    1. INTRODUCTION

    1.1 CONTENTS

    This manual is a notice of using recorder software and reader VOIP. It defines the different functions available to the user and explains the whole functions. The manual of installation Ref 1 gives complementary details on the start-up and the configurations of this software.

    1.2 APPLICABILITY

    Note of use of the software EnregVOIP (recorder) and LecteurVOIP (reader).

    1.3 GLOSSARY

    VOIP Voice Over IP IP Internet Protocol Session Part of communications corresponding to the speech time of a speaker.

    2. SPECIFICATIONS

    2.1 HARDWARE SPECIFICATIONS

    The recorder is making up of a standard multi-media PC with characteristics followed:

    Processor Pentium 450 MHz Access local network 10/100 M Sound card Hard disk > 20 G octets RAM > 16 M Screen, keyboard, and mouse are standards.

    2.2 FUNCTIONALS SPECIFICATIONS RECORDING

    Recording of all phony communications forwarding on local network Dating of the recordings Recording of the references calling/called for each communication Recording of the speakers references at each time of the communication Capacity of recording > 40 simultaneous communications Automatic erasing of the oldest recording in case of hard disk overflow Possibility to listen in real time the recorded communications

    2.3 READ AGAIN SPECIFICATIONS

    3. DESCRIPTION

    3.1 INSTALLATION

    The program of installation places the recorder and the reader in a specific directory. For more information, it is necessary to read the manual of installation Ref 1. When you restart your installation, the Recorder VOIP software is executed automatically. The read again program should be executed manually.

    3.2 RECORDER

    3.2.1 THE STARTING

    In the standard installation, the software execution is automatic after the starting of the computer. For a specific installation, when the starting is not automatic, you have just to click on the recorder icon locating in the Bureau or select the RecorderVOIP.exe file in the Dmarrer menu.

    3.2.2 PRINCIPLE

    The VOIP recorder allows to recording all phony communications which are active on the LAN network between the TETRA SWITCH system and the operators post. A daily backup is automatically executed. The software ensures an automatic purging of these files not to saturate the backup function. A manual backup of the whole or a part of the communications can be executed by the user. If the number of communications is too big, several recorders can be connected. You have just to configure them so that the communications are distributed correctly. The Ref 1 manual describes the process. The connexion with the VOIP reader completes the device and allows the read again of the old communication or the direct read again of a communication in progress. For reasons of confidentiality and security, this program can be installing without VOIP reader.

    3.2.3 PRESENTATION

    Executing the recorder, the program is placed in status bar.

    An icon indicates the status of the recorder. If the connexion with the TETRA SWITCH is operational and at least one communication is in progress, the icon status bar is changing like follow.

    In placing on icon with the mouse, the identification and the version of the software are indicated.

    Placing the mouse on the icon pressing right key, the main menu the follow menu appears:

    Figure 1 Main menu This menu allows: - Ouvrir (Open) access to the main window of the recorder - Sauvegarde (Backup) enter directly in the user backup menu - Suspendre (Suspend) suspend all the communications in progress - Fermer (Close) close definitively the program These functions are available in the main window. With a double click on the icon, the main window is directly visualised.

    3.2.4 MAIN WINDOW

    The main window is visualised on two forms:

    Figure 7 - Main window without list The moving indicates when the recording is in progress. The value places in top of the window indicate the number of saved packets. The follows line indicates the directory of the daily backup on the support selected. This support can be on the system or another one distant. For a reason of rapidity, it is recommended to use the local system. The three follows fields indicated the free space, the total space and the percentage occupied by the selected support. This view indicates the activity of the recorder. In the bar status located in the front of the window, the number of communications in progress is visualized in real time.

    3.2.5 DESCRIPTION OF THE LIST OF COMMUNICATIONS

    The list of communications is showed in a board which is composed in two parts. The first one is editable and allows to place or remove a cross symbol X to activate your selection. This selection has aim to execute a preset for a backup or a future read again of the communication. The second part contains a complete description of the communication. It contains to the follows information:

    - Numro (Number) Number of communications allocated by the TETRA system

    - Nb locuteur (Nb speaker) Number of speakers - Locuteur (Speaker) List of speakers (the 4 first) - Heure (Hour) Hour of the communication beginning - Temps (Time) Time of the communication

    - Localisation (Localization) Tetra Relay identification - Priorit (Priority) Type of priority - Etat (Status) Status of communication (in progress)

    3.2.6 CHOICE OF THE WINDOW RECORDER

    The switching between the both windows is executed with a click in the Affichage menu followed to Liste. With the key board, the function is Alt + A followed to Alt + L.

    When the user leaves this menu, the last position of the window and the type of visualization are saving. When clicking on the cross (on the top to the right) or taping Alt+F4, the program is reduces in the bar status.

    3.2.7 THE BAR OF THE MENUS

    The bar of the menus allows the access to the different available functions. The functions temporally out of reach are in grey colour.

    3.2.7.1 The recorder menu

    The Enregistreur menus, accessible by the key board with Alt + E, allow the access to the functions follows:

    - Sauvegarde (save) - Suspendre (suspend) - Quitter (quit)

    These functions are similar to those of the main menu accessible in the status bar.

    The function Sauvegarder (Alt E + Alt S) allow to open the window of save which provide to record the whole of the selected communications. If the communications are selected in the list by the cross symbol, those there will be visible directly in the list of saving. This preset allows simplifying the communications saving without using the filters. The writing the cross is executed in clinking on the line which contains the chosen communication or pressing on the key Espace or Entrer. The function Suspendre (Alt E + Alt U) allows stopping the reception of the communications. The communications which are in progress during the suspension are lost. The communications in progress before the suspension are closed. The function Quitter (Alt E + Alt Q) allows closing the application definitely.

    3.2.7.2 The listen menu

    This menu allows the listen again of the communications, the direct listen of a communication and the access of the volume adjustment.

    Warning: this mode use resources systems. If the number of communications in progress is too important, this function is out of reach.

    The Relecture function (Alt C + Alt R) allow executing the read again communication program. A communication is not selecting during this progress. The Ecoute directe function (Alt C + Alt D) allows listening the last communication in progress. This function is also accessible with a double click on the line of the communication which has his field Etat in status in En cours. The volume function provides the access to the menu adjustment volume available in windows.

    A cross on dumb allows stopping the loud speaker for a moment.

    3.2.7.3 The sticking menu

    This menu allows hosing the type of stick up see 2.2.3 choice of the recorder window.

    3.2.7.4 The menu

    This menu accessed to the window to identify the product.

    3.2.8 SAVING WINDOW

    This window is accessible with the main menu (bar status) and also with the recorder menu (file + save).

    This menu allows selection of a communications part to execute a saving on another support. Warning: if the number of communications in progress is too important; the using of the menu is not correct. The reader is made of to a similar menu and this operation can be executed during the read again. This menu contains five parts:

    - Critres de selection (criteria of selection) - Liste des communications slectionnes (list of communications selected) - Destination de sauvegarde (saving destination) - Sauvegarde (saving) - Informations complmentaires (complementary information)

    3.2.8.1 Criteria of selection

    This part allows the selection of communications depending on some criteria. The keys Inserer and Retirer allows multiple selections and increase the possibilities of selection.

    Hour Selection of all communications there will be in progress between two defined hours. If the first hour is not enter, the starting hour will be = 0. If the last hour is not enter, the ending hour will be = 23:59:59.

    Localization (dispatching) Selection of the communications executed on a special site.

    Priority Selection of the communications depending on the priority. The selection is executed in the main list when you want to insert and is executed in the saving list when you want to remove. To obtain a saving list with several criteria, you have to execute some insert functions changing criteria for each step. Choosing several criteria, the filter operation will be an AND logic operation. Inserting or removing will be an OR logic operation.

    3.2.8.2 List of selected communications

    The list contains all the selected communications. Selecting a line and pushing on the remove key, you can remove a communication you dont need in your saving list.

    3.2.8.3 Saving file

    This field indicates the directory and the saving file. The extension will be automatically placed during the saving. The Parcourir key allows selecting a directory searching on the system disk.

    3.2.8.4 Save

    The saving is executed in pushing on the Sauvegarder key. This key is only accessible if the communications has been selected before. An increasing bar indicates the advancing status of the saving. Before saving, the user will verify if the selected support is compatible with the weight of the selected communications file. In a new file has the same name with one already saving in the selected repertory, a new window is sticking to confirm if you want to delete the last one or not.

    The saving of one or the whole of communications is executed in a minimum of three files. The first one has the JNL extension file; it contains the description of the recording communications and their place. The second has the SIZ extension file, it indicates the number of memorized communications, the others files has the VOX extension file, it contains the digitalized communications. The both first are in dissociable. If you loose one of them the read again functions wont be available. The recording on a CD or a streamer would be executing with their own specific software. The saving of the communications will be, in a first time in a file on hard disk and in a second time, the support of the selected software will ensure the copy of this file on his support.

    3.2.8.5 Additional informations

    After selected the communications, some additional informations are stick in the bar status. This information indicates the number of selected communications and the weight of the exact memory necessary for saving. The weight is explains in octets.

    3.2.9 SUSPEND OR EXECUTE AGAIN THE RECORDING

    The user can suspend the recording with the main menu or with the recorder menu.

    Figure 14 main menu You have just to click on Suspendre key to stop for the moment the recording. Press again to Suspendre key continue the recording. The communications which are in progress during the Suspendre command are lost. The communications in progress are closed. When the Suspendre function stop, the communications in progress create a new communication, the hour of the beginning correspond to the hour of the restart function. The Check symbol places in front of the Suspendre text indicate the actual status. During the Suspendre the icon recording sticking in the status bar is follow:

    3.2.10 STOP THE RECORDING

    To stop the recorder you have to click on the key Fermer to the main menu, available in the bar status or with the Quitter key to the recorder menu available with the Fichier menu.

    3.2.11 AUTOMATIC SAVING

    A daily saving is automatically executed every day. After the saving, the list of communications is emptied. The saving contains all the communications of the day which have beginning between 0 and 23h59m59s. No filter is available. If several recorders are present, the communications are dispatching. Example: for 3 recorders The first save the communications which have the number 1, 4, 7, 10 The second: 2, 5, 8, 11.. The third: 3, 6, 9, 12.. The user could listen again the communications of the day with the provide recorder. The file format of saving is similar to the partial saving executed by the user. The saving files have the name Vddmmyynxxxxx. Ddmmyy correspond to the day date of saving et xxxxx to the number of the communication. If a communication is located between two days, it will be saving in the saving file to the beginning of the communication. To avoid saturating the hard disk, we keep the X last days of communication. If the user want keep this files, he should execute a transfer of this files in another directory or at least execute a saving on another support (CD, Streamer). The system configuration of purge is described in the Ref 1 documentation. There 2 possibilities, the first one limit the number of days; the second specify the weight of free space that we should keep on the selected support. The purge always removes the lasted saving day.

    3.3 READER

    3.3.1 STRATING

    Figure 16 Reader icon The reader is starting clicking on the icon located in the Bureau icon of selecting the file LecteurVOIP.exe in Dmarrer. If the recorder is connects to this system, the system can directly execute it. The communications list is the same to the recorder list. The recorder starts the reader to execute a listening of communication in progress. The reader is only used to stick the progress status of the listening.

    3.3.2 PRINCIPLE

    The VOIP reader allows listening again olds communications saves. This software allows sticking the progress during a direct listening. This program can be installs without the recorder.

    3.3.3 PRESENTATION

    His presentation since to be similar with CD reader provides by the windows system. The stickers show the remaining time or the past time of the communication in progress during the reader. The choice of the mode can be selected in the Affichage menu. The graphic indicates if the option has been chose. The numbers located in the left top indicate the communication selected in compared to the whole communication selected. The numbers located in the top of the timing indicates the packet of read in progress compared to the maximum packets which compose this communication.

    The keys execute the following operation:

    Execute the listening of the selected communication

    Stop the listening for a moment

    Stop the listening and go to the beginning of the communication.

    Selection of the first selected communication of the communication list

    Selection of the previous communication

    Selection of the following communication

    Selection of the last communication of the selected communication list

    Adjustment of volume and stopping to the loud speaker

    The field Slection contains the list of the selected communications. The communication sticking is the communication in the course. The user could choose the communication to listen. Clicking in this field, the reader if it is in progress is stopped.

    The field Locuteur indicates, during the reader, the speakers in progress. The first number indicates the number of speakers. During a stop, this field indicates the both first speakers which participating to the communication. The number indicates the exact number of users. The cursor indicates the reading of the communication (in percentage). The user can modify, at any moment, the place of the reading moving the cursor. Clicking on the cursor, the read it is switch in waiting. Every moving step represented a packet (31.25 ms speaking).

    3.3.4 SELECTION OF THE SOURCE

    The reader allows listen the saving communications, the communication located in the reader or to execute a direct reading of a communication in progress. If the user wants to listen a present communication in the recorder, he has just to click on Enregistreur in the Lecture menu.

    If the user wants to listen the saving communications, he has just to click on Ouvrir in the Lecture menu.

    The following window allows listing the several directories. The extension file must be *.jnl.

    In the direct listening case, the identification of the communication is places in the Slection field and the communication can be listening directly. As a communication in progress, the cursor goes to 100% and the sticking indicates the recording time. If the file comprises more than 10 communications, the bar progression is sticking to indicate the advance to the operation.

    Once the source chosen, a cross is placed before Enregistreur or Ouvrir

    3.3.5 SELECTION OF THE COMMUNICATIONS

    When the source is selected, the user could choose the communications to listen. The visualization of the communications list is executed clicking on Liste in the Affichage menu.

    If there is no selection, all the communications are placed in the list of reading. If some communications are selected in the list using a cross, there are visible directly in the read again list. This preset allows simplifying the read again of the communications without using filters. The put on or remove of the cross is executed clicking on the chosen communication and using the Espace key board. If the user wants to reduce the number of communications to listen; he could execute a selection according to a number of criteria. This function is accessible by the menu Slection.

    This window allows selection a group of communications for the read again. It has the same possibilities that the saving window of the recorder. The user could save with this screen the selected communications part during the reading in another file. This screen is presented in fives parts:

    - Critres de selection (criteria of selection) - Liste des communications slectionnes (list of selected communications) - Destination de sauvegarde (saving destination) - Sauvegarde (saving) - Informations complmentaires (additional informations)

    3.3.5.1 Criteria of selection

    This part allows selection of communication according to a number of criteria. The key board Insrer and Retirer allows the multiple selections and increase the possibilities of selection.

    Tous (all) Selection all communications Participant (taking part) Selection of the communications for all the selected speakers took part. Heure (Hour) Selection of all communications in progress between the two seized hours. If the first hour is not seized, the hours of the beginning will be 0. If the last hour is not seized, the hour of the end will be 23:59:59. Localisation (localization) Selection of the communications which were carries out on a specific site. Priorit (priority) Selection of the communications according to the priority of the communication. The selection is executed in the main list when we want insert and in the selection list when we want remove. To obtain a list of selection with several criteria, we have just to execute many insertion changing criteria for each step. Choosing many criteria, the operation of filter correspond to a logic AND operation. When insert or remove correspond to logic OR operation.

    3.3.5.2 List of selected communications

    This list contains all the selected communications. Selecting a line and using Suppr key board we can remove a communication and suspend the saving or the read again.

    3.3.5.3 Saving file

    This field indicates the directory or the saving file. The extension file will be automatically placed during the saving. The key board Parcourir allows the selection of a directory through the hard disk.

    3.3.5.4 Save

    The saving is executed with the Sauvegarder key board. This key is only accessible if the communications will be selected before. A bar of progress indicates the progress report of the saving.

    Before saving, the user should verify that the selected support is compatible with the memory size of the selected communications.

    3.3.5.5 Additional information

    After selecting the communications, much complementary information are sticking in the bar of status. These informations indicate the number of selected communications and the size of memory necessary for the saving.

    3.3.5.6 Listening of the communications selected

    When the communications are selected, the user can execute a read again using the Lecture key board of the main window. After a selection, the first communication is often prepared to the read again. If the Lecture key is in grey colour, a problem is appears during the open of the communication. An information is sticking in the bar status to indicate the problem.

    The third possibility indicates to the user that the sound file has been manipulated since his recording. The saving is necessary for the read again. The user can keep the window of selection opens to listen again the communications.

    The drop down menu Slection allows to choose the communication to listen again among the list of selected communications. The access of this function stops the reading in progress. The Option menu allows a continuous reading of all selected communications.

    3.3.6 THE OPTION MENU

    This menu has two functions using for the listening mode. The first one allows a continuous reading of all selected communications. The second one is accessible only if the first is selected and allows to read indefinitely the selected communications.

    3.4 THE DIRECT LISTENING

    This mode is only accessible when the user asks for listen a communication in progress by the recorder. In this case, the reader only indicates the progress of the recording.

    The sticking time indicates the past time since the beginning of the communication. The key Arrt stops the listening. If the reader has been executed by the recorder, it will be automatically close or the reader will be switch on read again. The Affichage menu or the key HP allows the access to the adjustment of volume.

    The Quitter key closes this program even if the recorder had opened it.
