the following topics: UNIFORMS, CHOIR PROCEDURES, STUDENT OPPORTUNITIES, GENERAL INFORMATION and all forms. Keep this handbook for the duration of the year because you may need to refer to it in the future. This information will hold all parties accountable for their actions and keep situations fair. Read these pages carefully and allow me to answer any questions you may have. Communication is the key to success in any organization, so please call or email if you have concerns, and I will be happy to address them.

Also, if you are a parent or guardian who wants to become a Kleb Choir Parent Volunteer, please come to Kleb Intermediate’s Fall Open House on Thursday, September 12th to sign up or complete the Choir Parent Volunteer Form provided in this handbook.

KLEB INTERMEDIATE CHORAL DEPARTMENTPERFORMANCE GROUPS

Advanced Girls Choir: Auditioned singers comprise this choir. They continue work on the concepts of balance, blend, fundamentals of musicianship, and developing strong sight-reading skills in addition to studying more difficult and demanding literature.Advance Girls Choir members are required to participate in their choice of at least one extra-curricular Choir Event: Solo and Ensemble Contest and/or Region Choir Auditions. These events contain fees and required academic eligibility.

Advance Boys Choir: This all-male ensemble is designed to encourage and promote growth, and is a very important part of our choral program. Male students in 7th and 8th grade make up this choir. Advance Boys Choir members are required to participate in their choice of at least one extra-curricular Choir Event: Solo and Ensemble Contest and/or Region Choir Auditions. These events contain fees and required academic eligibility.

Intermediate Girls Choir: This ensemble is primarily comprised of students who have been a member of the 6th grade choir and have mastered the basic skills of pitch and interval accuracy, sight-reading, and tonal memory. This choir may also include 7th and 8th grade students who are new to choir.

6th Grade Girls Beginning Choir: This ensemble is designed for the new female choir members without secondary experience in music reading or singing fundamentals. This class helps students master the basic tools needed to move into one of the more advanced ensembles.

6th Grade Boys Beginning Choir: This is the first time we are having this choir! This ensemble is designed for the new male choir members without secondary experience in music reading or singing fundamentals; Students will transition from elementary music to middle school music while focusing on the male changing voice. This class helps students master the basic tools needed to move into one of the more advanced ensembles.

UniformsADVANCE GIRLS/ INTERMEDIATE GIRLS CHOIR: These students are measured at the beginning of the year for long elegant black choir dresses. Some students may need to have their dress altered (more information about alterations later). All Intermediate Girls and Advance Girls are responsible for providing their own black flat closed toe dress shoes.

- Black Choir Dress (purchase with uniform fee; see fee form)- Black flat closed toed shoes (students provide)

ADVANCE BOYS CHOIR: All boys are responsible for providing their own black pants and dress shoes. All other garments will be purchased through Kleb Choir. We take care of measurements during class. See “Fee Form” for more information.

- White tux Shirt (purchase with uniform fee; see fee form)- Cummerbund and Tie (purchase with uniform fee; see fee form)- Black pants (students provide)- Black dress shoes and black socks (students provide)

6TH GRADE Girls/Boys BEGINNING CHOIR: 6th graders will wear their choir t-shirt which will be included in the choir fee. 6th graders will need to provide their own black pants and black, close toe, flat shoes.

- Choir Shirt (purchase with t-shirt fee; see fee form)- Black pants (students provide)- Black shoes and black socks (students provide)

Choir Procedures

Attendance Procedure for Rehearsals and PerformancesPUNCTUAL ATTENDANCE IS EXPECTED AT ALL REHEARSALS AND PERFORMANCES !

These events are co-curricular activities, therefore making them Mandatory and allowing them to be major grades for the students.

EXCUSED ABSENCES - In the event of an unavoidable absence from a performance or rehearsal, Ms. Tolmsoff must receive a parental contact via email no less than 2 weeks prior to the event. If a student is excused to be absent and has properly informed Ms. Tolmsoff, the student will be given a makeup assignment to complete to receive full credit for the major grade. You will not be penalized if you are absent due to severe personal illness or a catastrophic family emergency. It is your responsibility to schedule planned doctor, dentist, and other such appointments around your choir commitment schedule.

UNEXCUSED ABSENCES 1) If Ms. Tolmsoff is not properly informed of a student’s absence in a timely manner (two weeks prior to the event), there will be a make-up assignment to complete. The highest grade a student will be able to receive is a 70 on the make-up assignment. 2) If Ms. Tolmsoff is not informed of a student’s absence at all, the student will receive a make-up assessment to complete; however the highest grade a student will receive is a 50 on the make-up assignment.

***Whether a student has an excused or unexcused absence from for a mandatory rehearsal or concert, the student must complete a make-up assignment. Please see “Grading Procedure” below for more information.

Minor Grades 40% Daily Participation Grades- Students will receive 20 points a day for each week allowing them to earn up to 100 points per week (5 days X 20 points= 100 points). Students earn 1 daily participation grade per week leaving them 6 grades per 6 weeks.

In Class Assignments- If students are given an in class assignment and they do not complete it they must complete the work at home and turn it in the following school day at the beginning of class.

Make-up Assignments for Missed Rehearsals/Concerts for Major Grades:Excused Absence- Students who give 2 week advance notice and are approved of their absence for a mandatory rehearsal/concert will receive a make-up assignment. They will receive full credit on this assignment if completed.

Unexcused Absences- Students who fail to give a 2 weeks advance notice and/or are not approved for their absence for a mandatory rehearsal/concert will receive a make-up assignment. However, they will receive partial credit (70 points) on this assignment if completed. If student fails to turn in assignment by the end of the 6 weeks, the student will receive a zero for a major grade.

Timetable for Redoing Assignments or Retaking Tests:Redoing Daily Assignments- Due the Friday following the initial due date.

Retaking Tests- Due at the end of the 6 weeks in which the test was assigned. Retests are unlimited.

Missed rehearsals/concerts for major grades- An alternative assignment will be given which is due one week following the initial rehearsal or concert date.

***Late assignments will be deducted 10 points for every school day the assignment is late.

EligibilityUIL rules state students must pass all regular classes (previous 6 weeks) to be eligible to

participate in any UIL events such as contests and auditions. There are 3-week periods that can only help a student’s participation in these events. UIL Events include Solo and Ensemble, Region Choir Auditions, and UIL Sight Reading and Concert Contest.

Religious/Secular MusicIn music history, religion is an immense influence on music in many different ways. For

educational reasons, there will be religious music performed, but in the same manner there will be an equal amount of secular music performed. This portion of the handbook is included to inform students and parents of the purpose of these various types of songs. Again, it is purely for educational reasons and not religious or secular preferences.

Choir Fees/MoniesFind your choir’s appropriate “Fee Form” and fill out the information. All monies turned in

are final transactions and will not be reimbursed.

All checks for ANY and ALL choir event/fundraiser/fees should be made payable to “Kleb Choir” and MUST have the student’s name & event description in the memo line. Checks or money orders are ALWAYS preferred above cash.

CHOIR ROOM RULES

Be Present and Ready to Learn Come to school. You cannot succeed in your education if you are absent. Be in your assigned seat with your choir folder when the bell rings. Leave your personal belongings in the assigned area. Be mentally ready to learn. Try to leave your personal situations “at the door.” Be physically prepared to sing – take care of your instrument! Restroom and water fountains are to be used between classes. Have pencil ready to mark music at all times.

Be Respectful Talking and disruptions are not allowed in rehearsals. Talking while others are singing is a HUGE distraction. No gum! No gum! No gum! EVER! No food or drinks. Bottled water is acceptable. Personal grooming at your seat is unacceptable. This includes

o Brushing your hairo Spraying deodorizer, colognes, perfumes, or hairsprayo Applying scented lotionso Grooming other people’s hairo Applying cosmetics

Be kind to your classmates – the wrong word or look can hurt very quickly! Utilize personal space with care to others. Use appropriate speaking voices when speaking to the class, other students, and/or the director.

Be Responsible Personal belongings are not allowed on the risers. Folders are to be placed in the correct slot at the end of class. Be careful about involving yourself in other people’s issues. Restroom and water fountains are to be used between classes. Keep pencil sharpened. This task must be done before class begins. Choir is a PENCIL-ONLY classroom. Music markings in pen are not acceptable. Highlighter pen use is not acceptable. Removable highlighter tape is allowed. Stay in your assigned seat.

Follow Adult Direction The first time. Speak with permission. Stay in your assigned seat.

Hands and Feet to Self Use of the following items requires Choir Director approval –

dry-erase board, piano, stereo, media cart components, phone, choir office, choir library, practice rooms Keep your feet off the chairs! Utilize personal space wisely.

Consequences:1st offense: verbal or non-verbal warning2nd offense: removal from rehearsal; student conference with the Choir Director, parent contact3rd offense: office referral

Student Opportunities

Above and BeyondSolo & Ensemble: - Solo & Ensemble Festival provides the opportunity for students to receive individual attention on their singing performance. The Klein ISD Solo/Ensemble Contest is a very prestigious contest that all students should take part in at some point in their Kleb Choir experience. This event provides students with an opportunity to select a song from the UIL Prescribed Music List, memorize it, and perform it for an appointed judge. The judge gives them a rating based on musicality, interpretation, knowledge of the song, memorization, vocal technique, etc. In addition, the judge gives a brief clinic/coaching session to each student. For 7th & 8th grade students, the contest is held November 8th and 9th, 2013. For 6th grade students, the contest is held in April 2014. Outside practice is necessary for better individual preparation. Participating students MUST be academically eligible. Extra fees apply. More information to come.*** Advance Girls and Advance Boys Choir members are required to participate in Solo and Ensemble Contest and/or Region Choir Auditions. They must choose at least one to participate in.

Region Choir: 7th & 8th grade students are encouraged to audition for the Region Choir, a prestigious choir which involves an audition on January 25th 2014, and is culminated in a weekend clinic and concert on February 7th and 8th, 2014. Both Kleb Advanced Choirs are required to participate in this January audition if they did not participate in the Fall Solo and Ensemble Contest. There will be scheduled before and after school rehearsals. Outside practice is necessary for better preparation. Participating students MUST be academically eligible. Extra fees apply. More information to come.*** Advance Girls and Advance Boys Choir members are required to participate in Solo and Ensemble Contest and/or Region Choir Auditions. They must choose at least one to participate in. UIL Concert & Sight-reading Contest: In the springtime, the Advanced Girls, Advance Boys, and Intermediate Girls Choirs will participate in this contest. This is a MANDATORY event for those students who are academically eligible. Participating students MUST be academically eligible.

Social Events: Throughout the year, we will have various social activities that we invite any and all choir members to participate in. Students do not need to be eligible to participate in these outside activities. However, students who have not paid the choir fee will not participate in any social event until full payment is made.

Choir CouncilToward the beginning of the school year, each choir member will have the opportunity to run

and vote for choir council. Officers in each choir will be expected to go above and beyond the regular activities and responsibilities of the average choir member. They will be expected to attend minimal before-school officer meetings set by Ms. Tolmsoff (once or twice a semester), and will be called on throughout the year to help prepare and assist in all activities.

President (1 Student): This position is known as “the voice” for the choir. The Choir President will have the most responsibility in helping Ms. Tolmsoff with the Choir Council and other choral duties. This student will help delegate duties to other council members and communicate to the other choirs any Choir Council news or updates. Specifically, the president will be responsible for coordinating officer meetings throughout the year, helping to coordinate a choir service project, taking pictures of choir events for the memory book and end of the year slide show, and being a co-host to visiting guests or a new student. The president will set out attendance sheets and take up attendance sheets prior to concerts. Then the president will hand attendance sheets to Ms. Tolmsoff before the concert begins. The president will also be responsible for using effective contact with the fellow officers, especially the Vice President. An 8th grade student who is a part of the Advance Choirs will hold this office.

Vice President (1 Student): This position is known as “the assistant” of the choir. This student will be the president’s “right hand”. The responsibilities of the vice president consist of helping oversee the outside activities of the choir and assisting Ms. Tolmsoff in day-to-day operations. The vice president must be someone who sets a good example for the choir members, is comfortable with people, exemplifies maturity, and will help fulfill the responsibilities of those officers who are absent during an activity. Specifically, the vice president will be responsible for assisting in the coordination of officer meetings throughout the year, helping to coordinate a choir service project, and being a co-host to visiting guests or a new student. An 8th or 7th grade Advance Choir member will hold this position.

Librarian (1 student): This position is known as “the organizer” of the choir. The librarian is responsible for making sure each choir member has a copy of each piece of music, processing and filing new music, organizing and maintaining the library, and helping Ms. Tolmsoff with the Audio/Visual tasks associated with music in the library. Librarians should portray a love of filing and order. An 8th or 7th grade choir member will hold this position.

Secretaries (1 per choir): This position is known as “the runner” of the choir. The secretaries are responsible for assisting in taking attendance, gathering and sorting permission forms and assignments, and helping Ms. Tolmsoff keep the choir room and office in proper order. Secretaries should portray a love of organizing and order as well. 8 th or 7th

grade students will hold this position.

Choir Representative (1 per 7th-8th grade choir): This position is known as “the connection” from council to the choirs. This student is to be the voice for the choir during Choir Council meetings and the informant of Choir Council activities to their choirs. There is 1 representative from 7th-8th grade choirs. The representative also has the duties of the secretaries during class time.

General Information

CalendarRefer to your choir’s calendar. Listed on this page you will find a tentative calendar for the

2012-2013school year. Frequently we have to make adjustments when unforeseen activities and events arise. If any revisions are made, you will be notified well in advance. This serves as an overview for the year. Detailed information sheets will be sent home as the various events draw near.

FundraisingThe function of fundraising for our choir program is to provide quality programs, education,

concerts, events, activities, and music for our choir members. Each year, we will raise funds for something specifically new or different, based on the program’s needs. Our program will participate in up to two or three fundraisers this school year. Each choir member is encouraged to participate in the fundraiser. However, if you choose not to participate, a $35 donation per student per fundraiser is kindly requested, to offset the amount that would benefit the choir activity fund from the fundraising. Check the calendar for fundraising dates.

MUSICEvery choir member will be assigned a music folder. Music will be placed in the folder

according to an assigned file number. Each student will be responsible for the proper use, maintenance and return of the assigned music, as well as the folder. Lost or damaged music will be replaced at the rate of $1.00 per copy. Octavos over $1.00 will be charged cost + 15%. Replacement folders cost $5. Please DO NOT BORROW music from another folder or use another student's folder.

such as this handbook, permission forms, up coming dates, and more. You can access the website by going to Kleb Intermediate’s webpage (http://classroom.kleinisd.net/webs/kleb/home.htm), and click on the “Teachers” tab at the top. Continue to step 1: click on fine arts, step 2: click on Ms. Kendra Tolmsoff, and step 3: click the button “Search”. You will then be on Kleb Choir’s website.

CHARMSThis is an online program which is the primary way Ms. Tolmsoff keeps in contact with

parents. This website also allows Ms. Tolmsoff to manage all aspects of the choir program more efficiently. At the beginning of the year, students will be given an assignment that provides Ms. Tolmsoff with necessary student and parent information. The website is: www.charmsoffice.com. You are able to access it as well to update information on your own as well. More information to come!

PARENT VOLUNTEERSParents are crucial to our organization and the success of the programs. Without parental

help, many of our plans would fall short of the goal. Please take the time to either sign up for our parent volunteer committee during Fall Open House (September 12th) or complete the Choir Parent Volunteer Form provided in the handbook.

Contact InformationPlease make certain Ms. Tolmsoff has at least one valid email address for keeping

students/parents appraised of important activities, emergency messages, and deadlines. This is an invaluable and time saving communication tool. Also, Ms. Tolmsoff may be contacted via choir office phone during my conference period, which is 4th period: 12pm-1:15pm. Parents are welcome to make appointments for office visits during Ms. Tolmsoff’s conference period.

If I am not able to, I will contact Ms. Tolmsoff or any other willing choir parent for assistance because I am aware there are people who will help my child and me as long as requests are within reason.

4) I am aware that information provided in the Choir Handbook is subject to change within reason. I am also aware that Ms. Tolmsoff will provide me with information within a reasonable time frame if there are any adjustments.

Choir Parent Volunteer Committee FormDue by Friday, September 13th

Dear Choir Parents,

If you are interested in joining our Choir Parent Volunteer Committee, please either turn in this form by Friday, September 13th or sign up during the Fall Open House on Thursday September 12th.

All parents are in encouraged to be involved in their child’s choir commitments, but it can be difficult due to time management. Well, you’re in luck because there are many types of volunteering assignments you may be apart of; for example, social events, chaperoning for during school events and after school events, dress alterations, measuring for uniforms, fundraisers, etc. There are many things you may sign up for in advance to avoid any scheduling conflicts in the future.

Remember, children feel important when their parents are involved in their commitments. By becoming involved, you are not just helping us build an excellent program, you are setting a strong foundation for our choir family to grow.
